MAARTEN VAN DEN OUTENAAR
Chief Data Officer at Royal Schiphol Group
Schiphol has set itself a clear goal: it aims to become the best digital airport in the world. At last year’s Data Expo, Maarten van den Outenaar provided an insight into the strategy, just before its rollout. Since then, a lot has happened within the royal organization. The Chief Data Officer will return to the keynote stage this September to share the lessons learned. “We are not just here to solve problems; we are primarily here to help our employees. The frustration surrounding data has been replaced by optimism.”
He is eager to return to Data Expo, says Van den Outenaar. Refl ecting on the 2023 edition, he notes: “I received positive feedback and was able to chat with many visitors afterwards. The right people from the industry were there—a great group to speak to. At the request of Vanessa Visser, Chief Data Offi cer at KVK (also a keynote speaker at the upcoming Data Expo, ed.), I had a follow-up discussion with her data team after the event. These are the enjoyable aspects.”
Van den Outenaar spoke last September about Royal Schiphol Group’s data strategy for 2024 through 2026. He discussed the importance of engaging people in such complex transitions, especially in established companies with a long history. Having previously worked at organizations such as Alliander, VolkerWessels, and NS, Van den Outenaar had extensive experience in this area. “You shouldn’t tell people how they can do their jobs better with data, such as a gate planner here at Schiphol,” he notes. That approach often meets resistance, he explains. “The needs of employees should be the starting point. Then the question becomes how data can assist in meeting those needs.” With this conviction, he began working according to the new direction.
The CDO decided to focus entirely on understanding the impact and value of data, and building a Schiphol-wide data community. He spoke with directors from nine different business units to pick up their three main goals, in collaboration with Accenture. “We then also conducted
maturity scans, to see how data mature those industries were. So then we had 27 goals on paper. Scaling up customer satisfaction, to name one as an example. We found out that within the business units there were sometimes different opinions about the stated goals. It was also not easy to prioritize and quantify them. With the latter, Van den Outenaar is also referring to the budgetary side of things: ‘The board of directors was critical when I shared the various goals. They asked for more accountability, wanted to know more precisely where the value was, and I get that. There was a gap between the value that data can add and the knowledge of that within the business, we have become more aware of that.
It has also made Van den Outenaar and his data colleagues ‘more proactive,’ as he puts it: “When rolling out the strategy, we were initially on the back foot, so to speak, defensively. I received this feedback in a conversation with the Commercial Director. He felt that we were too focused on defending FTEs. We are now more on the
front foot, proactively demonstrating where data can make an impact. As a result, we have improved our ability to express value at the executive level of the business units—we have a better grasp of the feedback loop—which helps with prioritization. The noise between strategy and priorities has been largely eliminated.”
At the upcoming Data Expo, Van den Outenaar will also discuss the role of personas. He provides a sneak peek: “Data at the heart of every key decision is our mission. The accompanying goal is to empower every employee to work with data. To achieve this, we started working with archetypal employees. For example, we envisioned a plane planner and casually named him Khalid. How could he be helped by certain data solutions? The name we quickly came up with stuck and keeps coming up. ‘Who is your Khalid?’ we sometimes ask each other. ‘My Khalid is Ronald, who wants to attach ceiling panels as effi ciently as possible,’ for instance. It’s fascinating to see the added value that good personas can provide. We also
gave each persona specifi c quotes. What user requirements do they have? How do we make them happy? This approach makes it much easier for our data architects and developers, and ultimately, for the users in the various departments. Personas also greatly help in explaining the value of data.”

Van den Outenaar has seen the data world evolve over the past years, becoming more human-centered, so to speak. “It started with a tech-push, showcasing what was possible. Then came the next phase: fall in love with the product, without really looking at endusers. The attitude was, ‘Let us handle the data work that you can’t.’ This met resistance from team leaders and older employees. The step we’re taking now is: fall in love with the employee, which we’ve put a lot of effort into at Schiphol. It’s not about having the coolest
algorithm but about fi guring out how to make Khalid’s, Ronald’s, or Sandra’s work better tomorrow. It’s not just about solving problems but about helping people.”
