2 You got accepted into Aalto ARTS, Congratulations!!! But.... now what? We at TOKYO and Nuoret Designerit (NuDe) know firsthand how confusing and chaotic this time of transition is. We hope that this guide will help you to navigate it at least a bit more easily. We present to you a guide to EVERYTHING we could fit onto these pages related to student life from where to do sports to where to get your Finnish ID. And a quick tip before you start diving into the guide: Don’t try to absorb all the information at once. Take it easy and save this guide for when you have questions that need answering. If you can’t find it in the guide ask your tutor, kuutti captain, new student responsible or anyone on our boards (we all are here to help). <3 ?. What the hellthis?is

What is NuDe?

What the hell is TOKYO? TOKYO is the student association for all students in ARTS, keeping the student community together with its love. Student advocacy and the well-being of our members and ARTS in general are the main purposes of TOKYO’s existence.

TOKYO’s other important tasks include supporting and developing ARTS student culture: TOKYO’s activity should always look and smell like its members and students have the power to decide what TOKYO concentrates its time on. TOKYO’s goal is for ARTS students to be an active part in developing our Aalto community.

1.

What the hell TOKYO?is

TOKYO is a student organization that is more influential and has more resources the more it has members. By joining TOKYO you’ll be supporting the greater good for our school.

Gathering students under the same association makes us more visible and pushing change under NuDe protects a single student’s anonymity. We provide advocacy for all students in the Department of Design. This means participating in university decision making, listening to its members, and raising issues when needed. NuDe evolves every year and takes the shape of its members. Responsible roles are decided by the members in common meetings, but there’s something for everyone to do. You can get involved too and help NuDe grow by joining the songbook, communications, or other committees.

Welcome aboard! NuDe stands for “Nuoret Designerit ry,” meaning “Young Designers”. We love our community and welcome all design students and other NuDe-minded people with a low threshold. NuDe’s purpose is to make events and content for its members. It is the voice of its members and it exists to make their lives better. We are not the biggest association in Aalto, but we keep up our own traditions and build connections towards other associations and working life. Our events are known for being laid back and the cruise to Stockholm always lures other students to NuDe!

I want to wish you a brilliant first year in ARTS and above all great studentWithlife!TOKYO love, Totti Korpua Chairperson of TOKYO board 2022 Welcome to ARTS, new student!

This Info Torso is your guide to your first year in our school and it is meant to collect all the information you need. However, if after reading this leaflet you still have questions, don’t be afraid to send TOKYO a message, come chat us up in the corridors or come to TOKYO Space to interrogate us alongside with coffee. TOKYO exists to help you!

Who the hell is TOKYO 2022 ?

And congratulations on your new place in the department of Film, Television and Scenography, Design, Architecture or Art and Media. Together we form an ARTS community of students, teachers and staff. TOKYO is every ARTS students’ association, and some of its most important tasks are taking care of student advocacy, and most importantly bringing together all the ARTS students from different fields of study.

During the year

TOKYO organizes events and other community fun for students such as the starting party of the academic year Start ARTS, Finland’s biggest costume party and TOKYO’s annual party Maskerad and December’s most atmospheric sales, TOKYO Christmas Sales. TOKYO also enables students to organize their own events and other extravaganza (look up TOKYO Committee and grants). We want you to become a TOKYO active!

YouHi! made it. You worked hard through the admissions and now you’re eagerly waiting for the new semester to start. We’ve all been there, super excited, yet overwhelmed by all the information and stuff you need to do before the year officially begins.

NuDe Chair Letter

*NuDe’s responsibilities are assigned to a different group of students who are voted each year by you! These people form the board. Besides the board you can be a part of committees that are created to take care of one specific task and are formed without voting. Example: Communications committee or Songleader committee.

And of course, warm welcome at NuDe! We’re your new home! Kind, affectionate, funny, genuine, quirky, you will definitely find someone together with whom you’ll enjoy an amazing journey for the next few years. A community of vastly different people, we all share one thing in common: we are all ambitious designers aiming to figure out who we are at Aalto. My advice: don’t be afraid to make new friends, be active, be the one always looking for fun, cool things to do. Talk to your tutors, your classmates and others at NuDe. Ask questions, we are here to answer them and be there for you. Make the best out of the start to the school year! P.S. I have my name on my vappujacket (which you’ll learn about later), so if you spot ‘Ruda’ somewhere on campus, come talk to me.

