The Value of Awards, Winning Isn’t Everything By Michael Fazio, 2014 NVSAA Executive Director In December the Nevada State Apartment Association will be holding its annual Jewel Awards events in Las Vegas (December 6th) and Reno (December 13th). These events got me thinking about the value of awards. There are many benefits to winning these types of business achievement awards: • Recognition in front of peers and business competitors • Opportunity to network with business peers, as well as civic and media representatives • Commemorative trophy for display in the office — a nice credibility booster • Relevant information to share via newsletters, websites and social media outlets • The culture-building “good feelings” that come from being a part of a recognized and successful organization But what happens when you don’t win? The actual pursuit of the award is itself a valuable experience, one often worthy of the effort. Many award submissions require a deeper dive into the subject matter. As various pieces of information are gathered and created for the award nomination, it often forces an internalization and reiteration of important company goals, facts, products, services and processes. Sometimes this is reaffirming. Sometimes it can lead to spirited discussion and reassessment of outdated philosophies and practices. Moving forward, it then becomes easier to think and speak about the company, its products, services, people and culture more accurately, eloquently and holistically — a true benefit to any company representative. working). And it’s certainly gratifying to be in the winner’s circle. But the sobering truth is you don’t always win.

Those are some internal benefits. But external benefits still exist as well.

So for the times when you come up just short, remember – all is not lost. There is still genuine value in having gone through the process.

Recently, I had a discussion with industry leaders about the value of awards programs. Point blank, I then did some research. In conclusion, I gathered this:

The NVSAA has had record nominations and submission in both metropolitans. It has actually been very overwhelming to sift through them all and prepare them for the 3rd Party judges. As I enter data in a more “friendly” way for our judges I look at ALL of the hard work that went into this process. Additionally, I think “wow” … this was a year’s worth of these nominees lives right in front of me.

• Award nominations are used as idea generators for future stories • Nominations get companies/officials on their personal radars -- thus they are more apt to respond to future media pitches featuring them • Participants for their various “business leader forums” are often chosen from previous nominations • Strong repeat nominations are likely to be in a better position for award selection the following year

Knowing there can only be 3 finalists and one winner is the reality of the Jewel Awards. In my mind ALL of you who were nominated and went through this process are winners in my book, no matter what the outcome on those two Saturday nights in December.

While it may not be a major crisis if the Justin Bieber poster you promised your daughter for her bedroom wall is 5 percent more expensive than you anticipated, it is a serious problem if a community’s budget goes over by that amount—potentially putting your company more than $1 m i l l i o n i n t h e r e d . Consequently, it is imperative

Following are tips and strategies that Nick Alicastro, Vice President of Business Development for Western National Property Management, uses to create an effective annual budget. 1. Start Early. In early spring, Alicastro’s Irvine, Calif.- based team, which manages 24,000 units, begins the budgeting process for the coming year. The capital expense team, regional managers and vice presidents tour every community to determine the upcoming or immediate needs from a capital perspective. Additionally, every apartment is walked by the

onsite team and regional manager, who evaluate the condition of the fl ooring, appliances, counter surfaces, cabinets and A/C units.

The purpose, Alicastro says, is to obtain an accurate assessment of each apartment home in order to determine probable turnover costs. An extensive exterior review of each community is conducted to identify additional de fi ciencies. After such assessments are complete, Alicastro’s team determines the capital dollars needed for each community during the next fi ve years. “The process is with much thought and provides an exceptionally accurate idea of the condition of each occupied apartment as well as a full understanding of short-term and long-term capital needs,” says Alicastro. “The necessity of providing ownership with an accurate representation of anticipated cash f low in the short and long term is crucial to the approval and completion of the anticipated capital projects. Accurate findings and estimations will give the owner the ability to make decisions now that may impact cash f low and distributions in the future. At the end of the day that’s what they care about—a consistent and accurate projection of returns and cash f low, with very few surprises.” 2. Do Your Research. After all buildings are walked, the team collects and solidi fi es hard bids from vendors, suppliers, contractors and service providers for items that need to be addressed in the coming year. Alicastro says companies should not assume a project or service will be priced the same the following year.

Once the team has reviewed a plethora of reports that compare the portfolio’s communities and created an accurate forecast, the proposed budget is sent to the regional vice president followed by the vice president and president. Ownership gives final approval by the end of November.

