From site to centerpieces, plan a wedding reception to remember with inspiration, organization, vision and imagination.

Creative planning, an organized agenda, and the teamwork of bride, groom, and several key vendors bring to life the most magnificent receptions. Set the stage for a successful celebration with a well thought-out “plan-of-action.� Planning experts suggest a bride and groom put the wedding day in perspective by drafting a planof-action that includes: potential ceremony and reception sites, date and time options, estimated number of guests, style, theme and budget. As your vision and expectations develop, continue to perfect your plan-of-action. Selecting a wedding venue should be the first task you take action on. Select locations are often booked one to two years out, and prime dates (Saturdays, afternoons and evenings, May through October) go quickly. Knowing this, once you find your dream site, book it immediately. THE GUEST LIST The greatest factor to effect your budget will be the number of guests invited, and all should fit comfortably within the venue space. Keep in mind, sites have maximum capacities, so your guest count Black Hills 13

VENUE will help narrow down your site choices— or your site choice will help narrow down your guest list. PICK A SEASON AND THREE DATES The best suggestion is to start with a season of the year and then pick three dates that work for you, your fiancé, and close family and friends involved in the wedding. By having more than one date in mind, you will be more flexible when it comes to such considerations as venue availability and work schedules. THE RIGHT LOCATION The various forms of venues are endless, ranging from a hotel ballroom with stunning interior design and panache, to a vineyard transformed into a rustic chic setting, and everything in between. The wedding venue you select will no doubt help you decide what areas of the wedding planning you need to focus on next, and even help in the decision-making process about some details. Choosing a venue is a lot like hunting for a house. Having a list of your top desires will save you time. On-Site venues include private clubs, hotels, and restaurants. These locations provide the majority of services needed for a reception: tables, chairs, china, flatware, linens catering, beverages, and serving staff. Off-Site facilities encompass historic estates, wineries, private residences, galleries, event sites and community centers. These

locations offer the use of the facility for one flat fee, providing no other services. All-Inclusive venues offer packages to service the event from A-Z. With this type of venue, you can have your wedding and reception at one location, using the venue’s outdoor space for the ceremony and the ballroom for the reception. Theme Venues include your individual hobbies, interests, and passions into your celebration. Wineries, museums, train stations, and even breweries are all alternative options. Choose locations that tell your love story. If you meet in college, check for use of the facilities. Proposed on the beach; speak with state park representatives to book the site. By selecting a venue within your theme, you create a truly personalized celebration. CONDUCT A PHONE INTERVIEW There are a few initial criteria you can confirm over the phone before doing a site visit. Call to ask these basic questions: Is your preferred date available? Where do their prices per person start? Can they accommodate your guest list? If they fit these initial criteria, make an appointment to tour the reception site. INSPECT THE SITE PERSONALLY It may be love at first sight, but looks are not everything. Meet the staff you will be working with for your wedding and spend ample time touring the entire facility to

You can use the thorough checklist of questions in this section at your appointment. The site’s event coordinators are professionals who

realize that people only plan an event like this once in their lifetime; they won’t be offended with questions. If you are working with a wedding consultant, ask them to accompany you as well. For a formal event, choose a location conducive to a formal occasion. By showcasing the natural attributes of the location you have selected, you will more easily achieve harmony with your decor and the facility. Transforming a room is costly. Working with it will save time and money. MEAL CHOICES Find out if the venue offers an in-house catering service, and includes food you prefer, or if you are required to hire an outside catering company. You will likely have several menu options, and will be able to choose food that suits your needs. Keep in mind the time of day your meal

THE COST When discussing costs, especially regarding food and beverage, make sure you get the price inclusive of tax and gratuity. Rates vary significantly depending on the type of venue, the number of guests and the time of year. All details of your reception should be written in a contract signed by you and the venue representative. Most sites require a deposit, and will need the balance paid at least one week in advance. Remember to coordinate this date with your RSVP date to confirm your guest count. YOUR TIMELINE Have your location secured before hiring

A well-planned space and itinerary will help you form a mental image of how your reception will flow. Implement the following tips to ensure all your needs are met. Map it Out to identify where each component of the reception will take place and make a diagram of the room. Include the receiving line, buffet tables, bar, cake table, DJ or musicians, head table, immediate family tables, guest tables, guest book table, and the gift table. Place key elements separate from one another to prevent overcrowding. Have a Plan to guide your guests to the cocktail or reception venue, or make sure there are adequate signs directing them to the proper place.



