Quickstart Guide Introduction to the XCPT Media Manager The XCPT Media Manager is an innovative tool for digital asset management. This drag and drop based software provides users with the ability to manage their digital asset inventory by utilizing searchable digital ID tags. The Media Manager integrates seamlessly with the XCPT Patient Engagement System, streamlining the image preparation process. The Media Manager also configures multiple customizable user accounts for use in the XCPT Patient Engagement System. Direct access to supported devices for image import enables superb communication between digital devices, the Media Manager, and the XCPT Patient Engagement System.

New Features The XCPT Media Manager introduces several new features that are designed to streamline the system of digital asset management in your practice. The Media Manager consolidates all of the digital assets and miscellaneous files relating to patient management, which organizes the information database of your practice. In addition, the Media Manager configures multiple customizable user accounts for use in the XCPT Patient Engagement System.

Drag and Drop The Media Manager works in conjunction with Windows Explorer, allowing users to drag images and other files from their directory location straight into the Media Manager. Users can also drag and drop images from their practice management software. Any image or document that has been dragged and dropped into a patient folder is tagged and cataloged in that folder. Images and documents are segregated in the appropriately named tabs in the Media Browser. Copy and paste remains applicable in the Media Manager. Consult the “Import an Image to the Media Manager” section of this guide for instructions on moving patient files into the Media Manager.

Digital Asset Management The Media Manager provides its users with the ability to manage the digital asset inventory of their practice. Multimedia documents can be tagged with profiled properties for subsequent searching. To maintain HIPAA compliance, an original copy of every image file is always protected. The streamlined nature of the Media Manager’s digital asset management system decreases the overall file size footprint, providing users with more available disk space.

Device Management The Media Manager enables direct access to many supported devices for image import and acquisition. Import files directly from scanners and digital cameras with the touch of a button. Wireless import from Wi-Fi compatible cameras is also supported by the Media Manager.

Doctor Profiles The Profile component in the Media Manager maintains fully customizable configuration information based on a particular doctor, workstation, or installation. Workstation activation is handled via profile for management of software patch distribution. The use of Profiles is especially effective when applied to a practice in which several doctors share several computers. By using Doctor Profiles, each doctor can instantly bring up his own profile settings and preferences with a single click when opening the XCPT Patient Engagement System.

Ribbons The XCPT Media Manager features ribbon-style navigation that is similar to that of Microsoft® Office 2007. These quick access ribbons replace traditional dropdown menus and contain several groups of buttons. Each ribbon is opened by its own tab: •

Integration with the XCPT Patient Engagement System Easily import all image file formats (jpg, bmp, png, tif) and all image types (FMX, panoramic, CT scan, digital clinical photo) from the Media Manager to the XCPT Patient Engagement System. Consult the “Open an Existing XCPT File Using the Media Manager” section of this guide for instructions on importing files from the Media Manager into the XCPT Patient Engagement System.

Basic Walkthrough This basic walkthrough provides users with the core knowledge necessary to gain an understanding of what the Media Manager is and how it works. Completing this short demonstration will lay the groundwork for success with the Media Manager.

Activation The XCPT Media Manager must be activated in order to unlock all of its components.

1.

Click on the blue XCPT eye logo to open the Main Menu dropdown.

2.

Click on the Profile and Settings option to open the Profile Manager.

3.

Open the XCPT Workstations tree node in the User Profile window.

4.

Right-click on the name of the workstation targeted for activation and select Activate Workstation. The alternate method is to select the workstation targeted for activation and click on the Activate button on the Home tab.

5.

A confirmation message appears momentarily. Click OK to complete workstation activation.

File Management Create a New Patient Folder 1.

Select the Patients tab in the Patient Browser.

2.

Right-click on the Patient Name button and select New.

3.

Enter the patient’s name in Last, First notation.

4.

Click on the Refresh button in the Edit group of the Home tab.

5.

Select the Properties tab. Enter such information as a creation date, patient email address, and patient ID numbers from different patient management systems in this menu.

Add Images to an XCPT Patient Folder 1.

Open the Media Manager and select a patient from the Patient Browser.

2.

Select the Gallery tab in the Media Browser.

3.

Right-click on the desired thumbnail and select Copy.

4.

Click on the XCPT button in the Home tab. This opens the current patient’s folder in the Patient Browser of the XCPT Patient Engagement System.

5.

Right-click on any empty area of the Patient Files window and select Paste.

