Optinet FLEX: an update

Optinet FLEX encompasses all aspects of the day-to-day running of an optical business – from maintaining patient records, handling eGOS claims, scheduling appointments (including automated SMS confirmations and reminders), recording of the clinical assessment and examination results and creation of patient dispense and till receipt.

From a back-office perspective, full financial reporting is available; uploading financial transactions to the Xero accounting software is automated and the ability to interrogate business data to send communications to patients by letter, postcard, email or SMS is also invaluable.

When it comes to practice management, not all businesses and business owners are the same. The needs of a traditional bricks and mortar practice are different to those of a hybrid practice where the owner may not work in the business. They may operate at various times and from separate locations, from home in the evening or from a mobile office as the needs demand. FLEX can handle all scenarios.

FLEX can send financial reports by email at the end of the day, or automatically copy a staff task to a co-worker’s inbox when they are not in the practice. For businesses that need access from more than one location, or that just prefer to have the flexibility of being able to access the system from anywhere, FLEX can be centralised with cloud hosting.

Rodenstock Cnxt Integration

FLEX now offers a link between FLEX and Rodenstock CNXT, allowing it to communicate with all Rodenstock measuring devices and handle the exchange of data, so the user does not have to. The digital transfer of data saves the practice time and reduces the risk of errors.

Integrated Card Payment System

Optinet has partnered with Windcave, a world leading payment provider, to bring an integrated payment solution to FLEX. The benefits of this new integration are:

■ Improved speed of transaction

■ Eradicate keying errors by no longer having to manually enter the transaction amount

■ Highest level of encryption (P2PE)

■ Latest mobile terminal

■ Competitive transaction rates

EeRS

Continuing our plan to directly integrate with NHS services where possible, a direct link to the Electronic eyecare referral service, Electronic Eyecare Referral System (EeRS), has been added. FLEX users can directly send referrals to EeRS service suppliers without leaving the system, saving valuable practitioner time, and removing errors that may arise from the re-keying of date. Further enhancements are planned for next year’s release – so watch this space.

Service And Support

Whilst we are committed to ongoing software development, we are fiercely proud of the service and support that we offer, starting with the initial software demonstration which, where possible, takes place in the practice – or online if preferred. By visiting the practice, we get a feel for the business, meet the owner and the staff and start to plan delivery of the software and training.

We can convert data from other systems to ensure continuity of the business and offer on-site training at the point of installation, helping new FLEX users to get the most out of the software. Postinstallation, we offer remote telephone support, management ‘away-days’ and training courses at our Worcestershire offices. Our online customer portal is available 24/7 where practices can look up answers to FAQs and log new support tickets.