Van den Outenaar and his team decided to actively promote the new data strategy. They handed out water bottles on behalf of the Data & Analytics Centre of Excellence, internally known as DNA. “Employees could have one, provided they turned the bottle with the text towards their boss. This way, we made colleagues aware of our work; those water bottles became a catalyst for openness. We moved away from operating in isolation and involved others in our work. For example, we organized a Data Fest with people from various departments, such as operations and asset management. We also have a column in the internal newsletter called ‘The Data Bottle on the Move,’ where employees show where their bottles have traveled.”
Stickers also contribute to data optimism within the organization, says Van den Outenaar: “People can place these stickers on their laptops. It says, ‘Do you work with data?’ This sparks conversations about data and the value it can offer. It’s much more effective than just trying to catch each other’s attention.”
According to Van den Outenaar, Schiphol Group has reached several milestones since the last Data Expo thanks to data. “We’ve increased from two to three passengers per minute at the security bins, and with smart cameras, we’ve made aircraft turnaround and fueling more effi cient. The 3D animation of the baggage hall also adds value. We’re doing a lot of exciting things, and we try to highlight these in an engaging way, both within and outside Schiphol.”

Digital transformation is a ‘must’ for virtually every organization. The benefits are clear: increased efficiency, better control, greater flexibility, to name just a few. Many organizations have already started working on it. This can create a sense of high urgency among the management of those lagging behind. However, in the rush to quickly catch up, several dangers lurk. Let’s list them.
Digital transformation and data-driven work are high on the agenda for many organizations. However, much goes wrong, as shown in a study by the Boston Consulting Group (BCG) in 2023. As much as 70% of all digital transformations fail to achieve the set goals, or only partially so. Lessons have since been learned and are widely available on the internet. Armed with these recommendations, a rapid catch-up may seem enticing. Indeed, delaying the initiation of the project further is not a good idea, but the execution must proceed with caution. Here are eight pitfalls to avoid:
1.
The digital transformation so far has primarily been about leveraging opportunities that have existed for at least ten years. The real transformation is yet to come when artifi cial intelligence gives business processes a high degree of autonomy. This second wave of changes will have a much greater impact on the organization. However, it is still useful to be engaged in the first wave of digital transformation.”
2.
Every digital transformation should start
with a thorough analysis and description of the business processes as they currently function, along with the supporting IT infrastructure. Many organizations lack this insight. While the system as a whole may work, the specifi c areas of ineffi ciency are not explicitly identifi ed. This becomes problematic during the transformation process.
3. LACK OF A CLEAR STRATEGY
By rushing into digital transformation “because we have to do something with digital transformation,” the transformation quickly takes on the character of solely a technological project. The goals and guidelines are missing, preventing the organization as a whole from effectively responding to a changing society. Therefore, first formulate the goals at a conceptual level and then translate them into business models and the new business processes that result from them. Analyze afterwards the implications this has for the supporting IT infrastructure.
4. INSUFFICIENT VISIBILITY OF THE IMPACT OF CHANGES.
Digitizing a business process often affects other parts of the organization. Especially when not all business processes have been adequately mapped out beforehand, it remains unclear which of the often complex interactions between business processes will be affected by the change. Use scenario planning and simulations to assess how changes will unfold and what their consequences will be.
5.
Include the ‘content people on the shop
fl oor’ in the process from the very beginning. Take plenty of time to engage with them about their current practices and ask for their comments on the proposed changes. Take the feedback seriously and incorporate it into the proposed plans. Change is always diffi cult, but by giving people infl uence over those changes, they are more likely to see the benefit and need for them.
6. STRESS CAUSED BY AUTOMATION
For many people, automating processes poses a threat. They see the work they are familiar with disappearing and struggle to envision their role in the new situation. They are given new responsibilities and are unsure if they have the necessary skills for them. Allow them to gradually adjust to their new role and provide proper training and coaching.
7. STRIVING FOR PERFECTION
A digital transformation is a complex process that inevitably involves trial and error. This takes time. Give employees the opportunity to make mistakes. Break down the change process into small components and identify where things go wrong as quickly as possible (fail fast), so adjustments can be made.
