Why we collect and use this information.
The school collects and holds personal information relating to pupils and may also receive information about them from their previous school local authority and/or the Department for Education (DfE) We use this personal data to:
support our pupils’ learning monitor and report on their progress provide appropriate pastoral care assess and audit the quality of our services protect public monies against fraud to comply with the law regarding data sharing to safeguard students
Examples of information needed to fulfil the above may be kept about a pupil to monitor national curriculum assessment results, attendance information, exclusion information, where pupils go after they leave the school and personal characteristics such as their ethnic group, any special educational needs they may have as well as relevant medical information Photographs, achievements and statistical information may be used to benchmark the quality of the students experiences offered by the school
The lawful basis on which we use this information
On the 25th of May 2018 the Data Protection Act 1998 will be replaced by the General Data Protection Regulation (GDPR) The condition for processing under the GDPR will be:

(j) Processing is necessary for archiving purposes in the public interest scientific or historical research purposes or statistical purposes in accordance with Article 89(1) based on Union or Member State law which shall be proportionate to the aim pursued, respect the essence of the right to data protection and provide for suitable and specific measures to safeguard the fundamental rights and the interests of the data subject The Education (Information about Individual Pupils) (England) Regulations 2013 - Regulation 5 'Provision of information by non-maintained special schools and Academies to the Secretary of State' states 'Within fourteen days of receiving a request from the Secretary of State, the proprietor of a non-maintained special school or an Academy (shall provide to the Secretary of State such of the information referred to in Schedule 1 and (where the request stipulates) in respect of such categories of pupils, or former pupils, as is so requested ' The Education Act 1996 - Section 537A – states that we provide individual pupil information as the relevant body such as the Department for Education Children's Act 1989 – Section 83 – places a duty on the Secretary of State or others to conduct research

Whilst the majority of student information you provide to us is mandatory, some of it is provided to us on a voluntary basis In order to comply with the General Data Protection Regulation, we will inform you whether you are required to provide certain pupil information to us or if you have a choice in this

Pupils aged 13+

You are entitled to withdraw your permission for your child to access the internet if you wish This will mean that they will not be able to access the internet in lessons but will be able to use the computer systems in school However, please be aware that the internet is a valuable learning tool
These online safety rules help to protect students and the Academy by describing acceptable and unacceptable computer use
The academy owns the computer network and can set rules for its use
It is a criminal offence to use a computer or network for a purpose not permitted by the academy
Irresponsible use may result in the loss of network or internet access
Network access must be made via the user ’ s authorised account and password, which must not be given to any other person
All network and internet use must be appropriate to education
Copyright and intellectual property rights must be respected
Messages shall be written carefully and politely particularly as email could be forwarded to unintended readers
Anonymous messages and chain letters are not permitted

The academy ICT systems may not be used for private purposes, unless the headteacher has given specific permission

The academy may exercise its rights to monitor the use of the college computer systems, including access to websites, the interception of e-mail and the deletion of inappropriate materials where it believes unauthorised use of the academy computer system may be taking place, or the system may be being used for criminal purposes or for storing unauthorised or unlawful text imagery or sound
We use a biometric payment system for school meal payments It uses the latest finger recognition technology
A scan of each student’s finger will be taken on their first day at Huxlow and then payments are made by using the machines outside the canteen at any time during the day
To enable your child to access this technology, we require certain points of a finger image to be recorded as a short string of encrypted numbers A full image of a finger is never recorded Typically between ten and sixty points will be recorded depending on the characteristics of the finger This is too few to provide enough detail for the original print to be reconstructed However, it will provide a template for the student to be recognized by placing their finger on a scanner each time a payment is made
The template of their finger will be taken on their first day at Huxlow so they will be able to use the system
The biometric payment system offers greater security to student payments as well as reducing the discomfort some students feel if they receive free school meals as they are not identifiable to other students

Bromcom is used as the main form of communication with parents/carers It is a comprehensive platform that has streamlined communication and administrative tasks for both school and parent/carers
A key advantage to support you during your child’s journey through our school is the opportunity to access the parent portal via the Bromcom website or access the app (Apple or Android) called My Child At School (MCAS) If you have children at other Tove Trust schools, or other schools using Bromcom, your single login will allow you to see information about all of your children in the same place

