GOVERNANCE BOARD OF TRUSTEES - Chatham Day School, an independent school incorporated in 1998 as a notfor-profit organization, is administered by a Board of Trustees composed of parents and patrons of the school. The Board is charged with executing the bylaws of the school, safeguarding its fiscal health, and, in conjunction with the Head of School, working on establishing and monitoring policies and developing strategic plans.

Student Behavior and Discipline Be kind. Be responsible. Be respectful.

Physical, emotional, and psychological safety and well-being are essential to the Chatham Day School community. It is only when these conditions are met that students are free to use their energy to learn and develop the skills necessary for a positive and effective life. Progress through the developmental stages of childhood, adolescence and adulthood is never simple, nor without many missteps along the way.

At CDS, we consider each misstep an opportunity for learning and growth as well as a chance to reflect on the choices each individual makes. Without question, the manner in which we treat each other is a critical part of belonging to the Chatham Day School community. All of our interactions are guided by three tenets: Be kind. Be responsible. Be respectful.

From time to time, behaviors occur which call for a clear response from the school in order to help define the boundaries of what is permissible. Disciplinary actions are age appropriate and decisions are made on a case-by-case basis. While conversation or redirection led by an adult are usually the most effective forms of discipline, there are circumstances where more formal consequences are essential to reinforce community expectations.

When problems arise, the teacher who is directly involved with the student responds. The teacher reviews what happened and works toward helping the child understand the mistakes that were made. If the problem involves another student or a group of students, the teacher may meet with all those involved to help develop an understanding of the incident and more appropriate ways of behaving. Often, these teacher-directed discussions are all that is needed, but equally often, a child will be sent home for the day.

When more firm consequences need to be imposed, the school works to match the consequences to the misbehavior and to maximize the student’s self-reflection. When this happens, families are informed and we partner with them to work toward a successful resolution of the situation. In cases of repeated and /or serious misconduct, the Head of School may be asked to formally review the situation and decide on the next steps. In such circumstances, lengthy suspension and termination of enrollment are possible outcomes. In all matters of discipline, the Head of School’s decision is final.

All students at Chatham Day School are expected to treat each other in a manner that ensures that everyone enjoys a safe, orderly and productive learning environment. Be kind, be responsible, and be respectful remain at the center of our community.

GENERAL INFORMATION Accommodations for Learning - Chatham Day School recognizes that individual students may benefit from strategic accommodations to their learning environment. To this end, at the start of each academic year, parents are strongly encouraged to share with the School Counselor and appropriate Division Head any specific learning needs for their child. Chatham Day School offers reasonable and appropriate accommodations to students who have professional, current, and formal diagnostic evaluations. (A letter from a physician stating a diagnosis and recommendations for accommodations is not considered a formal diagnostic evaluation.) While the school is unable to provide accommodations that “fundamentally alter the nature of school programs,” we will consider the following possibilities:     

Computer use for note/test-taking 50% extended time Foreign language waiver for specific language-based disability Reduced/modified assignments or assessments Copies of lecture notes or discussion outlines

The School Counselor, Abby Alvez, coordinates all requests for the Child Study Team of Morris County for initial and yearly reviews. Mrs. Alvez can be reached directly at aalvez@chathamdayschool.org.

Accreditation - CDS is accredited by the New Jersey Association of Independent Schools (NJAIS) and is a member of the National Association of Independent Schools (NAIS).

Admission - Admission to Chatham Day School is selective and applications are accepted year-round.

There are several Open House dates during the year and admission tours are scheduled to accommodate prospective families. Please stop by the Office of Admission or call 973-410-0400 ext. 15 to speak to Mrs. Kellen Kent, Director of Admission.

Arrival - Students may arrive beginning at 7:15 a.m and can enter Before-Care until it is time to go to homeroom/advisory. The day for all grades begins at 8:30 a.m. Students are encouraged to arrive between 8:15 and 8:25 to prepare for the day. School personnel greet students outside in the car line as they arrive beginning at 8:15 a.m. Students arriving after 8:30 a.m. are marked as tardy.

Absences - Please call or email the school nurse 973-410-0400, ext. 18 or nurse@chathamdayschool.org by 8:00 a.m. to report your child’s absence. Please indicate if the absence is due to sickness, doctor’s appointment, etc. If the absence is due to illness, please give some detail regarding the illness (e.g. “has strep throat,” “has a cold,” “has been running a fever”) so that the nurse can track illnesses among the classes. If no contact is made, the school nurse will make an effort to reach you.

