Dear Residents,

Congratulations on joining the USC Upstate Spartan family! The Housing and Residential Life team are busy with final preparations for your arrival and are excited to welcome you HOME! Our communities are comprised of different academic living learning communities and theme housing units designed to help you find your place at Upstate.

The Department of Housing & Residential Life has continued to work and ensure that we offer the best housing options for you. Each summer, we spend a great amount of time on projects to upgrade and enhance our housing. This past summer, a new door access system was installed campus-wide which now will have students utilizing their ID card to not only access the main door and hallway of their assigned residence hall, but also their suite door. This system has been expanded to the Villas as well and will allow for our returning students to use their ID card to access their front apartment door. We often split projects up and this summer, we also installed new LVT flooring on the 1st and 2nd floors of Magnolia in the rooms; those students are also receiving a new desk chair necessary for use on LVT. A multiyear project also wrapped up this summer in the Villas with the final installation of tankless water heaters, upgraded AC units & new platforms, and finally the upgraded electrical panels.

Living on campus provides endless opportunities for getting involved, having fun and making friends. Our on-campus community is centered on supporting your personal growth and academic success as a USC Upstate Spartan. It is our mission to create a memorable experience by promoting inclusive learning environments beyond the classroom while providing a community of care to residential students. We also know that we can only control what we can control; your decisions and actions will dictate our ability to provide a good community experience for those living on campus. We will rely heavily on you to do your part.

This guide, created by our Assistant Director of Housing for Communications, is designed to help you settle into your new home. As you prepare for the big move, familiarize yourself with our facilities, policies, and MoveUP! Procedures. Spend some time thinking about how you will customize your space for comfort and success.

We hope you have reached out to your roommates and suitemates to discuss your living environment and “meet” each other virtually before August 16; it makes all the difference in the world, to start of the year on the right foot by knowing your roommates. There are two things to take care of before MoveUP:

1.

Upload your declarations page of the required Personal Property Insurance in the housing portal. The final deadline for this is August 19 before classes begin.

2.

Make sure you have your student ID handy for check-in or pick it up at University Police before you check in; you will need it to access your suite door.

WhatisConsolidation?

TheDepartmentofHousing&ResidentialLifemustefficientlyandeffectivelyutilizeall availablespacesintheresidencehalls.Toaccommodatetheneedsofallstudents,the HRLreservestherighttoutilizethefollowingconsolidationpolicyasneeded.Inorderto maximizehousingspace,HRLreservestherighttomoveresidentsfromoneunitto anotheratanytimedeemednecessarybytheDirector.AlthoughHRLwillmakeevery possibleefforttocontactallaffectedbyamove,theofficereservestherighttofillany vacancyasdeemednecessarywithoutpriorknowledgeoftheresidents.

TheProcess

Pre-ConsolidationoccursbetweenAugust1andthestartofmove-intofillspacesfrom studentswhohavecancelledorbeengrantedexemptions.Thus,youmayreceivean emailthatyourroommateshavechanged.Consolidationoccursduringthefall semesterbetweenAugust26-September23andinthespringsemesterbetween January13-February3. Atanypointduringthesemester,studentsmayfindthemselvesleftinaroomwithouta roommate.Thesestudentshavethefollowingconsolidationoptions:

1.Consolidatewithanotherstudentinthesameresidencehallwhoiswithouta roommateorvoluntarilymovetoaspaceinanotherresidencehall.

2.RequesttheDepartmentofHousing&ResidentialLifetoreassignthemtoadouble roomwitharoommate.

3.Opttopaythepro-ratedDoubleasaSingleroomfeeandremainaloneintheirroom, forthatsemester HRLwillactivelyattempttoassignastudenttothespaceatspring semesterunlessthestudentchoosestopaytheDoubleasaSinglefortheremainderof theyear.

