Provider Responsibilities:

Before you begin servicing:

• Parent and Principal/Coordinator contact is required prior to commencement of services.

• If a principal or parent o ers you additional cases, inform your supervisor.

Legal Responsibilities:

• You are a “Mandated Reporter” for cases of suspected child abuse or neglect.

• Yes I Can is HIPPAA Compliant- It is essential to maintain con dentiality. All student information should only be shared on a “need to know” basis.

Sessions:

• Be prepared for each session.

• Ensure that every lesson includes a well-de ned objective, goal, and appropriate materials.

2 / COMMUNICATION AND COORDINATION:

• To foster collaboration, open communication is required with all team members. Remember to maintain a positive, supportive, and encouraging attitude.

• Call your student's parents monthly.

• NEW! On your student's portals, provide a summary of your conversation by clicking on the drop-downs. The summary will be emailed to the parent, with you copied in the email.

• Complete your communication log to access your invoices.

• For any questions about paperwork, DOE meetings, or legal matters, kindly direct parents to contact the Yes I Can administrative o ce or their lawyer/advocate.

• Be available to attend team meetings with related services providers and/or school sta when requested.

• Communication books are available for your daily use. Utilize these books daily to keep parents informed about your student's progress and activities.

INITIAL PARENT COMMUNICATION GUIDE:

Enclosed are some pointers for your rst phone conversation. Remember to log the date and take notes of your call. As you engage in the conversation, aim to sound professional, warm, and con dent. Building a trusting relationship is crucial, so start o the year on a positive note! Your approach will set the tone for a successful and supportive partnership with parents and students.

1 / INTRODUCTION:

• Introduce yourself as the special educator who will be servicing their child this year.

• Explain your role as a special educator, share your experiences and quali cations, and reassure that you are here to provide individualized instruction based on the child’s learning needs.

2 / DISCUSS THE CHILD:

• Begin by asking the parent to tell you about their child:

• What are the areas of concern?

• Which methods have worked?

• What strategies have worked well in motivating the child?

• Discuss the child's strengths and weaknesses in various subjects such as reading, comprehension, math, writing, and social/emotional skills.

• Inquire about the parent's goals and whether the child receives any additional services.

• Discuss the scheduling of sessions, if they will be push-in or pull-out.

3 /RELATIONSHIP BUILDING:

End the conversation on a positive note. Tell the parent, “I’m excited to begin the year and look forward to meeting your child. I’ll follow up after the rst week to discuss how we can work together to help your child succeed. Please don’t hesitate to reach out if you have any questions or concerns. Let’s make this a great year together!”

3 / ASSESSMENTS:

• Professionals assess students, set goals, and track progress. Assessement data is used to justify services, gauge the child's developmental level and helps you to create appropriate goals.

• Therefore, standardized assessments are MANDATORY for each student and must be completed within the rst 30 days of services. Your supervisor is available for support with scoring.

A tutorial on completing assessments is available on the YIC dashboard.

• Be sure to include score information in your progress reports.

• Note: The DOE recognizes what we call kindergarten as Pre-K and Pre-1A as kindergarten.

KSEALS Instructions:

Parts of KSEALS

Consists of three subtests.

1 / Vocabulary

2 / Number and letter recognition

3 / Articulation

• For this assessment, you are only required to complete the rst two sub-tests.

Testing

• Hold up the spiral book facing the students and the questions are in the back facing the examiner. Ask the questions without prompting for responses.

• On the scoring sheet, mark a 1 if the child is correct, and a 0 if incorrect.

• Stop the subtest if the student scores three errors in a row.

Scoring

• Add up all the correct responses (1) for each subtest. Tally the total scores at the bottom. You will go across on score sheet and put a 1/0 in the expressive and receptive column.

• Convert the child’s age to years and months. Please reference Table C of the scoring book to convert the raw score to a standardized score for vocabulary, numbers and letters and expressive and receptive language skills. For students with bilingual services mandates, omit the number score on their report. Instead, nd the descriptive category in the back of the book. For example, average, below average, well below average, etc.

RUNNING RECORDS INSTRUCTIONS:

Before You Begin: Ensure you have a timer and printed copies of the running records. Prepare 3-4 levels, if the level is too simple, stop and go to the next level. If the level is too challenging, stop and go down to an easier level.

Testing: Begin the timer as soon as the student starts reading. You will note the following:

• After completing the records, you will ask the comprehension questions provided in the records to assess the student’s understanding.

• When you are done, you will score the record.

Scoring Instructions:

Before you begin scoring

• Count all words in the text.

• Count the following as errors: a substitution, omission, skipped words, and an insertion.

• Do not count as errors: self corrections and repetitions.

