Information and facilities available for the hire of the hall

The Hall’s History

The Church Hall was built on the site of what hadbeenan‘oxhouse’atMiddletownFarmin Spittal in 1932. A complete renovation was undertaken in 2007. Up to date facilities are nowavailableforChurchsocialevents,andfora wide range of community group gatherings, privatepartiesandmeetings.

Setintheheartofthevillage,thehallisonthe edge of the Village Green. This offers an outdoorvenueforfêtes,sportsandcommunity events.PermissionstoholdeventsontheGreen mustbearrangedwiththeCommunityCouncil.

Church and Community representatives make up a Management Committee which oversees the running of the Hall. Day to day care, booking and caretaking is undertaken by volunteers.

One of the major users of the Hall is Spittal

Playgroup,whichmeetsonTuesday,Wednesday andFridaymornings. Thisisanimportantasset to the village, offering pre-school children a brightandvibrantenvironmenttopreparefor EarlyYearsClassesinSpittalVillageSchool.

Hall Facilities

The hall space is equipped with—

 folding tables and chairs—stored on movable racks and strapped in place for safety

 free wifi connection

 halogen heating (users to pay in a meter in the rear lobby which takes £1 and £2 coins)

 use of a computer trolley, floor lead cover and projector (supplied on request), and a remote controlled projection screen

 toilet facilities for males, females and people with disabilities

 a domestic sized kitchen with serving hatch to the main hall—this includes an electric cooker with oven, microwave and fridge, together with use of crockery and cutlery (for reasons of hygiene, tea towels are not provided)

 in case of fire 999 Emergency Services should be called. Fire extinguishers are sited in the main hall and rear lobby and there is a fire blanket in the kitchen

 for health emergencies 999 Services should be called. A community Defibrillator is situated to the right of the Hall (when facing the hall). Full instructions are given when

the machine is in use

 first aid supplies—located in the kitchen

 sanitising products set up in each lobby

 cleaning materials stored in the metal cupboard in the main hall (locked for child safety, with the key on a hook to the top left)

What we ask of Hall users ….

Legislative Requirements

Whilst laws restricting use of public places during the Covid pandemic have been rescinded, it remains a legal requirement for venues to undertake a Risk Assessment to identify reasonable measures that will minimise health risks. Measures in Spittal Hall include -

 Sanitising hands and maintaining good hygiene

 Ensuring the Hall is ventilated

 Cleaning regimes

In addition, Hall users must adhere to Church in Wales guidance, policies and procedures relating to safeguarding children, young people and vulnerable adults (see: churchinwales.org.uk),

We respectfully ask that hall users

 sanitise hands on entry

 hold a record of people attending events

 request anyone with symptoms of a virus NOT to enter the Hall

 adhere to ‘no smoking’ legal requirements— both in the hall and its environs are mindful that the hall is in a residential area and, particularly for evening events, keep noise within reasonable levels

 anyone serving food and/or clearing tables in the Hall must wear a mask and gloves.

Hall Capacity

Adhering to Fire Safety Regulations, the capacity of the Hall is limited to 110 people, to ensure safe evacuation in case of fire.

The cost of hiring the hall

A booked ‘session’ in the hall may be either: morning afternoon or evening. The fee per session (as at October 2021) is £20. An additional £5 may be charged to power equipment such as bouncy castles).

Any damage caused whilst using the hall must be reported to the Booking Clerk, and the hirer will be liable for repair/replacement costs.

Hirers’ responsibilities

 To ensure equipment brought into the hall is, where appropriate, insured for use (and evidence of insurance provided if requested)

 To discuss alcohol use at any event when booking the hall—appropriate licences must be obtained for any sale of alcohol

 To record any accidents in the ‘Accident Book’ stored in the kitchen

 To ensure adequate ventilation throughout the booked session by opening windows

 To leave the toilets and hall in good order (with chairs and tables returned to storage racks) and the floor swept and cleaned as necessary

 To leave the kitchen as found— all equipment used cleaned and replaced in storage

 To wipe all surfaces touched with antibacterial products provided.

 To take away all rubbish, waste food or recycling (including used hand towels)

 To ensure all lights (including ceiling lights in male and female toilets and external lights), power points and heaters are switched off

 To close internal doors and windows and ensure the main door is locked—top and bottom internally—before exiting through the Disabled entrance in the kitchen lobby and double locking the door

 To secure gates in the outside yard to keep dogs out of the play area

 The Booking Form and the form confirming that the Terms and Conditions for hire have been read and agreed (Page 8) should be signed and returned to the Booking Clerk, together with the required fee in advance of the booking