Academy Parent Teacher Friends Association (PTFA)
Our PTFA is a separate organisation linked to the college Its purpose is to: Develop effective relationships with staff parents and others associated with the academy Engage in activities or providing facilities or equipment which support the school or advance the education of pupils
Our PTFA would like to contact parents / carers to notify them of events of fundraising activities via the academy's communication systems eg Bromcomapp, letter, or newsletter Your personal data will not be passed to the PTFA it will remain secure within the academy, the PTFA will simply ask we pass on notifications to you
From time to time the academy undertakes fundraising events for the benefit of Huxlow and its students, and, also fundraising for external charities
As well as benefiting the academy external fundraising for charities can help students to appreciate support for others and those that are less fortunate

We regularly take photographs of the children attending our school as part of our public duty We may use these images in our school printed publications that we produce Photographs of children are used for their learning experience and to show educational activities and achievements Photographs will be displayed in the school, in newsletters, on the school website and on social media i e our school Twitter page We may also make video or webcam recordings for educational use Occasionally the media will take photographs or film footage of a school profile event Pupils will often appear in these images As a school we are aware that it is essential that photographs are taken and stored appropriately to safeguard the children in our care We take our duty of care towards our school community very seriously It is of our upmost importance If you have any Safeguarding concerns regarding personal images and information being displayed, please do contact the school so that we can respond appropriately
CCTV is installed at many schools within the Tove Learning Trust and in various locations around the school sites to: support the safety of students, staff and visitors, protect the property and assets of the schools, reduce vandalism and provide assistance in the prevention and detection of crime We will adhere to the ICO’s guidance for the use of CCTV

Once your child is aged 13 or over, we are required by law to pass on certain information to providers of youth support services in your area This is the local authority support service for young people aged 13 to 19 in England

To provide clarity for the expectations around the Academy uniform to students, parents and school staff, giving clear rationale to the purpose of wearing a uniform and how this is supported and monitored All students are expected to wear the designated uniform in years 7 to 11, this is monitored principally by Form Tutors and Heads of Year Wearing an Academy uniform develops a sense of pride, community and belonging for students and supports the identification and safeguarding of members of the Academy when out in the community or on academy trips
This uniform policy relates to students in Years 7 to 11 at Huxlow Academy Students in the Years 12 and 13 are subject to an agreed dress code that TENC staff approve and this is published as part of sixth form administration Academy staff are subject to the Staff Dress Code Policy

Hair
Hair should be tidy and extreme hairstyles and colours are not acceptable Hair should be tied back if requested for health and safety reasons during PE, Science and Design Technology lessons
Nails (varnish, gels or false nails)
False nails and nail extensions are not permitted Nail colour should be kept clear or neutral in colour Make-Up A reasonable amount of lightly applied make-up is permitted for all year groups False eyelashes are not permitted
Hats / cover-up / hoods on
Students cannot wear any cover-ups including hoods on the Academy site unless for medical or religious purposes by prior agreement with the Headteacher
As part of our uniform policy it is important that we recognise and celebrate our staff and student identities Afro-textured hair may require specific styling and maintenance to ensure hair is healthy If students do require a durag or similar to protect the hair after treatment a letter requesting permission must be sent to the Headteacher and any head covering must be navy blue or black
Any exceptions to the Uniform Policy must be requested in advance by letter from parents to the Headteacher, explaining religious purpose or any exceptional circumstances for reasons of SEN adjustments or for medical reasons (with evidence from a doctor) The Headteacher will consider this request and inform the parents of their decision The final decision on any deviation from the Uniform Policy is the decision of the Headteacher only
Huxlow Academy has some simple expectations on personal presentation All students are expected to follow these expectations consistently and without question when on the Academy site Uniform expectations are as follows:
• Huxlow Academy students wear the full Academy uniform each day, unless the Headteacher issues written notification of any exceptional circumstances;
• The Academy blazer must be worn at all times outside of the classroom unless otherwise directed by the Headteacher during the Summer Term, or when playing sports on the field/ hard courts Students must leave their lessons with their blazers on;
• Shirts must be tucked in at all times;
• Academy house tie must be worn at all times;
• We encourage the wearing of suitable coats during cold periods Coats may be worn in the school building and taken off as soon as entering the classroom;
• Hoodies or branded jackets or clothing items are not acceptable to be worn in school Academy staff reserve the right to make judgement on what is, and is not, acceptable on all items of uniform, make-up and jewellery Students not adhering to expectations around makeup, jewellery and piercings will be out of circulation until this policy is adhered to
Student uniform will be constantly monitored; any additions to unacceptable wear/fashion trends will be communicated Any deviation from the uniform policy due to exceptional circumstances must be supported with a parental letter to the students’ Form Tutors who will constantly monitor their Tutees uniform on a daily basis and with the support of Heads of Year The letter should state the reason and date when the issue will be rectified Sanctions will be issued as per the Behaviour Policy where this is not the case
Students attending school without the required items of uniform will be provided with clean items to borrow for the day Refusal to accept these items and comply with instructions will result in sanctions as per the Academy behaviour policy
Huxlow Academy will run a uniform swap-shop where pre-loved uniform can be donated and exchanged
Huxlow Academy will ensure that uniform items with an Academy logo are not excessive and that alternative options are available for most items; keeping the cost of the Academy uniform to a reasonable amount

