COMMUNITY PROVIDER ZOOM MEETING

A Zoom meeting for community providers is held every Thursday at 12:30pm. This brief session allows an opportunity for you to ask any questions you may have, as well as hear updates about the region’s vaccination roll out and its progress.

CLINICAL HUB IS NOW LIVE

As you know, the Clinical Hub developed specifically for vaccine providers and primary care partners is now live. This private, online resource centre was developed by the BOPDHB COVID-19 Response Team, specifically for community providers involved in the vaccination rollout and resurgence response.

Access the clinical hub A section titled “New information” is being established, so you can quickly and easily check for new information. Updates will remain in this section of the hub for up to a week, before finding permanent homes in the relevant sub-category.

Access to the Clinical Hub is private, and only those with a link can view its content. The BOPDHB COVID-19 Response Team recommend saving the link as a bookmark in your internet browser, to refer to it regularly for new information.

The BOPDHB COVID-19 planning team will provide updates through the Clinical Hub in the first instance moving forward, as opposed to these alerts.

CHANGES TO OPERATING GUIDELINES

The Ministry of Health has recently revised its Operating Guidelines for DHBs and Providers on 27 August 2021, and most recently, on 3 September 2021. The new versions reflect the change in the minimum observation period, the minimum consent process, and the CVIP Serious Adverse Event Protocol among other changes.

COVID - 19 CLINICAL ADVICE LINE

An advice line for community health professionals is provided by Whakarongorau Aotearoa | the National Telehealth Services. The number (which is not publicly available and should not be given to the public) is 0800 177 622.

The service, which is open between 8 am and 8 pm daily, offers peer advice relating to patients with COVID-19 symptoms, testing, and isolation guidelines. The team can also provide peer review of COVID-19 related problems and advice on specialist referrals or local services.

CREATING NHI TO ADMINISTER VACCINE

Please remember there is no requirement to ask for identification, when setting up an NHI at vaccination sites for those who do not have one yet. Operational guidelines state that you should confirm the consumer is in the eligible cohort to receive a vaccination first before creating an NHI. If you can create one in Health UI, please do so. Alternatively, you can contact the Ministry of Health on 0800 855 066 to request one be set up. If you call the contact centre, please ensure you: • Provide the payee number for your DHB or hospital • Identify yourself as a COVID-19 vaccination clinic • Provide your name Once the NHI is created, you will need to ensure it is linked to the COVID-19 Immunisation Register (CIR) using the ‘NHI Retrieval’ function. Retrieving the NHI will create a Person Profile in CIR. You can then create immunisation case records as normal.

Please note: it is not mandatory to collect information on the consumer’s residency status, when setting up new NHI numbers. Previous experience has demonstrated that collecting residency information can be a barrier for consumers – both in their uptake, and receipt of healthcare services.

CIR UPDATES

A series of updates have been implemented for the CIR, for the following areas. These updates can be found under the ‘CIR’ heading on the Clinical Hub: Overseas vaccinations: if a consumer has had one dose overseas, you can now select the specific brand of vaccination (for example, AstraZeneca). This function was previously disabled, as it was impossible to enter information without having all details of the vaccination event (such as batch number). A ‘not known’ field has been added to allow for blank fields, and no further error should occur.

Remember: you can only record an overseas vaccination event if you site legitimate proof. Furthermore, overseas immunisation does not message GP practices at this stage. Please remind clients their proof of overseas vaccination needs to be supplied to their GP for uploading on their patient record.

Antigen and Batch Number enhancements: the latest update allows for a ‘Batch Number’ field and a subfield, along with the usual diluent fields. There will be a requirement to include the sub-batch number in all CIR entries at vaccination sites.

Please note for those using lunchboxes and trollies: this will require labels to be printed with the sub-batch number as well.

Vaccination – save details: occasionally, a vaccine fails to save. The system will attempt to save it again, and a second attempt failure will prompt the ‘retry’ button. There is an expectation that this will occur more frequently due to constraints on the system. If it fails altogether, please know you will need to capture information through a paper-based system.
