Welcome to the Autumn issue of CONNECTED. It’s been a busy few months here, with our teams hard at work on a range of projects designed to strengthen both our product portfolio and the service we deliver to our customers.
A central focus has been our Aquarius App, ensuring it continues to give operators the practical tools they need while keeping pace with ever-evolving compliance requirements – read more in our Product Focus on page 13 about the latest on Defect Check.
Security remains another key priority. As digital systems take centre stage across transport operations, we’ve introduced twofactor authentication (2FA) and single sign-on (SSO) functionality, so you can have full confidence in the integrity and protection of your data. Neil Chetwynd, our Director of Development takes a technical deep dive into 2FA and SSO on page 15.

FROM DATA SILOS TO SEAMLESS SYSTEMS - APIs IN FLEET MANAGEMENT

In recent years, one of the most common questions I hear from operators is: “Does your software integrate with other business systems?”
The reason is clear. In today’s transport industry, efficiency depends not only on the quality of individual systems but also on how well those systems talk to each other.
Why Integration Matters
Transport businesses rely on multiple digital tools: transport management systems (TMS), HR platforms, payroll, finance systems, vehicle tracking, cameras, and compliance platforms. Too often, these systems operate in silos, forcing teams to duplicate data entry or manually reconcile reports. This increases workload, introduces errors, and delays decision-making.
Through APIs our software at Aquarius IT can link seamlessly with these systems. The result is a joined-up view of operations, where information flows automatically across the business. Instead of jumping between spreadsheets or portals, managers work from a single source of information – saving time and reducing risk.
That’s where APIs – Application Programming Interfaces – come in. Far from being just a technical feature, APIs are now essential enablers of smarter, safer, and more cost-effective fleet management.
What a Data API Delivers
At Aquarius, we provide a Data API, giving customers and partners the ability to securely and reliably connect our solutions data with their own or third-party systems. Whether it’s automating data exchange, building custom workflows, or enabling real-time updates, the Data API puts control firmly in the operator’s hands.
Crucially, you don’t need a large in-house IT team to make use of it. Many of our customers manage integrations with minimal technical resource, while for more complex projects our developers provide documentation and guidance – or work directly with internal or external IT teams to make the process straightforward.
We also offer API access for authorised partners –such as vehicle manufacturers, tracking providers, or industry organisations – to securely connect with agreed datasets within ClockWatcher Elite and Asset Maintenance. This ensures operators stay in full control of their data, while enabling richer, cross-platform insight.
The Data That Makes the Difference
So, what kind of data can be shared? Quite simply, the data that matters most to running a compliant and efficient operation. Through our API, operators can access:
• Driver data: tachograph records, working time, and download history.
• Vehicle data: defect reports, MOT and service dates, planned maintenance schedules, and VOR (vehicle off-road) status.
• Compliance data: infringements, audit trails, and activity records.
• Business and HR data: payroll-linked information verified against driver card activity.
When this data is integrated into wider business systems, every department works with consistent, up-to-date information. Payroll teams benefit from verified hours; planners see real-time driver availability; HR managers can instantly check licence status; finance teams gain clearer visibility of maintenance costs.
From Compliance to Competitive Advantage
The real strength of APIs is that they transform compliance data into operational intelligence. Take tachograph information as an example. Historically used only for legal monitoring, when connected via API to systems like payroll, asset maintenance, or TMS, it becomes a powerful tool for planning, forecasting, and cost control.
Operators can spot trends, forecast demand, and model regulatory impacts with far greater accuracy. Integration also supports continuous improvement, with dashboards that benchmark performance, flag anomalies, and provide actionable insights.
Building a Digital Ecosystem
In practice, APIs allow operators to build the digital ecosystem that works best for their business. Some fleets use them to connect Aquarius tools with Qargo’s TMS or Clarus telematics (as per the Customer Spotlight with Welch Transport on page 9), creating seamless flows of driver and vehicle data. Others integrate with warehouse or finance systems, removing duplication and supporting faster, more accurate reporting.
Many existing customers are also leveraging our API for bespoke requirements – from automating tachograph data transfers to building internal management reports aligned to their KPIs. These real-world applications show that APIs are not just technical connections, but operational enablers.