8. COMPLETION OF THE TRANSFORMATION
A digital transformation is never complete. It is a continuous process that must find a permanent place within the organization. Continuously monitor societal changes and analyze various scenarios to understand their potential impact on business processes. Only then can an organization effectively adapt to changing needs from customers and suppliers.

The market for heat pumps may be in a slump, HeatTransformers is growing well. The vendor and installer based in Woerden is successfully leveraging data. This requires a project-oriented approach and perseverance,” said Strategic Project Officer Wiet de Ronde. He still sees lots of opportunities with data and AI: ‘We are absolutely motivated to serve customers better and better with this.’ At the Data Expo, the returning visitor hopes to gain concrete new insights.
HeatTransformers, founded in 2018, had the economic wind in its sails for a long time, but heat pumps have since found themselves in different weather. Due to a range of factors, strong growth rates have declined. This spring, moreover, the obligation to have central heating boilers replaced by (at least a hybrid) heat pump from 2026 was scrapped. ‘That’s unfortunate,’ said De Ronde, who set up the data and BI capabilities at HeatTransformers and supervised several strategic data-related projects. ‘But fortunately, there are plenty of positive drivers for purchasing a heat pump. It is a sustainable option and, just as
importantly for many people, it helps save energy costs from a certain gas usage. For some, geopolitical motivations come on top of that.’

The fear of the unknown is fading, according to De Ronde: ‘You hear less and less about heat pumps making noise, looking unattractive, or malfunctioning. Recent research by the RVO proves that owners are quite satisfi ed with them: 95 percent recommends a heat pump.’
The market prospects for the slightly longer term are therefore fine, as indicated by De Ronde, but even in these less favorable times HeatTransformers is doing well: the multi-site company is even among the 250 fastest growing companies in the Netherlands. Their data-driven approach is paying off: ‘We make a lot of use of smart data insights,’ says De Ronde. ‘Specifically: complex models to better predict, from customer conversion rates to lead times, drawing on various data sources. We remotely gather data from approximately five thousand of the heat pumps we’ve installed. We have defined parameters to chart the success of the pumps. So we are not monitoring in a laboratory setting, but in a home setting. And the more homes, the better we can optimize.’
In addition to machine learning (“oldfashioned AI, you might say”), De Ronde sees new applications of artifi cial intelligence making their appearance:
“Agents that take over tasks, based on LLMs (large language models, ed.) like ChatGPT. Think of tools for customer service, automatic note-taking et cetera. All the analysts and developers here have ChatGPT open to improve codes. ‘The developments are advancing so rapidly, the use cases are popping up like mushrooms, but it’s not easy to implement them yourself.’
HeatTransformers gained experience with ‘an internal chatbot on its own knowledge system,’ De Ronde continued. That should be able to give customers concrete suggestions based on housing specifications. “We tested two applications, but it turned out to be complex to get it error-free. You can say that the technology did the 80 percent well that we can already do well ourselves. But the added value is right out there. What we noticed was that the application always gave an answer, while in some cases no answer was possible, the well-known hallucination. Especially when it came to specific properties of heat pumps. It keeps on testing and learning. In our core processes, we certainly still need people for the time being.’

De Ronde is brainstorming with colleagues on how HeatTransformers can best implement new capabilities into its business model.
‘We’re not just talking about one push of a button, but about entire projects that require a lot of attention. To start with, your data infrastructure must be in good order, because it is difficult to extract smart AI from bad data. In addition, you have to know very well what exactly you want to generate. Standardizing and getting teams on board takes time, you shouldn’t think too lightly about that. I also hear this from other data-driven companies. I am convinced that organizations that are currently using advanced AI applications have invested a lot of time and tested in silence for a long time before they started using them. It takes a lot
of small implementation steps to achieve big dreams in AI.’
At Data Expo in September, De Ronde hopes to gain new insights, realizing that data will become increasingly important in the energy market: ‘There are significant challenges to solve grid congestion and to use data to optimize energy use and storage, at both household and neighborhood levels.’ But there are also lessons to be learned beyond the industry, according to the Strategic Project Officer. Last year, De Ronde was inspired by a presentation by the Municipality of The Hague, on linking clients to WMO specialists. ‘Although it is a very different type of organization, we found ourselves facing exactly the same constraints. Like them, we strive to make matches as effectively as possible, between customers and installers in our case. I find it especially interesting at Data Expo to hear analysts, data scientists and developers talk about concrete cases. For instance, what challenges have they overcome, what solutions have they chosen, and what possibilities and limitations do these present?’

