I

t will come as no surprise to readers that this issue of Aircraft IT MRO has a strong focus on the move to digital solutions. In our daily lives as well as at work, digitalization is bringing about huge changes in the way things are done. It isn’t just that digitalized processes make what we’ve always done work better, although they do: it’s that digitalization has coincided with the arrival of big data and makes possible the processing of that data on a scale and to a degree of detail that simply wasn’t possible even a few years ago. If you like, it’s a perfect storm but for good rather than destructive ends. It makes possible things that might have seemed mere pipe dreams only a few years ago. Things like predictive maintenance and aircraft health monitoring, and, as our case study from Jazz Aviation suggests, a huge improvement in the quality and clarity of lease return processes.

Given their cost, aircraft are more likely to be leased in order not to tie up too much of an airline’s capital and intellectual resources in the responsibilities of ownership. But leasing itself also comes with responsibilities: the need to ensure regulatory compliance, to ensure that the aircraft is operated and maintained in accordance with the lease conditions and, ultimately, that the operator can demonstrate all of that to the lessor when the aircraft is returned for re-leasing to the new operator. In the past that meant trawling through, ordering and presenting a tonne (no exaggeration)

of paper but, with digitalization, it can be achieved throughout the time that the aircraft is with the operator and, crucially, with the click of a button when the aircraft is returned.

We also have a great and informative case study from stand-alone MRO Coopesa who, having reached the point of maximum effectiveness in the business – all aircraft returned complete and on time – had to consider how to further improve. The solution was a new digital MRO solution that has enabled this successful business to move from effective to efficient, adding a new dimension of quality to an already sound performance. The article explains how this was achieved and what have been the benefits gained.

Our Vendor Job Card throws light on how TRAX has succeeded as an innovative and successful part of the aviation IT landscape, and Allan Bachan’s Column ‘How I see IT’ explains that, no matter how good a solution might be, if users don’t implement its capabilities then they’ll never realize its benefits in full.

Commsoft’s OASES helps Africa World Airlines win prestigious award at Embraer Operators Conference

Commsoft, developer of leading MRO IT system, OASES, were delighted when, in mid-July 2019, Africa World Airlines (AWA) won a benchmark award dubbed ‘the honorific title of Reliability Data Quality’ at the Embraer Operators Conference 2019.

In the words of Patrick Akowuah Jr. from AWA’s Engineering Management Centre: “AWA was one of two airlines that won the highest award among all EMB145 operators in the world in terms of the high quality standard on the fleet reliability data provided to Embraer on a monthly basis, following the most rigorous criteria in terms of quantity, quality and timing of information provided.

This was only possible because of OASES. Our technical data collection and management has been revolutionized since we joined the OASES community.”

Air Belgium renews with Rusada In mid-September 2019, Air Belgium signed a multi-year contract extension for Rusada’s MRO and Flight Operations software, ENVISION. Air Belgium operates a mixture of scheduled and ACMI services using a fleet of Airbus A340’s. Its scheduled flights serve the Caribbean islands of Guadeloupe and Martinique, while its ACMI customers include British Airways, Air France and LOT Polish Airlines.

Air Belgium initially signed up for ENVISION in September 2016, shortly after the airline’s launch in summer 2016, and after a successful initial term has elected to renew its agreement with Rusada for a further three years. The carrier uses ENVISION’s Fleet Management module for the continuing airworthiness management of its aircraft.

Artificial Intelligence (AI): Paving the way for more efficiency in digital aviation Lufthansa Systems is engaged in AI initiatives and projects on flight scheduling, turnaround and passenger apps

Air traffic is growing at an average annual rate of five percent. In 2035 around 40,000 aircraft will share the airspace – twice as many as today. Already today there are sometimes bottlenecks, in the air as well as on the ground. This can lead to delays or even flight cancellations, resulting in frustrated passengers and high costs for the airlines. To meet these challenges, the industry is looking for solutions based on artificial intelligence (AI). As one of the world’s leading airline IT specialists, Lufthansa Systems is involved in various projects in this field. In mid-June 2019, Mubashir A. Tariq, Head of

Innovation and Portfolio Management at Lufthansa Systems explained:“Artificial intelligence is almost ubiquitous today, and its potential is huge. This is why we have been working on this topic for years. AI solutions are based on the extensive data that is already available from the many different solutions used by Lufthansa Systems’ broad international customer base. The aim is to make even more effective use of the limited resources available without compromising the stability of the systems”.

The trick is to use this data in a smart and practical way. Lufthansa Systems founded a subsidiary in 2015 to handle this. zeroG employs around 50 data scientists and data engineers. They are highly sought-after experts in the field of intelligent data use and the development of AI

solutions, and they also have a deep understanding of airline processes. In all of their AI projects, Lufthansa Systems and zeroG involve their customers in the development process early on in order to adapt the solutions to specific conditions and work with the widest possible range of real data.