ON THE ROAD TO NET ZERO
In September, the team attended the Motor Transport Decarbonisation Summit at Millennium Point, Birmingham. The Summit explored the realities of transitioning UK road freight away from fossil fuels, bringing together leaders from logistics, policy, and technology.
Highlights included keynote insights from Andy Salter, real-world data on electrification, and expert perspectives on depot charging and infrastructure. The day built on debates from this year’s Road Transport Expo, questioning whether zero-emission vehicles are the only route to carbon reduction.
Prior to the Summit delegates were invited on a tour of Tyseley Energy Park, where alternative fuels and vehicles were on display. The futurefocussed demonstrations set a positive tone for the conversations that followed.
The key takeaway? Collaboration across the sector is essential to achieving meaningful progress on the road to net zero.
RT EXPO SCOTLAND: SUPPORTING A DIVERSE SCOTTISH TRANSPORT SECTOR
Ahead of the inaugural RT Expo Scotland on the 19-20 November, we are proudly shining a special ‘CONNECTED’ spotlight on its growing and diverse customer base across Scotland.
From the Highlands to the Central Belt, Aquarius supports a wide range of transport operators –from independent owner-drivers to large, multi-site fleets. Our ClockWatcher Elite software, alongside Asset Maintenance and the Aquarius App, is trusted across sectors including seafood logistics, waste and recycling, oil and energy, construction, coach and bus touring, and general haulage.
Scotland’s transport landscape is uniquely varied – and that’s reflected in Aquarius’s customers. CUSTOMER SPOTLIGHT
BUILDING VALUE THROUGH CONNECTED DATA
Following on from our last issue of CONNECTED, where we explored how operators can unlock greater value from compliance data, our MD, Mark Johnston, caught up with Jamie Sands from Welch Transport, a family-run operator who have embraced digital integration across their transport, warehousing, and compliance systems.
Q: Can you tell us a bit about Welch Transport, your operations, and how your partnership with Aquarius began?
A: We’re a family-run operator based in the East of England with over 90 years in the industry. Our head office is in Cambridge, and today we run a mix of general haulage, pallet network, and specialist movements across the UK. Our depots at Duxford, St Ives, and Bedford give us good regional coverage, and we operate everything from vans through to artics. Alongside transport, we also provide warehousing and fulfilment services.
We’ve been working with Aquarius almost since the beginning, long before ClockWatcher was even a product. Back then, they looked after our IT systems, and as they developed compliance software, we were involved early on. We’ve grown alongside each other, and the partnership has worked because they understand how operators think and what we need on the ground.
Q: You now work with Aquarius, Qargo, and Clarus – what led you to this mix of systems, and how do they work together day to day?
A: For us, it was about finding the right mix rather than one system trying to do everything. Aquarius gives us the compliance backbone, Qargo is our flexible and modern TMS, and Clarus runs our warehousing. Each is strong in its own area, and together they create a joined-up operation.
On a typical day, Qargo manages the flow of jobs, Clarus handles stock and dispatch, while Aquarius runs in the background monitoring drivers, vehicles, and compliance. The real value comes from having these systems working together so planners, warehouse staff, and compliance teams are all looking at the same live picture.
Q: How does ClockWatcher Elite integrate with Qargo and Clarus – and how does that improve planning and dispatch?
A: The key integration is around drivers and vehicles. ClockWatcher Elite gives us a live view of compliance – licence status, working time, tachograph data – which feeds straight into Qargo, so planners know which drivers and vehicles are clear to go. Clarus then passes dispatch information into Qargo, which links back to Aquarius for checks like
defects, maintenance, or licence status.
ClockWatcher Elite and Asset Maintenance also help by flagging service schedules or defects, so planners avoid allocating work to unavailable trucks. Altogether, it takes the guesswork out of scheduling and ensures warehouse dispatch is aligned with vehicles and drivers that are actually road-ready.
Q: What benefits have you seen from connecting compliance with TMS and WMS, and how much of this is automated now?
A: The biggest benefit is confidence. We’ve cut out a lot of back-and-forth between teams – planners know instantly if a driver is available or if a vehicle is clear, and the warehouse team can align dispatch without reshuffling jobs at the last minute.
A growing percentage of data now flows automatically across all three platforms, which has already removed much of the manual effort. While there are still some checks we do by hand, each integration step reduces that workload and brings us closer to a seamless, joined-up flow.
Q: Have APIs opened up new workflows or reporting opportunities?
A: Yes, absolutely. APIs have allowed us to combine compliance and planning data to build reports that don’t just show what was scheduled, but whether the right driver and vehicle were used within all legal limits. They’ve also let us automate internal processes, such as flagging potential clashes between jobs, drivers’ hours, or maintenance schedules – insights that weren’t possible before.
Q: What was your biggest challenge during integration, and how did Aquarius support you?
A: The hardest part was aligning data across three very different systems. Aquarius really helped because they know how operators actually use data day to day. They worked with us to make sure the integration was practical for users on the ground, not just technically correct. That support made the transition much smoother.
Q: What kind of efficiencies and savings have you seen – and has it changed day-to-day decision making?
A: Time is the biggest saving. By reducing duplicate entry and crosschecking, our teams can focus on running the operation instead of chasing paperwork. Errors have dropped too, and compliance is now built into planning instead of being checked afterwards. That shift has turned compliance into a tool that drives efficiency, rather than being burdensome.
A good example: ClockWatcher recently flagged a truck due for maintenance just as it was being scheduled in Qargo for a long run. The planner switched the job immediately, avoiding a breakdown risk and downtime – something that wouldn’t have been spotted so quickly before.
Q: How has Asset Maintenance improved fleet visibility and risk management, and has connected compliance data changed how audits and planning teams work?
A: Asset Maintenance has been a game-changer. We can now see inspections, defects, and service schedules in one place instead of juggling spreadsheets. Drivers log defects digitally, which the workshop can action straight away, cutting downtime and making planning smoother.
For audits, having everything connected means evidence is instantly available and in context. It’s reduced risk and given us stronger management insight. Our planners and dispatch teams now actively engage with compliance data, because it’s visible in their workflow – it’s become a shared responsibility across the business.
Q: Looking ahead, what future capabilities or integrations are you most excited about?
A: We see ClockWatcher Elite developing even further as the
compliance hub – more automation, more real-time flagging, and even forecasting risks before they happen. Compliance and operational data are already shaping strategy, from scheduling and fleet investment to supporting drivers and improving sustainability.
Ultimately, a fully connected future for us means systems working so closely together that it feels like a single platform – one source of truth that could even enable predictive planning, automated scheduling, and richer customer visibility.
Q: Finally, what advice would you give other operators about adopting Aquarius, and any closing thoughts?
A: I’d say it’s worth it because Aquarius truly understand how operators work. The systems are built with real-world operations in mind, not just ticking compliance boxes. Be prepared to invest in the setup, but the payoff is tools that genuinely make life easier.
The partnership works because Aquarius listen and adapt to what operators need. Connected data is no longer optional in logistics – it’s essential. Working with Aquarius has helped us move in that direction, and it’s clear the future will be shaped by how well operators can connect compliance, planning, and operations in one flow.