Artificial intelligence, or AI for short, is perhaps the most discussed topic in professional life today. Whether in finance, healthcare, retail, media, law or construction, AI is prominent, and at Data Expo it’s an important topic as well. Artificial intelligence can add value in just about any industry and in just about any department. But what if you haven’t yet taken (conscious) steps with AI? We’ll give you six implementation perspectives.
1. SMES: AI SAVES TIME AND COSTS
AI applications help SMEs save time and/or costs. At least that is what 87 percent of experienced companies in Australia state. For two-thirds of this group, improving productivity and effi ciency was also the main reason for deploying artifi cial intelligence, states the Commonwealth Bank of Australia (CBA) in early June 2024. The survey reveals that exactly a quarter of SMEs down under have now invested in AI, while 34 percent say they plan to do so within fi ve years. Thus, the practical experiences of their predecessors encouraged them to do so.
2. COST COMES BEFORE PROFIT
Before AI can save time and costs, organizations must first put in the necessary effort and money. Productivity usually goes down first in the implementation process before the acceleration comes. For many companies, these are reasons not to start with AI technology. Of the Australian SMEs in the CBA survey, 26 percent said they do not have the financial resources to invest in AI. Slightly more entrepreneurs (28 percent) cite lack of knowledge about AI as a barrier, while concerns about data security are mentioned even more often (33 percent).
3. NO SMART AI WITHOUT CLEAN DATA
Companies that want to use AI applications safely and meaningfully must have their data in order. Is the necessary data available for AI to be able to render? Data on products and customers, among other
things, must not only be collected but also purifi ed and updated. Garbage in, garbage out is not just a facade term. Even with AI solutions, the quality of the output is directly dependent on the quality of the input. In other words, first things first, and the cleaner, the smarter.
4. INTERNAL SUPPORT IS HALF THE BATTLE
If you know what value AI can add to your company and if you have the necessary data, you can make an informed decision to begin implementation. It is of great importance to involve the right people (from different departments), not excluding skeptics, and to create ambassadors who take colleagues on the AI journey, share experiences and address internal concerns. Think big, but start small.
5. AI WILL CHANGE PEOPLE’S WORK (READ: MAKE IT MORE FUN)
Top executives at larger organizations estimate that 40 percent of their workforce will need to be retrained over the next three years as a result of implementing AI, research from IBM shows. This is not to say that artifi cial intelligence is a burden on employees. On the contrary, according to the researchers and many other professional users of AI: automation allows them to focus less on repetitive jobs and more on tasks in which they can personally make a difference. So while AI helps business owners achieve more with fewer resources, the technology enhances job satisfaction on the fl oor.
6. OVERCOME AI PHOBIA
The world is changing at lightning speed. It’s often said, and rightly so, that the pace of change is only accelerating. Technology is humbling. “It’s tempting for entrepreneurs to jump on the AI train to avoid missing out.” But fear, also AI fear of missing out, is a poor counsel. This fear can be overcome by getting a realistic picture of the (im) possibilities with AI for your organization.
Organizations are on the eve of a revolution in which AI, and in particular generative AI (GenAI), plays a crucial role. Forms of AI such as machine learning, computer vision and NLP for chatbots, among others, are already widely deployed in sectors as diverse as healthcare, government, retail and banking. But how can organizations apply (Gen)AI effectively?
A recent global survey by SAS and Coleman Parkes among 1,600 decision-makers found that China leads the way in the use of GenAI in the workplace, followed by the U.K., U.S. and Benelux. However, the U.S. leads the way in maturity and full implementation of GenAI.
The biggest challenge according to the survey is the lack of a clear GenAI strategy. Only a small percentage of respondents are well aware of the implementation strategy within their organization, particularly in the Benelux. Other challenges include a lack of data and insufficient preparation for AI regulations. IT leaders are particularly concerned about data privacy and security.
