A wedding is first of all, an assortment of people: you and your guests of choice, coming together one or multiple days and nights to celebrate a new marriage, a new family

Then, because we want the memory to be truly memorable, we add on to it: a beautiful place to meet, decorations on the table, good food and drinks, great music and especially bought clothing. We want to also have it recorded on camera in the best way, so that we can re-live those moments for ever and be able to share them with our dearest ones, now and in perpetuity. For these reasons, we need the best possible assortment of wedding professionals on our team The almost invisible, but most important guests to our celebration And for everything to feel like a dream, everything needs of course to be pre-planned, so that only the joy remains to be seen and felt, no stress or bore

STEPS TO PLANNING YOUR DESTINATION

Check out different venues online or offline and see whether one or more of them looks like the perfect one for you. If you already have a planner, they may also provide recommendations or feedback based on your specific event. The Ultimate Guide that you can find on this website will also be a huge help, as it lists almost all of the options in the country.

Make a short-list and contact them for availability and offer. If you already have a specific date in mind, check if they have it available, but also consider staying flexible.

If your dream place/places also have an offer that matches your budget, discuss the available/desired dates with the guests that you would not host the party without. Ask the venue to keep the date pre-booked for a few days until you find out if your most important guests can make it then.

Quickly check for flights to the closest airport to that destination for the main places where you and guests would fly from so that you know if it is possible for them to fly in or what the options and costs would be.

If you already have a dream wedding planner, photographer, band or any other vendor, check also with them if they will be available.

Make the final decision and book your venue by signing a contract and paying a deposit.

Send out “save the dates” to all of your guests.

Book the photographer (&videographer, if you like), entertainment and wedding planner - these are the hardest to come by, if you want someone specific.

Book or pre-book accommodations for your guests, if you already know that you will need more rooms than there are the venue.

Continue booking the rest of the vendors, throughout the year: decorations & flowers, hair & make-up, candy bar & cake, etc

Book your ceremony officiants - civil and religious, or whatever your choice is.

Send out official invitations to guests with venue, dates, times of ceremonies and party. People can then see when they can make it and what is unmissable.

Continue planning all of the details - scheduling, menus, hotel and room assignments, transportation, payments, outfits, etc.

Request RSVPs and re-check who will be joining your partyat least one month before but it can depend on your contracts for rooms and meals (latest cancellation time possible).

Send out all final information to venue and vendors.

If you want or need to provide it, book transportation from the airport(s) for your guests and transfers between hotels and venues. Only now you will have a clear picture of what and when will be needed.

Think of who will be helping you to coordinate the event on site: best friend, mother, hired planner or coordinator, venue coordinator.

If you chose a civil ceremony, file the documents 10 days before at the Mayor's Office. If one of you is not Romanian, make sure you have an official translator coming to the ceremony.

Go through all of the details, try to imagine yourself going through all of the moments from leaving your house to coming back. What will you need at every step? Pack thoughtfully, ship anything too heavy or complicated in advance and enlist friends to help.

48 hours before check-in, verify that all vendors and officiants are coming and make clear the time that they need to arrive in order for everything to go smoothly. If you have a planner, they will do that for you.

ON CHOOSING A PHOTOGRAPHER

When planning your event, choosing the right photographer is one of the most important things. The main reason is, of course, because you’ll be left forever with the images they were able to capture. But more than that, during the actual day or days, the chosen photographer(s) will be next to you the entire time and their presence and actions can make you feel beautiful and at ease or uncomfortable and awkward.

Here is a small checklist to go through to find the perfect one:

Resonate

Look together with your future spouse as well as separately at the online portfolios (Instagram, Website, Facebook) and see which one has a style that you like: the light, the details, the filters, the vibe. Try to take out of the equation the location or the decorations and focus on the general feel and what the faces of those in the pictures look like (too edited? not edited enough?)

Contact

After you have a shortlist, contact them to ask for availability and budget. If it is a multiple day event, decide how many days you want them to be there, the hours they should work and the budget for transportation and accommodation.

Check

If you already have decided on a venue, ask if they have visited or have already photographed the specific space where you will host your wedding. Experience helps. If they have, ask for a portfolio wedding to see what it could look like If they have not, ask to see all of the photos from another wedding in a similar venue (sea/mountains/barn, etc) or any other full wedding folder. The highlights always look beautiful but you get the best idea of someone ’ s work when you can see what the entire experience was like

If you want, make a shot list: a plan of who you would like to take pictures with during the day and even a plan of certain shots that you want taken (venue-specific, artsy, lifestyle, etc). Share and discuss with your photographer

Meet

Whether online or in person, meeting your future wedding photographer is ALWAYS a good idea See if you have a good connection and if you feel like you would like to spend an entire day (or two, or three) with them

Sign

Signing a contract stating the date, venue, what is included in the package chosen and what upgrades are available and at what price (adding a couple of hours, for example), is of utmost importance

ON CHOOSING A FLORIST

Flowers and decorations can upgrade any space and make any event look truly magical. Your bouquet will be a cherished memory and the ceremony can look spectacular with an impressive flower arch and an aisle fit for a grand entrance.