Attendance - It is expected that students regularly attend school and arrive on time, having completed the Magnus Health screening. Absences may negatively affect learning and grades. In the Middle and Upper Divisions, students who accumulate more than 15 absences may be denied course credit and asked to complete make-up work over the summer months.

If a student is absent due to illness for more than two days, teachers will prepare work to be emailed or sent home; for illness-related absences of two or fewer days, students should use their time at home to recuperate, knowing that the advisor will assist with a make-up plan upon the student’s return to school.

Birthday/Special Celebrations - Birthdays are often celebrated at school during snack or lunch time.

Please contact the lead teacher and school nurse at least one week in advance when sending in a special treat to be served to the class. Treats may not include any peanuts or nut products. Please consider a healthy option for student snacks. Individual cupcakes are permitted, but no cakes that need to be cut are allowed.

Birthday Parties Off-Campus - With small classes, consideration for the feelings of all classmates is requested. Invitations for out-of-school parties may be distributed in school only if every classmate is invited. When hosting a birthday party off-campus, parents are asked to consider one of three types of parties:   

All students in the class are invited; All students of the same gender are invited; or Only one or two classmates are invited

Calendar - The general School Calendar can be found on the website: www.chathamdayschool.org and on our web portal, mycds.org Cell Phone Possession and Use - Students are not allowed to use cell phones during school hours. If a student needs to bring a cell phones to school, it should be kept in their backpack.

Communication - Communication between parents and teachers is critical to building community and educating your child. Parents are asked to contact their child’s teacher(s), advisor or Division Head if they have concerns, whether academic or social. Only parents and/or legal guardians should be listed as primary contacts in MyCDS and communicate with teachers regarding student progress unless otherwise noted by both parents or a legal court document.

Conferences - Each student has three formal parent-teacher conferences scheduled each academic year.

Naturally, teachers, administrators and parents can request additional conferences whenever the need arises. Never put off contacting a teacher if you have any concerns whatsoever. Issues handled early are far better remediated than those left to chance.

Dismissal - Students are dismissed at 3:00 p.m. in the Early Childhood and Lower Divisions and at 3:15 pm in the Middle and Upper Divisions. Any student who has not been picked up by 3:30 p.m. is escorted to the After-Care Program which is available daily until 6:00 p.m.

Dress Code - While respecting the individuality of students, we know that proper attire helps set a positive tone for learning. While there is no formal dress code for the 2020-2021 school year, it is expected that all students will dress respectively and appropriately to a given situation.

Driving on Campus – Please drive only in the designated location and observe the 5 MPH maximum speed limit. During pick-up and drop-off, it is imperative that cars remain in line and move through to the exit. Please do not turn around out of the car line or try to pull around stopped cars to the left while on the driveway. CDS is a “NO IDLING ZONE.” Please do not park in the disabled parking spots unless you have the appropriate designation. If someone other than a parent is picking up a child, a written notice is to be sent to the child’s lead teacher. Please keep the Admissions’ parking spots free, as well as the reserved spot won by a family each year at the annual Gala.

Email Addresses - School personnel email addresses consist of a first initial and last name, such as: hdavis@chathamdayschool.org.

Emergency Closing-Delayed Opening - Snow or another emergency may require school to be closed or to operate on a 2-hour delayed opening. The administration will notify parents and staff of the decision to close or delay through an automated telephone service. If the school remains open, parents are encouraged to make their own decision about whether or not to bring children to school based on local conditions in their community. In the event of bad weather or other emergency that results in an early dismissal, the school will make every attempt to notify all parents by phone, and students will be supervised until they are picked up by a parent. All automated emails and calls pull family information directly from MyCDS, so it is very important that families keep their contact information updated.

The School may close temporarily or operate in a limited manner in connection with events such as acts of God, war, governmental action, acts of terrorism, epidemic, pandemic or other events beyond the School’s control (“Force Majeure Events”).

Enrichment Program - While the status for all enrichment programs is being held in abeyance for the 2020-21 school year, the following information will be relevant if CDS decides it is safe and feasible to offer programming.