6.

Double-click on the thumbnail to open it as a new XCPT file.

Consult the “Import an Image to the Media Manager” section of this guide for full instructions on importing files via drag and drop, cameras, scanners, etc.

Paste an Image into an Existing XCPT File 1.

Select the desired image thumbnail from the patient folder. Multiple thumbnails can be selected.

2.

Right-click on the highlighted image and select Copy.

3.

Click on the XCPT button in the Home toolbar. This opens the current patient’s folder in the Patient Browser of the XCPT Patient Engagement System.

4.

Open an existing XCPT file. An image may also be pasted onto a new XCPT file.

5.

Click on the Paste button on the Top toolbar to paste the image(s).

6.

Merge the image with the background and begin treatment planning.

Open an Existing XCPT File Using the Media Manager 1.

Open the Media Manager and select a patient from the Patient Browser.

2.

Select the Documents tab in the Media Browser.

3.

Double-click any XCPT file. The file opens automatically in the XCPT Patient Engagement System as treatment plan 00. The folder of the current patient is active.

Select File Thumbnails Select Multiple Files in the Gallery Selecting multiple files in the Gallery tab works similarly to the technique used in the XCPT Patient Engagement System. Click once on each thumbnail to select it. Right-click on one of the selected thumbnails to bring up the menu of tasks that can be performed on all selected items.

Select a Group of Files Click, hold and drag to create a selection box around a cluster of thumbnails. Right-click on one of the selected thumbnails to bring up the menu of tasks that can be performed on all selected items. To deselect any single object, click on it a second time.

Delete Files 1.

Click on each item targeted for deletion. A selection box may also be used for multiple items.

2.

Right-click on the selected item(s) and select Delete.

View Images in a Sequence Image files can be opened and viewed in a sequence, in a manner similar to the feature in the XCPT Patient Engagement System. Use the Navigation buttons to flip through all open image files in the Media Window.

Copy and Paste Files from the Gallery Tab 1.

Select a patient in the Media Manager and open the Gallery tab.

2.

Select all desired thumbnails.

3.

Right-click on any of the selected thumbnails and select Copy.

4.

Open the Image tab.

5.

Right-click in the Media Window and select Paste.

6.

Use the Navigation buttons to flip between images.

Open Individual Files from the Gallery Tab 1.

Select a patient in the Media Manager and open the Gallery tab.

2.

Double-click any desired thumbnail. The image is opened in the Image tab.

3.

Repeat steps 1-2 as desired.

4.

Use the Navigation buttons to flip between images.

Drag and Drop Files from Windows Explorer 1.

Select a patient in the Media Manager and open the Image tab.

2.

Open Windows Explorer and browse to the location of the desired file thumbnails.

3.

Hold the Ctrl key while clicking on all desired image thumbnails to select items.

4.

Drag and drop any of the selected thumbnails (all selected files are moved) into the Media Window. Files may also be dragged and dropped one at a time.

5.

Use the Navigation buttons to flip between images.

Send an Email An email with an attached file can be sent to anyone in the list of Contacts. XCPT email works in conjunction with the workstation’s default email application (e.g. Windows Mail, Outlook Express) and uses information that can be entered in the Specifications Window of the Profile Manager.

Standard Email Method This walkthrough describes all facets of the emailing process in full. For a less descriptive but quicker explanation, skip ahead to the “Send a Quick Email” section below.

1. Select Email Contacts 1.

Open the Main Menu and select Send > Email to open the Email Message menu.

2.

Click on the To…

3.

Select the desired email recipient(s) from the list of contacts. To select multiple contacts, hold the Shift key while selecting contacts.

4.

Click on the To -> button to move the selected contact(s) into the To -> list.

5.

Repeat steps 3-4 to fill the CC -> list.

6.

Click OK.

2. Enter the Email Description 1.

Enter the email subject in the Subject line.

2.

Enter a brief description of the email in the main text box.

3. Attach Files and Send the Email 1.

Click on the ampersand button to open Windows Explorer.

2.

Browse to the location of the desired file thumbnail(s).

3.

Drag and drop the desired file thumbnail(s) into the Attachment box.

4.

Close Windows Explorer by clicking on the X button in the top right corner of the window.

5.

To attach a screen shot, select the “Attach a Screen Shot” radio button on the bottom left corner of the Email Message window.

6.