Behaviour management
Classroom management Teaching and support staff are responsible for setting the tone and context for positive behaviour within the classroom They will:
• Create and maintain a stimulating environment that encourages students to be engaged
• Display behaviour posters clearly in classrooms
• Attend CPD to support with classroom management
• Develop a positive relationship with students, which include: - Greeting students in the morning/at the start of lessons - Establishing clear routines - Communicating expectations of behaviour - Highlighting and promoting good behaviour -
Using the stamp system effectively to deal with low-level disruption - Using positive reinforcement and praise Stamp system:
1) Verbal warning
2) ‘You Can Do Better’ (YCDB) - Same day 10-minute detention
3) ‘Not In Line’ (NIL) –Sameday 20-minute detention
4) Parked – 45-minute detention and removed to another classroom for the rest of the lesson
5) On Call -
Student removed from the classroom by on-call staff A one-hour detention is set or appropriate follow up action/sanction
Students can be kept in reset for up to twenty minutes at the start of lunchtime each day Any reset owed beyond twenty minutes will be sat the following day at lunchtime
If students owe resets greater than the 20 minutes at lunchtime can facilitate, these will be sat as accumulated 60 minute after school resets and parents will be informed of these the evening before via Bromcom
A part of huxlow Academy's commitment to support the health and wellbeing of all pupils, the provision of a high-quality catering service is a priority A cashless pay system operates in the academy dining hall
At the heart of the cashless system is a computer controlled by BioStore FasTrack software This allows the system to recognize each individual by a digital finger reading A unique finger code will have been taken for all new students when they started in September

Free school meal allowances are credited centrally – there is no indication at the till if students have free school meals or not
Specific food allergies can be identified and sale of such food types to individuals barred automatically thus reducing risk
You will shortly receive a username and password for Wisepay that should be used to credit your child’s student account
All Year 7 students will be given an account for the cashless pay system
If using this method of payment causes difficulties for you, please discuss this with Pastoral staff who will be able to help you
Certain data will need to be held on the system to enable accurate and efficient operation This will include your child’s name, form group, photo, account balance and free meal entitlement if applicable This data will be handled under the guidelines of the Data protection Act and only used by parties directly involved with the implementation of the system
Reports detailing each item of food served, each credit made to the system for any time period and showing a current balance can be made available to parents It is likely there will be a small administration charge for this service and requests for reports will be required in writing

If a child resides in a local authority care home, they will not qualify for free school meals This is because government funding has already been allocated to fund their meals A child must reside with the applicant to receive free school meals
However, if you are receiving Working Families Tax Credit and have stopped working, you may qualify for Free School Meals for four weeks (from the date you became unemployed) Or if you have reduced your hours to less than 16 hours per week, you could be eligible for Free School Meals for four weeks from the date your hours reduced

Your claim will be sent to the free school meals team for authorization
The school will be informed within 3 working day when authorisation has been confirmed You will then need to find out from the school how to order and access the meals Please note, during September and October there is a longer wait for applications to be processed
The school will receive £2 30 towards the cost of your child’s meal
What if my circumstances change?
You need to let Northamptonshire County Council know if there is a change in circumstances which may affect your child receiving free school meals Please contact the free school meal team if: -

