How to organise a Cake Bake event
A Cake Bake event is the perfect way to meet with old friends, your neighbours, workmates, youth groups or maybe just a group of people who deserve to stop for a slice of cake, a cup of tea and a chat, whilst helping to raise much needed funds for Home-Start and the vital support we offer to vulnerable children and their families across the UK.
How your employer might be able to support your fundraising
There are many ways you can boost your fundraising total. But did you know you might be able to get your employer involved too?
Whether you’re taking part in an organised event, or doing your own thing, or even if you just want to make a one-off donation – your employers may be willing to help you out.
Giving to Charities is for many companies, a key part of their Corporate & Social Responsibility (CSR) Policies.
There is no fixed formula to it – some companies will match your fundraising £ for £. For others, it will be up to a certain amount (£500 for example). And some will match up to a certain percentage of what you are able to raise.
How to organise fundraising in the office
Ask your employer if they operate a ‘Matched Giving Scheme’ as this is a really good way to increase the money you raise from sponsorship. Either speak to your manager or to the HR Department.
The Macmillan Cancer Support donation examples below were for Pausa cafes. The style is of the Pausa brand and Macmillan, the copy is written by myself.
Coffee mornings are a great way of bringing people together and sharing a common desire to make a difference. They are easy to set up – you just need the basics; some cups, a kettle, teabags and a pot of coffee!
Make a plan
Choose a date and check your event doesn’t clash with any other local or major events.
Choose the venue and identify the number of people you are expecting to attend. Make sure the location is easy to find, has enough capacity and parking, and is accessible for disabled guests. If space allows, you can hold it at home and invite your friends and family along. Ask to hold a Home-Start coffee break in the workplace, and village halls are great places too.
Decide on what to sell – in addition to tea and coffee, how about home-made cakes, smoothies and soft drinks? Remember milk, sugar and sweeteners and think about cutlery, paper plates, napkins, plastic spoons, etc.
Think about your budget and set yourself a fundraising target. Work out how much you will be spending on supplies, decorations and added extras. Make a budget and stick to it. To keep costs as low as possible, ask for donations from shops and supermarkets (keep an eye out for sell-by dates). Ask friends to bake a donation too!
Think about the premises of food preparation, label food to inform those with an allergy or intolerances and about how food is handled and packaged, etc.
Set your prices for an entry fee, coffee, cake and biscuits, etc. Will you hold a quiz or raffle? Make sure you have a float of ‘change in coins’ for your guests.
Helpers. Encourage a team of helpers who can serve and replenish stocks, look after cash donations, sell raffle tickets, etc - leaving you free to talk to people about why you’re raising funds and awareness of Home-Start.
Use a lockable box to safely secure donations on the day and to keep your ‘float’.
Get Advertisenoticed
your coffee morning and get the word out! Put up posters in venues in your local community; work, school or college, supermarket, library, etc.
Promote your event in your workplace newsletter or magazine.
Contact your local newspaper, radio or TV station. They may run a feature on your activities.
Include information and case studies to help raise awareness and encourage support. We can provide these.
Invite friends, family and colleagues and create personal invitations. Include neighbours and ask them to invite their friends too. Please include our logo and charity number within your promotional materials. We can provide our logo and guidelines.
Add a ‘theme’ to personalise your event and ask guests to arrive in ‘fancy dress’ to add even more fun to the occasion!

Ingredients to help you have a successful event
Venue – Will it be in your home, the local village hall, at a church, in hotel or maybe a Cake Bake in your garden.
Date & Time – Choose a date that fits with you and your venue and then consider a start and a finish time, that way everyone will know when it’s time to arrive and when they have outstayed their welcome!

Helping Hands – Encourage everyone you know to get baking home-made cakes are always best seller and for those that don’t enjoy cooking, they can help you with setting up and selling on the day.

Try to get as many of the departments or teams in your office as possible involved in fundraising. In order to bring them on board, try to explain a little about Home-Start and the difference we make to the lives of thousands of vulnerable children and their families across the UK and why we need more money. A better understanding should make people more keen to join in, which should result in more funds raised! you would like more information about Home-Start and maybe some case studies to share, please contact the fundraising team at fundraising@home-start.org.uk
Let us know if they say yes! Your employers may request some kind of confirmation from us, usually a letter or an email, or may require us to complete a form to confirm your fundraising total. That’s normal procedure and is something we will be very happy to assist you with. Once the information is confirmed with your employers, they will then send a cheque to us to support our work. That’s all there is to it!
Format of your Cake Bake event – will you include competitions, sales of other local produce or just a traditional tea and coffee morning – including lots of cake of course.
Baking competition – there could be prizes donated for the ‘best dressed cupcake’ possibly with theme, depending on the time of year, venue, company etc. Don’t have time to bake? Then fake it – buy or get cakes donated from local suppliers and sold on the day. Why not contact your local catering college can they bake on your behalf?
Ideas to increase your fundraising total Why not hold a ‘Bring & Buy’ stall Kids decorating cupcakes competition for an entry fee with prizes. You could hold a small raffle. Why not approach your local supermarkets, hotels, sports clubs, restaurants and local companies for prizes. You could also ask your local supermarket for a donation of tea & coffee for your event and don’t forget soft drinks. You might want to charge an entry fee to the event. Guess the number of cookies/sweets in a jar for small fee – the winner takes home the goodies!