A common question is which GenAI strategy companies are pursuing. Because just having a strategy is not enough for success and productivity. GenAI must be an integral part of the business strategy to have real impact. Five factors are important here:
1 DATA QUALITY: Data quality is essential. No good AI model can be developed without quality data. Companies must thoroughly evaluate their data to achieve reliable results and avoid bias. The same is true for GenAI: the quality and reliability of the final result depend on the data used.
2 DATA SECURITY: With the increasing threat of data breaches and cyber attacks, data security is crucial. GenAI offers criminals new opportunities to obtain data in a smarter way, making security even more important.
3 COST ASPECT: GenAI is costly. Companies must determine which processes can benefit most from GenAI to justify the cost. The choice between training a GenAI model themselves or using outside vendors is also important here.
4 ATTRACT TALENT: With the scarcity of IT talent, companies need to be attractive to AI experts. This is essential given the pressure to develop and adopt GenAI quickly.
5 COLLABORATION ACROSS DISCIPLINES: For reliable GenAI, data scientists, IT, business and legal experts must work together effectively.
By considering GenAI as a core part of the business strategy and paying attention to these five factors, organizations can maximize the benefits of this technology.

Our research shows that 83% of U.S. companies will invest significantly in generative AI by 2024-25. The following aspects are important for successful implementation:
• Value creation: Translate the implementation into measurable benefits for the organization.
• Trust and Compliance: Increase trust in data use and ensure regulatory compliance.
• Integration: Ensure that existing systems and processes do not impede the potential of GenAI.
• Skills: Develop the skills in your organization that support and optimize the GenAI strategy.
By applying these strategies, organizations can not only maximize the benefits of GenAI, but also strengthen their competitive position.

Improving data governance is high on the agenda of organizations, often higher than the adoption of AI tools. The latter also does not fare well without the former. Both larger and smaller organizations are investing in data governance, a crucial pillar of every successful data strategy. What do they need?
Data governance is a top priority for organizations this year, according to Immuta’s latest State of Data Security Report. It is based on responses from seven hundred data platforms and security professionals from international enterprises. These specialists emphasize the importance of data governance in the rapid evolution of AI, describing it more or less as a foundational requirement.
Also interesting is an analysis by Gartner on this topic. The research and advisory firm predicted that 6 out of 10 organizations will experience disappointing AI performance in 2027 due to inadequate data governance.
The importance of data governance is evident, and with the rapid rise of AI, perhaps greater than ever before. What are the must-haves and do’s for organizations?
Data governance benefits from a framework, a set of agreements, rules, processes, and responsibilities designed to ensure the security and privacy of data. It provides the framework for the data strategy and
compliance. Improved security and reduced risk of data breaches are most commonly cited as benefits of a data governance framework in Gartner research, followed by facilitating technical complexity (such as generative AI applications). Furthermore, such a framework, tailored to the organization in question, can prevent data sprawl and help ensure integrity.
Aligning IT professionals and ‘the business’ is often a challenge in companies’ governance journey. Most decision-makers also struggle to express data use cases in tangible business value, research shows. By contextualizing data challenges within broader goals and outcomes, organizations can determine, share, and optimize the relevance of data in daily business operations.
Data governance involves not only technical and procedural aspects but also cultural ones. Organizations benefit from fostering a data-driven mindset at all levels, where individual employees understand the importance of responsible data use, as well as their own roles and responsibilities in this regard. Experts cite this organizational cultural component as crucial for the successful implementation and longterm maintenance of a data governance framework.
Data governance relies on tools that help organizations effi ciently manage, trace,
and leverage their data. This includes data catalogs, which provide an organized and searchable inventory of all data assets within an organization, and data lineage tools, which trace the origin, movement, and transformations of data across different systems. Metadata management systems and Master Data Management (MDM) tools also provide specifi c value. Continuous training of employees is also crucial for effective data governance. Een terugblik op de eerste executie periode van de datastrategie en geleerde lessen: Eind vorig jaar lanceerde Schiphol haar nieuwe datastrategie met als slogan Data at the Heart of Every Key Decision. In deze keynote kijkt Maarten van den Outenaar terug op de eerste periode van de executie van deze strategie. Wat ging goed, waar was het moeilijk en hoe ging hij hiermee om?