The Project Manager is a key person and is usually a wedding consultant, your caterer, or the facility manager. They will be responsible for the timing of the cocktail hour, meal service, musician cues, toasts, cake cutting, etc. Best practice says to lay your concerns to rest by confirming all details at least one week in advance.

THE RECEPTION FLOW A common mistake couples make is failing to orchestrate their reception. Timing of the key moments of your reception should be communicated to all your vendors and guests. The critical factor is to keep the event “flowing” and your guests comfortable and happy. After the ceremony your photographer will finish taking photographs, and you will take a limo ride. During this time, serve your guests appetizers and drinks, and have your DJ or musicians play soft background music as everyone waits for your arrival.

The Food and Drinks: What are the menu options with the in-house caterer? Do they limit the use of an outside caterer to an approved list? Does the fee include the staff to serve the meal? Can alcohol be served? Will they allow you to bring your own liquor? What is the fee for a bartender? The Music: Where can the DJ and dance floor set up? Are there enough electrical outlets? How late can the DJ play music?

TIP: Use the table in the Planning Guide to compare your options. The site should comfortably accommodate your guest list and fit within your budget.


The Basics: How many hours/days of rental are included, are there overtime charges? Do the hours include catering, decorating, and DJ set-up time? What is the deposit and payment schedule? What is the cancellation policy? Are there reduced rates for off-season, off-hours or off-days? Are you able to hold the ceremony at the venue? Is there a fee? Is the location’s wedding coordinator included in the fee? Does the facility provide security? How much for additional staff? What are the fees to decorate the reception site? Can you decorate the site yourself? When will the decorating be able to take place? Where can your guests park? Are there extra fees? Is there valet parking/

The unity ceremony symbolizes two people coming from their own families to become one new family. Traditionally, the lighting of the unity candle has been used as this symbol, and continues to be a popular option. For a twist on this tradition, here are some suggestions: Cord of Three Strands. The bride and groom braid the gold, purple, and white stands together symbolizing the union of God, husband, and wife. While braiding, someone reads an explanation of the ceremony and the coordinating verse from Ecclesiastes 4:12 that reads, “Though one may be overpowered, two can defend themselves. A cord of three strands is not quickly broken.” Sand Ceremony. This consists of two smaller vessels filled with different colored sand being poured into a central vessel so you can see the colors blend together. This is convenient for outdoor ceremonies in lieu of keeping a candle lit. Wine Blend. In this unity ceremony, the bride pours a white wine, while the groom pours a red, making a unique blush wine symbolizing your new family. This can also

The officiate explains, “If and when the marriage gets tough, open the box, have a glass of wine, and read your love letters to each other. OBTAIN A SOUTH DAKOTA MARRIAGE LICENSE To obtain a marriage license for use anywhere in South Dakota, an engaged couple must appear together at any South Dakota County Register of Deeds office with proper photo identification (Driver’s License, State ID, Military ID, Tribal Photo ID, or a certified copy of birth certificate) to apply. It’s best to allow at least 30 minutes for the application process. Fees. Currently, the licence fee is $40. Payment types vary by county, so be prepared to pay with cash. After you are married you will need a certified copy of the marriage license for your new South Dakota driver’s license, and any other proof of name change needed. You or an immediate family member must make the request in person. A fee of $15 for a certified copy applies. Waiting Period and Use. No waiting period or blood test required; license can be used immediately, and must be solemnized within 20 days from issue date or the license becomes void. Residency Requirement. Licences are available to both residents and non-residents. Minimum Age. Eighteen years of age without parental consent, those 16 or 17 must have parental consent and present a birth certificate. What to Do With the License. Deliver the license to the person who solemnizes the marriage. The officiator must complete the bottom portion of the license (also signed by the couple and two witnesses), and then return it to the register of deed within 10 days of the wedding. The license remains on file permanently in the issuing registrar’s office. Who Can Perform the Service. Marriage may be solemnized by a justice of the supreme court, a judge of the circuit court, a magistrate, or any person authorized by a church to solemnize marriages. 30 Black Hills

