DINE + DEMO Checklist
Four Weeks Prior To Event Finalize restaurant with (semi) private room or area. A private room in a community center with catering is also an option. If catering, a menu should be picked out ahead of time and included in the invitation. The Restaurant / Community Center needs to know how tables need to be set up. Visit the venue to experience the environment and mitigate any logistics issues. Finalize invitation content and mailing schedule. Equip your office staff with resources for fielding phone calls related to the event.
Organize how you will obtain current audiograms of those attending the event if needed. Two to Three weeks Prior to the Event Send out invitations. Start calling invitees – especially those you are really interested in having attend. Two Weeks Prior to Event Order brochures, promo items, bags, promo BTE’s, etc., from your ISR. Consider last minute marketing opportunities (i.e.: calling select patients if they haven’t already responded; current patients seen in office). Complete current hearing tests on all people who have RSVP’d for the event, if needed. Make additional calls to invitees who have not responded if you are short attendees. One Week Prior to Event Confirm reservations. Continue getting current audiograms, if necessary. Optional: Some patients may need to be fit in your office rather than putting the aids on for the first time at the restaurant (feedback risks, certain personalities, difficult to fit). On the Day of Event Meet with your RSM/PEM to pre-program the hearing aids based on the audiograms. Arrive at the venue one hour prior to the event for set up. As the guests arrive, fit them with the preprogrammed hearing aids. Additional staff are very helpful at this time. Be sure to encourage / facilitate conversation amongst all participants throughout the event. At the conclusion of the event make appointments for custom fitting and 30-day free trial.

Six to Eight Weeks Prior to Event Set event date – midweek events are best (Tuesday through Thursday). Your RSM/PEM will be working with you at your event. Identify and book event venue – handicap accessible, time of day, quiet, closed-door room, seating for appropriate amount of participants, presentation requirements. Allow for no more than 12-15 patients – each may bring a guest. Plan event marketing – Dine + Demos are best suited for mining your patient data base; targeting people with older technology; and for demonstrating aids on “tested but not sold” patients. Work with your RSM/ISR to tailor your patient list and begin designing an invitation to be sent to these patients once the above steps have been completed. One option is to plan a simple “wedding style” invitation that will be mailed to no more than 100 select patients, and then personally follow-up by phone. OR, simply call select patients if you know who you want to invite. Discuss with your RSM/PEM what role you will play during the event. Generally we recommend that, as the Business Owner/Audiologist, you talk a bit about your practice and this unique event with Widex, and Widex will provide the majority of the content. Be sure to prepare accordingly.