Deep Turnaround is about avoiding delays in ground operations, specifically the turnaround

process. Using video recording, an algorithm analyzes the turnaround process (passengers disembarking, cleaning starts, catering on site, fuel trucks missing...) and keeps everyone updated on the current status in real time. If necessary, the parties involved can take measures to speed up the process or counter bottlenecks to ensure a punctual turnaround.

The aiOCC project is investigating how to simplify the work of ops controllers. In collaboration with zeroG, an AI solution is being developed which analyzes historical data and uses the findings to suggest ways of optimally adjusting current flight operations in the event of irregularities.

Machine learning is also used here, meaning that the system continually learns and gets smarter the longer it runs. aiOCC is now in an early research phase with selected customers of NetLine/Ops ++.

Intelligent network planning is the focus of a research project carried out with Lufthansa Group Hub Airlines and

zeroG. AI will be used to analyze the behavior of revenue management systems in order to make forecasts for optimal network planning.

Lufthansa Systems has developed a mobile SDK for integration in passenger apps which calculates waiting times at airports using an AI-based prediction model. This makes it easier for passengers to plan how much time they need to reach the gate. The inTime SDK can be easily integrated into any existing passenger app.

“The various concepts are being developed and tested together with airlines,” Tariq said. “From our perspective, AI will fundamentally change the way software solutions are developed. Instead of programming fixed or parameterized business processes, the algorithms of the future will be derived from data. AI-based technologies are paving the way for the digital future.”

A business update from AVTECH In late June 2019, AVTECH Sweden AB published a business update. The initial two quarters of 2019 have involved intensified marketing and development activities. AVTECH has visited several trade shows, airlines and conventions but has also had an active period of more conventional marketing activities. The last 18 months has involved similar type of activities and the business was glad to announce that there is an increasing market interest in AVTECH’s technology.

Several airlines are currently reviewing business offers sent from AVTECH and decisions from these airlines are expected during 2019. AVTECH has increased its capacity on the marketing side by engaging Björn Ostertag, former Head of Fuel Efficiency at Lufthansa Cargo. Björn is a welcome strength and fits very well with the AVTECH team.

AVTECH has so far focused on the European market,

but with this increase in resources the North American market will also be closely reviewed. A strong focus has been put on the development of additional cruise and climb optimization services to expand AVTECHs in-flight optimization offering. In Q3 and Q4 these new services are being rolled out and tested primarily in Norwegians operation.

The first of a series of proFLIGHT campaigns was launched during Q2. The first campaign focused on attracting European airline pilots to sign up for a free proFLIGHT PREMIUM trial.

Technical development

During the first two quarters AVTECH has been focused on the development of two new service additions, a cruise profile optimizer and a climb profile optimizer. The cruise module will provide pilots with the most optimum vertical flight path in

real time based on the current route, weather, aircraft weight and priority between fuel and time.

The climb module will provide the pilots with a climb speed recommendation before take-off in order to optimize the climb profile. This calculation is based on real-time information about climb route, aircraft weight and priority between fuel and time.

These new services should be able to increase the fuel efficiency of the flight beyond the current capabilities of the installed flight computer on-board the aircraft. The expected outcome is a fuel saving potential of 1% of cruise fuel and 3% of climb fuel.

For an average Boeing 737 flight this could roughly equate to a 75 kg + 48 kg fuel saving potential.

The cruise and climb optimizer modules will be deployed and tested primarily within Norwegians B737 operation during Q3 and Q4 this year.

Sahel Aviation Services live with Avilytics Reliability Suite Sahel Aviation Services (SAS) is a committed air service provider for the Oil and Gas producing industry, the United Nations Humanitarian Air Service and Defense Sector. Recently SAS went live with EXSYN’s Avilytics Reliability suite. By using the Avilytics reliability suite, Sahel Aviation aims to increase its fleet reliability and more effectively perform their air service. After a thorough market assessment and comparing multiple different aircraft reliability management solutions, Sahel concluded that EXSYN and its Avilytics solution offer the most exhaustive functions and capabilities.

As part of the June 2019 activation of the reliability suite EXSYN conducted a data health check, established a detailed data mapping matrix and, together with SAS key-users, established automated routines to upload data into Avilytics. By establishing these routines, Avilytics can now easily be deployed when no integrated MRO software system is available at the operator. Erickson Incorporated selects Ramco for ERP Transformation Project Erickson Incorporated, announced at the beginning of July 2019m that it has selected Ramco Systems to implement its Aviation M&E MRO Solution V5.8.