12 4. Community 4.1 Associations

Finland has a rich and diverse student culture. Aalto carries on some traditions from over a hundred years ago. We have art, business and technical students which means there are many different ways of being a student. You can find out what parts of student culture suits you and what kind of things you want to participate in, but we highly encourage you to try many different activities! Student activities are arranged by students themselves and it happens mostly in associations.

All students in Aalto have a subject association where they can join. Every degree student is a member of AYY, the Student Union in Aalto. These associations can be arranged into schools. You are under ARTS, School of Arts, Design and Architecture. All of ARTS have a common association, TOKYO, that has many perks for its members. All subject associations have their traditions and ways, but offer similar things to their members, such as events and spaces. And though TOKYO is the ARTS-wide association each programme has a more specific association that they belong to. Example: NuDe for design, FAST for Fashion students or GRRR for Visual Comunication Design. Associations often organise events together, for example, themed parties or projects, like TOKYO’s Wapputerde-terrace outside K-wing together with other ARTSassociations. In the next pages you will get a brief intro to Aalto’s many associations:

Teknologföreningen, TF, is the Swedish-speaking and the only student nation at Aalto. Everyone is welcome to TF despite study programme or language. The only requirement is to be interested in learning or speaking Swedish. Teknologföreningen’s spaces and its own student restaurant are located in Urdsgjallar, the big concrete building next to Dipoli. TF-members are recognized from their dark red, also known as technology red, overalls.

TEEKKARI GUILDS OF OTANIEMI

26

Greetings from Otaniemi’s tech students, dubbed teekkaris! You’ll recognize us from tasseled caps, lively events and many teekkari traditions such as jäynäs (pranks), tempaus (good deeds) and teekkari songs. The 150th anniversary of teekkari culture will be widely celebrated next autumn! Every teekkari fuksi is welcomed to their own field’s guild, in which they can join all kinds of student activities, and which all have their distinctly colored overalls:

The Guild of Mechanical Engineers was founded in 1915, and even with 107 years of history, it is the youngest guild in the School of Engineering. However, it is one of the biggest guild’s with over thousand members. Members of KIK can be recognized by their cheerful pink overalls, their pink caterpillar tractor mascot and their jubilant chants of “Yy, kaa, KO, NE!” (“one, two, THREE, FOUR/MACHINE”).

The Guild of Electrical Engineers was founded in 1921. The energetic electrical engineers can be identified by their pure white overalls with the new cog logo on the back of the overalls. You can also spot the old lightbulb logo from older students’ overalls. Their overalls are also decorated by a depiction of a telegram on their right thigh pockets. These overalls can be seen on SIK fuksis from day one, as they are the first guild to receive their overalls in Otaniemi. SIK’s chant is “Jappadaida, jappadaida, Hei, hyvä SIK!”

The Guild of Surveying Engineers, Maanmittarikilta, is the association for students in the degree pro gram of Built Environment. MK, established in 1901, is the oldest guild that still receives new students every year. You can spot the members of the guild by their matte black overalls with a fuchsia colored sleeve. The color of the overalls might change next fall for the new students. The MK guildroom, Monttu (it means a gob or a pit), is located at the K1 building.

The Guild of Architecture was founded in 1908 and is Otaniemi’s second oldest guild still receiving fuksis. It is home to students of Architecture, Landscape Architecture and Interior Architecture, so the members are a mix of students with technical and artistic backgrounds. The Guild of Architecture’s overalls are offwhite (”painter white”) and made of very easily soiled cotton. The Landscape Architects can be identified by the tree on the back of the left leg. Interior Architects design their own fabric to decorate their overalls with. The logo on the back of the overalls is different each year, as it is designed by the fuksis themselves. The Guild of Civil Engineers, more commonly known as “Raksa”, is a subject association that was founded in 1913 and accepts undergraduates studying civil engineering and computational engineer ing. The association, which was originally named “Engineers’ Club” aka IK, is Otaniemi’s third oldest guild that still accepts fuksis. Before the upcoming fall, the guild members majored in Energy and Environmental engineering. Raksa members are easily identified by their builders blue overalls with a green sleeve and pocket and their legendary chant of “RAKSA JAKSAA” (“Raksa perseveres!”)

