Atlanta International School open enrollment is an Active Enrollment for July 1, 2025! All eligible employees must login to the ADP Portal and make plan elections for July 1st , 2025-June 30th, 2026 For all plan elections, you will need to re-enroll and/or waive benefits for the 2025-2026 plan year Your plans will NOT automatically renew If you do not re-enroll and/or make any elections during this open enrollment, you will not be eligible to enroll until next open enrollment unless you have a qualifying life event

Carefully review the plan information in this benefits enrollment guide and all other plan materials that have been provided The insurance carriers’ websites can also provide important information and tools that can help you make enrollment decisions

Consider the needs of any dependents you may have If you are married, we suggest you review the coverage currently offered through your spouse ’ s employer to avoid costly duplicate coverage

Please remember to have all necessary information available when completing your online enrollment, including:

Social Security Number for yourself and your dependents

Date of Birth for yourself and your dependents

Proper spelling of each name Please use legal names

Marriage or divorce certificates if your status has changed

How to Enroll:

1.To register for ADP Portal/Mobile, follow the steps sent to you by ADP Welcome Email.

2.Once you register, you can access your employment information, pay stubs, benefits and more on ADP Portal and ADP Mobile application.

3 Enroll in benefits or process qualifying event changes

Benefit elections may be made during open enrollment, within 30 days of your hire date or a qualifying event

Section 125 & Benefit Election Changes

Under Section 125 of the Internal Revenue Service (IRS) code, you are allowed to pay certain group insurance premiums with tax-free (pre-tax) dollars This means your premium deductions are taken before federal income and Social Security wages are calculated, saving you up to 23% or more, depending on your tax bracket

However, you must make your benefit elections carefully, including the choice to waive coverage Your pre-tax elections will remain in effect until the next annual open enrollment period unless you experience an IRS-approved qualifying change in status (life event)

Qualifying change in status events include, but are not limited to:

Marriage, divorce, or legal separation

Death of spouse or other dependent

Birth or adoption of a child

A spouse ’ s employment begins or ends

A dependent’ s eligibility status changes due to age, student status, marital status, or employment

You or your spouse experience a change in work hours that affect benefit eligibility

Relocation into or outside of your plan’ s service area

Employee Eligibility

All regular full-time AIS employees working 30 hours or more are eligible for benefits on the first day of the month after the day of hire

Dependent Eligibility

You are able to enroll your spouse, domestic partner, biological children, legally adopted children, stepchildren, or children for whom you are a legal guardian – up to their 26th birthday

Medical Insurance

Important things to consider when selecting your health insurance benefit

What health insurance plan am I currently enrolled in?

What tier am I enrolled in? Did I enroll my spouse or children?

How much am I contributing annually toward my health insurance benefits?

Do I utilize out-of-network providers?

Does my plan have a deductible? Did I meet my in-network and/or out-of-network deductibles for the calendar year? What is my deductible status year to date?

What were my out of pocket expenses for in and/or out-of-network services?

Did I reach my out of pocket maximum in the last calendar year for in-network or out-ofnetwork services? What is my out of pocket maximum status year to date?

Did I contribute to a medical Flex Spending Account (FSA)? If so, how much?

Did I contribute to a Health Savings Account (HSA)? If so, how much?

These figures are readily available on the last explanation of benefits (EOB) you received either in the last calendar year or year to date.

Important terms to know

Deductible: The amount you pay each calendar year before your plan starts paying benefits.

Coinsurance: The amount of payment split between the employee and the insurance company Example: Insurance company pays 80% and employee pays 20% of the charges after the deductible is met

Out-Of-Pocket Maximum: The most you will pay in a given year for all covered expenses After you pay this amount, your benefit plan will pay all eligible covered expenses for the rest of the calendar year

Deductibles, coinsurance percentage, and copays (except any penalty amounts and pharmacy cost sharing) may be used to satisfy the out of pocket maximum.

Copay: is a fixed amount a healthcare beneficiary pays for covered medical services.