• Count proper nouns read incorrectly multiple times as one error.

• During scoring, obtain the following three pieces of information: 1 / Calculate accuracy rate:

• Once you’ve calculated the percentage of accuracy, you can determine the reading level.

1 / ACCURACY RATE 2 / READING LEVEL 3 / WORDS CORRECT PER MINUTE (WCPM) 15 / EDUCATIONAL RESPONSIBILITIES

2 / To obtain reading level:

Independent level: If the accuracy rate is 95-100% - The student is able to decode and comprehend text on an independent level. This is the level you will include on your progress report.

Instructional level: If the accuracy rate is 90-94%- The text is at an appropriate level for instruction, providing a good balance of challenge and support.

Di cult level: If the accuracy rate is below 90%- The text is too challenging for the student.

3 / To obtain words correct per minute:

• Convert the time to seconds (for example, 3 minutes and 18 seconds is 198 seconds).

• Divide the total seconds by 60.

There are apps available to assist you with your scoring: (type in running records in the App Store)

• On the progress report, include the reading level, words per minute (WCPM), and accuracy rate.

• If you are using reading a-z, reference the correlation chart to convert the score into a F & P score.

4 / GOALS:

• Use the test results to generate common core goals for each student. Click on the goal button on your portal to access your options. Select at least 3 goals for each domain. (Reading, Comprehension, Math, Social-Emotional, Language) If you feel the need to generate your own smart goal, you have the option to do so by clicking on the OTHER button. Ensure the goal you write is written in measurable and observable terms.

• When choosing goals, consider student’s ability rather than the student’s grade level. You can use the lter option to narrow your search based on criteria such as grade or subject.

• IMPORTANT! AS YOU CHOOSE GOALS, PLEASE MAKE SURE THAT IN AT LEAST 3/5 DOMAINS, THE GOALS ARE 1-2 GRADES BELOW LEVEL. (Students who have services through the DOE, are below level in at least 3/5 domains).

• For every one-hour session, select at least one goal with two activities.

5 / ADVOCACY:

• IEP meetings: If you are invited to participate in a meeting, be sure to contact your supervisor so you can review the student’s pro le. This preparation will enable you to actively and e ectively advocate for your students.

• If you are asked to submit paperwork for a scheduled IEP meeting, you must notify your supervisor who will review, approve and submit all work on your behalf. No documentation should be submitted independently. Remember, you are your student’s best advocate. Consider the following:

• Does your student require Special Education Teacher Support Services?

• Does your student require additional hours of Special Education Teacher Services?

• Does your student require any additional related services?

• Does your student require a paraprofessional for medical or behavior concerns?

• Does your student require Extended School Year?

• Does your student require an independent neuropsychological evaluation?

Please discuss all this with your supervisor so these matters can be addressed and documented immediately.

1 / PROGRESS REPORTS:

Progress reports provide a structure to monitor a student’s progress toward annual goals and to evaluate the e ectiveness of the special education services. The CSE and/or DOE reviews and revises the IESP to ensure that appropriate services are provided. These reports are used as evidence in impartial hearings.

In an e ort to work collaboratively with the NYC DOE, progress reports are due twice per year:

• Wednesday, November 22, 2023

• Thursday, March 14, 2024

• PLEASE NOTE! In the months that reports are due, you will only be able to sign your invoices once your report is submitted.

• Progress reports are PROFESSIONAL, legal documents that can have legal implications. Reports should be thorough and detailed. Reports contain your student’s strengths and weaknesses in each domain, the goals you are working on, methodology being used, and detailed information about your student. Data such as assessment scores and reading levels are MANDATORY. Always proofread your report for errors.

• Any report that does not meet our professional criteria will be sent back as incomplete.

• If your student is “shared” with another provider, then you have the ability to collaborate on the report writing. Decide together which domains you’ll each complete and once you start typing on that domain, it becomes “yours” to write. The report will be considered submitted once completed.

• Please note: In the months of November, February, and May, your supervisor will collaborate with you to complete an ABC chart where you will review student goals.

Where to begin:

• Log into your YIC portal and click on the graph icon to write your reports.

Should you require assistance:

Click on the green question mark in each section to guide you further. A sample report is enclosed in the top right-hand corner for your reference.

2 / CERTIFICATIONS:

• The grade level on your certi cate must correlate to the ages of the students you are working with (There will be rare exceptions which are determined by your supervisor on a case by case basis).

• Your certi cates MUST be active throughout the entire year. If your certi cation expires, you will not be allowed to work.

• NEW! You will receive a noti cation from the HR portal reminding you when your certi cations will be expiring.

