Creating a Social Media Policy for Property Management By Charity Hisle, Socially Engaged Marketing

Are they required to during work hours? How do you want employees to state their opinions about the industry or the company when they are speaking as themselves off duty? Copyright and Content: Who owns the content posted by employees? Who will moderate comments? What types of comments are allowed and disallowed? How will you communicate these policies to your community?

Employees are already using social networking websites to express their feelings about everything within their lives. From TV shows to music, from the grocery store to the neighbors, your employees are talking online. Do you know what they are saying about your company and their supervisors? Have you set a policy, or delivered guidelines to your employees about their behavior online and how it can impact your company’s reputation? By establishing clear guidelines, your company brand could be enhanced and your reputation should be protected.

Getting Started With Your Social Media Policy

The Law Of The Land

The first step in creating a social media policy is to determine who will be monitoring social networking activity. What departments will be responsible for social media behavior monitoring? HR, PR, Marketing or all three?

Policies should be flexible but structured. Remember that social media policies should not prohibit activity protected under federal labor law. Here are a few guidelines about what is protected and what is not protected under federal labor law: • Employee “gripes”, unrelated to employee activities, are not protected. • Discussions of wages and working conditions are protected. • If an employee makes a comment on Facebook and another employee responds, it is protected activity. • If an employee makes a comment on Facebook and only their friends respond, it is unprotected activity.

Begin by asking these questions about the company: • What is the goal of the policies? • Who will follow the policies? • Which employees are authorized to engage on behalf of the company? • How transparent will the company be regarding issues, competitors, etc.? • Are your employees required to disclose that they are employees of the company? • Will they be endorsing or amplifying the company’s social messaging?

Policies including verbiage such as “employees may not make disparaging remarks about the company” or “all communications at all times, should be professional” are overly broad and prohibited by law, which basically means that you cannot fire an employee based

Social network use policy during hours and off duty, including: Facebook, Twitter, LinkedIn, YouTube. Public comments on blogs, ratings websites, YouTube, Facebook, Twitter, etc. Employee blogging, including use and management of a blog, post approval, commentary responsibilities. Consider a disclaimer such as “The views expressed are mine alone and do not reflect the views of ____________ (company name).” The bottom line is that employees should not imply that they are speaking on the company’s behalf. Legal issues should be addressed, such as use of logos, trademarks, or copyrighted materials.

Visit the National Labor Relations Board for their report on social media policies of employers to get a better understanding of protected and unprotected activity before you start putting it all together. Seek legal advice prior to implementing a corporate social media policy.

How To Develop A Social Media Policy Explain to your employees why your company is monitoring social networking and other websites. Reputation risk, crisis management, and branding opportunities are all good reasons for establishing a social media policy at the company. Make sure your policy is customized to your company. Place a copy of the social media policy within the employee handbook and then inform employees that there has been an update to the employee agreement and/or handbook. Establish a point of contact for questions regarding the policies outlined. Policies should apply to professional and personal accounts, including multi-media, blogs, wikis, forums and social networking websites. Confidential and proprietary information regarding the company and residents should not be shared. Employees that share confidential or proprietary information do so at the risk of losing their job and possibly ending up as a defendant in a civil lawsuit. For professional accounts, balancing personal and professional can be a challenge. Set guidelines that protect the organization from potential disasters. Remember that current clients, potential clients, current/past/potential employees can view content published online. Encourage employees to refrain from posting demeaning, inflammatory, racist or hot-headed commentary. They should treat every post as if it were public, even when they believe it to be private. Reserve the right to request specific topics be avoided, withdrawn, and removal of post or inappropriate commentary. Include various employee policies regarding the following topics: • Passwords and security.

Managing Social Media Risks

Developing a well-rounded social media strategy will take your firm’s customer engagement to a new level and mitigate many risks associated with these tools. By Jan Hertzberg and Matthew Thompson

In addition to the most-talked-about risks, you should also consider the growing body of regulatory and compliance requirements for key industries and specific company types -- such as health care, financial services and public companies -- as well as state privacy laws, which could be a source of concern. If an employee at your organization touts the benefits of a new health product, releases financial results early or discloses personal information on the company blog, your organization could be violating regulations, which could result in financial or other penalties.

Initially seen as an alternative communication tool for individuals, social media is fast becoming pervasive among organizations of all sizes. But as the popularity of social media has grown, the risks related to it -- particularly fraud, theft, defamation, cyber--bullying, invasion of privacy, and regulatory and compliance violations -have also proliferated. Still, this tool is how organizations can stay competitive, serve customers better and attract top talent The lesson is clear: If organizations want to use this popular medium, they will need to be proactive about managing their social media risk. Here are four tips to help your organization embrace social media and still safeguard its brand, protect private information and minimize liabilities.

Once you have identified all possible risks, consider how to manage each one. Think about IT controls, policies, legal protections, training, incident management and insurance. Define your strategy. For a successful social media program, you need a well-defined strategy that has been developed and endorsed by management. Your strategy should address these key questions:

Understand and assess risks. Reputational damage, data leaks, privacy breaches, cyber-security, and even clueless or rogue employees are all reasons for concern when it comes to social media. Understanding the risks is the first step in managing them.

What business benefits do you expect social media to achieve? What are your target markets, and how will your social media serve them? How will management ensure that the entire organization is following the strategy? Who is authorized to speak on the organization’s behalf? How will you respond to negative or untrue feedback?