One of the first things that surprises future brides and grooms in planning their wedding is how much real flowers can cost. The really fantastic weddings we see on Instagram can have budgets of dozens or even hundreds of thousands of euros. That does not mean, however, that your wedding can not be beautiful with a budget of a few thousand

This only means that you will need to take your budget into consideration when making choices. Here are a few things you will need to think about:

keeping the chairs, tables and/or linens that the venue provides or renting others using flowers that are in season or opting for out-ofseason, more expensive blooms

opting for a local vendor, perhaps one that the venue works with usually, or bringing in an established destination wedding vendor (as are those on this list) leaning into the style and look of the venue or changing the space completely with lights, installations, flowers and decorations to fit your theme

booking flowers & decorations for only the wedding reception and not also the welcome dinner and other events you may host

In this document you will find the more established destination wedding vendors. If the flowers and decorations of your wedding are something absolutely important to you, they will definitely be able to do a world-class job.

How are they different from a local flower shop?

To be able to provide beautiful arrangements and rental decorations and furniture far away from their hub, a company needs many (expensive) resources: vans or trucks with cooling, drivers, florists and technicians that can travel, a large cooled storage unit to store flowers until the events, the possibility to work on multiple events in multiple places at once.

They also usually have a creative director, a team for customer service and marketing

The team that is coming on location, perhaps from hundreds of kilometres away, will also need to eat and stay overnight so that they can gather all of the decor the morning after and drive back home Most of the staff is also hired year-round and needs to stay up to date with trends by taking courses. All of these are costs that will show up in the (your) bottom line. If you were wondering why can flowers cost so much, this is why. Even the flowers can be acquired by the vendor at different quality levels - a better quality flower will last longer and not wilt by the time your guests arrive

If you want to have an impressive looking event, go for one of the best vendors in the country If flowers and decorations are an after-thought, then go with the options that the venue recommends and use your budget in another area or for your honeymoon!

THE WEDDING WEEKEND SCHEDULE OPTIONS

THE WEDDING WEEKEND - THE SCHEDULE OF A FAIRYTALE

Your fairytale wedding begins on a Friday (or another first day, for a weekday wedding), when after 15:00 guests can start checking in. For guests who arrive earlier than this time, they can have lunch and then get checked in as soon as the rooms are ready. As bride and groom, consider getting to the location earlier to get yourself situated and comfortable

If you haven't gotten legally married yet, check in advance if you can have it on location If you want to have it on the first day, a great time would be around 18:0018:30, when there is still light out in the warm seasons and most of the guests have had the chance to arrive. The first dinner can be a celebration of this and then the second day would be more relaxed Other options are to have the civil ceremony before this weekend or on the second day, together with the spiritual or religious ceremony.

After the big YES, lots of pictures and smiles, host a welcome dinner for everyone. You can usually add a bonfire or even hire a DJ and get everyone to dance and let loose. Check if you can have the dinner outdoors or in a different location than the wedding reception. Don't forget that the evening it can get chilly in most areas and closed shoes and a jacket will allow you to have fun until later.

If the welcome dinner is the first event, it can start at 19:00 or 20:00, depending on when you think most of your guests will have arrived Don’t forget to take into consideration most will probably be very hungry upon arrival.

The wedding day

The next day breakfast is usually served buffet style. Discuss with the hotel to extend the hours until closer to 11 or noon, if you know that your guests will wake up late Do also consider early risers and families with young children, as they will probably need attending around 8 or 9. Afterwards, the guests can enjoy and relax on the property or you can plan a group activity or a short trip

During this time, the bride and groom usually get ready and have photo sessions with the bridesmaids and groomsmen.

For the rest of the day, you get to choose how things will happen: will you have a spiritual ceremony? On or off site? Will your reception start at 15:00 or at 20:00? Do you want your party to last all night or are you thinking more of a 2 AM bedtime? Do you want a four or five course seated meal or a buffet or different food stations? Will you include the famous sarmale?

Every decision that you make will contribute to your final schedule. You will need to coordinate the photographers with the hair & make-up and then with the chefs and the entertainment. You’ll also need to take into consideration the number of hours that the open bar you chose entails and think about what food you ordered and make sure everything makes sense for your guests. For example, don’t let them starve for hours and drink on an empty stomach.

Run your schedule by all of your vendors and make sure that everyone is aware of where they should be and when they should be there. This is also true of the groom, parents and godparents Not once it has happened that just in time for the first dance or the cake, someone important had vanished. In addition, take in the vendors’ feedback and make the necessary changes so that you won’t need to make big changes on the the day Either way, even with a perfectly crafted schedule, there should be a 15 minute buffer for last minute changes.

Note: A classic Romanian wedding has the cake served around 3 or 4 AM and only then guests would be “allowed” to leave. The last day

Like any wonderful day, Sunday begins with a rich breakfast. You can upgrade it to a brunch style affair or even host a post-celebration “ciorba de potroace”. The guests can afterwards check out and say goodbye It's the perfect time to recall the night before!

What is the perfect schedule? One where you and your guests will not be too tired to enjoy yourselves but also one that will allow to get all the important moments in without rushing or delaying the entire plan. Allow at least 1h30 between courses and take into consideration 4560 minutes band or DJ sets for dancing. Check transportation times and when the photographer will need you.

How do you decide whether you want the ceremonies one after another or at separate times, separate days? It depends on how you envision it and what times the most important guests can be there. If you want to be dressed differently for the civil and religious, then they would need to be at different times. If an important guest can only make it on the second day, then you may consider having both ceremonies on Saturday. If you want to have an activity on Saturday morning, then relax all day and have both ceremonies in the afternoon, right before the reception. How do you want to do this? It’s your wedding, your choice!
