W

e are grateful to be supported by over 19,000 companies throughout Greater Arizona Southern California who’ve earned BBB Accreditation, as well as our dynamic board directors and staff.

In early 2018, we had an opportunity to expand our service area to encompass the Pacific Southw reduce redundancies, and double down on those things that are good—more community involvem more business engagement, more engagement with the buying public—just really being able to be in the community. In a nutshell, we got big to go small to get our roots out. The results have been overwhelmingly positive from developing new business offerings, a newed brand perspective, a th six BBB campuses and increased board engagement, just to name a few.

WHAT TO DO WITH ALL THAT PAPERWORK

Separate Records Certain records should be kept separate from the individual employee personnel file.

In some cases, this is a legal requirement but in many cases it is for administrative ease to be able to quickly reference the documents.

The most common types of records kept separately are medical records (i.e. ADA correspondence, physician’s notes related to sick leave and results of alcohol and drug screenings) and protected health information subject to HIPAA (this is primarily created in connection with your health insurance plan).

Both of these types of documents should be kept separate from each other and separate from the general HR file for an employee.

Businesses with employees accumulate endless piles of paperwork (albeit sometimes virtual) related to those employees. It can be intimidating to figure out what to do with the volume and whether laws apply to the records. Whether or not your business has a designated HR representative handling your employee-related paperwork, you should ensure that you are familiar with the best practices and legal requirements of employee recordkeeping.

Access to Personnel Files

There is no federal law that governs who has access to employee personnel files. In Arizona, private employers have no obligation to permit current or former employees to review their own personnel files. In California, both current and former employees have

There is no “one way” to organize employee files. Employers should be sure that they organize files in a manner that allows records to be found quickly and easily. They should limit access to files to only those persons who “need-to-know” the information and store the files in a safe and secure location.

Employers can maintain electronic HR records for almost all employee records.

The employer, not a third party vendor, is ultimately responsible for proper collection, storage, maintenance, retention and destruction of all records, so employers must be sure to thoroughly vet each vendor they consider. In particular, employers should be aware that electronic retention of Form I-9

BBB BOARD’S EXECUTIVE COMMITTEE DEVOTES ANOTHER YEAR, NAMES 2019 CHAIR The success of the BBB merger nine months ago was championed by 12 well-respected business leaders from Orange County, Phoenix and San Diego. Led by Jonathan Gallagher, who served as board chair for BBB San Diego, Imperial and Orange Counties one year prior to the merger as well as through it, the executive committee invested countless hours and mileage to support the brand’s historic transition.

As a testament to their commitment to BBB, they’ve agreed to devote another year as an executive committee to see the organization through its second year as BBB Pacific Southwest. In January, Ken Bonham was appointed to serve as chairman of the board.

My chairmanship theme, Connecting the Community, is centered on both connecting the over 19,000 BBB Accredited Businesses —part of the largest in the nation—in our chapter with resources and opportunities in their local and larger chapter community, and on enhancing the connection between the six campuses of our newlymerged chapter. Celebrating our 80th Anniversary in Style Early last November, your BBB celebrated eighty years (1938 – 2018) of serving businesses and consumers throughout Greater Arizona. Drawing from some leftover Halloween energy, the theme of the night was Great Gatsby, and many people from the community came out to enjoy great food and drinks donning their best flapper dresses and three-piece suits. The event was the official unveiling of ignite, sparked by BBB, our new coworking space on the Phoenix campus, with guided tour through the building for everyone in attendance.

RENT SENSE: BEST PRACTICES FOR RENTERS IN 2019

6. Drive the neighborhoods you are interested in. Often you will find For Rent signs that maybe do not advertise online.

e all know that moving is one of the top stressors. Your common sense will go a long way in looking for your next home and avoiding online rental scams. Here is our Top 10 list for Renters: 1. Make sure you are utilizing well known sites. For example, Zillow, Trulia.

7. If you find a home you like, apply! It is likely a first come first serve approval process. You don’t want to miss out especially in the current rental market!

2. If you find a property you like, click through to the Company and see what other homes they may be offering. You might find something that wasn’t posted yet that could be perfect!

8. Never send money without meeting someone or viewing the property.

According to bbb.org’s Scam Tracker, rental scams were responsible for $20,000 in losses in 2018, nearly 1.5% of all reported losses.

3. Call the company or even stop by the office is you can. Calling or making an in-person appearance can often lead to homes that may be coming soon.

4. Start looking about 45 days before you need to move. Any more than that will result in properties that are likely ready for immediate occupancy. No one wants to pay double rent if it can be avoided.

9. If you come across a scam on craigslistFLAG it! Report it! Scams often have mismatched photos, weird fonts and/ or the scammer will reply to you with unnecessary detail about themselves.

They will ask you to wire money. Don’t!

5. Consider when you are looking, most renters give notice at the very end of the month, meaning that the property manager will post ads the first week of the month.