4. Pick up the Phone. When determining the coming year’s budget, Alicastro says his team thoroughly investigates property tax f luctuations, anticipated property insurance costs, salary adjustments and utility increases. Western National personally contacts the utility companies to determine what increases may be anticipated for the upcoming year. “A commonly known mistake is to calculate a 3 percent inflationary cost against actual numbers, however, it generally doesn’t reflect true numbers,” he says. 5. Sometimes, You Can’t Cut Corners. When considering total operating expenses, Alicastro says payroll, insurance, utilities and taxes are cost-drivers that may impact future needs of the community. “These are fairly consistent numbers that don’t deviate very much year-to-year and aren’t areas where you’re going to save a great deal of money,” he says. “There’s very little mobility up or down.” However, Alicastro says a careful review of these line items sometimes can yield gains. Changing insurance companies or coverage, reducing staff, combining staff with other communities, negotiating a new term with utility companies, implementing green solutions and appealing property taxes are ways in which favorable savings may be obtained. Alicastro says with proper research, insurance and taxes are easy to accurately budget. Payroll isn’t difficult, either, because Western National Property Management budgets for base payroll, overtime, commissions, renewals, health insurance, taxes and workers’ compensation. When budgeting for payroll, Alicastro’s team reviews last year’s approved budget and compares it to the new proposed budget. He says there should only be a modest increase based on the market-rate salary increase, assuming no change in the number of employees budgeted for that community. “Usually, large year-over-year (actual versus budget) variances re fl ect open positions in the previous year that could negatively offset the year-over-year numbers, in addition to overtime, commissions and health insurance,” Alicastro says. “All deviations should be

understood and explained to ownership. It may look like you are asking for a 20 percent increase in payroll, when in reality you had an open position or positions that are creating a false sense of savings.” To avoid major budget discrepancies, Alicastro says the company has an internal analyst whose sole responsibility is reviewing utilities, normalizing them and projecting costs for the following year. 6. Be Realistic and Hit Your Target. If Western National Property Management is 1 percent or 2 percent under or over its budget each year, Alicastro says the team may not have done enough accurate homework. “That may not seem like a big deviation, but when you’re dealing with a $20 million to $40 million business, 1 percent makes a big difference,” he says. It's late 2005, the Star Ledger wins a Pulitzer, Spain gives autonomy to Catalonia, and we're all trying to figure out what a Hollaback Girl is. Amidst the confusion, Mark Bisnow stumbles upon an idea so obvious that even Mark Bisnow could stumble upon it: Local business is fun. Sounds like blasphemy, but Mark realizes that the people within local business communities are as interested in their fellow industry players, partners and friends as they are in the industry itself. So, Mark sets out to test his theory with a DC commercial real estate e-pub: personality-oriented, fun, mercifully short*, yet informative. Mark hires the cheapest labor he can find: his son Elliott. The University of Wisconsin student sells ad space for the company (while wearing out shoes and phone receivers) and builds a base of readers who grow hooked on Bisnow's wit and ability to foster relationships among industry professionals in the midst of their boring competitors. Mark and Elliott decide that there aren't enough Bisnows to grow while being a family-run business. They hire a young, brash future college grad named Aram Taghavi plus a publishing guru/lover of preppy clothing, Doug Anderson. The four of them work out of Mark's basement to refine Bisnow's brand while plotting a backup business: bird-house production factories, which is quickly ditched as it seems too advanced. Bisnow explodes and Mark decides to apply Bisnow's brand to the offline world: events. Advertisers express wanting to attend commercial real estate events that don't make them want to jump off a bridge. And so, Bisnow (almost) Never Boring was born.

When it comes to property management budgets, one thing's certain: They're never big enough. So how do you make a building look top notch when your piggy bank is on a diet? RiverRock Real Estate Group President Steven Core says a good manager walks the property on a regular basis (for work and for light cardio) and pays attention to details, so they'll be fewer unpleasant surprises. Pay attention to the contracts of the landscaper, sweeper, day porter, and others to make sure they're doing what they should. It doesn't cost anything to enforce the contract you're already paying for. Have landscapers make use of mulch in bare areas. Mulch is inexpensive, looks good when replaced periodically, and helps conserve water and cuts down on weeds. (And people get over the smell.) Ensure that graffiti is removed immediately. (No matter how innovative that spray paint mural is.) If an owner is cash strapped, some cities offer assistance in graffiti control. Paint the trim. It's inexpensive and instantly updates the look of the property. Use plants to add color, especially at entry points. Using native plants is even better, since that reduces maintenance costs once they're planted. (And it makes bumble bees less homesick.) Add a slurry seal to repair cracks in the parking lot, brighten its appearance, and extend its life. Make sure the trees are trimmed. People might not notice if they are, but they certainly will notice if they aren't.

