TRAINEE ONBOARING

To ensure the safety and security of the community, all new trainees are required to complete the Onboarding process. This process should be completed with your supervisor ARE YOU WORKING ONSITE? Does your project include any in-person research on the BC Children’s Hospital campus? Step 1: Complete the following online courses: These courses represent the minimum requirements for those affiliated with the Oak Street Campus research community. Additional training may be required depending on your role, responsibility and level of supervision • Infection Prevention and Control Practices for Health Care Personnel Not Involved in Direct Clinical Care OR Infection Prevention and Control Practices for Direct/ Professional Clinical Care Providers • Privacy and Security 101 • Provincial Code Red — Fire Safety • Respectful Workplace — Fostering a Culture of Respect (CW Course) OR Preventing and Addressing Bullying and Harassment (UBC Course) If applicable, the following lab safety courses: • Introduction to Lab Safety: For supervised students • UBC Chemical Safety Training • UBC Biosafety Training • Transportation of Dangerous Goods • TCPS 2: CORE-2022: Research Ethics Step 2: Send a copy of the course certificates to your supervisor

ARE YOU WORKING REMOTELY? Is your project being completed remotely with no in-person research on the BC Children’s Hospital campus? Step 1: Complete the following online courses: • Privacy and Security 101 • Respectful Workplace — Fostering a Culture of Respect (CW Course) OR Preventing and Addressing Bullying and Harassment (UBC Course) Step 2: Send a copy of the course certificates to your supervisor

What happens next? Your supervisor is responsible for the following: • Reviewing your course certificates for completion • Arranging a BC Ministry of Justice Criminal Record Check (CRC) | CRC FAQ • Submitting a BCCHR Onboarding request Once an Onboarding request has been submitted and approved: • Your BCCHR directory profile will be created and a welcome email will be sent • If requested, a BCCHR network account will be created. The temporary password will be sent to your supervisor • For those onsite, instructions on where to go for your security ID photo will also be emailed to your supervisor ORIENTATION MATERIALS • Getting Started Onsite: Building & Facilities | Health & Safety | Research Support | ORCID iD • Introduction to BCCHR (Recordings) • UBC Faculty of Medicine - Research 101 Why can’t I complete the Criminal Record Check (CRC) online? If you’re new to Canada, under the age of 19 or have limited credit history you cannot complete a CRC online. Contact hr@bcchr.ca to submit your paperwork.

ONBOARDING TIPS How long does the Onboarding process take? After your supervisor has submitted your BCCHR Onboarding request, it can take up to 2 weeks. The process can be started before you arrive at BCCHR. What happens if I’m not a UBC student? A UBC CWL is required to access UBC safety courses. Your supervisor will need to submit a request to sponsor a Guest Account. Do you need a user account for the LearningHub? Yes, you can sign-up for an account here. Your health organization affiliation is the Provincial Health Services Authority and the agency is Children’s and Women’s Health Centre. What about additional training? The following courses are available for FREE to BCCHR students: • Good Clinical Practice Course • San’yas Indigenous Cultural Safety Training • CITI: Research, Ethics, and Compliance Training & Clinical Research Coordinator Course

Is the CRC free? Volunteers (unpaid) can submit a CRC free with a BCCHR access code. For everyone else, the cost is $28. You should check with your supervisor or department to determine who is responsible for covering the cost. CRC FAQ How do you request BCCHR remote access? After you have been onboarded by your supervisor, you can submit a request for access on the BCCHR Support Portal. Select IT Support > Access and Connectivity > Request remote network access. Are you conducting clinical research? Accessing hospital/clinical spaces: Your supervisor will need to submit a Photo ID Request via PHSA Protective Services. Accessing clinical infostructure: Your supervisor can request your access to clinical systems via PHSA IMITS. This may include: PHSA Network & Citrix Remote Access | Cerner PowerChart | CareConnect | PROMIS Access | CST Cerner PHSA IMITS Self-Service Portal | servicedesk@phsa​.ca Citrix Remote Access Portal | PHSA Webmail Onboarding questions?
