TYPES OF STAND SPACE We have various types of stand space we can offer depending on your requirements.

OPEN SPACE MACHINERY & AGRICULTURAL OPEN SPACE MOTOR VEHICLE OPEN SPACE • This is outdoor space on grass, block paving or gravel • Open space is sold in square metres • The minimum space we offer is 6m x 6m (36sqm) but you can apply for a larger space if needed • You will need to provide your own covering, marquee, or exhibition unit • Open space is either sold as premium open space rate or general open space rate • Machinery open space is only for stands selling agricultural machinery • Agricultural open space is only for stands selling agricultural products • Motor vehicle open space is only for stands selling motor vehicles • We would recommend this type of stand if you need a larger space and have, or can hire, your own marquee or exhibition unit


MARQUEE SHEDDING • This is a long run of marquee with dividers inside to divide each stand space • This type of stand is sold in bays • Each bay faces out onto the avenue • These types of stands come in either 3m x 3m bays or 3m (frontage) x 6m (depth) bays • Each bay has a 600mm banner frame above the front and a bottom bar to secure the stand at night • Exhibitors are responsible for supplying and fitting their own banners • You can apply for more than 1 bay if you need a larger space but please note there will be a marquee leg every 3 metres • The ground is grass, flooring is not provided • We would recommend this type of stand if you need a smaller stand space and don’t have, or don’t want to hire, your own marquee or exhibition unit

PERMANENT SHEDDING • These are basic buildings with concrete floor, roller shutter door to the front and corrugated roof (they are not completely watertight). Bays are divided by plywood partitions • This type of stand is sold in bays • Each bay faces out onto the avenue

• Each bay measures 3m (frontage) x 4.5m (depth)

• Each bay has a 900mm banner frame above the front • Exhibitors are responsible for supplying and fitting their own banners • The roller shutter door can be padlocked to the ground for security at night. Exhibitors need to provide their own padlock • We would recommend this type of stand if you need a smaller stand space and don’t have, or don’t want to hire, your own marquee or exhibition unit • The Society will ensure the units are swept clean before arrival, however internal painting and decorating is the responsibility of the exhibitor. • Exhibitors must clear all items from the shedding by Tuesday 16 July. Any items left are at the exhibitors own risk as the Society cannot guarantee their security or be held responsible for any damage. The units are used year round for storage and other events.

INDOOR EXHIBITION SPACE FOOD HALL, HOME & GIFT HALL CHEESE & DAIRY SHOW • These stands are located inside permanent exhibition hall buildings • The stands are divided by shell scheme walls • The stands are sold in square metres • Each stand comes with a light fitting and 2 x 500w sockets • We would recommend these types of stand space if you need smaller, indoor, covered stand spaces and have products relevant to these areas


SHELL SCHEME SPECIFICATIONS Shell scheme stands are built using the Click construction system. This is a modular aluminium frame structure in matt-silver anodised aluminium, 2.5m high with posts at 1m centres, each with eight channels; infill panels are finished in steel grey loop nylon in the Home & Gift Hall and white laminate in the Food Hall & Cheese Show. A fascia panel is provided on each open side, supported by system posts at intervals: the maximum distance between support posts is 4 metres.

Shell scheme stands are built using the Click construction system. This is a modular aluminium frame structure in mattsilver anodised aluminium, 2.5m high with posts at 1m centres, each with eight channels; infill panels are finished in steel grey loop nylon. A fascia panel is provided on each open side, supported by system posts at intervals: the maximum distance between support posts is 4 metres. The drawing shows details of framework and panel sizes.

APPLICATION / BOOKING PROCESS In November existing exhibitors are invited to rebook their stand spaces, they also have priority to request a move to any cancelled spaces. An existing exhibitor is classed as someone who booked direct with us in 2023. New exhibitor applications also open in November. New Exhibitor Application Process Click here for New Exhibitor Application Form • New exhibitors should apply for space using the new exhibitor application form, or by completing the online enquiry form. • Photos of an exhibitors’ stand and / or products should be supplied with the application. • We will always acknowledge receipt of your application, if you do not receive confirmation please contact us. • New exhibitor applications will be considered from February onwards. • Please note the submission of an application does not guarantee an offer of space. • If your application is successful you will receive an offer via email, with a reply date. Please ensure you reply within the given timescales otherwise the space will be offered to another exhibitor.