Ga met ons mee op een data-safari door Afrika! Met behulp van Internet of Thingstechnologie genereren wij grote hoeveelheden data, die beschikbaar worden gesteld aan parkmanagers, rangers en onderzoekers. Het real-time karakter van deze data stelt hen in staat snel beslissingen te nemen die betere bescherming bieden voor bedreigde dieren en hun omgeving.

Van der Werff works at the Netherlands Institute for Public Safety, abbreviated as NIPV. In addition to being a program manager for crisis management, he is the team manager for information and data services at the public institute.
A pandemic, threat from the East, and hybrid warfare have brought national crisis management into sharp focus. As Program Manager for National Crisis Management Facilities, Martijn van der Werff finds himself at the center of the storm. A frequent visitor to Data Expo, he discusses the increasing importance of data for public safety in the Netherlands: ‘Crisis decision-making is increasingly influenced by the availability and quality of data.’ He will be exploring numerous aspects of this in September. ‘I recognize all the challenges often discussed regarding the use of data across various domains.’
The NIPV has four core tasks: research, education, information (provision), and support. ‘For a safe and resilient Netherlands’ is the mission. The independent administrative body primarily focuses on crisis management and fire services. ‘We provide resources and expertise,’ says Van der Werff, ‘and also deliver an IT platform, which includes the National Crisis Management System.’ Safety regions and other crisis partners must be able to rely on the information and support of the NIPV in all phases of incidents and crises, the manager continues: ‘In the planning phase, the prevention phase, during the manifestation of a crisis, and in the aftercare phase.’

Data are gaining ground in crisis management, says Van der Werff: ‘They have enriched our way of working. Situational Awareness, Judgment, and Decision-Making together form the well-known BOB model for effective decision-making. Nowadays, data analysis precedes this. Let me give an example of a fire in a tire factory: you can extinguish that fire, but if downstream there’s a brewery that will be affected by the extinguishing water, the local economic impact could be enormous. Objective data help to map out the consequences of events and actions, making the situational awareness as relevant as possible. This often revolves around networks, and whether you have all the different stakeholders in the loop.’ That data sources are gaining ground over gut feelings seems like a good thing to Van der Werff. ‘I should add that uniformity of data is essential, and that data without interpretation is useless. Only experts can provide that interpretation. So, in addition to data, people are very important, and investing in your network remains essential.’
The NIPV offers crisis partners support with a ‘geoserver,’ says Van der Werff. ‘It generates enriched map layers to facilitate good decision-making. Think of a geographical presentation of vulnerable objects in a specific area and intuitive visualizations where various sources are combined into valuable information. For example, the purpose of a building and the composition of its residents.’

Data quality and integrity are vital for crisis decision-making, observes Van der Werff. ‘We face cybersecurity risks. Hacks are looming, and the NCTV (National Coordinator for Counterterrorism and Security) openly communicates about this threat. Additionally, more and more processes are being automated and linked together, which increases the importance
of data quality.’ This importance is further amplified by AI, he continues: ‘Previously, it was: garbage in, garbage out. Now, with AI, it’s: garbage in, garbage everywhere. I see organizations currently investing heavily in data quality as the foundation for AI’s black box. At Data Expo, I am keen to hear how others are tackling this and what solutions they are using.’
The NIPV and several crisis partners are experimenting with an AI-driven virtual assistant, Van der Werff continues. ‘Disaster coordinators have a leadership role during a crisis, such as a large fire in a hospital with heavy smoke development. Using a large language model, we aim to help quickly get a good understanding of such a disaster and the relevant factors, like what vulnerable objects are in the direction of the smoke that may need to be evacuated. The output is based on similar incidents in the past, the lessons learned from them, and so on. With this rudimentary AI, we can try to make even faster and better decisions.’
This brings him to another data challenge, the ethical aspect: what can you conscientiously leave to technology? Can you later transparently show how decisions were made if you let an opaque neural network run its course? Van der Werff says, ‘For example, we have the AI Act. At Data Expo, I am eager to hear stories from experienced professionals in this field: can they offer concrete guidelines, things you need to consider in practice?’