Piping: A pastry bag and tip are used to make lines on the cake. THE SHAPE Tier: Each level of the cake. Layer: A horizontal piece of the cake. One tier is often made up of two or more layers joined together with a filling. Round: The traditional circular cake. All-white bouquets are the most traditional choice for brides, while the use of color in a bridal bouquet is a beautiful way to express individual personality. Close your eyes and picture your first dance with your new husband. Are you stepping on his toes? Is he stepping on yours? If so, perhaps wedding dance lessons are a good idea for you. If you decide to take dance lessons, you will want to start fairly far in advance. Dance instructors recommend beginning four to six months prior to your wedding. It is very important to learn the essential elements of dance before you move into the fancy footwork. A good instructor will demonstrate to you how to lead or follow, as well as teaching you the steps. Private lessons are a great idea when you are starting out. This allows your instructor to focus on the two of you and give you personalized instruction and correction.



You will both want to wear shoes to your lessons that are similar to the ones you will be wearing at your reception. As you get closer to your event, you should even wear the actual shoes to practice in. This will give you the “feel” of them, as well as helping you break them in. You do not want sore feet on your wedding night! If you already have a “First Song” picked out, make sure to bring it along to give to your instructor. This will allow him or her to teach you some choreography to go along with it. Taking the time to learn to dance is a wonderful gift you and your future spouse can give each other. Feeling confident and poised when you are on the dance floor for your very first dance together will be a wonderful memory you can both cherish forever.

Your photographer can help you establish a wedding day schedule, taking into account your photograph goals, as well as your desire to have fun. Instead of having the wedding party and family members milling around for several hours, give them the schedule showing when they need to be there. Remember to schedule alone time to reflect on the commitment you just made to each other. Once the wedding gets started there is no stopping it. Most photographers agree, if the shot is not scheduled, it may not happen. You cannot go back to get the photographs you miss and wished you had, so confidence in, and communication with your photographer is key.

Your photographer cannot be in more than one place at a time; on a wedding day they get pulled in many different directions. To cover all the angles consider the package that includes a second photographer. At every stage of the day, it’s wonderful to have two different perspectives of everything that happens. While one is photographing the bride throwing her bouquet, the second shooter can focus on all the ladies diving for it. Who wouldn’t want both of those photos? While one is taking family photos, the other can go photograph the details and your guests at the reception. An extra photographer provides backup to capture all of the moments constantly happening at weddings—the family members who haven’t seen each other in years sharing a laugh, little kids being little kids, hugs, smiles, and tears. They happen all night long, and they can’t all be caught on film, but with two photographers around, the odds are pretty good that the big ones won’t be missed. Second shooters are also there to help attend to details, like a family member wearing sunglasses in the family portrait,

or a groomsman who’s got a flask, a phone and a key chain stuffed in his pockets during the posed shots with the grooms. If a second shooter is in your budget, strongly consider it. Think of it this way—you will never regret hiring them, but there is a chance you may regret not taking the opportunity available to you.

BECOMING A MRS. Changing your name is one of the first things you will have to do after your wedding. No matter if you take your husband’s last name or choose to hyphenate your name, you will have to inform the government and companies with which you do business of your legal name change. Before you begin the process, you will need a notarized copy of the marriage license. Call the clerk’s office where the license was filed for details on how to get a copy. Keep in mind there will be a fee. When you go to the Department of Motor Vehicles to change your driver’s license, bring the notarized copy of your marriage license, an identity document,

such as your birth certificate, your social security card or last year’s W-2 form. You will also need two documents to prove your local, residential address. To update your Social Security card you will find the application available at the Social Security Administration’s website, or at the local office. You will keep your same number—only your name will get updated. Your bank accounts, bills, and insurance should happen easier. Contact each to inform them of your name and address change. Some will just require a phone call, while others may ask for documents. If you are going on a honeymoon right after your wedding you should not change your name before leaving. Your new name has to match all travel documents, most importantly, your passport—processing name changes on passports generally takes anywhere from four to six weeks.

When you book your photographer, schedule an engagement session to spend some additional time getting to know him or her. You may consider skipping this step, or think that just having a friend take your engagement pictures is good enough, but you will be thankful for what you gain by using your day-of photographer. The engagement session gives you and your fiancĂŠ a chance to get to know your photographer and how he or she interacts with you before the wedding day. You will be more comfortable the day of the wedding knowing that all of your personalities blend. Having pictures taken can be uncomfortable for a lot of people;

TIPS FOR A GREAT SESSION Share your ideas. Talk to your photographer about locations you would like to go to, and your ideas. Maybe you would love to have more candid pictures taken in a coffee shop. The better you communicate about what you are looking for in your pictures, the more likely you’ll get it. Look Amazing. Bring several outfits to choose the clothes that go best with each background. It is important for your clothes to complement and look good next to each other, but try to avoid looking like twins. Solids are great and look good next to almost any backdrop.