Network: Doctors and hospitals who offer discounts on services based on their network contract with Cigna.

Here’s how it works.

In-network savings

You have the freedom to use any provider or facility of your choice, whether they are in the Cigna OAP network or out of the network Just know that staying in-network will help keep your costs down and avoid any additional paperwork

No-referral specialist care

A primary care provider (PCP) is recommended, but not required If you need to see a specialist for any reason, you don’t need a referral to see an in-network health care provider If you choose an out-of-network specialist, your care will be covered at the out-ofnetwork level and you may be responsible for any preauthorizations needed.

Care coordination

Our robust medical management program provides you and your family a valuable resource for one-on-one support and guidance to the right programs and services

Hospital stays

In an emergency, you have coverage However, requests for nonemergency hospital stays (other than maternity stays) and some types of outpatient care must have prior authorization or be preauthorized. This lets Cigna determine if the services are covered by your plan.

If your provider is in the Cigna OAP network, he or she will arrange for prior authorization. If you use an out-of-network provider, you must make the arrangements.

Out-of-pocket costs

Depending on your plan, you may have to pay an annual amount (deductible) before your plan begins to pay for covered health care costs. You may also need to pay a copay and/or coinsurance (a portion of the covered charge) for covered services Then, your plan pays the rest Once you reach an annual limit on your payments (out-of-pocket maximum), the health plan pays your covered health care costs at 100% for the rest of your plan year

If you receive out-of-network care, your costs will be higher Out-of-network providers and facilities may also bill you for charges that are not covered by the plan Charges not covered by the plan do not contribute to your deductible or out-of-pocket limits

Dental Insurance

Atlanta International School offers dental coverage through Guardian You can visit any dentist; but you pay less out-of-pocket when you choose a PPO dentist Out-of-network benefits are based on a percentile of the prevailing fee data for the dentist's zip code AIS strongly recommends participants in the dental insurance when facing dental work to inquire with their dentist to provide predetermination of benefits from Guardian prior commencing any work www.guardiananytime.com

Vision Insurance

Atlanta International School offers a comprehensive voluntary vision plan through Equitable’ s Vision Service Plan (VSP) network, a national premier network You may go to any eye doctor in the VSP network Below you will find a summary of your benefits and costs

Employees can simply use their Social Security number to verify coverage with their provider To easily download a member vision card, you have two options: From EB360® or directly from VSP® at any time Simply review vision information on your smartphone or tablet via your EB360® personalized dashboard through VSP® Effortlessly print your own card so you can carry it with you

Flexible Spending Accounts

FSA election amount for 07/01/2025-06/30/2026 is $3,300 00

DCFSA election amount for 07/01/2025-06/30/2026 is $5,000 00

If you do not use all your Health Care FSA money during the plan year, you will lose all monies in excess of $660 00 Any unused funds in the Dependent Care FSA will not rollover into the next plan year and will be forfeited

Employees are eligible for this benefit during an open enrollment period and within 30 days of hire or a qualifying event, such as marriage, birth of a child, adoption of a child, divorce, widowed, etc

Health Savings Account (HSA)

If you enroll in the HDHP HSA $3,000 Plan, AIS will continue to contribute $700 to each account over 24 pay periods. The 2025 calendar year maximum contributions will be $4,300 for individuals and $8,550 for families. The total annual maximum contributions include the $700 contributed by AIS. If you are age 55 or older, you may contribute an additional $1,000 in HSA "catchup" contributions. *If you use your HSA to pay for nonqualified expenses, you will have to pay income taxes on those funds You will also be assessed a 20% penalty

Retirement Benefits

Defined Contribution Retirement Plan

Atlanta International School participates in the TIAA defined contribution 403(b) retirement plan Employees choose how to invest their contributions All eligible employees, as outlined in the plan document, are eligible to receive the school’ s matching contribution to the retirement plan per the following schedule:

1st and 2nd year of employment: waiting period for employer’ s matching contributions