After-School Enrichment Programs are scheduled from 3:30 to 4:30 pm daily. The program is available to students in kindergarten through grade eight and provides a wide array of classes in the arts, science and technology, sports, music, and more. The classes are taught by members of the faculty, as well as independent specialists. Students choose from a variety of classes that are held once or twice a week from 3:30 – 4:30 p.m. There is a fee for enrichment classes.

Extended Care - (7:15a.m - 8:15a.m.) (3:30p.m. - 6:00p.m.) Extended care offers a comfortable setting for children who keep extended hours at our school. It is a supervised time to complete homework assignments, play board games, read books, and make crafts under the supervision of faculty members.

Field Trips - Field trips may be scheduled for educational enrichment during the 2020-21 school year.

Students must have a signed permission slip to participate.

First Aid - In the event of an emergency, the nurse, teacher, or member of the administration initiates first aid measures. A diligent effort will be made to immediately contact parents/guardians or other designated emergency contacts if a serious injury occurs. If no one can be reached and the child needs immediate attention, an official of the school will accompany the child to the emergency room. It is essential that your family’s emergency contact information is completed in the Magnus Health system before the beginning of the school year. All emergency contacts listed must be able to drive and be able to pick up the students within one hour. Please update Magnus Health and advise the office of any changes during the school year.

Food Allergies - As in almost all schools, there are students with life-threatening allergies to a variety of foods at CDS. Parents of children with known allergies are to provide detailed medical information to the school nurse and to provide the school with necessary medications. FLIK Dining Services provides a nut aware snack and lunch each day. CDS cannot control the ingredients of all foods brought into the school by students. Due to the serious nature of peanut and tree nut allergies, CDS attempts to keep the campus safe from foods containing these ingredients. If a child is consuming a food containing nuts or peanuts, the food will be discarded and the parents notified.

Gifts - It is appropriate to express appreciation to a faculty/staff member. It is most meaningful to write a letter or to share a gift made by your child. Gifts of significant monetary value are discouraged because they may have the unintended effect of diminishing the professional relationship with the teacher.

Giving to CDS - The Green and White Annual Fund is vital source of unrestricted annual financial support that impacts every facet of the educational experience at CDS. A robust Annual Fund supports our signature programs; it ensures that CDS remains on the leading edge of technological innovation; it provides resources to build our programs in athletics and the arts; it allows us to better care for our school facilities and beautiful campus; and it allows students who would otherwise not be able to afford an independent school education to attend Chatham Day School. Achieving 100% family participation is the ultimate goal each year!

Health Records - Student health records are submitted and maintained electronically via your child’s personal portal in our Magnus Health system, which is accessed by a personal login and password.

Annual physical exams are required, and documentation of this exam and updated immunization records should be uploaded to the portal. Additional consents, medication information, forms, etc. are also found in each student’s portal. The school nurse is the only person who has access to this confidential information.

Health Screenings - Beginning in Kindergarten, height, weight, and blood pressure measurements are tracked annually. Vision and hearing tests are conducted and referrals sent home if necessary. Students are checked for scoliosis in 5th and 7th Grades. Permission for health screenings is addressed in your child’s Magnus Health portal.

Health Concern (Physical Illness): WHAT HAPPENS IF MY CHILD GETS SICK? The following guidelines have been set by the CDC and the CDS Reopening Task Force and detail when a student, faculty, or staff member may return to school after an illness diagnosed as COVID-19 or other.

This policy succeeds all former policies regarding a return to school after illness. Documentation of chronic illnesses (migraines, asthma, etc.) should be on file with the Nurse.

CDC DEFINED SYMPTOMS OF COVID-19  Cough  Fever of 100.4 or chills Fatigue  Muscle or body aches Headache  Sore throat  Nausea  Vomiting  Diarrhea  Shortness of breath or difficulty breathing  New loss of taste or smell SYMPTOMS If you have any symptoms on the list, do not come to school. You may return if you have NOT had a known exposure to COVID-19:  It has been 72 hours since symptoms have resolved OR  You have an alternate diagnosis and clearance to return to school by your doctor in writing (strep, flu, gastro) AND symptoms have improved EXPOSURE If you are exposed to COVID-19 do not come to school. You may return if:  It has been 14 days from the date of your last exposure and you’ve remained asymptomatic (no exceptions even with negative testing) o If symptoms develop during those 14 days then refer to the previous section  If you have been diagnosed with COVID-19 within the last 3 months you do not need to stay home TESTING If you have a positive COVID-19 test and are symptomatic do not come to school. You may return if:  It has been 10 days from start of symptoms AND you are 24 hours fever  free AND your symptoms have improved If you have a positive COVID-19 test but are asymptomatic do not come to school. You may return if:  It has been 10 days from the date of your positive test and you’ve remained asymptomatic OR  You have 2 negative COVID-19 tests 24 hours apart and remain asymptomatic  If you have a pending COVID-19 test for any reason do not come to school.  You may return if your test in negative and symptoms have resolved CDS_Family_Handbook_2020-21.DOCX