Payroll Giving – Does your company runs payroll giving scheme. so, ask if they would allow Home-Start to be added to the choice of charities that people can donate to. Give a monthly gift direct from your wages. It’s tax effective, so a donation of £5 only costs £3.92

Theme – colours, holidays, movies, events? This will impact on the flowers (auction them at the end of the evening), table decorations (balloons, candles), linen, cutlery, goody bags, menu and entertainment.

Remind everyone why you are doing this and the awareness and funds it raises to help the thousands of vulnerable children and families that need our help. Tragedy or hardship could affect any of us at any time.

Keep in touch with guests and invite them to your next fundraising activity.
Food – is the set menu provided by venue or sourced externally? Can each course be sponsored or the whole meal? Don’t forget individual dietary requirements and organise tasting session.
Venue costs ensure these are outlined early. Some additional costs could include room hire, provision of cash bar, staffing, staging/dance floor, linen for tables, menus, equipment hire, cloakroom facilities, wine corkage etc.
Sponsorship
The more elements to the evening that you can get sponsored the better. Consider the printing, flowers, entertainment, drinks reception, food and Personallywine.
approach local businesses (ideally a letter followed up by call) and offer them the opportunity to have their logo on the
tickets/posters/programmes, display at the venue, or they may sponsor a table etc. Many companies may also wish to donate to goody bags and raffle/auction prizes.
Entertainment
This could follow your chosen theme, but must appeal to the widest possible audience. All entertainment should be booked well in advance, preferably with written confirmation. If booking a band watch them perform or ask for a demo tape and give them an outline of the age and composition of the audience. If you book a disco, make sure you request the right kind of music for your audience.
Marketing
Invitations, tickets and all publicity material should be eye-catching and include: venue, timings, entertainment, Home-Start logo and registered charity number, dress codes, and any special features such as guest(s) of honour, comedians, celebrities etc.
You may wish to produce programme for the evening to include a timetable for the night, auction prize details, background details of Home-Start and a foreword by Rob Parkinson, Chief Executive of Home-Start UK. You could charge for this as this is also great outlet to sell advertising space.
Guests
Should be invited at least eight weeks before the event to allow time to sell tickets. You may decide to sell tickets as tables (typically between £500-£1,000 per table of ten). You may wish to invite people to speak at the event people attend balls to be entertained, so think carefully about your choice. You will want to talk to your guests about Home-Start and how we our support is changing the lives of thousands of vulnerable children and families across the UK. Explain that due to lack of funds, there are still thousands of children who still need our help. All speeches need to be short and ensure that the MC or host of the evening thanks all speakers, organisers, the venue, celebrities, entertainment and guests for their generosity.
Volunteers
These are essential to any event to assist with its smooth running. You may need people to help set up and decorate the room and tables, meet and greet, assist with

There are so many challenge events out there to suit all ages and abilities. So you have no luck fundraising in the office, why not get a team doing something a little more challenging! Here are just a few ideas: Get a group together to do skydive or abseil Why not take part in one of our international events, such as Climbing Kilimanjaro or Trek Machu Picchu Want something little closer to home, why not take part in a colour run, or how about Tough Mudder challenge. For sponsored events you are planning an event, please do contact us for a supply of official Sponsorship Forms. These contain the precise wording required by HMRC and have been designed to ensure that the minimum amount of information required is recorded. As such, please ensure: Your name and address, as the fundraiser, are included in full. Each donor must clearly include their full name and title, home address (number or name) and full postcode. Please note work addresses are not permissible.
Collecting Tin/Box Could you put a Home-Start collecting tin or box on the reception desk or other prominent location?
Fundraising ideas on the night Auction – A maximum of nine items is recommended as people will lose after that. Ensure there are lower value items as well as one or two key prizes and make sure you choose a good auctioneer.
Consider hosting a silent auction as well with smaller prizes where the items (or a description of the auction item) are placed on display throughout the evening, and guests write their bids on open forms next to each item. This continues throughout the evening, with each person bidding higher than the previous one especially successful after a drink or two!
Bonus Ball People pay £10 for a ball between 1-49, once the National Lottery is drawn (or you make your own draw) the person with the ‘bonus ball’ wins £100, with the balance of £390 going to charity. This is an easy fundraiser for the reception that your volunteers can implement.
Sponsorship and Gift Aid declaration form
The Gift Aid declaration box is ticked accordingly. Avoid using ‘ditto’ marks. If a number of sponsors live at the same address, they must each complete their address and postcode. Donate individually. You cannot make joint donations, i.e. Mr and Mrs Jones. This is because the HMRC need to determine who the taxpayer is. Please also ensure the sponsorship money submitted to Home-Start UK corresponds exactly with the amount shown as collected on the sponsorship forms. If it does not, we are unable to claim any of the Gift Aid. For example, if you are sending in a cheque for £50, this must be the amount shown on the sponsor form as the total raised.