The Computer Science Guild, or Tietokilta, is a student association founded in 1986. Computer Science Guild is one of the largest in Otaniemi. Many of younger guilds in Otaniemi today have started as a part of this guild, such as AS, Athene and Data Guild. Members of the guild can be found wearing shiny black overalls with the guild’s unofficial white @-logo in the back. The chant of the guild can be heard from far away as a two-part call-and-response: “tieto- KILTA!”

The Guild of Information Networks, Athene, was founded by its students in 1999, and includes now for the first year ever also the students of technological psychology. Despite its small size and young age, it is full of cheerful students. Athene’s overalls are a forest green or “Athene green”. The overalls’ left sleeve, collars and back pockets are black as a tribute to when Athene separated from the Computer Science Guild in 2003. The eye of Athene is the official logo which can be spotted from the overalls. The Guild of Bioinformation Technology (Inkubio) was founded in 2007 and is thus Otaniemi’s second youngest and the bestest guild. As the result of a historic spelling mistake, Inkubio’s overalls are a reddish brown, and they are decorated with white “cow” patches, which guild members sew on themselves, to commemorate the time when they were part of the Guild of Electrical Engineers. On their backs, they proudly carry their logo, Maikki, a circuit board in the shape of a cow.

The Association of Process Engineering Students welcomes Chemical Engineering students in both the Finnish and English bachelor programme. Founded in 2012, PT is one of the youngest student associa tions in Otaniemi. PT’s overalls are a bright blue and have three stripes, yellow, blue, and red, on each limb as a reminder of the three old guilds that PT decends from. The association’s logo can be found on the back: it depicts a Bourdon tube pressure gauge measuring pressure, one of the most important variables in any process.

Data Guild is the guild for students of the degree programme in Data Science. Founded in 2019, it is the youngest guild in Otaniemi. The members of Data Guild have two different overalls. The older ones are shiny black with a silver sleeve and the current ones are shiny silver with a black sleeve to commem orate the time of Data Science students as part of the Computer Science Guild.

The Guild of Industrial Engineers (Prodeko) was founded in 1966, although it says 1866 in their overalls due to a legendary mistake. Although the guild only has a small intake, their members are all the more active! Industrial Engineers can be recognised by their white overalls, which are decorated with rainbows. New fuksis design the overalls from the ground up and put them on for the first time in November at the Sikajuhlat, to which you are also warmly welcome!

27

The Guild of Physics (aka Fyysikkokilta, FK) is a subject association founded in 1947. It gathers under one roof all Engineering Physics and Mathematics students as well as Quantum Technology students in Aalto. Each Engineering Physics and Mathematics student specializes in either physics, or mathemat ics and systems sciences. The guild’s overalls are natural white. In order to get the right shade, fuksis dye their overalls with tea. The left sleeve for Quantum Technology students is beige.

The Guild of Automation and Systems Technology AS is a subject association founded in 1998. It brings together students majoring in Automation and Robotics, Information Technology as well as Digital Systems and Design. The industrious members can be recognised by violet overalls. The left sleeve is black with a white pocket and that reminds of shared history with TiK and SIK.

A hood with a fur is reserved for Kuutti Captains; Fur or lace on the sleeves is reserved for Tutor responsibles.; Otherwise, the sky’s a limit!***

Our jackets steal attention everywhere we go. You have a right to buy a Wappujacket of your own, if you are a member of the association responsible for giving them out and are studying in the corresponding field or show a great spirit within the association.

There are certain traditions associated with overalls. For example, you may not wash your overalls unless you are wearing them, you can exchange the leg of your overalls with your partner and the arm with your previous overalls if you have other studies.

Patches! Students usually collect and sew fabric patches onto their student uniforms. You can get patches from participating in events or buying them just for fun! There are no rules on how to use them, so get creative! You can also add on other useful things besides patches… maybe a bottle opener or a pen?

Students are proud of their overalls/jackets and wear them to many different events. When wearing their “student uniforms” they are representing their guild/association.

ARTS is characterized for having jackets instead of overalls and by having different traditions around them (you can read more about this in the Jacket section).