Van der Werff also attends Data Expo to learn how companies are reorganizing themselves to be ready for an AI-driven future: ‘Recently, I was with a group of CIOs (Chief Information Officers), where much discussion focused on the impact of AI on human capital. It’s something where we at the NIPV are not yet leading; we are primarily at the forefront of exploring AI. I want to prevent us from being too late. We have all the expertise in-house, from knowledge development to infrastructure and tools. We can’t just put everything in an American cloud. Therefore, it is crucial for us to think about the IT organization in approximately ten years. What does that mean, for example, for our workforce?’
Van der Werff is also interested in sessions on data literacy at Data Expo: ‘When working with data, it’s crucial that you can formulate the right question, the prompting. And you must be able to answer for yourself why you want to know something. During the pandemic, I experienced that leaders wanted to know how many fines were issued for non-compliance with measures. However, I believe it wasn’t about the number of fines, but rather about whether the measures and their enforcement were effective in relation to public health. Finally, as a recipient, you should always ask for interpretation of the numbers. As an educational institution, we can develop these skills for everyone. I’m curious to hear how other organizations have approached this.’

The process of digital transformation carries a pleasant aura of sustainability, alongside improved efficiency, of course. Physical processes become digital, efficiently handled ‘somewhere in the cloud.’ As a result, they appear to consume less energy and other resources. Digital collaboration also reduces the need for travel. These arguments can be valid, but there are several considerations to keep in mind. We have listed the key considerations for sustainable data management.
The term ‘sustainable data’ sounds concise, but what does it actually mean? For convenience, a range of topics is grouped under this term, even though they might not have much in common. These topics vary from energy efficiency to the careful handling of privacy-sensitive data. However, each of these subjects is important to
prevent the process of digitalization from having an adverse effect.
A migration to cloud processes seems like a sustainable step from an environmental perspective. Digitalizing processes and transferring data processing to the cloud causes the energy consumption of these processes to become less visible. However, data centers are required for all that data storage and processing, and they are known for their enormous energy and water consumption. Many data operators, however, strive to work as environmentally conscious as possible. They use renewable energy and energy-efficient hardware. Due to their scale, they are more efficient than traditional on-premises data centers at companies or the “server room” at the office. But not all data centers follow the same path when setting up sustainable processes. Therefore, when selecting a cloud provider,
it is important to ask critical questions about their environmental goals and future plans in this area.
Data is processed on servers, which significantly determines the energy consumption in the process. Cooling in the server room is also an energy-intensive process. Hardware manufacturers are making increasingly smaller and faster components that, relatively speaking, consume less and less energy. These should replace the old equipment. But what happens to the old equipment? The degree to which equipment can be recycled varies considerably between manufacturers. This is also an important topic to discuss with suppliers.
Even with the best saving measures in place, energy is still required. Ideally, this energy should come from renewable sources if the
aim is to prioritize sustainable data. The use of solar panels and wind energy helps reduce the ecological footprint.
HALLDATA STREAMS.
The way data processes are structured can have significant implications for the amount of energy required. Especially retrieving and writing data is relatively energy-intensive. When programming software, it can therefore matter how often data needs to be loaded into the working memory. The way processes are interconnected can also impact the overall energy usage. Therefore, ask a software supplier or cloud provider during the selection process how they focus on setting up sustainable data streams.
HALLDATA DEDUPLICATION.
The more data stored, the greater the energy demand. Therefore, it is not wise to store more data than necessary. Many data files contain duplicate or even multiple instances
of data. There is software that analyzes data for duplicates before storing it. The copies are removed and replaced with a reference. When retrieving data from storage, the reverse process occurs so that applications still find the copies where they expect them. There are significant differences in the efficiency and accuracy of deduplication software. Therefore, it is a point of attention during the selection process.
HALLDATA CLEANING.
Deleting data that is no longer needed is also a way to manage data sustainably. Many companies, as well as individuals, tend to keep data “just in case it might be useful someday.”
The General Data Protection Regulation (GDPR) already imposes legal requirements on the maximum retention period for personal data. However, it is advisable to use software that attaches a retention period to all data and automatically deletes it after this period expires.