Click OK to send the email. Do not click OK again, as the email may take a few moments to process.

Send a Quick Email A quick email can be sent to any contact in the Contacts list. A quick email contains one file, requires little text explanation, and is sent to a single email address. 1.

Select a patient from the Patients tab.

2.

Select the Contacts tab.

3.

Drag the desired file thumbnail and drop the thumbnail on the name of the email recipient. This opens the Email Message menu.

4.

Enter body text.

5.

Click OK to send the email.

Menu Bars Main Menu The buttons in the Main Menu control basic file functions such as creating, saving, printing, and emailing files. Within the Main Menu is a link to the Profile Manager. Open the Main Menu by clicking on the blue XCPT eye logo on the top left corner of the Media Manager.

Main Menu Dropdown New Create a new file in either of the following formats: •

New Image: Create a new jpg image file in the Media Window.

New Treatment Plan: Open the XCPT Patient Engagement System and create a new XCPT treatment plan.

Close Close an open file by either of the available methods: •

Close Current Image: Close the image that is currently open in the Media Window.

Close Current Treatment Plan: TBD

Save Save the current file, overwriting the original copy. Saving is necessary when a new file has been created.

Save As •

Save As New Image: Create a duplicate copy of the current file and save it under a different filename, preserving the original copy.

• Save With Properties: Save a new image and display the properties dialog. Once the image has been saved, image properties can be entered.

Print •

Print: Open the dialog with the default printer and print the active image.

Print Preview: View the image to be printed in the Print Preview tab prior to printing or converting images to other file formats. For more information regarding print preview options, consult the Media Browser section of this guide.

Send •

Email: Send an email to any of the existing contacts in the Contacts tab of the Patient Browser. For instructions on sending emails, consult the “Basic Walkthrough” section of the Quickstart Guide.

Report a bug or suggestion: Contact the XCPT development team with any technical questions or suggestions. A screenshot of the Media Manager can be taken and sent as a tangible example of the current issue. Files can also be attached to this email message. We at XCPT are committed to improving the software experience of our customers via enhanced communication and special attention.

Help The dropdown Help chevron accesses a detailed list of internet help files and video tutorials that can be viewed in the Video tab of the Media Manager via streaming video directly from xcpt.com. •

XCPT Tutorials: Connect directly with the collection of XCPT Tutorials via xcpt.com/tutorials. All tutorial clips are viewed in the Video tab of the Media Window.

Profile and Settings The Profile component in the Media Manager maintains fully customizable configuration information based on a particular doctor, workstation, or installation. Workstation activation is handled via profile for management of software patch distribution. The use of Profiles is especially effective when applied to a practice in which several doctors share several computers. By using Doctor Profiles, each doctor can instantly bring up his own profile settings and preferences in the XCPT Patient Management System. Doctors are prompted to load their personal preferences as XCPT opens. Use the dropdown menu to select a profile and click on the Connect button. The XCPT Patient Engagement System then opens with the selected preferences. This dialog does not appear when there is only one user registered to the workstation. Clicking on the Profile and Settings icon opens the XCPT Profile Manager.

Recent Documents The Recent Documents window contains a list of recently opened files. Click on any file to open it in the Media Browser.

Options •

Style: Choose from a number of themes to adjust the aesthetics of the Media Manager. Choosing different color schemes can create better contrast.

Exit Close and exit the Media Manager. Be sure to save all work before exiting.

Quick Access Toolbar Quick Access Buttons The Quick Access Toolbar contains several commonly used commands that merit easy access.

Save: Save the current file, overwriting the original copy. Refresh: Reload the contents of the Patient Browser. Undo: Reverse the most recent image change.

Customizer Chevron The Quick Access Toolbar Customizer allows the user to personalize the appearance of the main toolbars via the dropdown chevron’s two options: •

Show Above/Below the Ribbon: This option moves the Quick Access Toolbar from the top left corner of the Media Manager window to the space below the ribbons.

Minimize the Ribbon: Minimizing the ribbons provides more space for the Patient Browser and Media Browser windows. Click on any of the four toolbar buttons (Home, Tools, Gallery, Audio Notes, Gallery) to drop down and show the ribbons.

Home Tab The Home tab features basic file management options, searching tools, image acquisition tools, and access to outside sources. The Home tab also functions as a turnstile for digital assets coming in to the Media Manager and being exported to the XCPT Patient Engagement System.