• All the above applies to Bilingual Extension as well. Certi cates must be active for the entire school year and you will only be assigned Bilingual students if you are a certi ed bilingual provider.

• Remember to apply for your Professional Certi cation once you have at least three years of documented working experience.

• Once you have your Professional Certi cate, you are required to register it with the TEACH system. For each ve-year registration cycle, 100 Continuing Teacher and Leader Education (CTLE) hours are required.

3 / BILLING:

• Electronic invoices are due monthly. You can access your pro le on our website: www.yesicanservices.com.

• Usernames are emailed to providers with a link for you to set up your accounts.

• Billing is due on the 5th of the month in order to be paid by the following 1st of the month.

• If billing is completed by the 12th, it will push o pay by one additional month.

• If billing is submitted after the 12th, payment will be delayed one month from the pay date of that period.

For example: September billing

• Submit by October 5 - paid November 1st.

• Submit by October 12th - paid December 1st.

• Submit October 23rd -late invoices will be pushed o one month from then- February 1st.

• After 60 days, billing will no longer be accepted.

4 / Q AND A PAID FAMILY LEAVE (PFL):

Q: How do I know if I qualify to le for PFL?

A: You qualify to le for PFL if you are an employee (paid on W2) for Yes I Can. Full time employees (20+ hours weekly) need to be working for a minimum of 26 Consecutive weeks. Part-time employees (20 hours or less weekly) need to be working for 175 days.

Q: How long can I le for?

A: Up to 12 weeks

A: About 67% of your 2 paychecks prior to ling for PFL

A: You can le for PFL for up to a year after your baby is born

Communication Log

• Providers are required to be in touch with parents before beginning services.

• Before setting up your billing portal, you will be required to select from the provided conversation topics through the communication tab

• These selections will generate into an email which will be sent to the parent. You will be copied into the email as well.

• You will be required to complete a communication log once a month in order to submit your monthly billing.

• After selecting the Goals icon you can begin selecting your goals for the semester.

• Select a domain from the selections provided- Reading, Comprehension, Math, Social,

• Common core goals are available for your convenience. Use the lter on the left-hand side to narrow your search. Choose a grade and content area.

• If you wish to add your own smart goals, you may do so by clicking “I want to add a goal that is not in the list” under each domain. Please be sure that goals are written in measurable and observable terms.

• PLEASE NOTE! You must select goals at least 2 grades below your student’s grade level.

• Be sure to select a minimum of 3 goals per content area for each student.

Schedule

• Enter your weekly schedule, using the Calendar Icon

• The dates that you are assigned to work with the child, will appear on the screen.

• It is advisable that you schedule your sessions for the year, and if necessary you can adjust later on in the semester.

• Once you have entered all the sessions in your schedule, your session list will automatically generate for you to complete daily session notes.

• If you would like to change your weekly schedule at any time, be sure to adjust the end date speci ed on the schedule page and add a new set of dates , then you can begin entering your updated session times.

• Be mindful of the time of day you enter sessions for, to avoid inaccurate calculations on your monthly invoice. (AM/PM)

Session Notes

• Once your goals and schedule are set up you may begin entering session notes for the days that service was provided.

• Select the Sessions Icon

• A list of generated sessions will appear.

• If you would like to view sessions in a speci c time frame, select the preferred dates towards the top of your sessions list.

• Click the green pencil by the date you would like to enter session notes for.

• Select from the options provided on the screen and in drop-down elds, to complete session note.

• If the session exceeds one hour, you will be required to select an additional goal.

• Click to enter the required information.

• When you have completed your notes for that session, be sure to click “SAVE” towards the bottom of the page.

• If you serviced a student in addition to the sessions originally generated, click “Add New” towards the top of the page.

• Enter date, time, location and session information.

• If you have not serviced the child on any date that is included in the generated session list, be sure to delete that session by clicking the red trash can towards the right side of the page.

• If there is an absence you can select and enter the requested information.

• When session note is complete, a check mark will appear in the clipboard by the completed session date.

Billing

• At this point, you are ready to create your invoice.

• Click the billing icon

• Once all required domains have been completed for the month, the icons will switch from red to green. Then you can move on to sign the invoice.

• Check o the box at the beginning of the row if you wish to sign for that month.

• Select an option from the drop-down eld that appears above the grid.

• Select “sign”

• Select the box indicating that services were provided for the selected month.

• Click “Sign”

• A green pencil will appear under Provider column to con rm the invoice was signed.

• At this point, School Signature must be obtained, by contacting the child’s school. You may reach out to your supervisor or our HR department to be sure you contact the designated school representative.

• If a child is being seen after-hours, please contact your HR representative to set up a parent e-signing account.