IFS reports 48% increase in licence revenue and 85% adjusted EBITDA growth in first half of 2019 IFS, announced in mid-July 2019, its financial results for the second quarter and first half of 2019, ended June 30, 2019.

“When I look back at Q2 2018, which was my first full quarter with IFS, I am proud of the results we achieved. Reflecting on Q2 of this year, I’m simply blown away by what we accomplished together as we focused on delivering sensible solutions to our customers,” commented IFS Chief Executive Officer, Darren Roos. He continued: “Now that we see what this IFS is truly capable of, expectations for the second half of the year remain high and I am pleased to have increased our guidance for the remainder of the year to deliver 2019 revenues of $711 million, or 6.35 billion SEK, an increase that represents a 21% increase year-on-year.”

Designed and developed by fellow Limerick firm ActionPoint, this new feature is focused on Maintenance Reserves claims which act as an insurance policy for aircraft lessors who need to include a reserve fund to protect against maintenance, repairs and other costs while an aircraft is being leased.

The Maintenance Reserve claims function is described by cloudcards CTO Barry Fitzgerald as “a

huge time-saving for our aircraft leasing customers who can now manage the full maintenance reserve function through our application from Engineering to Risk all the way through to Finance. Furthermore, this new system update has been delivered on-time and in-budget by the ActionPoint team.”

ActionPoint CTO John Savage said, “We have been delighted to support cloudcards during every step of their journey. Seabury Solutions signs new African Airline for Alkym Solution Seabury Solutions, a leader in the development of Information Technology solutions for the aviation industry, announced in mid-July 2019 the addition of a new airline customer in Africa, Precision Air, for its marketleading solution to enhance the maintenance management of the carrier’s expanding fleet.

The Tanzania-based airline, operating scheduled flights out of its main hub in Dar es Salaam, is the latest customer to join the ever-growing base of the company’s airline customers based on the African continent. Opting to deploy Seabury Solutions’ comprehensive maintenance solution, the carrier

deemed Alkym as best suited to meet the requirements for managing the maintenance of its fleet.

“The quick implementation time along with the ability to customize Alkym as required by Precision Air were pivotal in the decision-making process, which led the African airline to select our solution,” said Seabury Solutions VP Sales & Marketing Carlos Bianchi As we continue to grow in Africa, we are delighted to welcome Precision Air as the latest customer, despite having faced some stiff competition from several other IT vendors.”

Precision Air opted for 17 out of 18 of the modules contained within

Rusada unveils new Technical Publications module In mid-July 2019, Rusada, the global aviation software provider, announced the newest module for its MRO & Flight Operations solution ENVISION. Technical Publications can be used by aircraft operators and MRO’s to integrate their library of documents into ENVISION, thereby creating live, digital versions of these essential resources.

A key feature of the module is the digitization of OEM Manuals and Maintenance Programs, enabling the creation of a digital library of maintenance task cards. TransNusa implements Rusada’s ENVISION

At the end of July 2019, TransNusa, the Indonesian regional airline, became the latest operator to go live with Rusada’s ENVISION. TransNusa, formed in 2005, operates domestic services across Indonesia using a fleet of ATR’s and BAe 146’s.

It recently added its eighth ATR to the fleet (seven of which are ATR 72’s) and will operate 10 of the aircraft by the end of the year.

TransNusa signed up for ENVISION in May and is now live with the system after just two months. They become Rusada’s fourth new regional airline customer this year, demonstrating ENVISION’s effectiveness with this type of operation.

Helicopter MRO provider UTair Engineering selects AMOS Swiss-AS was pleased to announce in early September 2019 that the Russian rotary wing MRO provider UTair Engineering has chosen AMOS and has already planned the first project steps. UTair Engineering now becomes the second member of the UTair Group to choose AMOS, following the airline UTair Aviation, who joined the AMOS Community in 2012. Having an AMOS reference customer within the company group placed UTair Engineering in a very favorable position during the software selection process. The UTair Engineering evaluation team were able to witness for themselves the quality and suitability of AMOS and rely on UTair Aviation’s first-hand experience of the project implementation and daily usage of AMOS post go-live.

Dedicated rotary-wing features in AMOS

AMOS offers a wide scope of dedicated functions for helicopters to cater to their special needs and requirements. Vibration monitoring is used to identify the early stages of helicopter component degradation, connecting this to the dynamic counter options within AMOS to optimize maintenance control and performance. AMOS offers a complete suite of engineering requirements to control the maintenance needs of the helicopter industry. In addition, AMOS can handle the management of

extensive pooling contracts which are tailored to the specific operational environments of helicopters, such as search & rescue as well as oil & gas industries.