If you do not live in Irthlingborough, Finedon, Woodford, Great Addington or Little Addington you will need sort alternative travel arrangements such as lifts or public transport
Always ensure that you have your pass with you and present it to the driver/company official/Authority inspector upon boarding each time you travel and whenever requested Allow the driver time to examine this properly
If you can’t show your pass you will be refused travel on the vehicle If you have lost your pass at your establishment you will be allowed to travel home provided you have obtained a temporary pass from the establishment office
Lost or damaged passes must be replaced for which a small fee is charged
Be Punctual: arrive at your designated pick-up and or set-down points at least 5 minutes before your transport is due to arrive
At the end of the day, do not hang around talking to your friends as the vehicle will not wait for you Make your way to the vehicle bay as quickly and safely as possible
Queue in a sensible manner away from the road having respect for nearby residents and property
Do not push or rush towards the vehicle when it arrives as you may push someone into the path of the moving vehicle Only move to board the vehicle when it has stopped and the door has been opened Never try to force any door unless informed to do so in an emergency
Don’t panic if the vehicle is late or does not arrive, if you have a mobile phone, use it to contact home, establishment or the Authority
You should discuss with your parent/guardian/carer a plan of action in case of exceptional circumstances (e g where the vehicle is unable to follow the normal route to your designated pick-up and or set-down points because of road diversions or deteriorating weather or the vehicle does not arrive)
Do not board a vehicle whilst wearing dirty sports kit or other soiled clothing or footwear
Broken or unsuitable equipment including laser light pens will not be allowed on the vehicle Please do not use glass containers for any lessons at school as they pose a Health and Safety issue should they be broken whilst on the vehicle
Board the vehicle in an orderly manner sitting down quickly and quietly and fasten your seat belt (where fitted)
Place belongings in a safe place where they do not obstruct the gangway or use up seat space
Be aware of the location of the emergency exit on the vehicle Behave sensibly and safely at all times If you see an incident, act responsibly You can report incidents to your establishment or the Authority in confidence
Show respect to the driver, following their instructions at all times and treat the vehicle with respect Show respect to all other passengers and their belongings
If you are using Public Transport have consideration for other passengers t
The consumption of food or drink is not permitted on the vehicle
Do not drop litter or throw anything around the vehicle
Always remain seated when the vehicle is moving and wear the seat belt at all times (where fitted) If travelling on public transport you may be required to stand for a short distance
Do not kneel or stand on your seat It is dangerous and accidents have resulted from it
Do not lean against any vehicle windows or throw items out of open windows
Only speak to the driver when they are not driving, in an emergency or when requesting a stop Remember that excessive noise can distract the driver and could lead to an accident
Should you cause damage to the vehicle the operator will claim the full cost of the repairs from your parent/guardian/carer
You must not at any time request the driver to stop at a location other than that which has previously been agreed with the Authority Any requests should be made to the Transport Team and a period of time should be allowed for any agreed changes to take place
If your behaviour becomes unacceptable due to verbal and or physical abuse towards anyone travelling in the vehicle and or others outside the vehicle and or cause damage to the vehicle then you will not be transported until your behaviour improves Your parent/guardian/carer then has full responsibility to ensure that you attend your establishment
The Transport Team will work with all parties concerned and you will only be returned to transport when all parties have agreed that the unacceptable behaviour has improved, and a letter of apology from you is received If the vehicle breaks down or is involved in an accident, follow the instructions given by the driver Only leave the vehicle in an emergency or where instructed to do so by the driver In these circumstances, all passengers should remain together in a safe spot in the vicinity of the vehicle
If you leave the vehicle, do not continue your journey alone or without informing the driver of your name, where you are heading and the route you plan to take
In the event of an accident we would need to know all the passengers who are travelling on the vehicle Do not take your friends home on the vehicle unless they have a pass for the same vehicle as you If you want friends to travel home with you, you will need to make alternative travel arrangements
If travelling on Public Transport please request your stop in good time and in all cases, wait until the vehicle has stopped before standing and moving along the vehicle aisle
Make sure that you have all your belongings with you when you leave the vehicle, but be prepared to leave them behind in the event of an emergency
If you forget something, take great care how and if you return to the vehicle as the driver may be pulling away and may not have seen you return; in that case, do not try to stop the vehicle It will then be necessary for your parent/guardian/carer to contact the operator direct for your belongings to be retrieved
If you have to cross the road after getting off the vehicle, always allow the vehicle to move off before attempting to do so Always use the Green Cross Code
Ensure that your passenger always carries their pass If lost or damaged travel will be refused Replacement passes are available for a small fee on request If a passenger (other than a 16+ or Concessionary passenger) loses their pass during the day, they will be allowed to travel home provided they have obtained a temporary pass from the establishment’s office Be punctual Remember that it is your responsibility to ensure your passenger gets to and from their designated pick-up and/or set-down point in safety Please discuss with your passenger what they should do if they are refused entry onto a vehicle, the vehicle is late or the vehicle does not arrive
If waiting for transport with your own vehicle at the pick-up and or set-down points, please have respect for nearby residents and the entrance to their property
If passengers have a mobile phone with them please ask them to let you know if they have any major delays or problems with their transport
Transport is provided from designated pick-up and or set-down points near your home address to the establishment and return only Please do not ask the driver to pick-up or set-down your passenger at different places
In exceptional circumstances it is the driver/operator who must decide upon whether a route is passable when faced with deteriorating weather conditions or chance road diversions
Advise your passenger that where vehicles are fitted with seat belts it is a requirement that these must be worn and secured by themselves
Ensure that young passengers are met when the vehicle returns from their establishment Once passengers alight from the vehicle they are no longer the driver’s responsibility Stand in a safe place and avoid calling your passenger across the road to you
Make sure both you and your passenger know the safest route home after leaving the vehicle and always use it Ensure your passenger knows how to cross the road from the designated pick-up and or set-down point Make sure your passenger knows and understands the Green Cross Code Remember, very young passengers cannot judge speed or distance and should not be allowed to cross the road unaccompanied
Please ensure that your passenger is aware of the consequences arising from vandalism
While this problem is only caused by a small minority, parents/guardians/carers should be aware that they will be held responsible for any damage caused by their passenger who may: receive a temporary or permanent travel ban from all establishment transport be required to pay for any damage caused be prosecuted by the police