• If you have not serviced the child on a speci c date that is included in the generated session list, be sure to select You may also select on your main session list page

• If there is an absence you can select and enter the requested information.

• When session details are complete, a check mark will appear in the clipboard that appears by the completed session date.

End the conversation on a positive note. Tell the parents “I’m excited to begin the year and look forward to meeting your child. • For the rst two sessions with your students, you are required to choose two goals from the students IEP and manually enter them to the website.

• All other goals can be chosen from the goal bank. Choose 4-6 goals.

• For each 30-minute session, select at least one goal with one activity.

Website Instructions:

1 / Select a student. When you select a student row, it will be highlighted green.

2 / Select the “IEP” button to open the students IEP and manually nd his/her relevant IEP goals.

5 / ADVOCACY:

• IEP meetings: If you are invited to participate in an IEP meeting, contact your supervisor beforehand to review the student’s pro le. This preparation will enable you to actively engage and e ectively advocate for your student during the meeting.

• If you are asked to submit paperwork for a scheduled IEP meeting, notify your supervisor who will review, approve, and

submit all documents on your behalf. No documentation should be submitted independently. Remember, you are your student’s best advocate.

6 / PROGRESS REPORTS:

Progress reports are vital for monitoring students' progress towards annual goals and evaluating service e ectiveness. The CSE and/or DOE review and revise the IESP to ensure appropriate services are provided. These reports serve as evidence in impartial hearings. Maintaining a comprehensive progress report system helps track student development and make data-driven decisions to enhance education quality

• Progress reports are due January 9th.

• PLEASE NOTE! You will only be able to sign your January invoices once your report is submitted.

• Progress reports are PROFESSIONAL legal documents with legal implications. They must be thorough and detailed, encompassing students' present level of functioning, assessment performance, strengths, weaknesses, goals, methodology, and comprehensive student information in each domain. It is essential to include assessment scores. Always ensure to proofread reports for errors to maintain accuracy and integrity.

• Please note that any report failing to meet our professional criteria will be returned as incomplete.

Where to begin:

• Start by logging into your YIC portal. Select a student from the list, and then click on the "graph icon" to begin writing the report.

Writing the Report:

1 / For each domain, type your response accordingly. If you need assistance or guidance, you can nd a green question mark within each section to provide further support.

2 / A sample report is available in the top right-hand corner of the page for your reference.

3 / Once you have completed each domain, remember to save your progress by clicking on the "Save and Continue" buttons located at the bottom right corner of the page.

Proofreading and Finalizing the Report:

1 / After saving your progress, locate and click on the "Download Your Progress Report" button. This will prompt your progress report to open in Microsoft Word.

2 / Thoroughly proofread your work and make any necessary revisions to ensure accuracy and clarity

3 / Save the updated progress report in Microsoft Word after making the required change

4 / Select the “I Am Done Proofreading” Button to certify that your report is professionally written and has been proofread for grammatical and spelling errors.

5 / Lastly, browse your computer and upload the completed proofread version of the progress report.

6 / After submission, you will nd your submitted report in the "Submitted" column of the progress report tab. It will be time stamped to display the date and time your report was successfully submitted.

7 / CERTIFICATIONS:

• Your certi cates MUST remain active throughout the entire year, as any expired certi cation will result in work restriction.

• NEW! You will receive a noti cation from the HR portal reminding you when your certi cations will be expiring.

• This applies to Bilingual Extensions as well. Certi cates must be active for the entire school year. Only certi ed bilingual providers will be assigned to work with bilingual students.

8 / BILLING:

• Electronic invoices are due monthly. You can access your pro le on our website: www.yesicanservices.com.

• Usernames are emailed with a link for account setup.

• Billing is due on the 5th of the month for payment by the following 1st of the month.

• Billing completed by the 12th will push payment by one additional month.

• If billing is submitted after the 12th, payment will be delayed one month from the payment date of that period.

Example for September billing:

• Submit by October 5 - paid on November 1st.

• Submit by October 12th - paid on December 1st.

• Submit October 23rd - late invoices will be paid on February 1st.

• Billing will no longer be accepted after 60 days.

Create Your Schedule:

1 / Log on to your portal and select a student. Once selected, the student row will be highlighted in green.

2 / Click on the Schedule Icon.

4 / If your schedule will be changing during the year, you can create several schedules. Just adjust the Start and End Dates,

3 / Select the “Green Pencil” to write the session note for the date listed.

Absent Sessions:

1 / To mark a session as absent select the row of the absent session.

2 / Click on the “Absent Icon”

3 / Choose the Reason of Absence and Select “Mark as Absent”

4 / To remove an absence, double click on the “Absent icon”
