DISTRICT 71 MAGAZINE March 2020 HOW MUCH THINGS CAN CHANGE IN A MONTH! John Cox 2019-2020 District Director Hello Fellow Toastmasters I trust you are all safe and well and maintaining some kind of normality in this strange new world in which we find ourselves.

As I was putting pen to paper, I had to reflect on how much had changed in our lives since I wrote the last newsletter article in February.

Lockdown for many of us will be a totally new experience but we also have to think about all those essential services that are continuing to work in difficult and extraordinary circumstances to help and support us during this crisis.

The great round of applause for both NHS staff and HSE Staff in the UK and Ireland at 8.00pm on Thursday 26th March demonstrated the huge respect we have for all these people.

So how are we coping in Toastmasters? I believe we are more fortunate than many in that we have thousands of likeminded people all around the world, many of whom are now continuing to meet up via online meetings.

Many clubs have already started online meetings and have taken to it like a “duck to water.” Several have had Toastmaster visitors to their meetings from out flung parts of the world.

I have attended several online meetings now and was extremely grateful for being one of the 99 people that attended Nik Lakhani, Area 31 Director, and his supporting team’s webinar on Saturday. The recording of the webinar will be made available to all those that couldn’t make the call.

Don’t miss it. There were many tips, ideas, suggestions and nuggets of information that we can all learn from and are invaluable in this digital age.

Some of our Areas are already running their Area Speech Contests or planning to run them in early April.

Division Contests and ultimately District Contests will follow. We must recognise the hard work that our Area and Division Directors and all the other Toastmasters put into making these events a success We acknowledge that online meetings and particularly online contests may be a step too far for some members and that will be OK, but we must do all we can to try to offer members many of the same opportunities to meet and participate during this period as they have had in the past.

We also need to understand that some members will have far more important things on their minds than Toastmasters. However, a reminder that an opportunity to meet Toastmaster colleagues online twice a month might just help to take their mind off things for a while.

WORD OF THE DAY “COORIE” Gerard Mannix, Program Quality Director At regular Toastmaster meetings there is the “Word of the Day”. The Grammarian introduces this word and its definition, uses it in a sentence to help build our vocabularies. It is important that the grammarian gives the appropriate pronunciation of the word and, if possible, pick a word that ties in with the theme of the meeting. Members with speaking opportunities during the meeting are encouraged to use the Word of the Day in what they say. The Grammarian keeps track and count of the use of the suggested word. The Grammarian prints the Word of the Day on a sign for display during the meeting using letters large enough to be legible from the back of the room. At the general evaluation the Grammarian announces who used the Word of the Day correctly or incorrectly. Some clubs do a little mini-clap when the word is used. This may transfer to a mini-wave on the online platform!

In my own preparations, I have always been careless of how I choose words, believing that the important thing was to get on quickly while the idea is there - to tell the story, to get on with it, not to delay by rolling around a phrase until it pleases me, not inserting a nice melodious sentence just for the sake of it. I have often been afraid to pause and choose words that will appeal. Regarding the Word of the Day, I enjoy the challenge of incorporating the various words offered, especially when included in a speech. Yet I have never recorded these words and some would be challenging in day-to-day life.

I wonder, do the Irish have a bigger word pool?? My own view is that it’s a definite advantage to come from a culture that speaks a language with no words for Yes or No. You get around Yes or No if you were speaking Irish, like saying it is or it isn’t. It means you have to say more and make longer sentences.

Returning to the Word of the Day “COORIE”. In 2019, the Oxford English Dictionary added 650 new words.

Most of these words come from Internet slang and pop culture. Most of the words have already much use and are only reaching the dictionary lately. “Coorie” introduced in 2019 is a verb (intransitive) meaning to crouch, stoop, or keep low, especially for protection.

“Coorie” is also an old Scottish word expresses ... to cuddle, snuggle, hold close!!

Tips for thriving Online under Lock-down There is a lot of work going on in District 71 to help clubs get online for this uncharted period ahead. It is the same the world over now that approximately 1/3 of the population on Earth is locked down. On social media, Club Growth Directors and others have been discussing online tips and I want to share a few of these.

