GENERATIVE AI RECORDS: SCARY IF IGNORED, SIMPLE IF YOU KNOW THE RULES.
If you type it, it’s a record.
The questions you type into AI (called “prompts”) count as County records just like emails in Outlook or Word documents!
If AI makes it, it’s a record too.
The answers AI gives you (called “outputs”) are also County records.
Don’t trust AI to keep records safe. AI tools are not recordkeeping systems. If something needs to be kept, save it in the right County location not inside the AI platform you are using.
AI records are subject to public disclosure. Just like that email or word doc, AI records will have to be shared if someone asks to see them.
Bottom line: AI records aren’t monsters but they can come back to haunt you (all of us!) if not managed correctly. Save important records in the right place, and treat AI like a brainstorming buddy, not a filing cabinet.