Have Fun. Your engagement session should be stress-free and relaxed. It is an experience to enjoy together. Bring Props. Bringing your own fun props will give you something to do, and make your photos unique to you as a couple. Many couples choose to have a scripture passage read at their ceremony. MOMENTS ON SCREEN Videography is an art that uses professional grade cameras, software, computers, and sound equipment to capture your event and puts it on DVD so your story can be retold for years to come. A video will capture every important moment that photographs can often miss. Still photography can’t always capture the fluid movement of the bride making her way down the aisle or the trembling of the groom’s hands as he sees her for the first time, the way her parent’s hug her before she steps up to the alter, the emotion he shows as he sings to his bride, the funny way she spills her sand over the edge of the vase. Videographers are professional storytellers, so you will want to make sure that they will capture every part of your story that you want to be told. You and your fiancé might want to consider having your videographer create a short clip of how you met and fell in love to show at your rehearsal dinner and reception. You will need to create a script or interview questions for your videographer to ask you as they film your clip. You will need to practice being interviewed and what you want to say, so that you are comfortable in front of the camera. Having a video at your event is a fun way for members of your new family and friends to get to know you as a couple, if they haven’t had the chance yet.

Be sure to budget for a professional videographer. You’ll have great food and drinks, a wonderful venue, and lots of other wedding memories, but if you don’t budget video into the mix, in the future, you will miss having it. If you picked a first song months ago, but on the way to the wedding you heard a more perfect song on the radio, can they change your first dance with this little notice? Most DJs have a ton of popular music in their book of albums and can accommodate your change. If your DJ acts as master of ceremony, discuss their level of involvement, and work closely with them in planning, to keep your reception on schedule. DETAILS It’s a good idea for your band or DJ to contact the reception site to discuss specifics

and avoid potential disasters. Your reception venue may have time or volume level restrictions, and limited electrical usage. Address these issues before your wedding. Professional DJs and musicians are exactly that...professionals. They are knowledgeable, creative and will have professional-level equipment, with a backup system available to avoid the chance that your reception would be without music. SCHEDULE AN INTERVIEW Have a phone interview with them first to determine if they are available on your wedding date. Ask about their experience level, their equipment quality, and if they have a back up system. Determine the variety and versatility of their song list, the cost of their services, amount of the deposit, and the due date for the final payment. When you have all of this information

Ensure that the following are stated in your contract with your DJ or band: date and location, music start and end times, number and duration of breaks, and total cost. Lighting will enhance the beauty of your event design and transform your space into a unique and flattering environment. Ask your wedding consultant, venue, or DJ if they offer this service. Light decorating is an art form and an experienced professional will know where to place the lights to create the effect you are looking for. They can transform a room and make it magical by using personalized monograms, uplighting, lighted backdrops, and so much more. Opt for colors that accent skin tones and consider using softer

lighting during dinner, and darker shades during your dance. These subtle changes can smooth the transitions between cocktail hours, dinner, and dancing. Visit the site at the time of your event. MUSICIAN FOR HIRE ENTERTAIN THE KIDS Because a wedding is typically a “grown up” affair, and there is usually time spend by your guests waiting for you to arrive, you will need to get creative to keep your young guests entertained at the reception. If your guest list consists of a lot of children, create a party within a party just for the kids. At an outdoor location you can set up yard games such as beanbag toss and yard golf, it’s so much fun the adults just might join in. Offer kid-style favors such as an activity booklet with word search, tictac-toe and coloring pages to keep them occupied at the dinner table. Live music at a wedding celebration is a great touch that can really personalize your ceremony and reception. Musical styles vary, so choose a performer that will best suit your occasion. Brass instruments, string performers and guitars are classical choices and bring a more traditional sound to the ceremony. Vocalists and small singing groups are another great option for the musical sound of your wedding. Most musicians bring what they need to perform with them. They will simply need a place to sit at your venue, but it doesn’t hurt to ask if they have any other needs.