Navigation Group The Navigation group consists of Left and Right arrow tools that are used for flipping between open images in the Image tab of the Media Window. For instructions on using the Navigation buttons, consult the “View Images in a Sequence” section of the Quickstart Guide.

Clipboard Group The Clipboard group works in conjunction with the Windows Clipboard. These tools enable the user to easily copy and paste clips of images.

Clipboard Tool The dropdown chevron contains the Paste As New Image option, which allows the user to create a new image file using the contents of the clipboard. Be sure to save the new file before moving on.

Copy Tool Copy the image file or clip in the Media Window to the clipboard.

Cut Tool Remove the image file or clip from the Media Window and copy it to the clipboard.

Paste Tool Paste the contents of the clipboard into the Media Window.

Search Group The Search group facilitates easy access to images of a certain description, name, and type.

Search Tool The Search tool uses assigned image properties and tags to locate images and sets of images. This search can be performed at either the image or patient level. Define search arguments by adding to the Image Search dropdown list of theUser Profile window of the Profile Manager.

Image Type Tool The Image Type tool allows users to search for images contained within a folder by category: Digital Photo, Pan, FMX, and Other. Select the desired image type to show only those instances present in the Gallery tab. To restore all image types after having specified a certain image type, click on the Refresh button. For images to be categorized, the Image Properties will have been set. For instructions on setting Image Properties, consult the Image Properties topic in the Media Browser section of this guide.

Acquire Images Group The Acquire Images group provides the user with three methods by which to import digital images: Camera, Scanner, and Screen Paste. Consult the “Create a New Device Profile” topic in the Profile Manager section of this guide for instructions on adding devices to the dropdown chevron menus.

Camera Tool The Camera tool enables the user to import images from a digital camera. Click on the Camera button to automatically search for TWAIN camera devices. The dropdown chevron accesses the list of cameras contained in the XCPT user profile. Consult the “Import an Image to the Media Manager” section of this guide for instructions on moving patient files into the Media Manager from digital cameras.

Scanner Tool The Scanner tool enables the user to import images directly from a scanner. Click on the Scanner button to automatically search for TWAIN scanner devices. The dropdown chevron accesses the list of scanners contained in the XCPT User Profile. Consult the “Import an Image to the Media Manager” section of this guide for instructions on moving patient files into the Media Manager from scanners.

Screen Paste Tool Click on the Screen Paste button to copy a screenshot into the Media Window. Use the dropdown chevron to instantly create a screenshot of any open window on your desktop (e.g. practice management software, web browser, scanner software). A screen shot appears in the Media Window. All screenshots are stored automatically in the selected patient folder. Crop the region of interest to bring the desired section of the screenshot to a closer view.

Resources Group The Resources group contains tools that provide access to outside sources.

Open XCPT Tool The XCPT button is a shortcut to the XCPT Patient Engagement System. This button opens the patient folder of the selected patient in the XCPT Patient Browser. XCPT can also be opened by double-clicking on any XCPT format file in the Documents tab of the Media Browser.

Help Tool The dropdown Help chevron accesses a detailed list of internet help files and video tutorials that can be viewed in the Video tab of the Media Manager via streaming video directly from xcpt.com. •

Tools Tab The Tools tab provides access to an array of image manipulation tools. These tools interact directly with the image in the Media Window. By accessing the Tools tab, the user can crop, stretch, flip, magnify, and alter an image. These tools are vital to the process of discovery and diagnostics in the Media Manager.

Image Group The Image group facilitates several types of basic image manipulation.

Merge Tool The Merge tool glues the selection to its current position on the background image. For further alterations to be made to the image, the selection must be merged with the background image. Otherwise, the selection disappears when the next tool is chosen.

Crop Tool The Crop tool enables the user to enlarge the region of interest and cut out unnecessary space on an image. To crop an image in the Media Window: 1.

Click on the Rectangle tool.

2.

Click, hold, and drag over the region of interest.

3.

Click on the Crop tool. This enlarges the selection to fill the Media Window.

Resize Tool The Resize tool enables the user to manipulate the size and interpolation of an image. The New Height and New Width values can be set to any value up to 10,000. Interpolation refers to the image quality correction that is made when an image is enlarged. Interpolation reduces pixilation and distortion by three different methods in XCPT: •

Normal: Normal interpolation offers minimal image correction when enlarging.

Resample (recommended): Resample interpolation resamples the image and makes the necessary image correction to maintain proper aesthetics.