Booking Process • Exhibitors need to complete and return their booking form along with payment to secure their stand space. Unsigned booking forms will not be valid. • All exhibitors, their contractors and employees, are subject to the rules and regulations of the Society and in signing the booking form you are agreeing to be bound by the rules and regulations. • Please return the completed booking form and payment within the given timescales, which will be detailed in your offer. • Payments will be as follows: • Offers made between 1 November – 22 December 50% deposit followed by balance 31 March • Offer made after 22 December 100% payment • When returning your completed booking form please include your payment along with your completed risk assessment and copy of public liability insurance, otherwise we cannot guarantee your stand pace. Tickets and passes will not be sent until all payments and paperwork have been received. • Any exhibitor not paying trade stand charges, or any other charges, in full will not be allowed to take part in future shows until outstanding sums have been paid.


Insurance • Each exhibitor shall indemnify the Society against all claims howsoever caused by or arising out of the presence of the exhibitor on site. Exhibitors must carry public liability insurance with a reputable insurance company with an indemnity limit of no less than £5 million per incident. The insurance must be valid for the whole time that the exhibitor is on site over the Show period and a copy must be submitted with the exhibitors booking form. Each exhibitor is responsible for the protection, security and insurance of their own stock and stand.

Risk Assessment • All exhibitors must complete a risk assessment. Exhibitors can submit their own risk assessment or alternatively complete our form by following the link below. Failure to submit a satisfactory risk assessment could result in the loss of your stand space and forfeit any money paid.

Stand Numbers • Stands are renumbered each year when the final layout is complete. When booking you will initially be given a holding number and the new number will be sent to you in April. • The layout of the Show may vary from year to year depending on the surrounding stand layout. Please inform the Trade Stand office if you have any specific requirements to have the exact same stand location.

Refusal of Applications The Society reserves the right to refuse any application or cancel an entry at any time without any reason being given.

Site Allocation Site allocation is entirely at the Society’s discretion, although we will make every effort to meet requests from exhibitors. The Society reserves the right to re-position any stand at any time before and during the Show. Please remember the following important points when applying for space: • You must apply for enough space to include all footplates, flooring and marquee structure. Please check with your marquee contractor if in doubt. • You are advised for health and safety and fire safety purposes, only framed marquees will be allowed on site.

Sub Letting, Stand Sharing and Admission Charges No sub-letting or sharing of stand space is allowed unless agreed with the Trade Stand Office. Any exhibitor found subletting or sharing will not be invited back to the Show the following year. Exhibitors may not charge an admission to their stand.


CANCELLATION & REFUND POLICY Cancellation by Trade Stand Exhibitor Cancellation of a trade stand space, for any reason, must be notified in writing to the Show Coordinator. The Society reserves the right to re-let the cancelled space. The following refunds will be applicable:

• Up to 30 March – Full refund of monies paid • 31 March onwards – No refund • If full payment has not been received, or a request for refund has not been received in writing, by 30 March 2024, the Society reserves the right to re-let space without refund of any monies already paid.

Cancellation by Organiser / Force Majeure If at the absolute discretion of the Society the Showground and car parks become unfit or unavailable for occupancy or it becomes impossible or impractical to hold the Show for reasons beyond the control of the Society including (without limitation) fire, flood, storm, government intervention, malicious damage, acts of war, acts of God, strikes, riots, disease or any other cause the Society reserves the right (but shall not be obliged to) cancel the Show. In these circumstances the parties agree and acknowledge the Society shall endeavour to refund the exhibitor 100% of their stand fees (excluding all other expenses and charges incurred by the exhibitor). However, if the Show is cancelled once it has commenced stand fees will not be refunded.