10. Lastly, if you find an ad online that looks too good to be true, it probably is.

When in doubt, ask the BBB or a professional management company!

PHOENIX LAUNCHES FIRST BBB COLLABORATIVE COMMUNITY COWORKING SPACE

A

fter a year of researching and planning, BBB Pacific Southwest opened its flagship coworking space in Phoenix this past winter, focused on fueling the passions of main street entrepreneurs and solopreneurs.

Drop-in daily rates start at $10 for BBB Accredited Businesses and $15 for nonaccredited businesses. This rate includes use of flexible space to cowork in for the day with free wifi, Cultivate Coffee, tea and light snacks.

"ignite sparked by BBB is a collaborative, inclusive and multi-use space dedicated to the success of all organizations from startups to small businesses, the service industry and respected nonprofits like the Arizona Hispanic Chamber of Commerce," BBB Director of Entrepreneur Programs Kimberly Roland said.

Drop-in monthly passes starts at $100 per month for BBB Accredited Businesses and $150 for non-accredited businesses. This rate includes use of flexible space to cowork in for the day with various amenities outlined in daily drop-in, plus meeting room credits.

BBB Pacific Southwest in Action

Media outreach is one of the best ways to spread the word of the BBB Mission in our community. In 2018 alone we had 9,700 media mentions within the Pacific Southwest Region, good for over $11 million in value coverage.

In honor of National Tax Security Awareness Week, your BBB hosted a live summit with representatives from many local and national agencies, including the FTC, FBI, SBA, San Diego District Attorney and Sherriff’s offices, and more. The panel was viewed by over 3,000 consumers.

Our mixer event for Accredited Businesses, BBB Connect, featured great networking and discussion, along with delicious eats and drinks from Gordon Biersch in San Diego.

Late last year, KUSI in San Diego aired a brief interview with Matthew Fehling to discuss the merger, and how it affects the mission and goals of BBB Serving Pacific Southwest moving forward, into 2019 and beyond.

Straight talk about everything startup with Kimberly Roland For those of you who have ever worked remotely or run a business from home you know as well as I do that the “perks” of working from home can often be outweighed by the distractions or other cons that come with working from home. Whether you feel isolated or uncomfortable having a client come to your home, there are myriad reasons as to why more and more people are turning to coworking in professional environments. Yes, Kimberly Roland, BBB Director of your local coffee shop or Starbucks will always be an amazing, Entrepreneurial Programs occasional option, but is it professional enough? What message are you sending to potential employees or clients when you meet in less-than-professional settings? These are all questions I have contemplated in great depth over this past year as BBB has entered into the realm of coworking spaces and the greater community that surrounds coworking space.

As we enter 2019 we are thrilled to launch ignite sparked by BBB here in Phoenix. This is an inclusive and multiuse coworking space in the heart of Central Phoenix where small business owners can stop in and cowork for the day or the month with us. I might be biased (okay, I am), but I think we have an amazing location, outstanding amenities, and a welcoming space to cowork. That being said, I know Phoenix, much like San Diego, is a large city with a whole lot of urban sprawl. In my research, I have also learned that people often decide to work at a coworking space based upon its geographical proximity to where they live rather than selecting a space for amenities or even pricing.

So while I would love to see everyone in ignite sparked by BBB, I am realistic and want to provide you with some additional resources. I was fortunate enough to be one of the founding members of the Arizona Coworking Alliance in 2018. This Alliance was actually modeled after several in other major cities, including the San Diego Coworking Alliance. The core of the mission of both of these organizations is for locally owned and operated coworking spaces to form, well, an alliance while elevating one another’s brands. It also allows consumers to give coworking spaces a test run without and before signing longer, legally binding agreements. So whether you’re in San Diego or Phoenix for your next client meeting, be sure to check out a local coworking space near you. You won’t regret it and another local business owner will thank you for supporting them too!

BBB ETHICAL ATHLETE WINNERS Last December, your BBB, together with IsagenixÂŽ and the Arizona Interscholastic Association (AIA), announced four area high school student athletes selected as winners for the BBB Ethical Athlete Scholarship during the High School Football State Championship Game, played at Sun Devil Stadium on the campus of Arizona State University on Saturday, December 1, 2018.

Students are nominated for their outstanding Abbie Spiek, Sr., Liberty High School ethical compass and willingness to do the right thing, both on and off the field, even in the most difficult situations. Each month, the Ethical Athlete Scholarship awards $1,000 to two winning athletes (one male, one female).

The athletes recognized were Kristin Riggs (Sr.), a soccer player from Casa Grande Union High School, Owen Williams (Jr.), a tennis player from Williams Field High School, Abbie Spiek (Sr.), a volleyball player from Liberty High School, and Wayne Burling, Jr. (Sr.), a football player from Dobson High.