As I’ve stressed in past articles on this subject, colorful landscaping strategically placed around your building speak volumes to exceptionally attractive prospects. Often folks who appreciate beauty make reliable residents. Property managers would be wise to leave a lasting impression on everyone who comes to look at a vacant property. One way is to have an attractive, color sheet with a list of all the advantages of being a resident at the property you manage. Don’t be afraid to add creative touches. Something as inexpensive as replacing the shower curtains, cleaning the counters so they sparkle, or adding different light bulbs may brighten the interior and indirectly remind the prospective resident that your property is livable and cozy.

Four Low Cost Ways to Improve the Properties You Manage

As property managers, we have to be imaginative when reaching out to potential residents. If we also remember to be friendly and courteous, we will brighten their day and leave a positive memory about your property.

At the same time there is a growing group of former homeowners who are back in the rental market. The monthly rent these groups are willing to pay will partially depend on the condition of the rental properties. If they have a choice, they’ll go with the property that impresses them the most.

This is especially true with the baby boomer generation, those born between 1946 and 1964. This demographic is looking for places to live that feel secure, feel like home and appeals to aesthetics. So to compete effectively and economically, property managers are “turning up their imaginations” to make their properties more desirable. Here are four economical ideas to consider: 1.

First impressions mean a lot. Remove old or tattered window coverings and replace them with inexpensive Venetian-style blinds. Choose neutral colors and models that are easy to replace. While you’re at it make sure the windows are clean, with sills that are sparkling. 2. Replace the knobs and handles in the kitchen cabinets if possible. Any qualitative touches you can add to your kitchens including sufficient lighting will make your rental feel more like home. 3. Install portable “odor-eating” air purifiers. If your rental units smell clean, prospective residents will notice. You can also buy some inexpensive plug-in room deodorizers which create the ambiance you think pleases the nose. Stage the kitchen counters with flowers for a decorative touch. 4. While we’re on the olfactory topic, make sure the inside of the refrigerator is extra clean and smells great. You can add to the appeal by placing some fresh-baked cookies inside the refrigerator. Offer one to your prospect so they will remember how kind and considerate you were.

Rent or Reject? 5 Must-Haves Millennials Demand from an Apartment Community By Hedish Connor, Property Management Insider Nothing annoys Millennials more than grouping us into a broad category—we pride ourselves on individuality. We’re all searching for something different, and many times where we choose to live is an outward reflection of who we are or who we want to be. Whether we’re trying to live a minimalistic life and ditch unnecessary baggage, or we’re working to become the youngest VP in our company’s history—we won’t compromise on what we believe in. As a Millennial, I have a list of my top five “must haves” for renting an apartment. Whether it’s an urban high-rise or a quaint duplex, an apartment won’t even be considered if it doesn’t have the following:

#1: Online Everything (Resident Portals Rock!) I’m in the older sect of Gen Y, so I know what a check is and how to write one. But, I haven’t written one in years. The only thing worse than writing and dropping off a check to your front office is calling you on the phone. Millennials will exhaust every form of communication possible before making a call, including maintenance requests. Give us the ability to make maintenance requests online (like with user friendly resident portals) or you’ll most likely never know that the shower is leaking (and it’ll be a costly repair later).

#2: Unit Pricing and Availability Transparency Real-time pricing and availability must be listed on your website. By the time you receive an email from us, we have probably already made up our minds as to which apartment unit is the one we want. If it’s not available, it’ll feel like a trick to win business and we’ll take it elsewhere. That transparency includes fees—don’t throw anything in at the last second. This is a non-negotiable in all steps of the leasing process.

#3: Pet-Friendly Apartment Communities Like most Millennials, I have a dog that I love. Like, “I-only-buytreats-made-in-the-US” and “Which-sweater-should-you-weartoday?” kind of love. We’re not looking for pet-friendly; we’re looking for treats-in-the-lobby friendly. If you don’t have your own dog park, make sure you advertise the closest one (and provide trash bins/ doggie bags along the way).

#4: Walkability We want to walk to restaurants, bars, and grocery stores. Even if we don’t actually always walk, we want the option to! It’s a good idea to feature what’s nearby on your website, because we will research it ahead of time. At the end of the day, what this score means to me is convenience.

#5: Green Living Help us be green without having to think about it (or pay extra for it). It doesn’t start and stop with recycling—do you have an electric car charger? Compost? Rain Water collectors for landscape maintenance? We’re thinking of the future—we want that in our apartment, too. So there you have it: my top five reasons why this particular Millennial would rent—or decide to reject—one of your apartments. Would you like to know my “must haves” to stay?

Top Renewal Factor: Friendly Staff The staff needs to treat residents (and potential residents) as real people, not “resident in apartment 242.” I once had a property manager not only know my name, but my dog’s name. Feeling like I was part of the “family” was part of my decision to renew my lease, even with a $100/month price hike.