2024 TRADE STAND INFORMATION EXHIBITOR STAFF TICKETS AND VEHICLE PASSES Each exhibitor will receive a number of free staff passes; these are for the use of their staff who are working at the Show. The passes are individual day tickets ie 1 Exhibitor pass to be used per staff member per day. Please note the passes will be taken off staff members as they enter the showground each day. The allocation is dependent on the size of stand booked and is worked out on a sliding scale. Size of stand in Square Metres

• During set-up only vehicle passes will be needed. Each exhibitor will be issued with pre-show vehicle passes, as per the table above, but can request more if needed. • Each exhibitor will also receive 1 Trade Stand Vehicle Pass. This allows parking in the forward area trade stand car park on Show days. As there is limited space only 1 pass will be allocated per stand regardless of stand size. Our car parking is free so all other staff vehicles should park in the general car parks. Exhibitors’ free allocation passes are issued free of charge and are for staff use only and not for resale. Any exhibitors, or their staff, found selling these tickets will be prohibited from trading at the Show and asked to remove their stand.


Additional Exhibitor Staff Tickets Exhibitors can purchase additional staff passes at a reduced exhibitor rate before 30 June 2024. • Exhibitors’ Day Tickets (Admits one person on any one day of the Show) £30 inc VAT • Members’ Forward area Car Park Pass (Parking on first come first serve basis) £26 inc VAT These can be booked on the application form or by using the additional ticket order form.

Additional Exhibitor Staff Passes are not refundable. As capacity on the showground will be capped we advise booking any additional tickets as early as possible. If any of your staff plan to use membership passes for entry please note they will not be allowed on site until 7.30am at the earliest.

SHOW LISTINGS Each exhibitor will receive a free listing in the Show Programme and a free listing on the Show website. Listings on the Show website can be enhanced, please contact Sally Wall on sallyw@yas.co.uk for more information. In the Show Programme the listing contains company name, stand number, map grid reference, telephone number, email address, website address and a 20-word description of your products. Please ensure you complete the catalogue entry details on the back of your booking form, otherwise your listing will only contain company name, stand number and map grid reference. Deadline for submission is 28 April 2024. The listings are produced under section headings, see table below. On your booking form please select which section heading you’d like to be listed under, if you don’t select a category, we will select one for you. 1.

WIFI, TELEPHONE & BROADBAND CONNECTIONS Several temporary mobile masts will be installed on the Showground to help boost the mobile signal during the Show. • A Wifi system is available across most of the showground. Since the 2023 Show we have invested in expanding our Wi-Fi network. More areas are now covered which will enable more exhibitors to access the network, and once connected it will be more reliable. • Below is the username and password which exhibitors can use free of charge. ELECTRIC SUPPLIES • If you exhibited with us last year and ordered an electric supply, it will automatically be carried over to this year and included on your booking form. • If you are exhibiting in the Food Hall, Home & Gift Hall or Cheese & Dairy Show your stand space already includes 2 x 500w electric sockets and a light fitting. • If you would like to place an order for a new electrical supply, or an additional supply, please use the electrical order form enclosed or by clicking the link below. • The use of personal generating sets is strictly prohibited. However silent running in-built exhibition unit generators may be permitted but this will be at the discretion of the Trade Stand Department. The exhibitor would also need to provide an electrical condition report for the unit. • Supply of electricity should normally be available to most stands from midday on the day prior to the show commencing until the official closure of the show. However, should this not be possible for whatever reason this company cannot be held responsible and will NOT accept any claims for loss of earnings or otherwise. Electrical supplies will be disconnected when the show closes on the final day unless otherwise agreed with the Show Coordinator. CONDITIONS FOR THE SUPPLY OF ELECTRICAL ENERGY & FITTINGS ON HIRE • Supply 240 volts Single Phase, 415 volts Three Phase 50 cycles Alternating Current (AC). • The charges detailed on the price list include for the supply ON HIRE and installation from the electricity power supply, a proportion of the necessary mains cable, overhead/ underground network, switch fuse and control gear, together with all necessary circuit wiring and fittings and for taking down and removing at the close of show. • The Electricity Supply will be terminated at the nearest point on the stand to the distribution pillar. Exhibitors requiring a different termination point should give details on a separate paper and attach it to the application. • It is strictly understood that ONE item of equipment only is connected to each point. THE USE OF BAYONET ADAPTORS IS PROHIBITED. • All exhibitors will be held responsible for any materials, etc. which are damaged or missing at the end of the show AND IT IS THE REPONSIBILITY OF THE EXHIBITOR TO ENSURE THAT EQUIPMENT IS RETURNED IN GOOD ORDER. • Applications for the supply must be received by us NOT LATER THAN THE DATE STATED ON THE ORDER FORM, after which date no guarantee will be given that the work will be carried out, but if it is carried out the cost will be as price list plus the surcharge for modifications to our supply network. • We reserve the right to refuse to connect to the supply any faulty equipment. DOGS Dogs are not permitted on any part of the Showground including the car parks. This includes dogs belonging to Trade Stand Exhibitors. The only exceptions are dogs taking part in competitions or displays organised by the Society and assistance dogs.