1. Bolstering internal club communications: share tips, relevant articles, updates and a few lighthearted messages to help keep spirits high; 2. Boost social media presence: include information about the club and the meeting on social media; 3. Enhance meeting quality by using video to visually connect; 4. Restrict video to just the person speaking to manage bandwidth; 5. Reduce the Toastmaster Role Burden: Have a technology master co-hosting the meetings to ensure meetings run smoothly; 6. Optimise meeting roles: (i) a Meeting Greeter to spend 15 minutes before the meeting inviting participants to introduce themselves, (ii) the Grammarian providing feedback on appearance in frame on video, and (iii) A Chat Monitor to answer chat questions and feedback to the meeting at the end; and 7. Expand your attendee list and grow your club: Invite past members who moved away to return as guests, reach out on social media, collaborate online to help weaker clubs, and create partnerships such as the local Rotary.

Welcome Bradford Speaks On 10 March our newest club chartered. Welcome Bradford Speaks Toastmasters Club (#7311213). Bradford is a city in the northern English county of West Yorkshire in Division N. This club has had an epic journey to chartership involving two Applications to Organise following the lapse of the first one. They did a Keep Calm and Carry on Meeting! Congratulations to all involved, particularly to Bradford Speaks Sponsors Liz Welch and Danny Riley for getting stuck in and reorganising the chartership attempt under the second Application to Organise. Fantastic teamwork!

Talk Up Toastmasters - Membership Building

The challenge of Talk Up Toastmasters is to add 5 or more new, dual, or reinstated members between 1 February and 31 March 2020. Clubs that succeed are recognized internationally by Toastmasters International and awarded a banner ribbon and a 10% store discount. District 71 goes further and adds progressive incentives of our own. As of 28 March we have added 332 members. Eighteen clubs have already surpassed the target. A further two coached clubs have earned District recognition by recruiting 3 or more new members. Fantastic and congratulations to these clubs. Full results in next month’s newsletter.

The importance of membership building online We will return to physical meetings and want to be in top form.

Thirty is very much the sweet spot for club membership as then meeting roles are easily filled and everyone has time and space to focus on excellence and flourishing rather than scrambling. When we are scrambling and overstretched, we are struggling to deliver the Toastmasters brand promise to members.

Empowering individuals through personal and professional development.

We need to keep ahead of attrition, and we need to remember the member always.

A closing remark Coronavirus is very real, people are dying, and some members are very directly affected as key workers, or are unwell, or suffering loss, or enduring economic insecurity. However, mis-attributed to Darwin is this quote on adaptability which captures well this moment we are in.

I believe collectively, working together, District 71 is more than a match for the turmoil of COVID-19.

Change is sensitive. As an organisation we have many deep traditions, customs, and procedures. These have their place, but they do not define us, and they are not Walter Miller’s very provocative sense of ‘peace’!? Be patient and supportive of each other!

Online Meetings – Connecting Toastmasters Globally Elizabeth Jordan, Hertfordshire Speakers Club

The increasing use of the internet and advances in technology have made it easy, efficient and effective to host online meetings. Popular collaborative software such as Skype, Zoom, GoToMeeting are used routinely by businesses and organisations to connect people globally.

Toastmasters around the world host a variety of online meetings including council and committee meetings; training, notably for Pathways; virtual conferences and contests and full Toastmaster Club Meetings.

Zoom is by far the most popular software of choice for online Toastmasters meetings. It has the core features of voice, video and screen-sharing and, in my opinion, feels as if it has been designed with the end-user in mind; it is user-friendly and intuitive and requires minimal training. In addition, it allows you to record proceedings which can be reviewed as often as necessary. An added attraction is that 1 to 1 meetings are free for as long as one wants and for 40 minutes for a group meeting. I am happy to see that many clubs have monthly or yearly subscriptions. Zaldy Co from Emperor Online Toastmasters, who introduced me to Zoom, makes the point that the online skills we learn at Toastmasters can easily be transferred to our professional work such as with client calls.

My own experience of participating in online meetings is overwhelmingly positive. I participate in online meetings daily for my work in the corporate world and once or twice a week in my role as a Toastmaster.

The benefits of online meetings are many.

It saves time and money because it eliminates having to travel long distances, sometimes in inclement weather, and at a cost. The committee of my home club, Hertfordshire Speakers club, has struck a nice balance in that we have a mix of both face-to-face and online meetings.

It has expanded my horizons in unexpected ways. I am a Pathways mentor to a Toastmaster who lives nearly 5,000 miles away in Curacao (Dutch Caribbean) and we hold our monthly mentoring meetings via Zoom. It works well with a formal or informal agenda and being able to see each other means that we can relate more easily. had the pleasure of hearing speeches that have broadened my cultural horizons, and my speeches have been evaluated by members who provided a different style and fresh insights to what I am used to at my home club.