Bicubic: Bicubic interpolation is the most extreme and in-depth image correction. Bicubic interpolation also takes up the most disk space.

Image View Group The Media Manager preserves the base integrity of every image. Various aspect ratios can be selected in the Image View group. The Resize tool can be used for more intricate image adjustment.

1:1 Tool Clicking on the 1:1 tool button restores the image to its original aspect ratio. The original size may be larger than the Media Window.

Stretch Tool The Stretch tool expands the image to fill the entire Media Window, regardless of its original size and aspect ratio.

Fit Tool The Fit Image tool fits the image to the Media Window while maintaining its standard 1:1 aspect ratio.

Selection Group Use the Selection tools to create a clip of the image in the Media Window. When the selection is made, the region of interest is floated above the background image. Selections are useful when copying and pasting into the XCPT Patient Engagement System.

Selection Tool The Selection tool puts the Media Manager into a mode in which it is ready for the selection of the next object or tool. As in AdobeÂŽ Photoshop, the Selection tool allows users to work with one layer of the image rather than the image as a whole.

Rectangle Tool The Rectangle tool creates a rectangular copy of the region of interest. The rectangle tool is useful when cropping an image.

Ellipse Tool The Ellipse tool creates a round copy of the region of interest.

Freeform Line Tool The Freeform Line tool creates a custom copy of the region of interest. Click, hold, and drag to draw the selection area.

Rotate and Flip Group The Rotate and Flip tools are used to adjust those images whose orientation is not correct and to adjust selections made on the image. If a selection has been made, only the region of interest is altered by the rotate and flip actions.

Rotate Right 90° Tool This Rotate tool rotates the image or region of interest 90° to the right.

Rotate Left 90° Tool This Rotate tool rotates the image or region of interest 90° to the left.

Flip Vertical Tool This Flip tool flips the image or region of interest vertically.

Flip Horizontal Tool This Flip tool flips the image or region of interest horizontally.

View Group The View group contains a collection of magnification tools that are vital to the process of discovery and diagnostics in the Media Manager.

Magnify Tool The Magnify tool works like a magnifying glass for the purpose of discovery and diagnostics. After clicking on the Magnify button: click, hold, and drag the magnification window anywhere on the image to create a mobile magnification. Some selections are not viewable, as all selections must be merged with the background image in order to be viewed. Otherwise, only the selection outline appears.

Zoom-In Tool The Zoom-In tool magnifies the image or region of interest by 25%.

Zoom-Out Tool The Zoom-Out tool shrinks the image or region of interest by 25%.

Zoom-To Tool Use the Zoom-To tool to focus in on and magnify a specific section of the image. 1.

Open an image in the Image tab.

Click on the Zoom-To tool button.

Click, hold and drag across the region of interest.

Audio Notes Tab The audio controls provide the user with access to specific functions that facilitate the ability to create dictation notes. These notes are saved in the selected patient folder in mp3 format. All recorded and saved audio files can be accessed in the Documents tab of the Media Browser.

Audio Notes Group Record The Record button starts the recording of an audio note.

Stop The Stop button ends the recording of the audio note and saves the file in the selected patient folder. The file is saved in mp3 format with date and time properties.

Play The Play button plays the most recently recorded or opened audio note.

Microphone The Mic button allows for the selection of an audio input device. Click on the Mic button to select from a list of devices. The dropdown chevron allows the user to select from microphone input devices contained in the XCPT User Profile.

Diagnostic Gallery Tool The Diagnostic Gallery contains text boxes representing several variables.

Browser Windows The Browser Windows include the Patient Browser and the Media Browser. The Patient Browser contains the patient folder and the Media Browser displays its contents. This section covers all functions and controls of the detailed components of both windows.

Patient Browser The Patient Browser reads the XCPT patient folders and databases for easy patient navigation. The Patient Browser also allows for patient management and the management of patient properties. The Patient Browser is easily searchable and is organized alphabetically. Deeper file descriptions are searchable in the Detail and Properties tabs.

Quick Search Bar The Quick Search Bar allows the user to instantly find a patient folder by typing the first few letters of the patient’s last name. Similar names drop down in a list. Click on the name of the desired patient to open the folder of that patient.

Detail Tab The Detail tab contains a chronological list of updates for each patient folder. This tab uses the treatment date properties. Click on a particular time and date to view all files that were added to the folder at that moment. New dates can be added via the right-click menu.