ARTS is recognized for having it´s unique jackets! Kooma has white and grey jackets, GRRR has Marimekko print patterns that change each year and NuDe´s jackets rock a different pattern every year.

New jackets are usually published in fall before you can reserve one. NuDe´ s wappu jackets that are bought in the fall are given to their new owners at an event called “The AndJackening.”onceyou have your very own jacket, it’s time to make it your own! We encourage you to make alterations to your jacket, like adding more pockets, changing sleeves and hanging all the stuff you want to carry around in events. You can ask your association for extra fabric for the alterations. NuDe has few specific rules about modifications:

All over campus and around Finland you will see students dressed in overalls or jackets.

These colorful pieces of clothing are the “student uniform”. Students can get one from their guild or subject association and depending on what you study it will have a different color or pattern.

THIS IS IMPORTANT. Prepare yourself for some bureaucracy. Depending on your situation the entire settling in process can take from 2 months to half a year. Don’t stress out too much, try to do the minimum that will let you arrive in Finland on time, the rest can be done here with support from your peers and you will not be deported immediately if you don’t do it straight away. However, living without strong authentication provided by a bank is really annoying and frustrating so it’s in your best interest to get it as fast as possible.

BEFORE ARRIVING Moving from outside the EU

For having that you need to go through a process of steps.

First, you need to register yourself as a resident of Finland, your residence permit is for entry to Finland but that doesn’t mean that you are living inside Finland, so you need to make an appointment in the DVV for them to give you a municipal ID. However, you need a residential address. You cannot do it if you are staying in a hotel or Airbnb.

The way that Finland works in terms of everything — meaning that you can use any service such as student discount transportation, student health care, etc — is by having an electronic identification or e-ID.

b.

Also, you don’t have to have a Finnish ID but I recommend you to apply for one, how to do it? Actually it is very easy. Apply through Poliisi page → make an appointment → bring your papers (DVV certificate that arrives like 1 month later from your handled papers and stuff in the DVV appointment) a physical picture that you can bring, I use the same one from my residence permit, so remember to bring a couple of those photos since here taking new photos will cost you like 18e. You paid like 35e for that ID → you will receive a physical ID one or two weeks after the appointment. After that, you can start your process of opening a bank account. With that, you will have an e-identification for doing everything: this is your main goal.

So you are coming to Finland from outside the EU. Welcome! I am Carlos Daniel Pérez, MA student at New Media. I came from Colombia to start my Masters. I came without any knowledge about how the system of ID, Banking, and basically everything works in Finland, so it was a pain learning by myself. I am here to give all the possible advice that I learned in my process and tips that I would love to have had before arriving. Let’s start from the basics.DVV

Periods, enrollments Credit

Typical courses have 2 to 15 credits. It’s recommended to take courses so that you can have 10 to 15 credits per period or 60 credits per year, if you want to complete Bachelors studies is three years and Masters studies in two years. If you already have studied similar courses before your studies, you can ask to have those credits without repeating the Thecourse.grading system in Finland can be a bit different than in other places. The scale is 1-5. You pass with a 1 and a 5 is considered AMAZING. Some courses don’t give you a grade and simply tell you if you passed or failed. If you do not pass a class it will not affect your average nor will it show up in your transcript.

GradingsystemsystemSISU+HOPS

There are some model timetables in Aalto Into for all students to use. It is recommended following these ready-made plans to the best of your ability, as taking some of the courses in a specific order might be mandatory. Many courses are organized once per year and the department is constantly updating the courses and course selection. But it is also possible to arrange your schedule in an alternative way. Just be sure to check with your study counselor!

Starting Studies at Aalto

HOPS (henkilökohtainen opintosuunnitelma) or PSP means your personal study plan. Every degree student creates their HOPS at some point during the first year and you will get instructions on how to do it in Sisu. HOPS includes what specific courses you want to take and when you will have them. It’s important to keep your HOPS up to date and accepted by your study counselor, because it might affect or be a requirement before students are accepted to some courses.