Attending online meetings has accelerated my learning. I think especially of online meetings that included training in the early days of the Pathways roll-out. By joining an online club and attending meetings where members were super enthusiastic about Pathways, it was easy to become an early adopter and be ready to help my club when Pathways was eventually rolled out in our region.

A similar sentiment was shared by the doyenne of Toastmasters and online meeting enthusiast, Julie Kertesz, DTM. Online meetings enabled Julie to be one of the first adopters of Pathways from our region, and to subsequently complete her Pathways DTM in 2018. She has used Zoom online meetings and her gem-filled blog to help countless Toastmasters with Pathways-related questions and queries. Julie admits that she loves online meetings. A member of several online clubs including Witty Storytellers and Global Trainers Online, she has harnessed her considerable knowledge and experience, to mentor new clubs online in English and French.

Sudha Mani, a familiar contributor to online panels and a regular at online meetings explains: “……As a Toastmaster I find them convenient, flexible and they save time. I feel it is crucial that online meetings are planned properly and conducted in a professional manner, and it is important to help everyone feel comfortable with the technology……”

Nathaly, my Pathways mentee from Curacao (Dutch Caribbean), finds online meetings convenient because “…….you can sit in the comfort of your home and not have to travel. You can connect with others as if the world has become smaller”. In her District, D81, which covers the Caribbean region, online meetings are used in creative ways most recently in hosting a three-day online conference and Tall Tales contest. It was great to sit nearly 5,000 miles away in the UK and join them seamlessly via Zoom.

As Toastmasters we evaluate everything and so it is important to mention areas where online meetings can be improved.

“We cannot shake hand or pat someone on the back”, Zaldy Co pointed out, so it’s important to use the visual as well as the auditory tools to add a more personal touch. Again, Zoom is ideal in facilitating this connection.

Agree an etiquette guide that can be shared at the start of each meeting by the Online meeting Sergeant-at-Arms. Below is the guide we use at the online meeting hosted by Cornerstone Communicators.

In summary, online meetings whether they are for a committee meeting or a full-scale Toastmasters meeting or conference have many advantages. Zaldy Co puts its nicely when he said: “….Overall, the pros far outweigh the cons and it is time for everyone to dip into the technology. Don’t miss out!”

Best Practice from Online International and Evaluation Speech Contests Elizabeth Jordan shares with us her experience of attending the Area 31, Division N Online International and Evaluation Speech Contests and carrying out the role of Chief Judge over the weekend of 28/29 March 2020.

All contests and pre-meetings were conducted via Zoom 1. Form a Planning Team consisting of the Zoom Master, the Chief Judge and the Contest Chair and any others you consider necessary. You may also consider inviting the backups for each role and the Sergeant at Arms. [The Zoom Master’s role is a technical role and this must be someone who is confident and competent with technology and Zoom and can remain calm in a crisis. Chief Judge needs strong organisational and planning skills and Contest Chair needs excellent communication skills and can interview candidates and keep the agenda flowing].

2. Contestants need training before the contests in areas such as lighting, backgrounds, gestures, props etc 3. Create WhatsApp Groups for ease of communication e.g. Judges Group, Contestants Group, Planning Team Group etc 4. Draw expertise from across the globe e.g. Nik Lakhani, Area 31 Director invited members from his online clubs globally to assist with the contest: Contest Chair from Canada, a backup Zoom Master from Ireland and a Chief Judge from Southern England (D71 – Elizabeth Jordan). Judges were from far afield as Hawaii and Philippines and Timer1 was from Azerbaijan.

5. Email contest paperwork a few days before the contest and include a specific return by date e.g. I requested signed completed Judges eligibility forms by 18:00 on 28 March. I provided options to return by email, text or specific WhatsApp Group e.g. Judges WhatsApp Group.

6. Conduct pre-contest briefings a day or two before Contest Day and confirm receipt of signed eligibility forms or Contestant profiles. Draw Speaking order. Minimise operational activities on the day.

7. On Contest Day, open the line at least an hour before the contest. Planning team arrive first and review the agenda. Zoom Master moves Chief Judge and Contest Chair move to their breakout rooms for briefing and last-minute questions.

8. There are different ways that Judges appear on the Zoom call 1) They appear on screen with generic names as Judge 1, Judge 2 etc and have videos off throughout the contest i.e. complete anonymity 2) Judges keep camera on throughout contest and show names 3) Everyone’s (contestants, judges and all) mic and videos are off and speaker only sees the Timer.

Having seen all in action, I prefer option#1. In a post contest discussion, a couple of contestants said they found #3 the most difficult not being able to see any faces.

9. Timing – Have two Timers. I have seen several ways of managing timing at the contest. My preference is to have the Timer change their background with the name of the colour written on it.

