Clubs and Societies Access Pass and Participation Terms and

Conditions

1. Introduction

1.1. These Terms and Conditions apply to the purchase and use of a Clubs and Societies Access Pass provided by Undeb Bangor and the participation in Undeb Bangor affiliated group activity.

1.2. By purchasing an Access Pass or participating in group activity, including taster sessions, you agree to the terms set out below.

1.3. The Access Pass contributes to the costs of supporting student group activity, including but not limited to insurance, training, advice and guidance, facilities, and administrative support.

2. Participation and Risk

2.1. By taking part in Undeb Bangor affiliated group activity, you accept that you do so at your own risk and agree to follow the rules of the activity, any activityspecific instructions, and the health and safety measures outlined in the group’s risk assessment and by group leaders.

2.2. With all sport and recreation activities there is a danger of personal injury. By participating you are confirming that you are aware of and accept the risks and are responsible for your own actions and involvement.

2.3. Those participating in line with these Terms and Conditions are covered by Undeb Bangor’s Personal Accident Cover.

3. Eligibility

3.1. The Clubs and Societies Access Pass is available to:

3.1.1. Current students of Bangor University who are fully enrolled at the time of purchase and for the period in which the Pass will be used.

3.1.2. Non-students, in accordance with the Undeb Bangor’s Associate Members Policy. Associate membership is granted at the Union’s discretion and may be subject to application, approval, additional requirements and the payment of any associated fees

3.2. Undeb Bangor reserves the right to verify eligibility and revoke access if conditions are not met.

4. Purpose and Scope

4.1. The Access Pass allows the holder to join any number of Undeb Bangor affiliated student groups (clubs and societies) that fall under the scope of the Pass purchased, subject to each group’s own membership rules.

5. Duration

5.1. The Access Pass is valid for one academic year until the 31st July of that academic year.

5.2. Half year Access Passes are available from Semester 2 onwards of that academic year and are valid until the 31st July of that academic year.

5.3. Semester 1 half year access passes are available for students studying up to the end of Semester 1 only and are valid until 31st December of that academic year.

5.4. A new Access Pass must be purchased for each academic year to continue access.

6. Purchase Deadline

6.1. An appropriate Access Pass must be purchased before joining or continuing with any club or society activity beyond taster sessions, as set out in Section 8 “Taster Sessions”.

6.2. An appropriate access pass must be purchased before being eligible to participate in BUCS Sport.

6.3. Beyond taster sessions (Section 8), students are strongly encouraged to purchase their Access Pass by the second teaching week of Semester 1 to ensure continued access, insurance coverage, and eligibility to participate.

6.4. Beyond taster sessions (Section 8), students who fail to purchase the relevant Access Pass by the required time are not eligible to participate in activities and will not be insured for taking part in activity

7. Proof of purchase

7.1. Upon purchase, Access Passes will be automatically added to the purchaser’s profile on the Undeb Bangor website.

7.2. Purchasers must also collect a proof of purchase sticker from the Students’ Union, to be attached to their student card This sticker must be attached to a valid student card and is only valid when used by the named cardholder

7.3. If a student card, with sticker attached, is lost, the student must obtain a replacement card from the University. A replacement sticker must then be issued by the Students’ Union, for which a fee will be charged.

8. Taster Sessions

8.1. Undeb Bangor and its affiliated groups may offer taster sessions, allowing students to try an activity before committing to membership.

8.2. Students may attend up to two taster sessions per group without purchasing an Access Pass.

8.3. Participation in further, regular activities beyond taster sessions requires a valid Access Pass.

9. Non-Transferability

9.1. The Access Pass is personal to the individual purchaser and cannot be transferred, shared, or sold.

9.2. Any attempt to misuse the Pass may result in disciplinary action, in line with Undeb Bangor procedures, and cancellation without refund.

10. Behaviour and Conduct

10.1. By purchasing an Access Pass or participating in group activity, including taster sessions, you agree to abide by:

10.1.1.The Undeb Bangor Code of Conduct

10.1.2.Group-specific codes of conduct, constitutions and activity specific instructions.

10.1.3.Health and safety guidance.

10.1.4.University policies and relevant laws.

10.2. Undeb Bangor reserves the right to revoke group membership or Pass access without refund as the result of disciplinary action.

11. Refunds

11.1. You may request a full refund of your Access Pass within 14 calendar days of purchase, provided you have not accessed member-only benefits (e.g. joined a group and participated in activity)

11.2. After the 14-day cooling-off period, refunds are not normally issued, except in exceptional circumstances and at the discretion of Undeb Bangor.

11.3. Refund requests must be submitted by emailing opportunities@undebbangor.com

11.4. If you have accessed any benefits (e.g. joined a group and participated in activity), Undeb Bangor may deduct a proportion of the fee before issuing a refund.

11.5. If membership to a student group is terminated as the result of disciplinary action, you will not be eligible to receive a refund of your Access Pass.

12. Data Protection

12.1. By purchasing the Access Pass, you agree to Undeb Bangor processing your personal data in line with Undeb Bangor’s Privacy Policy and for the purposes of managing your membership and group participation.

12.2. Your data may be shared with group committee members, relevant Students’ Union staff, and the University, where necessary.

12.3. By participating in group activities, you consent to the use of photography and video footage for promotional purposes by Undeb Bangor, unless you notify us otherwise in writing.

13. Changes to Terms

13.1. Undeb Bangor reserves the right to amend these terms at any time. Any changes will be published on our website and take effect immediately.