Aalto carries two periods in the fall semester and three in the spring semester and most courses last one period. There are some summer courses available as well. The last week of a period is called exam week because… well, you know… it’s full of exams. The enrollment to next period’s courses happens a few weeks beforehand in Sisu. You might not get into some courses and that is ok. Besides the priority order, places are given based on a lottery. Don’t worry about your first enrollments, you will do this in school during orientation week. The progress of your studies will be measured by credits (opintopiste). Each course is worth some credits based on the workload. One credit equals 27 hours of work including self-reflection, but you might get the tasks done faster or slower than that.

Students love to get together and hang around in different ways. There are many traditional parties with drinks and music, pub-crawls, relaxed afterworks and saunaevenings and a lot of themed events, from cooking nights to sport events. The probably most iconic student events are academic table parties, or Sitsi-parties, where people gather around three course meals to sing and socialize.

Next comes Sillis, after-sitsi events that happen the next morning. They are full of fun and relaxing games and food to help you get over last night’s activities.

Other common events might be: Appros — basically student pub-crawls- and checkpoint events -where you have to go through different checkpoints and complete activities in each of them to get a final prize, usually a patch.

The biggest event that we collectively celebrate in late spring is Wappu (May day). There is no way you can attend everything, but try some of these events and remember to have fun especially when studies feel intensive. During wappu you might find one of the two wappu magazines: Äpy, Julkku or, ARTS own, Wappu-TORSO zine. Any of these are a worthy read to get you in the wappu mood.

Kipsari favors plant-based food, Fair Trade, local producers and organic produce, and the nutritious menu serves options for every taste. Besides a warm lunch, you can find salads, soups and huge sandwiches. After school Kipsari offers you cold beverages, games, good music and magazines. One could say that the student culture of ARTS is born and lives in Kipsari. What’s more, eating in Kipsari is like putting money in your own pocket: Kipsari is owned (via TOKYO) by ARTS students! With the proceeds from Kipsari we are supporting students’ artistic projects via the I Love Kipsari grant; if you are a TOKYO member, you can apply for the grant when it’s available!

Remember to clean after yourself!

If you want to see other design students on campus, the best bet is to come to Otaneum. It is a great place to take a breather or eat those Kipsari takeaway sandwiches. Some people work on something in the first room while others chat in the Thesecond.most important time in Otaneum is the Wednesday coffee, our weekly gathering. Here we meet over cups of free coffee or tea every Wednesday at 12 o’clock.

Otaneum is the home of NuDe. It is a space for our association located in the K-wing of the Undergraduate Centre, alongside other ARTS association spaces. It is available for all members all hours of all workdays.

7.4 Otaneum

Otaneum is made comfortable for relaxation and chill meetings. We have couches, tables and chairs, bean bags, microwave and shared fridge. You can see various stuff and curiosities displayed on shelves and our events and other fun things on the whiteboard. The shared kitchen is free to use and has amazing stuff like a microwave.

Otaneum is often used for monthly Kuukautiset gatherings and game-nights. Feel free to use the space as you wish; you can open all doors there using your HSL card or access token given to you by Aalto.

Please contact TOKYO advocates whenever you need support: alexander.vaherachibnik@aalto.fi or nicole.hussmann@aalto.fi

Things are different between university and school: students have influence besides professors and other university staff. They are not passive receivers of information, but also active learners and are involved in developing education policies, programmes and university’s decisions. Programmes and courses are built in collaboration with the department and the university. A big part of TOKYO’s activities revolve around student advocacy. We take care of students’ interests in ARTS, in Aalto University as a whole and sometimes also on a national level. Advocacy work happens in formal and informal meetings with the school staff and through collaboration with other students of art & media, design, film and architecture in Finland. Quality of university teaching is evaluated by the students after each course. The content and quality of the course is influenced by the feedback. It is really important that you participate in feedback forms and openly say your opinions. Remember to give course feedback and contact us whenever you have a question or comment!

Welcome to the university community!

8.

If you face unfair treatment, problems with courses or anything you believe should change, you are entitled to communicate it as a part of Aalto University. Usually the best approach is to discuss the issue with your teachers or student advocates who can orient you on how to proceed. Remember that they are here to represent the students. If this help is not enough, you can contact AYY’s student representatives. Another option is sharing your concerns with your name or anonymously through a form on TOKYO’s website. TOKYO’s advocates will handle the cases with absolute discretion and take the matters to the school management if necessary.