Health Concerns (Mental Illness) - The mental and physical health and wellbeing of our students is of paramount importance. If the school has a reason to believe that a student is at serious physical and/or emotional risk, presents a threat of harm to self or others, or should be removed from school premises, we may require the student to separate from the school on a leave. In order to return to school, the student will be required to have a comprehensive evaluation by a licensed mental health professional who is approved by the School Counselor and an administrator. A written release to return to school along with a plan for ongoing treatment will be required from this provider. Additionally, the student’s parents will sign a release allowing the School Counselor to communicate with the family and/or student’s healthcare provider on a periodic and mutually agreed-upon basis.

Documentation related to health-related matters are confidential and do not become part of a student’s permanent record. Should a child be considered to present a threat to others, the School Counselor or nurse will inform the Division Head or Head of School and, if deemed necessary, law enforcement may be notified.

Homework - Teachers assign homework as practice in developing skills that have been taught in class.

Homework is not meant to be busy work; each assignment is to be long enough to reinforce the classroom lesson. The amount of time spent on homework varies according to grade level. Should a parent feel that his/her child is spending an excessive amount of time on homework or not enough time, please notify the teacher.

Homework During Family Observances - Teachers are respectful of the range of religious and cultural holidays that our school families observe, and they do not assign homework on those important days.

Should there be a religious or cultural holiday of which the school is not aware, parents may request a waiver from homework, and the parental decision is respected.

Homework for Absentees - When a child is going to be absent for two or more days, parents are asked to contact the lead teacher or advisor to collect homework. Middle and Upper School students may use their Chatham Day School email accounts to communicate with their teachers about missed assignments or classwork. See Absences for additional information on planned absences.

Lost & Found - Lost and found articles are located in the cabinet next to the front desk. Parents are asked to label their children’s clothing - particularly outerwear - throughout the year. We will keep all lost/missing items for two weeks, after which they will be donated to a charity. Please encourage your child to be responsible with her/his belongings and to check the Lost & Found cabinet when missing an item.

Lunch - For students in kindergarten to eighth grade, lunch is provided each day by FLIK Dining Services. Pre-K and and Pre-S families can also opt-in to receiving lunch each day. This year, we are asking all families who desire lunch to order two weeks ahead of time using the following link: Chatham Day School Lunch Order Form Late Arrival - Faculty members leave the drop-off area at 8:30 a.m. and the front door is closed. After this time, parents must call the front desk upon arrival, and a member of the staff will let the student into the school.

Medication - In accordance with the NJ School Health Services Guidelines, the following individuals are authorized by law to administer prescription or non-prescription medication with a physician’s order: 

the school nurse or substitute nurse (RN);



the student’s parent or guardian;



a student who is approved to self-administer medication.

The school nurse, on a daily or as-needed basis, can administer medication. However, proper medical authorization and dosing information from your physician, as well as the actual medication, must be provided in all cases. Each medication must be in its original packaging with the child’s name clearly printed on the label.

School employees have been trained and designated in the administration of an EpiPen and may administer it in an emergency situation if the nurse is not available.

Parent/Guardian Conduct - Parents play an integral role in the overall educational program. Their understanding, support, and cooperation are critical to the success of the school and the achievement of its mission, goals, and objectives. Conversely, a parent or guardian, who is uncooperative, disruptive, disparaging, disrespectful, or abusive may lead the school to conclude that continued involvement is not in the best interest of the child or the school. CDS reserves the right to determine if attendance in school is in the best interest of the student and the school, and if necessary to dismiss the student.