GDPR The Yorkshire Agricultural Society, and its subsidiary companies, are committed to protecting your personal data and processing it only in accordance with legal requirements. For more details you should request a copy of our GDPR policy. The Society shall have permission to store, process and retain, including electronically, all data, CCTV imagery from the showground, and personal information provided by exhibitors, for the purposes of operating the Show and maintaining appropriate records. We retain your data in accordance with our retention schedule to simplify future applications. The name, contact details and any promotional material provided by an exhibitor may be used in Show catalogues, on the Show website and elsewhere as part of the operation and promotion of the Show and future Shows. We will not transfer your data outside of the EEA (European Economic Area) and will not share your data with third parties.

SECURITY Gate controls will start from Thursday 4 July. 24hr Security will start from Saturday 6 July and will continue throughout the show until 8am Monday 15 July.

MEDICAL FACILTIIES There will be 24hr medical cover from Monday 8 July until show finish on Friday 12 July.



PARKING Car Parks All our car parking outside of the showground is free of charge. There are several forward area Trade Stand vehicle parks, Green, Blue & White. Due to limited space in these car parks each stand will be limited to 1 forward area pass per stand and these are given free of charge. Additional Trade stand vehicle car park passes cannot be purchased. All other staff vehicles should park in the general car parks which are free of charge.

On Site Parking Within stand space If you wish to park a vehicle within your stand space, that is not part of the display, you must apply for sufficient space. There is no additional cost to park within the space you’ve already paid for. Behind stand space There is limited parking behind stands. You must apply for a static pass as space is not guaranteed and dependent on availability. • The additional cost per pass is £110+VAT for the show duration • Each vehicle / tent / caravan / trailer will require 1 static pass • We will let you know at the time of booking if we can accommodate your on-site parking request • Camping is not permitted in an enclosed area or confined space that provides no safe means of escape • If you park behind your stand access can only be guaranteed if you position your vehicle before erecting your stand

Food Hall Parking This is for essential refrigerated stock vehicles. If you wish to park your vehicle in the Food Hall Car Park you must apply for an electric hook up pass cost £110 + VAT for a 230V single phase supply. If you require a three phase supply please contact the Trade Stand Officer, this is subject to availability and will incur an additional cost. The Food Hall parking is located in loading bay C of the exhibition halls. It is subject to availability.

Inconsiderate/Unauthorised Parking • Any vehicle parked on the Showground during the show opening hours without a static vehicle pass will be charged £100 per day. This is legally enforceable through Parking Solutions 24 (PS24) • Exhibitors who leave vehicles on another exhibitor’s stand space will be required to reimburse them for the space and inconvenience caused and in addition a £200 charge is payable to the Society

Marquee Shedding will be available to exhibitors from 7.30am Thursday 4 July. Marquee shedding is hired by the Society and any exhibitor damaging the structure in any way will be liable to reimburse the Society’s contractor for any damage together with a handling fee of £100 + VAT.

Exhibitors are not allowed to install branding above the shell scheme height of their stand.