8.1 What do student advocates do? 8.2 What should I do if things go wrong?

You can start influencing your surroundings by applying for a halloped position. Halloped comes from the Finnish HALLinnon OPiskelijaEDustaja, student representative in university administration. Hallopeds are regular students who have been elected for a term of one year to represent students in different university bodies and committees. They work to represent the interests of all students and do important work for developing our university. Often, hallopeds are also involved in associations and work there as student advocates.

The highest decision-making body of Aalto University Student Union is called the Representative Council. The council has a lot of authority within the student union, as it will have the final say on many matters prepared by the AYY board. As you can imagine, the people who sit in this council have a lot of power over other students and our shared decisions. Because of this, the representatives are selected to the council biannually with university wide elections. Every student has the right to run for the council and to also vote for their favorite candidate.

8.4 Apply to the representative council and vote in the elections

For example, AYY owns student housing, and funds for the student associations who are doing field specific advocacy and culture building on a grass root level. AYY attempts to affect student rights inside and outside of the university, sometimes all the way up to the governmental level.

53

The next elections are almost here (fall 2023), so we encourage every student to vote - and even to run for the council! ARTS has a small number of students compared to other schools of Aalto. This is why every ARTS representative in the council is a win for us! Use your voice and lift up ARTS within the Aalto community!

8.3 Hallopeds

If you are interested in participating in school’s decision making bodies, you can apply to be a halloped as a first year student. It is a great opportunity to learn how to influence things and how the university works. You can always contact current hallopeds if there is something wrong in our university. To know who the current hallopeds are, visit www. halloped.fi/en. Application period for halloped positions for the year 2023 is between November and December.

54 You can come to us with any issues you are experiencing or if you want any sort of help or advice. But, come to us especially if you have any problems within the Department of Design (DoD). One of the many ways we can advocate for you is in our monthly meetings with the Authorities in the DoD. Here we discuss and act on possible solutions for what is going on in the department. NuDe was created so we could stand together and defend ourselves which means that any issue you contact us with will be addressed with care. 2022 advocates have also been working with Migri to better the process for incoming international students by gathering information, wishes and experiences of the student body regarding the topic. AlumniTOKYO

As of the spring 2022, TOKYO’s own LinkedIn was born with the goal to provide a valuable ARTS internal network to our community. We want this to be a place where active ARTS students and alumni can connect more easily than through platforms with hundreds of thousands of alumni. Nothing beats a good network and the best projects are not seldomly born out of unexpected cooperation. So go check it out, it is still very new but growing with you joining.

As a student, you are part of the Aalto-community, but you remain an important part of it even after graduation, as Alumni. Self development, experiences and opportunities of every kind are not only found while you are a current student in Aalto University, but also as a graduate. The networks you start growing upon arrival are truly important, and everything does not have to end with graduation. Studying and the life after graduation are more like two cycles that can overlap as much as you want. As Alumni, you can remain part of the Aalto community, keep meeting new people, assist in different events and get support in student or working life. In addition, as a Master’s student you can apply to the Aalto University’s Mentoring programme, where you can get versatile coaching for your career path and support from an experienced alumni.

If you are interested in participating further in the development of Alumni relationships and the benefits of the Alumni, you can contact TOKYO. We are here for you even after you have graduated.

What is an Alumni anyway?

59

Check these links for more information:

TOKYO Alumni relations aim to connect the students with graduates, shortening the gap between these two. Alumni relations also work to strengthen the connections between students and working environments, because after all, we start our path to becoming an Alumni from the first day as a student, don’t we?

From the total of over 100.000 Aalto graduates, nearly 45.000 alumni are already members of the Aalto University Alumni Network. The new initiative, Aalto Alumni Circle, could get you even closer to all the benefits of being an Alumni. TOKYO is also present in the Aalto Alumni Council, where decisions are made on a global level. Afterall, Aalto has Alumni from more than 80 countries.

We know what you’re thinking: entrepreneurs only think about making a profit. And to be fair, some of them do. Here at AVP, however, we believe entrepreneurship is a mindset and a tool that helps individuals solve meaningful problems, utilize their own strengths, and create something new and beautiful. If that sounds like something you’d like to do, we can help.