SUCCESS FOR EASTERN CONCRETE WITH SIZEWELL C CONTRACT
Success for Suffolk-based Eastern Concrete Ltd, which has secured its biggest-ever contract with Sizewell C. The company will supply more than 120,000m³ of quality-approved concrete over the next two years as part of the project’s early-stage construction work.
This significant win forms part of Sizewell C’s £330m regional investment to date, awarded to 77 suppliers across the East of England. Speaking in the Construction Enquirer, Managing Director Tom Baker described the deal as “the highlight of my career” and said it will allow the business to expand its workforce, supporting a circular economy and delivering lasting benefits to the East Suffolk community.
FOX GROUP EXPANDS WITH NMS CIVIL ENGINEERING ACQUISITION
Expansion news from Fox Brothers Holdings (The Fox Group), which has acquired North West contractor NMS Civil Engineering. NMS specialises in road planing, recycling, civil engineering, and barriers – services that will strengthen Fox Group’s ambition to become a fully integrated, circular construction materials business.
This is the Group’s second acquisition since being backed by US private equity firm Stellex Capital Management in 2024, following its purchase of J Fisher & Sons earlier this year. With 16 sites and around 600 employees, Fox continues to pursue impressive growth across the region.
POSITIVE RESULTS FOR ABBEY LOGISTICS
Positive results for Abbey Logistics, which has reported strong trading for the year ending 31 December 2024 –its first full year since being acquired by the Sitra Group.
The company achieved a turnover of £73.9 million and a pre-tax profit of £4.4 million, highlighting a robust performance and positive outlook. These results show Abbey is well-positioned for future growth within the wider Sitra Group, reinforcing its reputation as a trusted logistics partner in the sector.
WELL DONE TO LYNCH ON APPEAL SUCCESS
Well done to L Lynch Plant Hire & Haulage for achieving a successful outcome in its appeal against a transport offence fine issued earlier this year. The original £800,000 penalty has been reduced to £10,000 after the High Court ruled it was “manifestly excessive.”
Her Honour Justice Buckingham recognised that the incident resulted from a clerical error, with safety never compromised as the vehicle involved was fully compliant and already under escort.
Lynch said on LinkedIn: “This outcome reflects our commitment to safety and compliance, and we thank everyone for their support.”
We understand that this landmark decision has also paved the way for the industry to discuss and lobby the government on the issue of clerical errors in abnormal indivisible load movements.
RECOGNITION FOR FARRALL’S GROUP IN GREEN INNOVATION AWARDS
Recognition for Farrall’s Group, which has been shortlisted in the Green Innovation Business of the Year category at the 2025 Chamber Business Awards.
The nomination reflects the company’s commitment to sustainability and greener logistics solutions. Farrall’s Group has thanked its dedicated team, customers, and community for their support on this journey towards a more sustainable future.
Winners will be announced later this year, but being named a finalist alone underlines the Group’s innovation and leadership in driving environmental responsibility within the logistics sector.