Create a Timeline Folders can be created in the Detail tab for the purpose of chronological digital asset organization. 1.

Choose a date for the folder. The current date is selected by default. Past and future dates can be chosen by scrolling through months and years. Click on the month to toggle years, decades, and even centuries.

Contacts Tab The Contacts tab contains a detailed alphabetical list of all contacts. For instructions on emailing patient files using the Contacts tab, consult the “Basic Walkthrough” section of the Quickstart Guide. •

New: Create a new contact. Include such information as name, email address, phone and fax numbers, mailing address, and other miscellaneous notes.

Edit: Change contact information for the selected contact.

Manipulating the Patient Browser Show the Patient Browser in a Separate Window Double-clicking on the â–ź chevron button eliminates the Patient Browser from the Media Manager window and opens it as a standalone window. This allows for a larger Media Browser window. Doubleclick on the top tab to revert the Patient Browser to its original position inside the Media Manager window.

Minimize the Patient Browser Click on the thumbtack icon to minimize the Patient Browser. To revert, double-click on the sideways word Browser and click on the sideways thumbtack icon.

Gallery Tab The Gallery tab contains thumbnails of all patient images in the patient folder. Double-click on any thumbnail to view it in the Image tab.

All file thumbnails are tagged and titled by the date and time at which they were created. Consult the “Select File Thumbnails” section of this guide for tips on selecting single and multiple files.

Gallery Tab Right-Click Menu Copy: Copy the selected thumbnail image(s) to the clipboard. Paste: Paste the current clipboard item into the Gallery tab. Delete: Delete the currently selected item(s). Documents Tab The Documents tab contains all XCPT format files, documents, videos, audio files, and miscellaneous files. The files are presented in alphabetical list format. Audio and video files are opened in the Video tab, while all other files are opened in their respective native applications.

To either side of this slider sits a Rewind and Fast Forward button. The Media Manager interfaces with MicrosoftÂŽ Windows Media Player. Most video file formats are supported, including avi, mpeg2, mpeg4, and wmv. To open a video file, double-click on the file icon in the Documents tab. The Video tab opens automatically and the video clip begins to play.

Print Preview Tab In addition to performing standard printing functions, the Print Preview tab enables the conversion of image files to several file formats. The Print Preview tab is temporarily enabled by clicking Print > Print Preview in the Main Menu. Once an export action has been performed, the tab disappears. The dropdown tab lists all printers, faxes, and software outputs such as MicrosoftÂŽ Office programs, PDF converters, and XPS converters. Select the desired output and click on the Print button to deliver the image in the selected format. Click on the Close button to cancel the printing job and remove the Print Preview tab from the Media Browser.

Image Adjustment Slider

The Image Adjustment Slider located at the bottom right of the Media Browser toolbar is a quick and simple way to adjust the color and size specifications of an image or selection in the Media Window. Each of the three tools is adjusted by a single slider. If a selection has been made, only the region of interest will be altered by any image adjustment actions.

Brightness Slider Brightness describes the relative darkness of the color from dark (left) to light (right).

Contrast Slider Contrast describes the color intensity from gray (left) to vivid (right).

XCPT Profile Manager The Profile component in the Media Manager maintains fully customizable configuration information based on a particular doctor, workstation, or installation. Workstation activation is handled via profile for management of software patch distribution. The use of Profiles is especially effective when applied to a practice in which several doctors share several computers. By using Doctor Profiles, each doctor can instantly bring up his own profile settings and preferences when opening the XCPT Patient Engagement System.

Main Menu The buttons in the Main Menu control basic file functions such as emailing, options, and recent documents. Open the Main Menu by clicking on the purple XCPT eye logo on the top left corner of the Profile Manager.

Options •

Style: choose from a number of themes to increase the aesthetics of the Profile Manager. Choosing different color schemes can create better contrast.

User Profile Browser The User Profile Browser allows for the manipulation of the configuration settings based on particular users. User Profile Window The XCPT Configuration and Profiles menu is a dropdown tree view outline expressing a hierarchical collection of variables. The location of this window corresponds with the location of the Patient Browser window in the Media Manager.

Specifications Window The Specifications Window displays the contents of each tab in the dropdown tree. The location of this window corresponds to the location of the Media Window of the Media Manager.

XCPT Configuration The Base Configuration window contains the basic structural information for the XCPT Patient Engagement System. Any changes made in the Base Configuration window are automatically saved.