Make it a point to revisit your strategy on a regular basis to make sure that it continues to serve changing business needs. Involve all the right people. Because marketing and HR are often the key proponents and users of social media, many companies still view these teams as sole owners of the initiative. However, social media actually cuts across many departments, including HR, marketing, IT, corporate communications, internal audit and legal/compliance. For instance, once a policy is established, social media risk management and policy enforcement might involve legal/compliance, IT, internal audit and other departments with specialized knowledge and tools to ensure that the policy is effectively enforced. Legal/ compliance can ensure that the company’s social media policy takes into account the company’s unique industry and marketplace risks. Internal audit can facilitate a companywide social media risk assessment and, if appropriate, conduct specialized audits and reviews. And IT can make sure that the social media platform is integrated with the company’s other systems, and that it conforms to the organization’s existing IT policies and procedures, such as its password policy. Understanding who is involved -- and at what point -- is important so that critical decisions can be made quickly by a cross-departmental team.

Monitor and manage feedback. There is a wealth of information in the feedback that companies receive from the public -- especially feedback from current and future customers. Still, not every comment that a company receives is going to be useful. A very important aspect of your social media strategy is figuring out who and what to listen to and how to react to their comments. All remarks should be evaluated carefully. It is important to act on negative comments swiftly and appropriately, but it is just as important to address potentially fake comments, which can skew product opinion and lead to brand damage. Both Amazon and TripAdvisor recently addressed issues regarding fake reviews in an effort to maintain their brand image. You must have a clear-cut reaction plan, including damage-control procedures, before you have a chance to receive negative or inappropriate comments about your brand. This is the only way to ensure that the issue is responded to quickly and effectively. Unhappy consumers, disgruntled employees and even fake feedback can damage an organization’s reputation in record time. Taking the time to fully understand the risks of social media and develop a well-rounded strategy will take your organization’s customer engagement to a whole new level and mitigate many of the risks associated with these popular communication tools. Predictions for the Future of Social Media By Chris Marentis, Founder and CEO, Surefire Social

Almost anything in life that is new can be exciting simply because it is new. This can be seen in a new relationship, a new television series, a new musical group, a new job, or even a new line of shoes. People love to jump on bandwagons and get hyped up about the latest cool thing. However, eventually the novelty wears off and the true merit -- or lack thereof -- of something will emerge.

Social Media is Growing Up When social media arrived on the scene, it was all the rage with technology early adopters and Millennials. Today, even grandparents are using certain platforms regularly. The importance of social media today by no means can be disputed. But, that importance is no longer simply because it is new. Rather, it is because social media offers something truly useful to the world. This move from novelty to purpose will transport social media to a whole new place in society and in marketing campaigns over the next few years. We have already seen social media change in many ways. The move away from focusing on "going viral" to creating meaningful engagement (even if with a smaller audience), the shift away from

a seemingly sole reliance on Facebook as the cornerstone of social media marketing, the realization that "just being there" isn't enough, and the awareness that content is more than just words have all set the stage for what is to come next. Today's consumers see social media in a new light. While it started with young generations with personal updates, we've seen new and exciting applications like a way to add dimensions of engagement with television or radio to multiple business applications. Consumers are using social media channels to amplify their voices to their own networks.

Social Media 2020: What Will it Look Like? While purely speculative, it is fun to anticipate how marketing tools will evolve in the future. In looking at the evolution of social media to this point and the current landscape of internet marketing, we can get a sense of the trajectory of some big themes emerging. The following are five predictions for how this once futuristic experiment will weave into tomorrow's world of marketing.

I have one additional surprise that is a little more “macro” view. In the “atomized web,” with everyone living in close-knit communities, everyone becomes an entrepreneur. Walk into any Starbucks and you will see a high percentage of the people running their little enterprises out of the coffee shop.

Social Media Makes Big Data Even Bigger Big data essentially refers to the conglomeration of as much customer-related information you can get your hands on. The concept behind its importance is that the more you know about your customers, the more you can connect with them -- and therefore make them more loyal customers. For example, if we can combine proximity data with search history and purchase history with social media comments or discussions, we might be able to orchestrate addressable messaging to drive a prospect into a store or click and call without being "interruptive" to that consumer. It's the ultimate marketing paradigm where we are able to message as an ongoing discussion, in a personal way. The key word here is "connect." What else is social media about if not connecting? By marrying personalized customer information with the power of social media, you can create incredibly targeted and robust data-driven marketing interactions in real time. Imagine taking a customer call where you can offer better help in less time because of the wealth of information available at your fingertips via your CRM. Or, imagine walking by a Starbucks and receiving a tweet with an offer for your favorite latte! Right now, much of the interaction data in social media platforms are closed, not able to be mashed up in order to get a more complete picture of a customer. This data silo-ing that exists today will change over time, predicts Dev Basu, founder and CEO of Powered by Search. "As data becomes more commoditized, platforms will open their data. That will create huge new opportunities for social marketing." In fact, author and social media writer Mark Schaefer estimates that by 2020, data will increase 600 percent, 75 percent of which will be created by customers, not businesses. Finding ways to mash up and use these data will create huge opportunity.

Mobile and Entertainment Will Morph You already know that mobile is set to overtake desktop as the primary means of accessing the internet this year. The movement will not stop there. We've moved beyond smartphones and connected tablets to cars. Imagine your car dashboard with a touchscreen browser. Imagine no longer. The Tesla Model S is just

the first generation of mobile internet in your vehicle. But don't stop there. Wearable technology, like Google Glass, changes the way we think about constant connectivity.