4.Stayintheroombythemselveswithoutpayingtheprivateroomfee.TheDepartment ofHousing&ResidentialLifemayassignanotherstudenttotheroomatanytime While studentsaretherealone,theymustoccupyonlyhalfoftheroomandleavetheother sidefortheroomunused.Onceastudentisnotifiedthattheywillbereceivinga roommate,theycannotopttopayforasingleroomatthattimetopreventanew roommatefrommovingin.Studentswhodonotchooseanyoftheaboveoptionswillbe chargedtheprivateroomfee

Thefirstyearofcollegeisfullofexcitingnewexperiencesandpersonal growthbutcanbechallengingduetobeingawayfromhomeandliving withstrangers.Thegoodnewsisyourroommatescanbecomelifelong friends.Herearesometipstohelpyousettleinandbuildthosefriendships:

Fosteringafriendshipwithyourroommateisnotonlybeneficialforyour immediatelivingsituationbutalsocontributestoaricherandmore fulfillingcollegeexperience.Whenyoumeetyournewroommate(s),listen tothemandlearnabouttheirbackgroundandinterests.Youcanstartby havinganopenandhonestconversationabouteachother'shabits, schedules,andexpectations.

Communicate:

Effectivecommunicationiskeytoaharmoniouslivingarrangementwith yourroommate.Startbybeingopenandhonestaboutyourneedsand expectations,andencourageyourroommatetodothesame.Practice activelistening,showingthatyouvaluetheirperspectiveandconcerns. Addressissuesastheyariseratherthanlettingthembuildup,and approachconflictscalmlyandrespectfully.Establishregularcheck-insto ensurebothofyouareonthesamepageandadjustlivingarrangements asneeded.Clear,respectful,andconsistentcommunicationhelpsbuild trustandfostersapositivelivingenvironment.

RespectBoundariesandBeConsiderate:

Bemindfulofyourroommate'spersonalspaceandprivacy.Respecting boundariesfostersmutualrespectandcomfort.Smallgestureslike keepingcommonareastidy,beingquietwhenthey'restudyingorsleeping, andbeingpunctualwithsharedresponsibilitiesshowconsiderationand respect.

AddressConflictsCalmly:

Ifdisagreementsarise,addressthemcalmlyandconstructively.Open dialogueandcompromisearekeytoresolvingconflictsamicably.

TheRoommateAgreementWorkbookisdesignedtocreateasetofrulesand regulationsforeachroomthataredeterminedbytheresidentsofthatroom. Throughaseriesofquestions,roommatescandecideonthingslikequiethours, visitors,cleaning,andboundariesfortheroom.ThisWorkbookshouldbecompleted oneononebetweenroommatestoensurethatbothpartiesagree.Ifanissuearises duringthisprocess,aResidentAssistantorCommunityAssistantmaybeaskedto assisttheprocess.

AllRoommateWorkbooksmustbecompleteforeachcommunityduringthefirst weekoftheacademicyear.Thosewhohavenotcompletedtheirworkbookwillnot beeligibleforroomchangesandguestvisitationwithintheresidencehalls.

ROOM CHANGE REQUEST ROOMMATE AGREEMENT

Duringtheacademicyear,issuesmayoccurthatcauseastudenttorequestaRoomChange. AllstudentsmustfollowtheRoomChangeRequestProcess:

Thestudentwishingtotransitionroomswillprovideinformationregardingthereasonfor theirrequestviatheRoomChangeRequestlocatedintheHousingPortal Therequestwillbe reviewedbytheHallDirectortodeterminethenextcourseofaction

TheHallDirectororResidentAdvisorswillreachouttoyoutodiscusstheinformation providedfurtherifclaritymaybenecessary.Amandatoryroommatemediationwillbe scheduled.Thismediationismandatoryinordertoapprovethestudentmove.Studentswill notbepermittedtomovewithoutthismediationhavingbeencomplete.Duringaroommate mediation,thestudentstaffmemberwillgoovertheissuespresentinthespaceaswellas thepreviouslycompletedRoommateWorkbookinordertore-assesstheworkbook.Oncethis iseditedandreviewedbythestudentstaffmember,allpartiesinvolvedwillsignthatthey agreetothenewterms.

Oncethemediationiscompleted,yourresidentadviserorhalldirectorwillreachoutto updateyouonyourroomchangerequest.Ifyourroomchangerequestisgranted,a meetingwillbescheduledtodeterminewhenyourmovewilloccur.

Pleasenote,allroomchangerequestsarebaseduponthevacancyofspacesinourresidential communities Ifyouroomchangerequestisanemergency,pleasereachouttotheHousingand ResidentialOfficeimmediately.