3rd + year of employment: up to 7% matching employee’ s contribution

Full-time and part time employees are eligible to contribute and receive the 7% match

Employer’ s contribution can be invested in a variety of different funds at the employee’ s discretion

Eligible employees over the age of 18 are eligible to make voluntary pre-tax contributions from the date of hire You can contribute any amount up to the IRS annual limit Employees age 50 and above may contribute additional ‘catch-up’ contributions per IRS annual limit

Employer-Paid Life & Disability

Basic Life and AD&D Insurance

Atlanta International School automatically provides all benefit-eligible employees with basic life insurance and accidental death and dismemberment (AD&D) coverage equal to $30,000.

If you are terminally ill, you are eligible for a partial payment of your group term life insurance benefit. You can use this payment as you see fit. The payment to your beneficiary will be paid based on the summary plan description of the benefit.

Basic AD&D pays you or your beneficiary a benefit for the loss of your life or other injuries resulting from a covered accident. Basic AD&D benefits are paid regardless of other coverages you may have.

Short-Term Disability

Atlanta International School offers employerpaid short term disability insurance through Equitable. The coverage is designed to help you meet financial needs if you become unable to work due to a pregnancy, or nonwork-related injury

All eligible employees receive benefits equal to 50% of pre-disability weekly compensation up to a maximum of $1,500 per week Benefits begin after the 7 days elimination period is met and will continue as long as you meet the definition of disability up to 12 weeks

Long-Term Disability

Long term disability coverage provides important financial protection for your family in the event of an extended recovery from accident or illness.

All eligible employees receive benefits equal to 60% of their monthly pre-disability earning up to a maximum of $6,000 a month Benefits begin after the 90 day elimination period is met and will continue as long as you meet the definition of disability up to your normal social security retirement age If you become disabled at or after the age of 65, your benefits will be payable according to Equitable’ s agebased schedule

If you are still considered disabled by the time your short-term disability period runs out, your longterm disability insurance will kick in without a gap in coverage.

Voluntary Life and AD&D

Voluntary Life and AD&D Insurance

The right life insurance coverage can help protect loved ones and provide stability when it's most needed Whether it's used to fund a child's education, or pay off a mortgage, a life insurance policy can provide security and help offset financial burdens during a difficult time

To supplement the basic life insurance coverage that AIS provides, you may choose to enroll in a voluntary life insurance plan for additional coverage at competitive group prices Coverage for dependents is only available if employees purchase coverage for themselves

Employees may elect up to $100,000 of Voluntary Life/AD&D insurance without answering additional questions If a greater amount is requested, you will have to complete an Evidence of Insurability form which will have to be reviewed by Equitable's underwriting department You may also elect up to $30,000 for your spouse and up to $10,000 for your children without having to complete an EOI form

Coverage ends upon your termination of employment or as specified in the plan booklet. You may convert your insurance to an individual life insurance policy. If interested in insurance portability information, please reach out to peopleandculture@aischool.org.

Accident & Critical Illness Benefits

Accident Insurance

With accident insurance, you can manage the costs and stress of falls, sports injuries and other accidents for you and your dependents

What it does: Pays a cash benefit directly to you if you or your dependents are injured as part of a covered accident, regardless of whether its covered by your medical insurance.

How it works: In the event of a covered accident, submit a claim to receive prompt payment. Payment is made directly to you, so you can use it as you see fit

What it doesn't do: Provide payment for injuries or accidents that aren't part of the covered list For a complete list of covered injuries, refer to the Benefit Summary

You will also receive an $50 reimbursement when you go to the doctor for an annual wellness exam

Critical Illness Insurance

With critical illness insurance, you'll receive a lump-sum cash payment if you or a family member are diagnosed with a covered illness Our plan covers many conditions and can help pay for costs not covered by a traditional health plan There are no health questions and all coverage in the standard plans is guaranteed issue What it does: Provides a lump-sum payment if you are diagnosed with one of the covered serious illnesses

How it works: After you receive a diagnosis for a covered condition and submit your claim to us, you'll receive your payment There's no waiting period and payments are made directly to you, so you can use them as you see fit You decide how to use your payment

What it doesn't do: Provide payment for illnesses or conditions that were diagnosed prior to your effective date, or for illnesses or conditions that aren't covered.