If your passenger wishes to travel on an alternative vehicle, you must put your request in writing to the Transport Team and allow a period of time for any changes to be implemented if and or when agreed
You should consider providing your passenger with reflective hi-visibility clothing for walking to and from the designated pick-up and or set-down points
The passenger is carried also subject to the Provisions of the Public Service Vehicle (Lost Property) Regulations 1978 as amended by the PSV (Lost Property) (Amendment) Regulations 1995 a short summary of which follows:
Any such property which before it has been deposited is claimed by a person who satisfies the member of staff or other duly authorised servant of the Company that he is the owner, will be returned forthwith to the claimant without fee or reward upon giving his name and address to such staff member or other authorised servant
If any property so retained by the Company or their representatives appears to them to be of a perishable nature and it is not claimed within 48 (or earlier if it becomes objectionable) hours from time when it was found he may there upon destroy or otherwise dispose of it as he sees fit
Under the provisions of the above Statutory Regulations the Company may charge claimants of lost property a fee plus advance payment for postage and packing if applicable
Any property unclaimed within one calendar month will be disposed of in accordance with the Statutory Regulations

We have a limited number of school lockers for our students to use which we issue on a first come first served basis If you would like your child to have a locker please can you email r.neuville@huxlow.northants.sch.uk to register your interest in the first instance.
Further information will then follow Lockers are offered at a non-refundable charge of £5 00 per year These lockers are intended to provide additional security for students’ possessions The Academy cannot accept any responsibility should items be reported missing. Students who have a locker are trusted to ensure that no elicit items are stored in these lockers The right to access and use a locker will be removed if there is any inappropriate use of the locker For security reasons you will need to provide a padlock for your child’s locker The Academy reserves the right to remove the padlock by cutting this off should your child lose their key The replacement of the padlock will be the responsibility of parents in such instances
We ask that if your child has a locker it is cleared, and the padlock removed at the end of the school year which is July 2026 The locker will be cleaned and made ready for the following round of allocation at the beginning of September 2026 in the first week of the summer holiday and if the padlock has not been removed and the locker emptied this will be carried out by Huxlow Academy personnel