Parents’ Association - The Parents’ Association (PA) supports CDS with activities and events for students, faculty, and families. It promotes a sense of community and encourages parents’ interest and participation in the school. The PA relies on parent volunteers for many of the events that they host throughout the year. Our PA president for the 2020-21 school year is Christa Laureano. The PA sponsors wonderful events, such as:     

Welcoming & Social Activities Annual Gala Faculty & Staff Appreciation Year-End Spring Picnic for Students Family Fun Nights

Class Parents - While this may look a little different in 2020-2021, class parents assist homeroom teachers in planning the Halloween Party, Around the World Day, and Valentine’s Day activities, assist with the parties, and well as the Gala class baskets and year-end gifts for teachers and assistants.

School Pictures - A professional photographer takes individual and class pictures in the fall. Prints are made available before the winter break.

School Store - The Parents’ Association offers various pieces of school spirit wear that students can wear to school every day. Spirit wear can be purchased at a number of events and an order form will be sent home for additional purchases.

Security - The security of each child, adult and the overall campus is paramount. To that end, access to the building during school hours is via the front lobby entrances only. All external doors of the main school building and the Canada House are locked after morning drop-off time.

Student Observation Authorization – Periodically, parents request permission for outside professional consultants to observe their child in the school setting. Such observations need to be coordinated with the division head.

Technology/Responsible Use Policy - Students in Grades 3-8 sign an agreement to ensure that they are aware of the rules when using technology at CDS. We also ask that parents/guardians sign this agreement.

By signing the policy, you state that you understand that the school’s technology is for educational purposes only and that the school has taken reasonable steps to safeguard the access for all users. The Responsible Use Policy and Frequently Asked Questions are available in Appendix C. Tutoring - Parents interested in pursuing one-on-one tutoring for their child(ren) for remediation or enrichment are strongly encouraged to discuss their plans with the Division Head. If a student works with an outside tutor or therapist, parents are asked to provide the school with the professional’s name and phone number. CDS teachers may tutor students privately, but they may not tutor students for whom they issue grades.

Visitors - In accordance with our health and safety protocols for 2020-2021, Chatham Day School will not be allowing visitors in the buildings for this school year.

Volunteering - CDS and the Parents’ Association rely on volunteers to help us host many events and carry out the School’s mission. Parental talents and energy are an important and valued facet of CDS Please offer to volunteer!

Yearbook - The school annually publishes and makes available a yearbook that includes individual pictures, special activities, and autograph opportunities to capture the memories of the school year.

SCHOOL EVENTS Back to School Nights - Back to School Nights are an opportunity for parents to learn more about CDS. As hosts, we welcome parents into classrooms to get a closer look at what their children do each day. This event will be virtual for the 2020-2021 school year.

Halloween Parade and Parties - Students participate in a Halloween parade and parents/guardians are welcome to virtually attend. Careful consideration is requested in selecting costumes.

Thanksgiving Feast - Just prior to the Thanksgiving break, all parent volunteers provide desserts for the students, faculty, and staff.

Around the World at CDS - As part of a rich tradition, the school engages in a Global Immersion Week.

Around the World Day is a culmination of thematic studies that includes traveling with passport in hand, feasting on native cuisine, learning about specific cultures, and heading home with a bit of jet-lag.

Valentine’s Parties - Students enjoy exchanging Valentine’s cards during this annual celebration.

Annual School Gala - This is the most anticipated event at CDS! It is a fun evening of socializing, dancing, and making new friends.

Grandparents and Special Friends Day - Grandparents are essential members of our families and communities. Special friends support and love us as we grow. That is why we set aside a special day to honor and spend time with them.

Faculty and Staff Appreciation - The PA designates an annual commemorative event to recognize faculty and staff members.

CDS Olympics - Mr C’s Olympic games are celebrated annually as a school-wide field day.

CDS Graduation - Students, parents, grandparents and friends gather to celebrate our 8th graders.

Spring Fair - Sponsored by the PA, students annually enjoy a wonderful morning of rides, games, music, dancing, and delicious refreshments to celebrate the successful completion of the school year.

APPENDIX A Harassment, Intimidation and Bullying Policy Bullying Behaviors: CDS provides an educational environment in which bullying behaviors, including cyber bullying, are not tolerated. Anyone who engages in bullying behaviors or cyber bullying is subject to disciplinary action. Bullying behaviors are repeated, intentional, and unwelcome verbal, written, or physical conduct directed at a student by another student that has the effect of:  Physically, emotionally or mentally harming a student;  Damaging, extorting or taking a student’s personal property;  Placing a student in reasonable fear of physical, emotional or mental harm;  Placing a student in reasonable fear of damage to or loss of personal property; or  Creating an intimidating or hostile environment that substantially interferes with a student’s educational opportunities.