DAILY DEFECT CHECKING: SMARTER, SAFER, AND NOW EVEN MORE CONNECTED

As reported in this issue’s Industry Roundup on page 17, the Traffic Commissioners have introduced a new series of Focus Weeks, the first of which highlighted the importance of daily walkaround checks. It’s a timely reminder that defect checking remains one of the most fundamental responsibilities for operators – not only for compliance, but for the safety of drivers and all road users.
Alongside this, we’ve also seen a recent increase in demand for our defect management solutions – from traditional defect books to the digital defect check functionality within the Aquarius App, particularly among smaller fleets, who are looking for a simple and reliable way to evidence compliance.
Daily defect checking is essential for maintaining an operator’s licence. If vehicles are found to be unsafe, the consequences can be severe – from hefty fines and the loss of an O-licence to the far greater risk of life-threatening incidents on the road. Over the last decade, digital systems like the Aquarius App have helped operators make checks easier to manage and properly auditable. As the technology has developed, the benefits have also expanded beyond compliance.
From compliance obligation to business benefit
The App ensures that checks are carried out correctly, securely recorded, and available for audit. When connected with ClockWatcher Elite tachograph analysis and Asset Maintenance, the same data also supports wider operational improvements.
Live defect data allows operators to spot and address issues quickly – for example, arranging a repair before a minor windscreen chip becomes a costly replacement. Linking this with Asset Maintenance means repairs can also be scheduled alongside inspections to reduce downtime.
This integration has changed the way daily checks are managed, helping operators reduce downtime, plan more effectively, and keep costs under control.
Listening to customers: new functionality
Customer feedback has always guided the development of our software, and a recent introduction within the Defect Check for drivers is the end-of-use check. This feature allows drivers to record any new damage and confirm details such as fuel levels during an additional check at the end of a shift.
Alongside this, our Gate Check module continues to provide supervisors with an added layer of assurance, enabling them to cross-check driver inspections at the depot gate and automatically flag any discrepancies for investigation.

Supporting today’s compliance requirements Enforcement officers expect operators to evidence that checks are being carried out and that systems are in place to monitor and act on results. The Aquarius App supports this by combining detailed records, clear audit trails, and integration with wider compliance and fleet management tools.
What was once a regulatory necessity is now also delivering benefits in safety, efficiency, and cost control. With ongoing development and new features shaped by customer feedback, the Aquarius App continues to give operators the tools they need to meet obligations and improve daily operations.

DVSA UPDATES DRIVER CPC ‘OPT-OUT’ GUIDANCE
The DVSA has updated its guidance for drivers on how to ‘opt out’ of National Driver CPC training hours when intending to drive professionally in Europe.
Drivers must complete 35 hours of training every five years to maintain their Driver Certificate of Professional Competence (CPC). However, if any
National courses are included when a Driver Qualification Card (DQC) is issued, it will only be valid for UK driving.
To ensure European eligibility, drivers can now use the DVSA online service to exclude National hours and ensure all training is counted from International courses only.

