Chapter Responsibilities
1. Chapter Basileus should appoint a Chapter Awards Chairman. 2. Chapter Basileus and Chapter Awards Chairman should review the current awards booklet. 3. Chapter Awards Chairman should Identify the award category/categories for which the chapter will submit an entry. A chapter may enter only one scrapbook per award, except for the Great Lakes Rise Up Honey Do award.
4. Chapter Awards Chairman recommends to chapter members the entry category/categories once the committee has decided which areas to pursue.

5. Chapter Basileus should decide who is going to submit the awards information by the due date and submit the awards payment at the same time. 6. Undergraduate Chapter Basileus should work closely with the Graduate Advisor. 7. Chapter Basileus should approve and ensure that confirmation from Sorors is obtained prior to their names being submitted to serve as a judge. 8. Chapter Basileus and/or Chapter Awards Chairman should review the awards booklet and ensure that each Soror volunteering to serve as a judge is familiar with the awards booklet.
9. Chapter Basileus should ensure that the information submitted on the awards entry form is accurate – award submission chapter size and judges contact information. The form should se submitted only once. But if multiple forms are submitted, the last form submitted will be the one that will be accepted. The link to the form is located on page 11.
10. Chapter Basileus or the Chapter Awards Chairman should communicate any changes immediately to the Great
Lakes Regional Awards Chairman.
11. Chapter Awards Chairman verifies that chapter scrapbooks meet the specifications as stated in the Awards
Booklet. This includes as a minimum - the name of the award, size of the entry, format of the entry, and for
Excellence entries – the cover sheet is included with the submission.
12. Chapter Awards Chairman should ensure that the Soror who has volunteered to serve as a judge has completed her assignment. This year, the Chapter Awards Chairman will be copied on all emails sent to the judges, i.e., confirming assignments and the completion of judging responsibilities.
13. Chapter Basileus or Chapter Awards Chairman should ensure that the chapter scrapbooks are uploaded by the due date and in the required pdf format and no larger than 500mb. Scrapbooks not in the required format or
correct size. won’t be evaluated.
14. Chapter Basileus and/or Awards Chairman should ensure that the number of chapter entries and judges are the same. If the number of judges is less than entries then five (5) points will be deducted from the entry without a corresponding judge. Entries include both Regional and Excellence (International Program) awards. Chapters will be contacted prior to judging to confirm judges, but won’t be contacted the day of judging. Judging assignments will be reassigned to a supplemental judge if the assignment isn’t completed by the due date. 15. Chapter Basileus and/or Chapter Awards Chairman should notify the Great Lakes Regional Awards Chairman of any changes to the judges or awards being submitted prior to the due date. If notification doesn’t occur prior to due date; the chapter is still responsible to having the number of judges equal to the number of awards submitted.
16. Chapters Awards Chairman should send an email to glregionalawards@gmail.com if they have additional sorors who would like to volunteer to serve as awards judges. The email should include the contact information for the soror.
17. Chapter Awards Chairman will send an email confirming that the sorors in her chapter have completed their judging assignment. The confirmation email should be sent to glrcjudges@gmail.com
