CATERING POLICIES

guarantees

~

TPC Deere Run must be notified of the exact number of attendants for whom you wish to guarantee payment, no later than 12:00 noon, three business days prior to the scheduled event. For events scheduled on Sunday or Monday the guarantee must be received by 12 noon on the preceding Wednesday. The club will be responsible for serving to no more than 5% over and above the guarantee, up to 10 guests maximum. If no guarantee is received, the club will prepare and charge for the number of persons estimated from the catering contract; with no responsibility for service of persons over such an estimated amount.

deposits A 50% deposit is required at the time of booking. Members may book an event by charging the deposit to their Member account. Room minimums for events held during the holiday season (November 24 through January 2) and all Saturday events will be doubled. The deposit amount will be credited to the event bill. All functions are required to be paid in full seven working days in advance of the function. An estimated total will be used based on your final guarantee. Any remaining balance due must be paid the day of the function. Any over payment will be refunded within seven days of the event. Once a deposit has been received, the event is considered a confirmed booking and is subject to all cancellation fees. TPC Deere Run will accept the following forms of payment: Cashiers Check, Personal Check, Cash, Member Charge Account, MasterCard, Visa, Discover & American Express.

room assignments Function rooms are assigned according to the anticipated guaranteed number of guests. If there are fluctuations in the number of attendants, the club reserves the right to charge a service fee for setup of banquet rooms with extraordinary requirements. Revisions in the attendance may necessitate reassignment to a more suitable function room at TPC discretion. The TPC reserves the right to change meeting or dining space in order to accommodate the function.

outside functions The Club reserves the right to make the final decision regarding outside functions and the use of grills. There are very limited backup locations, and the decision to move a function to an indoor location, if available, will be made no less than 4 hours prior to the event based upon the prevailing weather conditions and the local forecast. Live entertainment at outdoor functions must be pre-approved by Club Management.

service charges and sales tax All catering functions are subject to 20% service charge and 6.75% state and local sales tax and other surcharges where applicable.

payment & cancellations All canceled events will be subject to the following cancellation fees: Cancellations made 45 days prior to the scheduled event will result in loss of room minimum fee received. Cancellations made 8 to 45 days prior to the event will be charged for 25% of the expected number of attendants unless the area is reserved by another gust prior to the event date. Cancellations made within 7 days of the event will be charged 50% of the expected number of attendants unless the area is reserved by another guest prior to the event date. In addition, all cancellations fees for contracted services and rental items will be charged in full (plus any additional liabilities) by the client.

menu prices and availability All prices on our catering menus are subject to change without notice due to market conditions. Once the menu is selected, a price may be confirmed 30 days prior to your event. All prices shown on catering menus are per person and before tax and service charge, unless otherwise noted.


TPC Deere Run damage The guest agrees to be responsible for any damage to the function areas or any other part of the Club use by the guests or independent contractors. The Club reserves the right to discontinue service to patrons at the Club’s sole discretion. The Club also reserves the right to remove any guest of the function not acting in accordance with Club policies.

alcoholic beverages As a purveyor of alcoholic beverages, we encourage our patrons to drink responsibly, and will not serve alcoholic beverages to minors or to anyone who appears to be intoxicated. We support the “Designated Driver” program and will offer complimentary soft drinks to a designated driver. No food and / or beverage of any kind will be permitted to be brought onto or removed from TPC property by the guest or any of the invites. All food, liquor, wine and beer must be supplied by TPC Deere Run. The sale and service of all alcoholic beverages is regulated by the Illinois State Liquor Commission. TPC is responsible for administration of those regulations. It is a policy, therefore, that no alcoholic beverages may be brought onto TPC property, or removed after a banquet or function. If the beverage consumption does not equal or exceed $275.00 per bartender, a $75.00 charge per bartender, will be added to the banquet check.

services Our catering representatives will be happy to arrange for rental of audio visual equipment. In addition, we can also recommend services such as music, entertainment, decorations, floral arrangement, photography and related items.

table decoration and theme decor Tabletop decor can be ordered through the Catering Department. A wide variety of table linens in solid and prints are available to rent to customize your event. The Catering Department will be pleased to assist in creating a theme for your special occasion, coordinating props, decor and lines from local rental companies. Music, Entertainment and Photography We will be pleased to recommend a variety of musical and / or other types of entertainment, as well as, photographers to capture the special moments created by your event. Live entertainment at outdoor functions must be pre-approved by Club management.

audio / visual equipment We are able to arrange rental of audio / visual equipment, which must be requested and ordered at least 72 business hours prior to your function.

tpc dress code Proper attire must be worn at all times on the golf course and in the TPC Club. Work Jeans, Bathing Attire, T-Shirts, Gym Shorts, Coaching Shorts, Tank Tops, Tube Tops, Halter Tops, Mesh Shirts, Cut-Off’s, Short Shorts, Tennis Shorts, and other dress of similar nature are inappropriate. Dress Jeans, Bermuda Length Shorts, Sweaters with Mock Turtlenecks, Collared Shirts are acceptable.