AMOS covers the wide range of different helicopter OEM requirements and is not limited to certain helicopter brands or types. AMOS adaptability supports the operator to manage approval for modification installations on any particular model. AMOS also provides mission logic, which enables individual system capability set up aligned to the types of missions flown.

Fleet uniformity or customer preference can be accurately tracked in AMOS using the in-depth effectivity rule logic. The main goal of AMOS is to improve the overall operational safety by encompassing as many of these factors as possible and then produce a streamlined, process driven structure, for example, to manage weight and balance issues resulting from modifications or from kit installations.

USA Jet live with AMOS

Swiss-AS was proud to announce in late August 2019 that USA Jet, an Active On-Demand company, has recently gone live with AMOS and now uses the MRO software to support all maintenance processes.

AMOS’s complete functional depth and scope was one of the prominent reasons USA Jet chose to partner with AMOS. This functional supremacy of AMOS stems from an ongoing investment from Swiss-AS to further develop the software (50% of staff is employed in product development), and their close cooperation with the AMOS community.

Just like many new AMOS customers, USA Jet has opted for the open-source database PostgreSQL, allowing cost-conscious companies to waive licence fees while still being able to rely on a proven state-of-the-art database.

The company is located in Costa Rica, Central America, at Juan Santamaria International Airport (SJO). The workforce includes 800 people with current facilities that can accommodate up to seven narrow-body aircraft from the Boeing 737 family, Airbus A320 family and Embraer 190s. Also, Coopesa holds several civil aviation certificates as shown in figure 1, including FAA, EASA and DGAC of Costa Rica.

4. Cost and performance: The region allow operations with lower costs compared to North America and Asia, plus our TAT (turnaround time) and reliability shows a level of consistency at 98% in the last three years.

Having started in 1965, Coopesa has built up a wealth of experience and reputation in the Aviation Industry. The company provides four competitive advantages that benefit our customers: 1. Location: As the country is in the middle of the Americas, flight times to the facilities (for instance, 2.5 hours from Miami) and time zone (-6UTC, Central time) are very convenient for supporting airlines’ operations. Some executives have to work outside of their regular workday hours to monitors HMVs (heavy maintenance visits) underway in Asia, for instance.

2. Logistics and Free Zone: Coopesa operates in a duty free zone and, combined with an exclusive freight forwarding service in Miami and many flights a day operating into Costa Rica from different cities in the USA, the company’s logistics are very strong and fast which is a tremendous support for an aircraft heavy maintenance visit.

3. People: Costa Rica doesn’t have an army and hasn’t had one since 1948.

However, for more than 70 years the country has put that money into education, so Costa Rica has one of the highest education levels in the region.

The relocation and expansion of the company: The main picture shows the future new facilities under construction. Within two years we will be relocated and this situation provides the perfect environment for re-launching the company and re-thinking the design of the whole customer experience. It will also be good for promoting big changes that impact the business, the customers and our people. On the other hand, there is no doubt that business finances require an efficiency boost as well, and the company plans to double the current capacity.

2. The new industry´s digital ecosystem: Coopesa needs to be part of the industry ecosystem digital transformation. For many years the aviation maintenance industry was reluctant about adopting technological solutions, we are now facing the complex dilemma of which solution best suits the business strategy. Every day, airlines and MROs announce the implementation of new technologies toward maximizing efficiency and going paperless.

Additionally, and very importantly, our young mechanics, the millennial ones, are very comfortable working in a sophisticated environment and are happy about envisioning a paperless world. All of this has combined to help Coopesa move forward into paperless operations.

3. Costs reduction and performance improvements: It’s also important to reduce costs. Across our sector, Airlines and MROs are always considering ways to reduce costs. Our KPIs (Key Performance Indicators) show that we have been effective, but we are not still at the cost level we need to be. Having said that, the market and the customers require us to maximize efficiencies to remain competitive and our stakeholders require us to increase profits.

THE PATH OF THIS JOURNEY

We are technicians and engineers whose basic satisfaction is to see aircraft taking off from our facilities and operating safely and reliably; but, at the end, that only means we’re being effective. We needed to start thinking about also being efficient.

Our goals for implementing the FleetCycle MRO solution were: • Move away from being production-driven and to become a planning-driven organization; • Empower staff with key data, measure their performance and improve accountability; • Set the path for going paperless; • Increase business efficiency.

Coopesa believes that by empowering staff with key data and measuring performance, that will lead to improved accountability, which is fundamental for changing behaviors that drives efficiency.

Figure 3 shows the path of our journey. It illustrates the difficulty we faced when starting this implementation. Even though all the benefits were recognized, and it was understood that it would be worth the effort, the truth is that such an implementation uses a lot of resources and requires a lot of focus which, in turn, requires a lot of leadership.