BUS & COACH EXPO TO LAUNCH IN 2026
A new event dedicated to the UK’s passenger transport sector will launch next spring with the inaugural Bus & Coach Expo. Taking place from 21-23 April 2026 at the NEC Birmingham, the show will run alongside the Commercial Vehicle Show.
Branded “The Pulse of Passenger Transport”, the expo aims to bring together operators, manufacturers, technology suppliers, policymakers, and public sector leaders for three days of innovation and collaboration.
The show organisers say that the launch comes at a pivotal time for the industry as it adapts to net zero targets, digital integration, and evolving passenger expectations.
TRAFFIC COMMISSIONERS LAUNCH FOCUS WEEKS
The Traffic Commissioners have introduced a new series of Focus Weeks to help operators and drivers better understand their regulatory responsibilities. The first week, launched on 8 September, focused on walkaround checks, with further themes such as route planning, bridge strikes, and drivers’ hours already identified for future campaigns.
Focus Weeks will be held quarterly, with the second scheduled for early December. Supporting blogs will be published on gov.uk alongside social media updates and direct emails to operators. The initiative aims to deliver clear, practical, and educational guidance, using real-world examples to highlight compliance obligations and promote consistent standards across the industry.

REMINDER: SMART TACHOGRAPH 2 DEADLINE NOW IN FORCE
Operators are reminded that from 19 August 2025 all vehicles used in international transport must be fitted with a Smart Tachograph 2 (SMT2). The rule applies across Europe and replaces the earlier Smart Tachograph 1 devices.
Failure to comply risks fines, delays at borders, and potential vehicle prohibitions. Operators are advised to check fleets for SMT1 units, book retrofit appointments promptly, and ensure workshops are authorised for SMT2 installations. Training staff on the new system features and compliance requirements is also recommended to avoid disruption.
INHERITANCE TAX CHANGES TO IMPACT FAMILY OPERATORS
Family-owned hauliers, bus, and coach operators are being urged to prepare for upcoming inheritance tax changes due to take effect from April 2026. JMW Solicitors has warned that the reforms could have a significant financial impact on family-run businesses in the road transport sector.
Speaking in Transport News, Laura Hadzik, Partner and Head of Commercial Road Transport, and Joe Cobb, Head of Succession Planning at JMW, advised operators to seek professional guidance now to review estates and explore ways of mitigating the changes. Early planning, they said, will be crucial in protecting business continuity – with JMW offering a free consultation to support operators.
BUS REGISTRATIONS RISE AS HGV DEMAND STALLS
UK bus, coach, and minibus registrations rose by 62.5% in Q2 2025 to nearly 3,000 units, marking a ninth consecutive quarterly increase, according to the SMMT. Growth was driven by minibuses (up 99.7%), with single and double-decker registrations also rising. Zero emission buses (ZEBs) continue to expand, with 616 registered – 45.3% up on last year –now accounting for almost one in four new buses.
By contrast, UK HGV registrations fell by 11.2% to 10,185 units in the same period. While volumes of zero emission trucks rose by 32.3%, uptake remains limited, with industry urging long-term policy support and depot planning reform to accelerate decarbonisation.
EU ENTRY/EXIT SYSTEM LAUNCHED 12 OCTOBER
The EU Entry/Exit System (EES) went live on 12 October, replacing manual passport stamping for non-EU visitors with an automated biometric process. The rollout affects hauliers and coach operators working internationally, with coaches also required to disembark passengers for checks.