Passes needed for set-up Individuals will not need staff passes during set-up, only vehicles passes are needed. • All vehicles will require a Pre-Show set-up pass to enter the showground during the set-up period. • Pre-Show set-up passes allow access up until midnight Monday 8 July and then after 6.30pm on Friday 12 July. • There will be a one way system in operation on Monday 8 July, please refer to your vehicle passes for entry and exit gates.


General Set-up Guidelines Site Boundaries will be pegged and exhibitors may not move these pegs or occupy space outside the space they have booked. Stand number plates must not be removed, disturbed or obscured. Stand Numbers: It is the responsibility of the exhibitor to check the stand number before unloading to ensure that exhibits are placed on the stand allocated to them. Please ensure your contractors have the correct stand number and maps and a representative of your company is here to meet them to ensure the stand is sited correctly. The Society will not be held responsible for stands / marquees installed in the wrong location. Encroachment: Exhibitors encroaching in full or in part on other stands will be required to remove the item immediately and pay any associated costs. In addition if you drive over a neighbouring stand and cause damage to the ground you will be liable for repair costs. Site Excavations must be approved in advance. Each exhibitor will receive a site plan showing the services under their stand prior to set-up. Marquee pegs must not be more than 500mm. Exhibitors and contractors must take note of service markings on the surface and contact the Show office or Facilities office if they need clarification on location of the services beneath the ground in their area. Any damage caused by not complying with this will be charged for. No tree or shrub may be damaged, pruned or removed. Stand space: The Society makes every effort to ensure your stand space is in good condition however we are an outdoor showground utilised all year round and open to the elements, so please be aware the ground conditions are dependent on these circumstances. Please come prepared, we allow flooring, carpet, straw and sand to be used on your stand. Buildings and shedding are also susceptible to flooding if there is heavy rainfall as these are only basic structures. Deliveries: Goods and packages cannot be received by the Society and should not be sent to the Showground unless a representative of the exhibitor is on the stand to receive them. THIS INCLUDES MARQUEE INSTALLATION. The installation of individual exhibitor marquees is the responsibility of the exhibitor. If you have arranged a delivery during the Show opening hours, you will need to organise a to meet the delivery driver outside of the Showground to collect the package. Flag Poles must be erected at least 3m from any overhead service lines and must not be more than 500mm deep into the ground. Furniture Hire: The Society does not hire furniture to trade stands. Exhibitors should organise their own stand furniture, tables, chairs and flowers. Grass Cutting: No grass cutting will be carried out by the Society in the two weeks prior to the Show and after that date exhibitors are responsible for cutting grass on their own stands. Tracked Vehicles may not be driven on the Showground. They must be delivered on trailers and unloaded direct onto the stand where they are being exhibited.


Large Vehicles: Exhibitors using large mobile units, hiabs and cranes, should arrange to have these in position one week before the Show. This is especially important when it is necessary to encroach on adjoining stand space to manoeuvre the unit into position. Catering: During set-up Fodder shop & café, just outside Black gate, is open for food and coffees. They also have a catering unit in the car park for take away drinks, cakes and sandwiches. On Monday 8 July the Yorkshire café between the Food Hall and Home & Gift Hall will also be open for tea, coffee, sandwiches and hot food. Monday 8 July is the busiest set-up day, with congestion across the showground. Large vehicles, and those with hiabs or cranes, will therefore not be allowed on site on Monday 8 July as they will not be able to navigate around the site. If you need to deliver any items using a large arctic vehicle or off load with a crane / hiab then please arrange for this to take place prior to Monday 8 July. If exhibitors decide to set-up on this day they must expect a delay in services due to the number of vehicles on site and our increased workload. Likewise if exhibitors are setting up outside of core hours (after 6pm) there will be a reduced service available. On Monday 8 July there will be a one-way traffic system in operation within the Showground, please adhere to the system to ease the congestion on site for yourself and others. All stands must be complete by 10pm Monday 8 July 2024.