Bingo – appoint a team captain on each table to sell bingo tickets that are in an envelope on the table. Later in the evening ask everyone to stand then call out bingo numbers drawn from bag; when player’s number is called they sit down and the winner is the last person standing!
Raffle Source up to ten good prizes, sell tickets and draw out the winners. An alternative way of drawing the tickets is to place winning numbers in balloons which have to be burst Music – take bids for special requests from the band/DJ.
Heads and Tails Sell tickets for £1-5. People who don’t want to play just sit down. Everyone then places their hands either on their heads or bottom, the MC tosses a coin. it lands on heads all the people with their hands on their bottoms sit down; this continues until there is one person standing who wins a prize. (If it gets down to two people they have to choose either heads or tails).
Casino There are many companies that hire out tables and croupiers. You can search the internet for full local list.

An event of this sort takes a great deal of planning and careful financial management, so you will need to allow 6-12 months to plan it. If it is a success, it can be a real moneyspinner and great PR, but don’t even think about organising it on your own. There is far too much to be done for one person alone, so try to set up a working group made up of three to five people who will each be responsible for selling tables and sourcing prizes. The working group will need a budget to work to, so one of the first things to do is to agree a breakdown of projected income, projected costs, and projected profit. As with a lot if things, we want to help and support you throughout your pregnancy. That’s why, from the moment you tell us, we will meet up for a welfare meeting, to check in and make sure everything is just right for you in your working anythingenvironment.changeswith you or your baby, it is important
you let your line manager know so they can adjust the support you need.
Your welfare meeting
This is so important to ensure all risks to you and you baby’s health are minimised.
You and your line manager should make the arrangements to have a cuppa and a welfare meeting as soon as possible after you inform them you are pregnant.
Where potential risks are identified, we will take reasonable steps to remove them. This may include offering suitable alternative work in order to minimise heavy lifting, or working with you to change your working hours.
There will be further meetings planned with your line manager throughout your pregnancy, however if a new risk presents outside of these please let your line manager know so they can review what is in place for you.

When can start my Maternity Leave?
The earliest you can start your maternity leave is the beginning of the 11th week before your expected week of childbirth (EWC) (Unless your baby arrives

What if my baby is premature?
Don’t panic! Your maternity leave will commence the day after your baby is born and will not affect your right to Maternity Pay. All we ask is you keep us up to date.
What if my baby is born late?
If this happens, it wont affect your right to Maternity Pay as your Maternity leave will have already commenced.
Illness during or after pregnancy
Routine illness (e.g. Colds or Flu) are dealt with under Dunelm’s normal sickness
Ifprocedure.youareabsent from work with a pregnancy related illness during your last 4 weeks of pregnancy, we may start your maternity leave early to support you before the birth.
If your illness prevents you from returning after your maternity, let your line manager know and follow the normal absence reporting procedures which can be found on Home Comforts.

Keep in touch Days
When you are used to the fast pace of Dunelm, it can feel strange to be at home!
Its always good to keep in contact with your line manager while you are on your maternity leave. To help with this, You have the option of working 10 days throughout your maternity period to allow you to catch up with any business updates and your colleagues.
A great way to use these days is to come in on monthly meetings or huddles. The best part is you get paid! (and it wont affect your Statutory Maternity Pay)
• You can use your KIT days to start to discuss your return to work plan with your line manager and your flexible working request, if you wish to apply.
Where risk is identified, working conditions and/or working hours will be adjusted to avoid the risk. Where this is not reasonable, we will work with you in line with the European Directive on Pregnant Employees and the Management of Health & Safety at Work Regulations 1999. We know how important is to minimise any risks in the workplace, and it is important that you are aware of the risks specific to pregnant women and how to avoid them. health and safety

Many women work whilst they are pregnant and many return to work whilst they are still breast-feeding. However, there are a number of hazards in the workplace which may affect the health and safety of our pregnant colleagues, or of new mums returning to work from Maternity Leave. When you notify your Line Manager of your pregnancy they will have welfare meeting with you and have conversation with you to identify and eliminate any immediate risks (more officially known as a risk assessment!)
We want you to look after yourself, so no-matter how long you have worked with Dunelm, we will support you with paid time off to attend antenatal care.
This includes medical and midwife appointments or even relaxation or parenting classes which are recommended by your doctor.

Don’t forget, in England you can claim free prescriptions and NHS dental treatment while pregnant, and for year after your baby is born! Speak to your doctor or midwife for more information.