Cyber bullying includes, but is not limited to, these misuses of technology: harassing, teasing, intimidating, threatening, or terrorizing another student or staff member by way of any technological tool, such as sending or posting inappropriate or derogatory email messages, instant messages, text messages, digital pictures or images, or website postings (including blogs) which has the effect of:  Physically, emotionally or mentally harming a student;  Placing a person in reasonable fear of physical, emotional or mental harm;  Placing a person in reasonable fear of damage to or loss of personal property; or  Creating an intimidating or hostile environment that substantially interferes with a student’s educational opportunities.

Harassment of a sexual nature is also strictly prohibited. Such conduct includes, but is not limited to, the following:    

Making comments of a sexual or sexist nature Making advances of a sexual or other nature Using words, sounds, look, or gestures to communicate unwanted sexual messages Use of pictures, drawings, or any other medium to expose an unwanted image or message of a sexual nature.  Pinching, patting or any other inappropriate touching of another person  Telling or repeating jokes that have a sexual theme It does not matter if any above noted behaviors take place in person or through electronic media, such as e- mail, postings to websites or phone calls. Further, the location of the behavior does not factor into the school’s responsibility to ensure a safe learning environment for all. Incidents of confirmed harassment will receive a disciplinary response.

Consequences: The range of responses to incidents of misbehavior and/or harassment will be determined by the age of the students, the developmental appropriateness and severity of the behaviors, past incidents, and the degree of harm.

Responsibility:  Each student is responsible to respect the rights of his/her fellow students and to work to ensure an atmosphere free from all forms of bullying behaviors and cyber bullying. 

Students are to report bullying behaviors or cyber bullying complaints to a staff member.



Any staff member who receives a bullying or cyber bullying complaint shall gather information and seek assistance from the respective Division Head to determine if a bullying behavior has occurred. If so determined, the Division Head will inform the Head of School of the incident.



The Division Head will inform the parents or guardians of all involved parties.

Complaint Procedure:  A student shall report a complaint of bullying behaviors or cyber bullying, orally or in writing, to any adult at the School including a teacher, division head, head of school, administrative assistant, or other administrator. 

If a parent initiates the complaint, the appropriate staff member will follow-up with the student, and the appropriate Division Head.



The staff member will gather the information and seek administrative assistance from the respective Division Head to determine the details of the alleged bullying behavior or cyber bullying conduct.



After the information has been gathered, the Division Head will determine the need for further investigation or the appropriate intervention, which may result in disciplinary consequences to ensure that the conduct ceases.



The offending student is subject to appropriate disciplinary action, which may include detention, suspension, expulsion or notification to the appropriate authorities.

APPENDIX B Policy on Release of Children A child will be released only to the child’s parents or a person authorized by the parents to take the child from the school or from the bus and to assume responsibility in an emergency if the parent(s) cannot be reached. No child shall be released from the school unsupervised.

If a parent or person authorized to pick up a child at a bus stop fails to meet the child, the transportation company will attempt to reach the parent or other authorized person to pick up the child. If the bus company is unable to arrange for pick-up by an authorized person, the driver will return the child to the school after completing the transportation run.

Parents are expected to have appropriate cars seats/booster seats in their vehicles when picking up their child. NJ State Law changes are effective September 1, 2015, and details can be found at www.nj.gov/lps/hts/childseats/childseats_newlaw.html.

If a non-custodial parent has been denied access, or granted limited access to a child by a court order, the school must be given documentation. The school will maintain a copy on file and comply with the terms of the court order.

If a parent or person authorized by a parent fails to pick up a child at the time of the school’s closing, the child will be supervised at all times until an authorized adult arrives. A penalty fee charged for time beyond the stated end of After Care.

If a parent or person authorized by the parent(s) to pick up the child appears to be physically and/or emotionally impaired or under the influence of drugs or alcohol to the extent that, in the judgment of the Head of School or the Administrator in charge, the child would be placed at risk of harm if released to such an individual, the procedures shall require that: 

The child will not be released to such an impaired individual.