The decision was taken in 2017 to execute the project: we’d already decided to go paperless and had selected a partner. In 2018, the implementation started, and we also began to manage the change. Implementing a new software while phasing out our legacy systems simultaneously and managing the regular workloads, has been very demanding and challenging. In 2019, the project went to phase 1 which is Production control. That will be followed in 2020 by phase 2 when we will be starting with the electronic signature and electronic records part.

PROCUREMENT PROGRAM AND SELECTION CRITERIA

Having many MRO solutions in the market, the selection process was very critical as understanding all the individual benefits among too many options can become a complex process. We went back to basics, established extensive benchmarks, talked with many colleagues, visited a lot of facilities and read a lot of magazine articles. We also arranged comprehensive site demos of different systems and took into consideration all end users’ feedback. This new solution was going to affect a lot of people and the way they work, so, their feedback was important. However, we were very clear on what we were looking for: • We wanted a supplier with a proven track record of regulatory approval. In our region, Latin America, all regulators have yet to approve electronic signatures.

• The airframe MRO business is based on managing man-hours; so the selected software needed to be strong on controlling and managing man-hours.

• We needed a solution that was a specific fit for MRO business, not an airline retrofitted Maintenance & Engineering solution. The solution needed to understand the heavy maintenance processes.

• The business partner approach from the vendor was a very important consideration

THE FUNDAMENTAL EFFICIENCY PROBLEMS

After analyzing the causes that were impacting our efficiency, the following key points relating to the then current organization and processes needed to be addressed: • Organization • Many silos with high levels of dependency among them; • Inability to assess the status of the entire base with its multiple projects; • Limited ability to make educated decisions; • The lack of automation required intensive individual and team efforts to manage the business.

• Processes • Pervasive use of paper – still typical of the aviation industry; • Reliance on multiple, disparate and isolated data silos to manage the processes; • Very limited capability to keep staff focused on execution in accordance with the project plan; • No standardization for planning, execution, production control processes; • Mechanics, Supervisors and Inspectors were forced to constantly move around the facility to get things done; • Induced basic paperwork errors due to handwritten entries, legibility or missing signatures.

Even though we had all the problems outlined above, Coopesa have been delivering aircraft on time, which meant we have been effective, but we were not at the cost level the company need to be.

CHALLENGES THAT WERE FACED

Any implementation will have challenges, the most relevant were related to: • Approvals from aviation regulatory agencies: There are more than thirteen aviation regulatory agencies which Coopesa must deal with in the region.

Some have already approved electronic records and electronic signature.

Facing up to this reality, Coopesa had to take the initiative, and began conversations with regulatory agencies and airlines; all to support the change in the region.

• The transition between information systems: This was our first integration with any external systems. Adapting the labor laws to reflect the mandatory labor management into the new software was our first challenge.

• People: we really underestimated the required number of training sessions to ensure everybody would feel comfortable with the new solution; something we learned the hard way. There was also the task of reassigning responsibilities and positions with the best practices available with the new solution. And we could not ignore the human feelings of people whether they were fearful, skeptical, or optimistic and cheerful.

Aircraft IT: Your name, your job, and the name of the business?

JA: Prior to the formation of TRAX in 1997, existing aviation maintenance software companies had yet to recognize the potential of the Windows platform.

O

n first reading, the title might not set pulses racing; but bear with me: lease returns, and especially the benefits of getting them right without many hours of work, is exciting. It’s taken me a while to appreciate that, but now I want to share this project with readers. First, though, I’d like to tell you something about Jazz Airlines.

JAZZ AIRLINES

Jazz has 116 aircraft of which 110 are leased meaning that there is always a big focus on lease returns. The airline serves 78 destinations within Canada and the USA, under the ‘Air Canada Express’ brand, operates 630 daily flights and carried 11.1 million passengers in 2018. As well as looking after Jazz’s fleet, Jazz Technical Services (JTS) also offers third party MRO services.

Jazz has won numerous awards (see below) including for Airline Reliability.

THE BACKGROUND TO DIGITAL LEASE RETURNS

As far back as 2009 Jazz got approval for electronic sign-off on task cards and non-routines. We have one hundred percent approval for Task Cards and Non-Routines from Transport Canada and 92% from our lessors. So it was still necessary to print ADs (Airworthiness Directives), SBs (Service Bulletins) and Structural Deviations… sign them and put them in a box. That brought us down to filing/storing only eight percent of the work we completed in a paper format.

It went well; lessors weren’t happy at the beginning but there has been a real shift between then and now. In 2016 Jazz went mobile with Trax eMobility apps.

