One of our biggest accomplishments of this quarter was the successful close of the fiscal year. This effort required many members of the team to step up, collaborate across functions, and push through long hours to ensure accuracy, timeliness, and compliance.

Collaboration Across the Division: Teams came together seamlessly, bridging accounting, reporting, compliance, and systems support to keep the close on track.

Commitment & Hard Work: Many contributed late nights and extra hours, balancing routine responsibilities while navigating the added intensity of year-end.

Our remediation initiative continues to advance with steady progress in addressing areas of strengthening identified in the prior-year audit. Key operational enhancements across UVA Finance and UVA Health, particularly within treasury and cash management, are establishing a stronger foundation for operations and ensuring readiness for Workday

These efforts represent a coordinated, pan-enterprise approach, engaging stakeholders across the Academic Division, the Medical Center, UPG, and Community Health. Working alongside external consultants, the teams are aligning processes and strengthening controls to ensure UVA is fully prepared for the FY25 audit

UVA is embarking on an exciting, pan-enterprise journey to integrate Workday across the University and UVA Health. We are in the early stages of this transformational effort, actively gathering requirements, engaging stakeholders, and finalizing a search for a system implementation partner.

This project represents an opportunity to align processes, strengthen collaboration, and modernize our systems across the enterprise While still early, the groundwork we are laying today will position UVA for a successful launch and lasting impact.

These courses, which are required for new UBI users and serve as valuable refreshers for experienced users, now feature updated content, real-time demonstrations, and interactive elements that make it easier than ever to access, analyze, and understand University data.

With this update, we have strengthened our ability to equip the UVA community with the tools and knowledge they need to make informed, data-driven decisions.

The FY26 budget has been prepared, shared, and approved by the Board of Visitors, the result of months of intense, collaborative work by the Budget Team. Their efforts reflect a deep commitment to accuracy, transparency, and alignment with the University’s priorities.

This achievement would not have been possible without the partnership of colleagues across the University community throughout the budget cycle.

Together, we’ve laid the groundwork for a strong financial foundation in the year ahead.

ARMICS-TheSummerEdition

This summer, our ARMICS team has been hard at work advancing one of UVA’s most important stewardship responsibilities: ensuring that our financial processes are sound, transparent, and resilient.

The team has been conducting walkthroughs of key business processes across the University, reviewing controls, and documenting how we safeguard resources in alignment with the Commonwealth’s Agency Risk Management & Internal Control Standards (ARMICS). These walkthroughs not only help us stay in compliance, but they also strengthen our ability to continuously improve and build trust across UVA Finance.

A special thank you to all of our colleagues who gave their time, insights, and support throughout the summer. Your partnership makes this critical stewardship process possible — and ensures that UVA continues to lead with accountability and integrity.

This quarter, team members of the Finance Solution Center took on supplier outreach for required payment documentation, partnering with EY and Medical Center Accounts Payable (MCAP) to ensure a coordinated approach By handling the outreach on Procurement’s behalf, the FSC team freed up significant time for MCAP staff to focus on other pressing priorities.

The new process was so effective that MCAP plans to adopt it for future supplier outreach, creating a faster, more efficient way to collect supplier data going forward.

Standardized monitoring of inactive and terminated cardholders to reduce risk and improve accuracy

Partnered with departments to reduce aging card transactions, boosting financial accuracy and accountability.

Clarified expense procedures in collaboration with Risk Management, Strategic Sourcing, HR, Athletics, and other partners to ensure consistency across the University.

Improving Processes & Data Accuracy

Introduced a new spend category and expense item to better track tariffs, improving reporting and data accuracy.

Supporting Travelers

Hosted a DMV Real ID event in Carruthers Hall, to make business travel easier for UVA employees.

This quarter, UVA Procurement achieved a major milestone by exceeding the state’s prompt pay compliance requirement, a critical measure of financial stewardship. Even more important, the team established a sustainable process to ensure this success continues going forward.

To reach this achievement, Alison Hyler, of the Business Solutions & Data Analysis team, worked in collaboration with the Accounts Payable team to advance new monitoring and reporting capabilities, including more accurate data checks and proactive invoice tracking. These improvements gave the AP team the visibility to resolve potential issues before they disrupt the payment cycle.

This summer, Procurement Services officially launched the P2P Transformation Initiative, a major step toward creating a holistic Procurement ecosystem using Workday technology capabilities.

Faced with new federal tariffs, a tight deadline, and limited historical data, Procurement didn’t just crunch numbers—they built something new. By blending Marketplace pricing, Workday spend and supplier data, and independent economic research, the team created innovative forecasting models that gave UVA leaders a clear view of possible outcomes.