Staff members will attempt to contact the child’s other parent or an alternate person authorized by the parent.



If the School is unable to make alternative arrangements, an Administrator shall call the DYFS 24-hour Child Abuse Hotline (1-800-792-8610) to seek assistance in caring for the child.

APPENDIX C Student Technology Responsible Use Policy and FAQ Here are some frequently asked questions regarding the use of technology in and out of the classroom: Can students bring their own laptop computers to school? Students in grades PS through 2 have access to classroom iPads. Students in grades 3 through 8 have individually assigned Chromebooks to use for school purposes. If it is determined that a student must bring in an additional device from home, the student must have teacher approval, and check the device with Mrs. Babington for virus and malware before it is allowed to access the CDS Wi-Fi or network.

What about Smartphones, tablets, e-readers, iPods and the like? All phones must be kept in student backpacks. Students may receive permission from a teacher to use a tablet, e-reader, or iPod for a specific class. In that case, the device should be checked in at the front desk, retrieved for the approved period, and returned until the end of the day.

Can videos and pictures be uploaded to the Internet? Photographs or videos that include two or more CDS students, whether taken on or off campus (off campus includes a private home or another public space) may not be uploaded to the web (YouTube, Facebook, Instagram etc.) by a student. This is true even if all students have parental permission to upload the material to the Internet.

Which websites may students visit while in class? Students may visit websites that have been approved by teachers or that are directly related to an assignment. Students are expressly prohibited from visiting video or music streaming services, social networking sites, chat rooms and message boards, and interactive game sites. It is impossible to list all prohibited sites, and it should be noted that some sites with social networking capabilities are not filtered by our monitoring software. When in doubt, students should ask a faculty member if a site is appropriate to view in school.

Can students use personal email or instant messenger services while in school? Students in grades 3 through 8 are encouraged to use their @chathamdayschool.org email addresses when communicating with teachers. When necessary, and with teacher approval, students may use personal email addresses to send or receive messages directly related to an assignment or other school business. Such messages would likely be sent to or from a faculty member or parent. Students are strongly encouraged to use a USB drive or Google Docs to save documents electronically (rather than emailing documents to themselves). Instant messaging is strictly prohibited on campus.

Responsible Use of Technology, Social Media and Third Party Services This document outlines appropriate Digital Citizenship for students in grades 3-8 while at school and away. Please review and discuss this document with your child. Sign the enclosed form and return it to the school to allow student access to CDS technology equipment and services.

Protect 

Students will protect their identity and reputation. Students will not access another student’s work or login.

Students are responsible for their behavior and character on the CDS network, Social Networks and Internet.



Students are responsible for the care and use of all CDS equipment.

Appropriate 

Students will act in an appropriate manner and use digital tools like websites, collaborative apps, and social media for educational purposes. Appropriate student behavior expectation extends to Google Apps for Education collaboration, educational technology accounts, and Schoology courses and groups.



Students will respect others: use appropriate language, constructive criticism, and support the efforts of others.



Students will only use programs, websites, and other digital tools that their teacher has assigned.



Students may not use devices to express words or phrases that are rude, disrespectful, or inappropriate.



Students may not use devices to bully, cyber-bully, harass or intimidate others.

Legal 

Students will use third party digital tools for educational purposes only.



Student educational accounts will be provided and reasonable effort made to keep students safe using content filtering. It is not possible to protect every student from all content. Student must use Digital Citizenship and caution must be exercised while on the internet.



Google Apps for Education, email and Schoology Course Learning System provides privacy controls to protect students and limit exposure outside of the CDS community. Students should not seek to circumvent these or other protective measures.



Students will follow copyright laws including rules about plagiarism and copying media.



Students will respect online spaces and facilities: use appropriate edits, upload only appropriate images and files, and take care not to delete or damage student or staff digital materials. Students may not download, save or print files, pictures or messages without permission from their teacher or other adult in charge.



Students and parents/guardians agree that they are prohibited from taking screen recordings, screenshots, videos or photographs of any virtual lesson, meeting or program, or any school employee. Students and parents/guardians are further prohibited from sharing, re-posting, or disseminating school materials, links, or passwords with any third party, for any purpose



The School utilizes third party technology services in order to operate effectively and provide virtual educational services. In order for students to use certain services, some personal identifying information is provided to the third party, such as the student’s name and e-mail address.