The Trax mobility apps gave the AMEs (Aircraft Maintenance Engineers) the ability to do real time entries with a higher level of detail to the entries quickly by using the voice recognition and camera functionality. That improved the data being received by the lessors which really got them excited so that, in 2017, they started to ask for all electronic records, which was a surprise to us. We now give them electronic non-routines, task cards, scanned PDFs of the Part Certifications and have been doing that for two years now. But Jazz still had a pile of boxes which, at the end of the lease, we hand over to the lessor who puts them into

In 2019, the lessors started to ask Jazz to accept used aircraft with electronic records. At the time of writing, Jazz had accepted three aircraft through that process. Now Jazz has two versions of electronic data. There is the rich data coming out of the system, and there are the scanned PDFs, so there are both smart and dumb documents. The documents coming from the other carrier (the previous lessee) are all PDFs with supporting data, so the receiving lessee doesn’t get all the data.

In that context, Blockchain looks exciting, but it might take a few more years before its use is universal. Although Blockchain is not yet part of the Jazz system, once this current implementation has been successfully accomplished, Blockchain will be the next project. Blockchain will deliver rich data with all the detailed supporting data from the system relevant to an aircraft. This will be useful for operators but will also improve data going back to the lessors, next lessee, and in any new leased aircraft inductions reducing everyone’s risks/costs.

Also the further the sector moves from PDFs, the better it will be become for projects like Artificial Intelligence (AI), all that rich data driving improvements/ reliability/safety/cost reduction. Meanwhile, that rich data is still needed.

Jazz leases from nine leasing companies and undertakes four to five lease returns each year. To date, all lessors have accepted Jazz’s current process for electronic signoff — including ADs, SBs, Structural Deviations, Modifications and scanned Part Certifications.

In figure 1, the items in the green squares are where Jazz focuses: Aircraft records, part records, certifications and data transfer. The current process flow at Jazz (figure 2) has been used for about 50 aircraft and it goes through all the steps to do a lease return.

So, going back (see above) to 2017, Jazz started talking about improving the process. Over the last couple of years there have been different projects to get the change going. This has led to identifying the keys for a successful lease return (figure1) and what could be automated with the data to make the lease return process seamless and painless. There can typically be three months of pain with all the paper documents required to be organized with the electronic files for the lessor. You end up with two sets of data, electronic and paper. So it is not if, but when the lessors find mismatches between these two set of data that the fun starts. They might accept them or they might not.

Starting with a data dump from the Trax system to an Excel file, we then analyse that data to find exceptions, then find the paper documents, match them to Excel and then return it to the lessor before reviewing the findings. It’s a three month process.

From this current process flow, a list of targeted improvements was identified.

Jazz has worked with Trax on those improvements with a view to launching a new solution in July 2019 — the Trax Aircraft Lease Return Portal. Some of the improvements that are anticipated from this new approach to lease returns include: • Cost reduction; • Time savings; • On time return schedule; • Less preparation time required; • Complete record portfolio; • Improved Lessor Confidence; • Real time updates; • Real time visibility of data problems; • Improved data quality; • Reduce printing paper and distribution efforts; • Increased employee engagement.

This is really a ‘rinse and repeat’ for Jazz as the same process had already been applied to the first part of the data, task cards and non-routines. We are very confident that the savings will be realized and are positive about what will be seen at the end after working with the lessors.

The Trax lease return application has been built with two views: one for the operator and one for the lessor, and covering aircraft, engines and gear. Also built into the application is the automation of the exceptions finding. Where users are looking for missing documents or finding mistakes in the MRB (Maintenance Review Board) program, Jazz wanted to build that all into the application. Then, instead of taking two or three weeks for somebody to analyse that data, it would be known right away what the exceptions are. And when Jazz is talking to a lessor a few months before the return date and is looking to negotiate some things such as percentage of life left in engines and gear at the lease return date, it’s possible to know what is going on within five minutes. The app works in real time as part of Jazz’s core MIS (Maintenance Information System) from Trax.

Some of the functionality that has been put into the application includes: • Aircraft Lease Dashboard; • Aircraft Records: • AD and SB status; • Modifications/Repairs/Structural Deviations; • Last Done Next Due Maintenance; • Images / Files — Work Order/Task Cards/Non-Routines/Part Certification; • Installed Component Status; • A/C Times; • A/C Transactions.

These cover typical pieces that you would be looking at for a lease return — Excel files, paper documents — all the things that are collected. One exciting part that has been added into the Lease Return Portal app is the MPD (Maintenance Planning Document) check. Jazz will be able to take the MPD from the manufacturer’s site, load it in, compare it and make sure they are one hundred percent compliant in minutes, or the lessors could do that to give them the confidence in the process. Jazz saves money and the lessor saves money.

Here is a brief review of some of the aircraft records, starting with a high level dashboard (figure 3.1) showing all aircraft, lease returns, and other data.