SHOW DAYS Access for restocking Gates will be open from 6am for exhibitors wishing to access the showground to restock before the Show opens to the public. The Food Hall and Home & Gift Hall will be open from 7am and closed at 7pm each day. Please note there will be no vehicle access or movement after 7.30am, so all delivery vehicles should be removed from the Showground by this time. At the end of the day vehicles will be allowed access 30 minutes after the Show closes, however for safety purposes this may be later dependent on crowd movement.

Show Opening Times Opening times for the public are: Tuesday 9 July – Friday 12 July 8am – 6pm For the enjoyment of our visitors and customers, all stands must be open and staffed throughout the Show days.

Staying on Site after 10pm Anyone staying on site after 10pm on show days must apply for a ‘Residents’ wristband. This is for identification purposes only and will allow you access to the showground at night but will NOT allow you access to the Show during the day. Please apply for the relevant number of Residents bands on your booking form by stating the number of people who will be sleeping on site at night.

Music & PA Systems on Stands Exhibitors must not play music, use PA systems or make any other noise at a level which will cause annoyance to adjoining exhibitors, this includes revving car engines on motor vehicle stands.

Stand Names Exhibitors should display the name of the exhibitor as entered in the catalogue and any goods for sale must be clearly priced. Trade Stand signs must be at the front of a stand and may not show to the rear overlooking other stands. Signs must not be erected in such a way that they overshadow a neighbouring stand. Livestock and Animals All livestock/animals requiring access to the Showground for the purpose of Trade Stand Exhibits will require an Animal Permit. Please contact the Society for further information. As a welfare/ biosecurity requirement the exhibiting of large animals on trade stands will not be permitted at the Show. No animals must be left unattended on a trade stand overnight under any circumstances.

Charity Collections Registered charities or other institutions wishing to make collections, appeals or run lotteries and tombolas for their own funds must first obtain written permission from the Show & Trade Stands Coordinator each year. If permission is granted collections must not be made outside the limits of the exhibitor’s stand space, or on any other exhibitor’s stand.


Advertisements must be kept within the exhibitors stand. Leaflets and sample products may only be given out on stands and not on the Showground or in the car parks. Under no circumstances may exhibitors give out leaflets or promotional materials on the avenues, gates or car parks. Any banners or posters displayed outside an exhibitors stand without prior consent will be removed and destroyed. Please contact Marketing for banner advertising availability on 01423 546218.

Bluetooth / Proximity Marketing In line with the Direct Marketing Association Code of Practice we view the use of Bluetooth / Proximity Marketing as a channel that should be conducted on a permission only basis. Therefore we do not allow the use of Bluetooth Broadcasting on the Great Yorkshire Showground during the Great Yorkshire Show.

Drones: The use of Drones and other similar devices however operated are not permitted within the confines of the Showground or car parks. CCTV: The unauthorised use of CCTV TV systems on your trade stand, marquee or temporary structure is not permitted as a matter of course. If you wish to install a CCTV system authorisation must be obtained from the Society in writing along with your reasons for wanting to install a system. If authorisation is granted, once the system is installed you must display signage which is clearly visible in a prominent position and includes the name of the person or company operating the system. Operation of CCTV systems should comply with the Data Protection Act at all times.

Kites & Balloons: No kites, balloons or tethered balloons are allowed. Aircraft trailing advertising banners are not allowed over the showground and car parks.

Firearms & Knives The sale or display of firearms, imitation firearms or pellet guns is not permitted on a stand. In addition the sale of toy or replica guns that emit the sounds of gunfire or similar or are similar in appearance to or could be mistaken for a genuine firearm is not permitted. The sale or display of the following type of knives is prohibited. This includes but is not limited to military style combat, hunting or field, spring assisted, folding or lock, utility, every day carry or any other knives that contravene UK legislation. Please refer to the section on the use of Sharp’s in the Health & Safety Policy.

Storage We do not have storage on site for stillages and equipment so all storage must be within your stand or in your stock vehicle. Please inform your contractors that we do not have storage capacity for their vehicles, machinery and equipment during the show and they should make arrangements for them to be taken off site.