Specifications Window Components Ampersand Buttons The ampersand buttons enable users to browse for a specific directory location for an item in the Specifications window. Directory locations can also be entered manually.

Dropdown Tabs The dropdown tabs enable users to choose from a list of options.

Right-Click Menu The Profile Manager features one universal right-click menu, contrary to the multiple right-click menus employed by the Media Manager.

New Use the right-click menu to add a new scanner profile, camera profile, or search category. Consult the “Create a New Device Profile” topic in the Profile Manager section of this guide for instructions regarding new devices.

Create a New Device Profile The Camera and Scanner buttons in the Media Manager possess dropdown chevron buttons that list all accounted for devices. To account for a new device, follow these steps.

1.

Right-click in the User Profile window and hover the mouse cursor over New >.

2.

Select either Camera or Scanner.

3.

Enter a title for the device in the highlighted field in the User Profile window.

4.

Use the dropdown tabs in the New Device Profile menu to select the proper values.

5.

Click on Save to preserve this device configuration.

ShowUi: Choose between using the scanner’s user interface (software) or immediately importing the image to the Media Manager. Choosing No is recommended, as the Media Manager makes automatic adjustments to best suit those images types most commonly associated with dentistry.

Before continuing, configure the Wi-Fi connection on your workstation. Keep in mind that all files imported via Wi-Fi are stored in the “EyeFi Photos” folder in the C:\\XCPT directory. 1.

Select the desired patient folder for import.

Select the Gallery tab.

Take a photograph with the Wi-Fi camera. An image thumbnail appears in the Media Window after a moment.

Import an Image from a Generic TWAIN Device Images can be imported from any attached devices without having been registered in the Profile Manager. Importing images using this method is less efficient than using registered devices, but is sometimes useful when using devices on a short term basis. 1.

Select the desired device from the Select Source list.

Hardware Setup Guide Wi-Fi Camera Setup 1.

Insert the Wi-Fi card into the Wi-Fi enabled workstation via either the card reader port or the adapter supplied with the card.

The Windows install wizard automatically installs the necessary software. Follow the necessary steps to complete this process.

3.

In some instances, step 2 will not work properly. In this event, either insert the Wi-Fi card’s companion software or visit the company’s website.

DirectX® Download and Installation Guide Some users may have difficulty running the XCPT Media Manager for the first time. Installing the latest version of Microsoft DirectX® is normally the solution to this problem.

Click Continue to validate the active copy of Windows.

XCPT Patient Folder Cleanup and Conversion Utility The XCPT Patient Folder Cleanup and Conversion Utility creates an efficient new media folder for each patient. This utility removes unnecessary files that have accumulated in the Patients folder of the XCPT directory, unlocking a large amount of previously used data storage space. Keep in mind that after upgrading the data management system, all image files are controlled by and therefore must be opened within the Media Manager. Consult the “Applying the XCPT Folder Cleanup and Conversion Utility” section of this guide to determine whether running this utility is necessary.

Close all XCPT applications.

The Browse For Folder window is now active. The Patients folder should be selected. If not, select the Patients folder in C:\XCPT. Click OK.

Click Begin on the main screen. The XCPT Patient Folder Cleanup and Conversion Utility removes all unnecessary files. Any miscellaneous files that do not belong to a particular patient folder are automatically placed in a folder labeled “_Unknown…”

Applying the XCPT Folder Cleanup and Conversion Utility The XCPT Folder Cleanup and Conversion Utility can be applied in several different ways depending on the needs of your dental practice.

New Users New users who install XCPT with the Media Manager begin with a clean slate and do not need to run the XCPT Folder Cleanup and Conversion Utility. The Media Manager handles the digital assets of your practice from day one.

Existing Users Operating on a Single Workstation Run the XCPT Folder Cleanup and Conversion Utility on the XCPT-equipped PC. The media folder created by this utility is now accessed exclusively within the Media Manager.

Existing Users Operating on a Network of Workstations 1.

Run the XCPT Folder Cleanup and Conversion Utility on each XCPT-equipped workstation.

2.

Sync each workstation to the network directory in the XCPT Patient Engagement System.

3.

Run the XCPT Folder Cleanup and Conversion Utility on the network directory to which XCPT was synced.

4.

Sync the network directory back to each individual workstation in the XCPT Patient Engagement System.