When that electronic sign-off happens, that Part Certification, which is scanned up to the part, is issued to the mobile device and added to that certified PDF. So now there are all the pieces to return to the lessor. The task card has been signed off and the Part-Cert is right there. In the system it’s possible to go from a work order to a task card to the data and to see all the pieces there. Plus it is also possible to see the exceptions and address those.

Next; here is an idea of how the process is going to work (figure 3.2). Currently engineers sign off task cards and non-routines using the mobile app on their device. The data goes into the main system where a certified PDF is produced, but there is also the rich data available and approval for the electronic sign-off.

… and this dashboard has the same functionality as before with the user able to go to the AD and Service bulletins and see the relevant documentation all in one place.

All the data is there and users can go in and see the Certifications, all of the Certs or the last ones. All those pieces of data are in the system and in one place where everybody can see it.

The A/C Part Transaction window was added in and would probably have been an Operator view only, i.e. not visible to the lessor, but it was included to help solve some of the issues that were manifesting. It offers a full list of everything that has happened with parts, it is quick and easy to search and, once again, it has that functionality; users can drill down and get all the detailed information from Jazz’s Trax MIS system.

… with all those little pieces organized together, it’s possible to quickly manage the lease return, correcting issues real time before the event. With the lessors view they can do their audits yearly, before the lease return, speeding up the process for everyone.

The last part of this solution is the Spec 2000 Export. That is part of what Jazz built here but they wanted to get to the next level. All the lessors say that they will take Spec 2000 but they are not yet ready for it. So that has been built into the system and, at some point, that is how that data is going to be transferred. So there will be those certified PDFs, all the rich data that accompanies those PDFs, and all the details that anybody needs to accept that aircraft.

The process really doesn’t change from figure 2 above, it is just automated (figure 4).

All the pieces have to be done, but when we get to those steps in the process, instead of having to do all the detailed work and make it so that the exceptions can be found, they will already be there, highlighted for resolution. That will be a huge time saver. It will also be useful to explain how Jazz loads the Certifications (figure 5) as part of this process.

The Certs come into the stores department where the part is received and where

they use zone scanning software to scan the part in, then take those documents and put them into the MRO system exactly where they are needed. There is also an option with the mobile device that if there is a single page Cert it can just be scanned and brought into that receiving process. The Part Certs become certified wrapped PDF’s in Trax and become integrated with the Aircraft/Part records. Having this detail in the system, connected to all of the supporting data avoids the whole process of collecting all of the paper certs and organizing them manually (No more multiple calls and rooting though boxes to find the certs).

Now the scanning process is being done and everybody can see them and the data is in the system easily. Jazz is still keeping paper for a while until, probably, mid-2020 and we will likely keep Certs for perhaps three months until everybody is comfortable, and then they won’t be kept at all.

CHANGE MANAGEMENT

As with any of Jazz’s projects, there can be a great set-up, a perfect system but if there is not employee engagement, it will go nowhere. Jazz spends a lot of time on the shop floor making sure that projects are successful, getting feedback, running ‘Lunch and Learn’ events, checking several times a day to make sure that end users are not having problems. And that is done by the whole team: IT, Business Unit experts and whoever is needed to make sure that the project succeeds. There are trainers deployed who adapt their training as issues arise. In fact, this engagement and change management probably accounts for 25 percent of any Jazz Airlines project. Change management is one reason that this project has taken two years after the lessors first declared that they wanted everything electronic, but it is worth the time to get such an important project to work.

BENEFITS

Having implemented the new process, Jazz and Trax undertook a review of the application and, out of that review, were able to identify some clear benefits.

• Aircraft Lease Agreement — No DFP requirement; • Records Inventory — Reduced paper records (One year of Log books still required); • Records review — Digital in Trax A/C records portal; • Discrepancy resolution — performed prior to Lessor review; • Prepare final records — reports and DFP in Trax A/C records portal; • Present to Lessor — provide customer access to Trax A/C records portal; • Final aircraft delivery — signed reports (PDF) printed from Trax A/C records portal.

Having created that record, we were very pleased to note the progress that had been made. In one sense, this is another ‘rinse and repeat’ case: we’ve seen it before, it is an easy one.

when increasing numbers of operators are using these types of tools, any changes by leasing companies will be quickly understood by all of their lessees. So that is a brief look at how Jazz Airlines has implemented digital lease returns and all the values that have flowed from this great program.

John has worked at Jazz Aviation for over 25 years in Aircraft MTC, Process Improvement/ Sigma, and his current position as Director Business Systems Integration. He has worked with Line/Heavy MTC, Manager of Reliability, Manager of CRJ Fleet Management, Manager of MTC Planning, and Manager of MTC Control. He also has overall responsibility for IT systems for the Aircraft Maintenance division.