REPORT HIGHLIGHTS CLANDESTINE RISKS TO SUPPLY CHAIN
A report from Oakland International, featured in the July issue of Cold Chain News, warned that clandestine infiltration remains one of the biggest risks to food safety, driver welfare, and the integrity of the UK supply chain.
Nearly 100 people a month were found infiltrating UK-bound trucks in early 2024 – a 60% rise on 2023. On average, three people were detected per incident, though the true scale is likely higher due to unrecorded cases.
To support operators, Aquarius’s Clandestine Check App provides drivers with a simple digital way to record and evidence vehicle security checks, helping protect loads, drivers, and businesses while supporting compliance.
HOW NEW UNFAIR DISMISSAL RIGHTS COULD RESHAPE RECRUITMENT
The government’s new Employment Rights Bill proposes the most significant change to unfair dismissal laws in decades. Currently, employees must complete two years’ service before being able to claim unfair dismissal. Under the new rules, protection would apply from day one, ending socalled “short service dismissals.”
Ministers have suggested a nine-month “light touch” probation period to maintain some flexibility for employers, but concerns remain about how this will
work in practice. Business groups warn that day-one rights could make hiring riskier and lead to more cautious recruitment, while trade unions argue it will improve retention and workforce stability.
For transport operators, the change highlights the importance of structured recruitment, clearer probationary reviews, and well-kept records. The provisions are not expected to take effect until 2027, but employers are being advised to start preparing now.

STAYING AHEAD ON TACHOGRAPH COMPLIANCE

Tachograph analysis is a vital part of every operator’s compliance responsibility – but it’s not just about missing mileage or unaccounted vehicle movements. Enforcement authorities are increasingly scrutinising other areas of tachograph data, such as vehicle over-speeds and so-called “micro-movements,” both of which can catch operators out if not properly monitored.
In the following two articles, our Compliance Manager, Marc Caplin, explains why these areas matter, how enforcement agencies approach them, and how Aquarius tools like ClockWatcher can help operators identify, investigate, and debrief events before they become an issue.
MICRO-MOVEMENTS – HELP IS AT HAND!
In a recent edition of CONNECTED, we ran a piece on what are known as “micro-movements”; tiny interruptions to a driver’s recorded break/ rest time based upon speed data recorded within the tachograph memory.
A micro-movement occurs when, despite the driver card showing a period of break or rest, enforcement authorities cross-reference driver card data with vehicle speed data to detect movements of less than 30 seconds. These brief movements don’t appear on the card file but can be seen as spikes in the digital speed trace – creating an apparent interruption to a rest period, even if the tachograph data looks intact at first glance
DVSA will treat these events as interruptions to a driver’s break, and we have come across numerous instances where drivers have been issued with roadside fines based on this type of record. From an operator point of view, data is mostly viewed retrospectively and, when viewing the driver card record in isolation, these fineable offences would normally go undetected.
At Aquarius, we always have the operator in mind and have developed some additional functionality within
ClockWatcher to help identify this type of activity.
So long as the speed data has been downloaded from the vehicle unit, users will now be able to run a comparison between recorded breaks and any conflicting speed data that could have triggered a roadside fine if the driver had been subject to a roadside stop; these events can now be identified, investigated and debriefed.
Although challenges around accessibility of speed data still exist (i.e. the tachograph will only retain a very limited amount of data before being overwritten, the entire memory must be downloaded to obtain speed data which can take a while and use up data if done remotely), it will give operators the ability to at least spot-check their drivers and reinforce the previous messaging we have given around driver education.
Our advice to operators is to tackle the issue at its source by educating drivers on the risks of these micromovements. Where such movements are unavoidable, they should be documented on the reverse of a tachograph printout to provide context during any roadside checks.
THE IMPORTANCE OF VEHICLE OVER-SPEEDS
When you mention analysis of vehicle tachograph data to a transport operator, most people’s thoughts will initially turn to missing mileage or unaccounted vehicle movements. Although monitoring of these areas is vital, there is another aspect that, in our experience, very often falls through the cracks.
Operators are also required to analyse and monitor vehicle over-speeds. These events are contained within a standard vehicle download and are triggered when a vehicle has exceeded the limiter value that has been programmed into the tachograph.
Typically, over-speeds are triggered inadvertently e.g. a driver descending a hill whilst fully-laden and gravity takes over, but enforcement authorities expect operators to have appropriate monitoring systems in place and be able to evidence driver debriefing of any excessive examples.
When these records are examined by enforcement authorities, not only are the maximum and average speeds recorded during over-speeds be taken into consideration but also their duration; an over-speed may not need to be particularly high to pique the interest of an examiner, but they will consider events have lasted longer than they deem acceptable.
I myself have been present on a customer’s premises during an enforcement inspection and the operator was asked to produce evidence of over-speeds at the very beginning of the visit! Thankfully, they were able to produce the relevant records using our ClockWatcher system but I have made sure to stress the importance of over-speeds ever since!
