Any West Midlands Fire Service Club can apply to the Sports and Welfare Fund (SWF) for funding support in the form of a grant to assist the club, however the spending of the grant must be recorded and be subject to the conditions below.
SWF have a duty to know how grants for clubs are being spent and therefore the Club Single Point of Contact (SPOC) must engage with us at least once a year as detailed below.
• Any time a club applies for a grant from SWF they must complete and submit the pro-forma report in appendix 1. (Available on the SWF website). A representative for the club may be required to attend a relevant committee meeting to present the pro-forma. Established clubs will need to provide financial records for their previous financial year and records and receipts which detail how any previous SWF grant was spent in that financial year. Failure to do this may result in any further grant not being given.
• A club will consist of more than 2 members and have a club named bank account. SWF cannot pay grants into personal accounts. Funding will only be paid to a Club bank account and not individuals.
• There should be a Chair/Captain, Secretary and Treasurer, although one person may hold a maximum of two posts.
• If SWF, or a SWF grant is used to, purchase equipment or kit for a club, if the club ceases to operate all the equipment and kit should be returned to SWF.
• Throughout the year further funding support can be requested by submitting another proforma report. Any submitted reports come into the committee meeting on a monthly basis for a suitability voting decision.
• SWF do not offer funds for accommodation or transport, however Firesport UK offer insurance on associated events and travel.
• Funding support from SWF must not be a Club's only source of funding. Clubs should also raise funds via member's contributions e.g. annual subscription, match fees, society or club attendance fees.
• Where a club applies for a grant, where possible all members of the Club must be SWF members. Depending on the amount requested the SWF committee will make a decision of the level of funding whether its 100% or partial, due to the number of non SWF members. Version: July 2025 1