Cleaning / Rubbish Collection Exhibitors are responsible for cleaning their stands each evening by 6pm and leaving their waste stacked for collection immediately outside the stand in their own waste bags. Exhibitors providing catering on their stands must provide their own bins for waste food. Exhibitors must provide their own bin bags.


ATV’s No motorbikes, ATV’s or bicycles are allowed to be driven around the Showground whilst the Show is open to the general public. If you have an essential requirement to drive an ATV during the Show this must be agreed with the Show & Trade Stands Coordinator and a pass obtained. Drivers of authorised ATV’s and off road utility vehicle’s must hold a full driving licence and be competent to drive this type of vehicle. ATV drivers must wear an approved crash helmet. Prior to driving an ATV, off road utility vehicle or golf buggy the driver must complete a vehicle safety check, if the vehicle is damaged or unsafe it must not be used. Passengers may only be carried if a seat is provided and not in trailers. Site speed limits (20mph) must be observed and caution exercised in pedestrian areas. Golf buggies should only be driven on level surfaces and steep hills and uneven ground should be avoided, caution should be exercised on wet or slippery surfaces and on sharp bends.

Use of E-Scooters & E-Bikes E-scooters and E-bikes are not permitted on the Showground at any time. If they are used on the vehicle, caravan or camping parks riders are responsible for operating their vehicles safely and in accordance with the law, and they should check the legal status of their vehicles prior to arrival. The Yorkshire Agricultural Society accepts no responsibility for loss or injury resulting from the unlawful use of vehicles on site.

General Guidelines The Society reserves the right to remove from the showground any exhibitor whose stand is not of sufficient quality or contains material likely to cause offence. The definition of ‘quality’ and ‘offensive’ rests solely with the Society. Any person found trading on site without being a bona fide exhibitor will be immediately removed. Disclaimer of Liability: The Society and its officers shall not be responsible for any accident, damage or loss however caused that may occur to any exhibitor or his staff or to any animal, article or property exhibited or brought onto the Showground by him. Each exhibitor shall indemnify the Society from and against all actions, suits expenses or claims on account of or in respect of any such damage or injury however caused. The Society is not responsible for anything exhibited on a trade stand on the Showground. The Exhibitor is fully responsible for the security of their stand and stock and all claims arising out of the conduct of the stand. Any exhibitor / exhibit not complying with the regulations will be removed from the showground and all trade stand fees paid will be forfeited.


CATERING ON STANDS Catering on Stands • Exhibitors may offer complimentary hospitality on their stands for their own customers. This hospitality must not be used to partner and promote other organisations or as a way of enticing customers to your stand. • Exhibitors may offer complimentary samples to visitors, these must only be small bite size samples and allergen information must be displayed: Food – 1-2 bites maximum.

Drink – 10ml maximum.

• No food or drink is to be sold to members of the public for consumption on site unless the trade stand holder has a catering contract from the Society. • Only stands with a catering contract, who pay the Society a catering commission, are able to accept the £2 meal vouchers issued by the Society to staff, judges and stewards. Anyone accepting these who does not have a catering contract with us will be refunded the face value minus 22% commission. • Any food offered on a stand, whether as hospitality or for sale, will fall within the provisions of • Food Safety Act 1990 (as amended) including Natasha’s Law • Regulation (EC) No. 852/2004 • Food Hygiene (England) Regulations 2006 • Exhibitors providing catering on stands will require the following documentation and copies must be supplied to the Society prior to the show:

• A copy of the food registration document • Copies of food hygiene certificates for staff • Food Safety Management System • Gas / electrical safety certificates • Insurance documents

The following documentation must be available on the unit / stand

• Records of refrigerator / freezer temperatures • Records of cooked food temperatures and times • Records of any hot holding temperatures

ALCOHOL SALES • Exhibitors are responsible for ensuring that no alcohol is obtained by anyone under 18 years old. • Anyone wanting to sell alcohol for consumption must agree this with the Society and must obtain a TENS licence through North Yorkshire Council online system via this link www.northyorks.gov/licensing-and-registration/alcohol-and-entertainment-licences/ temporary-event-notice • Prior to applying on-line, you must contact the Yorkshire Agricultural Society by email for your zone number. Please email michellem@yas.co.uk • The premises user named in the application must be present on the premises or stand, or be available and contactable within the Showground, during the period the licence is in force. They are responsible at all times for the conduct of people on the premises, stand or area. Please apply by 28 June 2024 for a TENs licence for the 2024 show. • Exhibitors operating under a TENS licence must display the licence at the entrance to their premises. • The sale of drinks in glass bottles is prohibited for consumption on the Showground. Drinks must be decanted first.