Voluntary Long-Term Care

Universal LifeEvents Plan with Long-Term Care

Long term care insurance may help you avoid a far more difficult decision: whether to exhaust your savings or liquidate your assets to pay for a period of long term care. This policy may help you prepare for the financial realities and help you maintain control of some important decisions, such as:

Who would take care of me?

Where can I choose to receive care?

Would I be a burden on my children if my savings couldn’t cover my care?

What is long term care? Whether it is due to a motorcycle accident or a serious illness, it is the type of care you may need if you are unable to independently perform the basic activities of daily living; bathing, dressing, using the toilet, transferring from one location to another, continence and eating, or if you suffered severe cognitive impairment from a condition such as Alzheimer’ s disease

Won’t my other insurance pay for long term care? Unfortunately, no Medical insurance and Medicare are designed to pay for specific care for acute conditions - not for long term help with daily living Medicaid only helps with LTC after you have depleted virtually all of your assets The exact amount varies by state

AIS offers eligible employees this voluntary long term coverage through Trustmark

Rates are dependent on your age and the benefit amount you select Rates shown below are for illustrative purposes only

And remember, this is a portable benefit which means that you can take it with you when your employment at AIS is over

Path2College 529 Plan

Atlanta International School has partnered with Path2College 529 Plan for families to save for higher education costs Path2College is a state-sponsored, tax-advantaged 529 college savings plan that’ s helping families and individuals plan for the cost of higher education With a minimum contribution of $15 per pay period ($25 if using another contribution method), low fees, and a tax deduction for Georgia residents, Path2College makes saving affordable Because you may contribute directly from your payroll with direct deposit, it’ s simple, too

Parents, grandparents, or anyone can save for a child’ s future education or even their own ongoing training Funds can be used to pay for expenses such as tuition, room & board, books and computers at universities, colleges, trade schools, professional schools, and graduate programs Make the most of your savings by contributing to your account regularly You can contribute by payroll direct deposit for as low as $15 per pay period

Any earnings have the opportunity to grow tax-deferred and withdrawn state and federal tax-free when used for qualified education expenses Georgia residents who contribute to a Path2College account may be eligible for a state tax deduction

On the Funding Method page, select Payroll Direct Deposit and enter any dollar amount to be contributed each pay period. Upon completing the steps to open a new account, print or view the form with payroll direct deposit instructions.

If you have an existing Path2College account(s), then log into the account at path2college529.com. Go to the “Profile & Documents” section on the home screen and select “Payroll Direct Deposit,” then “Change payroll instructions.” Enter the dollar amount per paycheck, and select “Next ” View or print the payroll direct deposit instructions by selecting “Get Form ”

Submit the payroll direct deposit instructions you viewed or printed to People & Culture payroll office or input the routing instructions into your self-service payroll portal

Tuition Financial Assistance

Atlanta International School provides need-based financial aid to encourage employees to enroll their children at AIS Employees wishing to receive financial aid must complete the financial aid application and provide documentation as is required of all aid applicants Financial aid needs are evaluated using financial calculations provided by an outside agency and current tax return information The Board Financial Aid Subcommittee determines need-based financial aid awarded amounts based on an assessment of financial information provided

Interest Free Loan

Atlanta International School will, upon application, provide an interest-free loan to employees in recognition of the first year expenses of life in the United States, i e housing, car purchase, etc This loan can be up to a maximum of $5,000, depending on the type of loan, with a grace period of up to 12 months to repay the loan The loan must be fully repaid by the end of the subsequent academic year Interest free loans are available for emergencies, certain restrictions apply