Pursuant to the Children’s Online Privacy Protection Act (COPPA), these third-party service providers must provide parental notification and obtain parental consent before collecting personal information from children under the age of thirteen (13). The law permits schools to consent to the collection of personal information on behalf of all of its students, thereby eliminating the need for individual parental consent given directly to the web site operator. You understand, acknowledge and accept such consent.

Safe & Responsible 

Students will be safe and responsible about handling computers, software, and other technology devices or equipment.



Students may not change or modify school system accounts or settings.



Students may not install software on school system equipment.



Students will utilize all CDS collaborative tools and social media to demonstrate exemplary work and develop a positive online presence.

HEALTH & SAFETY School Closing due to Force Majeure The School may close temporarily or operate in a limited manner in connection with events such as acts of God, war, governmental action, acts of terrorism, epidemic, pandemic or other events beyond the School’s control (“Force Majeure Events�). These circumstances may cause a modification to the academic calendar including cancelation of rescheduling of school trips and extra-curricular activities.

The School may also implement a distance learning program. A change in operations or the academic calendar due to Force Majeure Events does not entitle parents/guardians or students to a refund in tuition.

Communicable Disease In furtherance of ensuring the health and safety of the community, the School aims to promote understanding and prevention relating to communicable diseases, ensure fair and non-discriminatory treatment, and monitor guidelines and data issued by the Center for Disease Control and Prevention, the State of New Jersey, and local authorities.

Some communicable diseases and viruses of a more serious nature may pose significant health and safety risks. In response to concerns about such risks, the School requires that any student, staff member, vendor, visitor, or guest report immediately to administration any potentially communicable disease which the individual may have contracted or been exposed to. During an epidemic, pandemic or similar health crisis, the School further instructs any student that possesses symptoms of a communicable disease refrain from attending classes, field trips and extra-curricular activities until the student is fever and/or symptom free for a period of at least twenty-four (24) hours. If the School determines that a student presents a risk to the School community, the School may require that student to refrain from attending school, including classes, field trips and extra-curricular activities, for a designated period of time. The School will work with parents to make appropriate arrangements. In making such a determination, the school may consider: (a) documentation by a professional healthcare provider; (b) the symptoms possessed; (c) how long the person is infectious or has had symptoms; and (d) the severity of potential harm to third parties. Students may be required to provide documentation from a healthcare professional prior to returning to campus.

In furtherance of controlling the spread of diseases and infection, students should (i) avoid close contact with people who are sick; (ii) avoid touching their eyes, nose, and mouth; (iii) refrain from attending extra-curricular activities and field trips when they are sick; (iv) cover their cough or sneeze with a tissue, then throw the tissue in the trash; and (v) wash hands often with soap and water for at least 20 seconds, especially after going to the bathroom; before eating; and after blowing their nose, coughing, or sneezing.

If soap and water are not readily available, use an alcohol-based hand sanitizer.

During times of an epidemic, pandemic, or similar public health crisis, parents shall notify the School if the student has recently traveled outside of the United States or to areas designated as high risk. Students, and parents/guardians of students, are encouraged to self-monitor/monitor the student for fever and other symptoms of a disease or virus following travel during times of an outbreak or epidemic.

The School will follow all laws and guidance provided by authorities and expects students and families to do the same. The School may modify this policy or issue additional policies, statements and/or instructions, as necessary.

Infection Control The School has and will continue to follow all guidelines issued by the Centers for Disease Control, Occupational Safety and Health Administration, the State of New Jersey, and local health authorities regarding infection control practices which may include (i) disinfecting facilities and surfaces, (ii) frequent hand-washing/sanitizing, (iii) ventilation, (iv)requiring employees, students, and visitors to wear a face mask/covering, (v) screening employees, students, and visitors; (vi) requiring employees and students to self-report symptoms and illnesses; (vii) requiring employees and students to report recent and intended travel, and (viii) other measures recommended by the State and health authorities.

The School expects its employees, students and facilities to follow all laws, regulations, advisories and guidelines issued by authorities, and the School. In furtherance of infection control, if the School determines that a student presents a risk to the School community, the School may require the student to refrain from attending classes, field trips and extra-curricular activities, for a designated period of time.

This policy and the School’s practices may be modified to conform to the current environment, and to comply with current standards.