Click here for further guidance notes on alcohol sales PHOTOGRAPHY, FILMING & PR Photography & Filming Filming, photography and broadcasting takes place during the Show at the Venue. By signing your booking form you give your express consent to the use of your actual or simulated likeness and voice in connection with the production, exploitation and advertising of the show without compensation or credit, throughout the world. Only the Society’s accredited photographers may take professional photographs on site. All exhibitors agree to an accredited photographer taking photographs of them and their stands and to the Society storing and using the resulting image (including edited or altered versions) for any of the Society’s commercial or non-commercial purposes in all and any media, including, without limitation, use in promotional materials and on the Society’s website, or supply to carefully selected third parties for use for their own purposes. The Society shall own the copyright in any such images. Any photographer wishing to apply for accreditation should contact the PR Manager. Any photographer infringing this rule will be removed from the showground.

Publicity Advice The Great Yorkshire Show Press Office welcomes press packs and media information which will be displayed in the Press Pavilion throughout the Show. If you plan to hold a media event, e.g. press conference, photocall or briefing, it would be helpful if you could let the PR Manager, Jo Francisco, know in advance. It may be possible to include the details in the official media programme and also helps ensure events do not clash on timing, thus maximising the potential for coverage for all. In the lead up to the Show our Marketing Department will endeavour to reshare any exhibitor social media posts. On Show days however, due to their workload, this will not be possible.

Public Performances of Copyright Music Exhibitors should obtain their own licences as they are not covered by the Society’s licence. Exhibitors should contact PPL, 1 Upper James Street, London, W1F 9DE, 0207 5341030 or www.ppluk.com.


SHOW BREAKDOWN Exhibitors may not close or dismantle any part of their stands until 6pm on the last day of Show.

ACCESS The gates will be open at the following times for breakdown: Friday 12 July * 6.30pm - 10pm for Food Hall & Home & Gift Hall * 6.30pm - 10pm for White Gate, Grey Gate, Gold Gate, Green Gate, Yellow Gate 24hrs for Blue Gate & Brown Gate * The earliest possible time the gates will be opened on Friday 12 July is 6.30pm but this may be delayed in the interests of public safety. The gate opening will be staggered. Vehicles are not allowed to move inside the Showground until the gates are opened. This evening will be extremely congested with vehicles accessing site for breakdown. To avoid the congestion please come onto site after 8pm. Saturday 13 July 7.30am until 5pm Green Gate, Blue Gate & Brown Gate (includes Food Hall & Home & Gift Hall) Sunday 14 July 8.00am – 4.30pm Green Gate & Brown Gate (includes Food Hall & Home & Gift Hall) Monday 15 July & Tuesday 16 July 8.00am – 4.30pm Green Gate & Brown Gate (includes Food Hall & Home & Gift Hall) Pre-Show/Post Show passes must be displayed by vehicles entering the Showground to dismantle. The one way vehicle access system will be in operation for breakdown. Please refer to your vehicle passes for entry and exit gates.

Marquee Shedding Marquees will be dismantled at 9AM ON SATURDAY 13 JULY All exhibitor items must be removed by this time to avoid being left open to the elements.

The Food Hall and Home & Gift Hall Stands will be dismantled from 9AM ON SATURDAY 13 JULY Exhibitors are recommended to dismantle their stand either on Friday evening 12 July or at 8.30am Saturday morning 13 July. All other stands must be cleared by 5pm on Tuesday 16 July 2024. Any exhibits remaining on site after this time will be charged at £500 per day. The ground surface of all stands must be restored by 5pm on Tuesday 16 July 2024.