HALLDATA QUALITY.
Data lakes filled with data that don’t fit together are essentially worthless. Therefore, the reuse of data depends on careful monitoring of the quality of the data being stored. In many digital transformation projects, rationalizing and converting data is the biggest sore point.
HALLGOVERNANCE.
Supervision of the use and management of data has as much impact on sustainability as the technical requirements for sustainable data. How is accountability for the use and management of data ensured? Is there adequate attention to privacy? And how is ethical handling of data guaranteed? Governance is not a one-time exercise but a subject that requires continuous attention because societal conditions, legislation, and technology are subject to change.
How does an SME harness the benefits of digital transformation? What are the key challenges and how do you tackle them? One thing is certain: not riding the data wave will cause your business to veer off course and eventually strand.
Digital transformation - or optimizing the use of data - remains a headache for many SMEs. Especially in the process and manufacturing industries, established companies find it diffi cult to let go of old and familiar practices. However, this issue also affects the service sector. “It has been working well for years” is certainly no longer a guarantee that business processes or products will meet future requirements. Customer needs are changing, and they also have different expectations for interactions with suppliers. Automation, robotics, and artifi cial intelligence are revolutionizing the effi ciency of business processes. Those who understand this and innovate can participate in this revolution and gain a competitive advantage.
Digitized business processes offer the opportunity to collect much more data about those processes and analyze where delays occur. By gathering data from customer interactions, you can anticipate changing needs earlier and respond accordingly. Well-structured digital processes are also fl exible and can be easily adapted to changes.
The benefits are clear. However, when digitally transforming a business, there are quite a few dangers and challenges to consider.
DELAY: Don’t put off starting until tomorrow; digitalization is a process that takes time. Trying to move too quickly is a
recipe for failure, as the organization might not keep up. However, waiting too long to start the project increases the risk of losing customers and revenue.
HUMAN FACTOR: Change is challenging for many people and often evokes resistance. Digitalization and the shift to autonomous or semi-autonomous processes pose a threat to employees on the shop fl oor. Involve them from the very first steps of the process. Engage in dialogue to understand their perspectives. Explore how their current work is structured and discuss the proposed changes. Take their experiences and feedback seriously, and incorporate them into the transformation plan.
LACK OF INSIGHT: Inventory and analyze all business processes. In many organizations, it’s not clear exactly what is involved in delivering products or services. Review everything and document this information meticulously, preferably with the help of an external expert experienced in such processes.
FEAR OF INNOVATION: You know what you have, but especially with radical innovation, you don’t know what will happen. Transformation requires signifi cant investment, both financially and in terms of manpower. If the organization is currently performing well, it’s tempting to leave things as they are. However, standing still is not an option in this era of rapid change. Conduct research, talk to industry peers about their experiences, and try to overcome that reluctance.
UNFAMILIARITY WITH THE RANGE OF DIGITAL SOLUTIONS: When you don’t know what’s possible, you also don’t see what can change. It is crucial to evaluate the
options at the beginning of the journey for opportunities and risks.
INSUFFICIENT DIGITAL SKILLS: Many entrepreneurs are dissatisfi ed with their own abilities in handling data. Digitizing means more data. The prospect of a growing mountain of data can be daunting. Invest in modern software for data management and analysis and seek help in setting it up. Data engineers and data analysts can set up the right dashboards to make crucial decisions. With no-code and low-code software development, it’s increasingly easier nowadays for experts in content or management, even without extensive programming experience, to create new dashboards.
STAFF SHORTAGE: The tight labor market affects organizations in two ways. A shortage of employees engaged in operational tasks is just one reason to take digital transformation seriously. It leads to more effi cient processes, thereby relieving employees. It usually makes their work more interesting because digitization and robotization can help reduce the number of repetitive tasks. However, experts needed to guide digital transformation are also scarce. All the more reason not to hesitate to launch the digitalization project.
LACK OF FINANCING: Transformation will require investment, but ultimately yields signifi cant benefi ts. Improved effi ciency leads to cost savings, and welldigitized processes enhance customer satisfaction and loyalty. Enhanced understanding of internal processes provides management with greater control and improves organizational agility.