SAVINGS

This is what everybody wants to know; how much has been saved? Jazz expects to see a 60% to 80% saving on the whole process and that works out to about $100,000 per aircraft in savings. Not only will Jazz save but it will be able to provide better documents to the lessors so that they also can save costs.

• Consultant cost — 60% reduction due to digital records, better audit functions and prior organization; • Logistics cost — 80% reduced space requirement due to offsite lease return activity; • Cost of human errors and additional workload — 80% reduction due to better visibility of records exceptions in Trax A/C records portal and nil paper records; • Additional maintenance and last minute part replacement cost — target at or below 1% additional maintenance and part replacement cost due to better visibility of records exceptions in Trax A/C records portal; • Cost of additional documents request from vendors — Part certs, BTB trace, AMOC, etc.;

• Aircraft records storage cost — 100% reduction in

offsite storage cost.

Notwithstanding the above, the big savings, the real savings are in the manpower. For instance, from having previously had three consultants working on lease returns, the airline will be going down to one.

But that isn’t all; there are also the people from the Business Units who have to be diverted to assisting on lease returns. Also, automation can remove tasks that no longer need to be done. Jazz is now looking at the next lease return and that will be used to identify all the holes that will have to be filled.

Furthermore, Jazz is already fifty percent electronic, but for airlines that are currently all paper, the savings will be even greater. We can look at the paper process with task cards and nonroutines and that alone amounted to $500,000 a year in savings.

Of course, different leasing companies have different requirements and it can even be the case that different aircraft from the same leasing company might be subject to different conditions.

But all of those variations can be built into the system as it applies to each unit. And hopefully, AIRCRAFT IT MRO • SEPTEMBER-OCTOBER 2019 • 43

ecently, over lunch, I was talking with a close friend about experiences with a new MRO IT system which his company had implemented just over four years ago. It was interesting that there was no excitement in his voice at any of the ‘wonderful things’ they had since achieved. Thisfrom the individual who managed one key workstream with a team of eight during the implementation. He was then full of zeal for the future He said that in just three months after go-live,

the project team was formally disbanded, and everyone was absorbed back into the operations.

There was no formal structure for continuous improvement, change management and adoption.

He believes that the system is now only forty percent utilized after all that time.

I wonder how many M&E and MRO organizations are in that same situation?

maintenance events in hard cover Aircraft Logbooks; created a forecast of inspections and component removals from Kardex cards; and, every day, filed away hundreds of pages of Work Orders and compliance documents in cabinets and boxes.

There was an MRO computer system which was installed more than three years before I joined. Only one ‘terminal’ for the mainframe was in the Technical Records office and all six Records resources shared this ‘terminal’. The only tasks done on that machine were to input aircraft flight times

“Perhaps it is time to take a comprehensive look at all your MRO business processes and how they are enabled with your technology tools. Identify what you have not adopted very well and aggressively pursue the opportunities to optimize” for eighteen aircraft and updating letter check accomplishments. This same system was also in use at a few US majors and managing a combined fleet of more than six hundred aircraft at the time. No Kardex.

Hmmm… Less than ten percent of the system — judging from the total ‘transactions’ available — was in use after almost three and a half years.

That was thirty-two years ago.

I made a commitment and formed a team. In six months, the Kardex cards were gone and our use of the computer system was up by fifty percent. Needless to say, our efficiency and productivity were increased and all our internal ‘customers’ realized big gains in their organizations: more real-time and decision support information was readily available on their desktops, in the hangars, at the line stations and in the shops. The biggest gains were in the Maintenance Planning and Reliability Management functions.

So, every company has a story to tell. What’s yours? Have you explored everything in your MRO IT toolkit?

What are you refusing to let go? What do you not understand? Who else are you involving?

Not all performance improvement initiatives and mechanisms need a physical entity within the organization to function properly.

As a matter of fact, it is more of a

mindset. Like Emergency Response Teams and Reliability Committees within Technical Operations; there can be assigned roles, with defined communication protocols and dedicated tools which contribute to a Center of Excellence or a Competence Center. It is a level of awareness and consciousness which is fully acknowledged and embedded into your fabric of managing daily operations and objectives.

MRO IT management must be seen as a core piece of the Technical Operations toolkit. It is not uncommon to see this overly delegated to IT departments which focus on status quo as it would with any other software. For far too long, maintenance organizations have been just living — not thriving — with their supporting IT systems. Essentially applying Band-Aids as issues arise.

Perhaps it is time to take a comprehensive look at all your MRO business processes and how they are enabled with your technology tools.

Identify what you have not adopted very well and aggressively pursue the opportunities to optimize.