This forward-looking analysis was incorporated into UVA’s Economic Impact Report as part of Enterprise Risk Management work, where it strengthened leadership discussions and continues to inform strategy in a shifting economic landscape

This work has also been used to provide weekly operational reports to executive leadership, highlighting trends in assessed tariffs, additional negotiated savings, and realized impacts to financial operations.

Tariffs: NegotiatedWins

Tariffs have created added complexity and costs for many of UVA’s critical purchases, particularly within our research and scientific community. These pressures could have significantly increased expenses and impacted the availability of essential supplies.

Thanks to Song Song’s skillful negotiations and persistence, UVA was able to mitigate some of these tariff costs and reduce the burden on our scientific community. This work not only saved money but also ensured that our researchers have continued access to the resources they need to advance discovery.

UBI Finance 2.0: A Smarter, Cleaner Reporting Experience: When UVA launched Workday Finance, the UBI team quickly rolled out a wide range of reports to meet urgent needs While this rapid expansion supported the transition, it created report complexity and difficulty managing the more than 150 million journal lines. To address this, the BI team developed UBI Finance 2.0 a streamlined, user-focused redesign that optimizes reporting for partners across Grounds. By working closely with users to refine tools and align them with real needs, the result is a cleaner, more robust reporting environment that maintains depth and accuracy while putting usability first.

Adaptive Budget Development Dashboard: This dashboard boosts budgeting efficiency and reduces errors by offering dynamic KPIs and centralized quality checks. A focus group is currently testing its reporting and customization features ahead of full deployment at the September Budget Kickoff.

GASB 96 Solution: By centralizing contract and purchase order data, the GASB 96 solution cuts manual effort and improves data quality. It supports more frequent contract reviews, better compliance screening, and early detection of miscoded transactions.

Supplier Invoice Analysis Dataset: Launched via Prism, this dataset streamlines expense accruals by integrating key business objects. Accessible through Workday reports or interactive Worksheets, it enhances collaboration, audit readiness, and strategic reporting.

Athletics Regulatory Reporting Automation: Automated compliance reports now improve accuracy and workflow efficiency. The Athletics dataset enables faster, data-driven decisions, with ongoing work to develop an advanced EADA report for deeper financial analysis.

OSP Reporting Optimization: The second optimized OSP report resolves performance issues and improves data access. Additional enhanced reports are planned for release in Q1 FY2026.

Between April 28 and mid-May, UVA ran a Workday Attestation Campaign to ensure that every employee had the appropriate Workday access, keeping us compliant and secure across the University. Thanks to the dedication and collaboration of teams across Grounds, the campaign was an overwhelming success.

✅ Over 1,300 managers and 3,300+ employees certified

✅ 38,000+ assignable roles reviewed

✅ 99.8% completion rate

✅ 96.5% of access validated and retained

The Workday Support Team played a key role in another successful year-end closing, working closely with Accounting and Procurement to ensure the 2025 fiscal year was properly closed. Their efforts included rolling forward supplier contracts and active purchase orders, helping to ensure a smooth transition and uninterrupted operations into the new year.

As part of the Finance-led General Ledger Integrity project, the Payroll Accounting team spent the past fiscal year designing and implementing a new reconciliation process for GL account 2011, an account historically used to capture a wide range of payroll deductions, from benefits and taxes to garnishments and parking.

To bring greater clarity and control to the process, the team proposed and implemented three new GL accounts: one for payroll tax withholdings, one for garnishments and support orders, and a receivable account to track tax agency refunds owed to UVA. These improvements have significantly increased transparency for leadership and laid a strong foundation for future enhanc

The Payroll team partnered with the Workday Architecture team to optimize system configuration, improving pay accuracy for employees on leave and greatly reducing the need for manual entry.

Shout out to Devon Stribling for being a true partner in progress!

A Vice Provost recently shared a glowing note of appreciation for Devon's above-and-beyond support in moving forward a critical contract with Anthropic on a very tight timeline. Devon was right there at 8:15 a.m. responding to a statement of work that came through late the night before, and he stayed with it throughout the day, revising drafts and wrapping up with a key video call to sort out next steps and roadblocks.

This kind of dedication isn’t a one-off, it’s part of a consistent, collaborative approach that makes a real difference As Vice Provost Kemi Jona said about Devon: "We literally could not fulfill our digital innovation mission to the University without his help."

We held a workshop on Emotional Intelligence for UVA Finance leaders, in partnership with our HR colleagues and the Training Team.

The session focused on building self-awareness, empathy, and stronger communication, and it sparked great discussion about how we can apply these skills in our day-to-day work.

The high level of engagement reflected our team’s commitment to growth and connection ~ not just in technical expertise, but in how we collaborate, support one another, and lead through change. It was an important step in reinforcing the culture of growth and continuous improvement that defines UVA Finance