For partially sighted people, the time must be spoken aloud. This should be agreed at the briefing meetings.

10. Chief Judge should agree on the day how information will flow e.g. Judges send top 3 winners via chat to two Counters and then email photo of the bottom part of ballot form to Chief Judge. (validation). Both counters and Chief Judge will count the votes and make sure that results match.

Timer sends message to Chief Judge regarding any time disqualifications and then sends photo of full set of results to Chief Judge. The Tie-break Judge send photo of full set of results to the Chief Judge via email or WhatsApp. 11. The Chief Judge and Counters meet in the Judges Briefing to count the votes.

12. The Chief Judge completes Notification of Contest Winner form and emails photo to Contest Chair, and CJ also sends the results (1,2,3) to the Contest Chair via Chat or WhatsApp. 13. Confirm whether results will be shared after each contest or at the end of both contests.

14. Decide if you will share certificates or images of the trophies on the screen as you interview the contestants and congratulate the winners.

15. Applause: Need to decide whether to stay on mute and do silent applause or jazz hands or open mic at the end of all speeches and do the applause.

16. Chat room is a vital means of communication and it is worth having a Chat Room Monitor to liaise with CC, CJ and Zoom Master.

17. If you are running two contests, have a 5-10 mins break in between.

18. Contest Chair thanks officials, contestant and guests and closes meeting.

19. Take a photo of the gallery view to share on Facebook.

20. Review what went well and areas for improvement.

News from Division F – Rob Partridge. Division F Director

Greetings fellow Toastmasters!

Welcome to Division F. I’m Rob Partridge DTM and being Division Director is just one of the many hats I’m wearing during this season of Toastmasters. You join us at an interesting time not just in Toastmasters but around the world in general. We’re all about to hit the ground running as we learn new techniques and skills to run meetings and contests while this virus restricts us.

It’s not going to be easy, there’s going to be resistance, but we’re Toastmasters, we can do this! Enough about that, let me tell you about Division F. Division F covers five different areas, twenty-one different clubs and four hundred and forty-one members, starting from the northern most club in Ireland, Foyle Speakers, all the way down to our oldest club, the Athlone Club, which chartered on the 1 June 1987 - my birthday!

As Division Director I’m aided in my job by four AWESOME Area Directors Area 4 - Kamil Kornatowski Area 12 - Maeve Barry Area 27 - Dolores Brady Area 38 - Eddie McGurrin You may not have noticed but there’s only four areas listed there although I mentioned earlier how we’re broken down into five areas. Unfortunately, Area 9 currently doesn’t have an Area Director so I’m filling in as ‘acting’ Area Director - one of the aforementioned hats I said I was wearing this term.

In this season we’ve been privileged to see a new club begin, and it’s not just any club, it’s an advanced speakers club. The West’s Awake club, based in Claremorris, boasts some of the most experienced speakers in the area and continues to grow and be an amazing club.

With expressions of interest from a few individuals and a couple of companies, the division is just going to keep on growing.

With the division covering such a large area the range of talent and experienced Toastmasters is huge and makes attending meetings other than your own very enjoyable.

From the welcoming smiles of the Tuam club to the entertaining stories of the Foyle Speakers guest are always made to feel welcome and new members are encouraged to take part and move along their Toastmasters path.

On a personal note it’s been a joy working as Division Director this year. So much so I’ve thrown my name in to the ring to do it again! It was a rocky start due to some of the Area Director roles not being filled but with the help of the clubs, the area directors and the district team we’ve overcome those initial problems.

The year has been busy. As I said earlier, this year I’ve had many hats on. As well as being Division Director and acting Area Director for Area 9 I’m also the Vice-President of Public Relations for my club (Loughrea Toastmasters). With the work those three roles bring (and trust me - three roles brings a lot of work) as well as my 9-5 job, family life, social life and the fact I’ve returned to education for the first time in over twenty years, it really has been a busy year. But I got through it and much of that is thanks to Toastmasters.

As well as the leadership skills (needed to manage everything I’m up to!) Toastmasters has given me, I’ve also gained three very important things. Confidence, encouragement and friendship.

Following the Toastmasters plan I’ve gained the confidence to be able to take on the many and various roles and tasks required to be a good and dedicated Toastmaster, as well as finding the time to have a life outside of Toastmasters! I’ve been given encouragement from my fellow Toastmasters to continue in this role, even faced with the difficulties early on. I’ve found friendship in my fellow Toastmasters, from those at my first club meeting to those new members of my current club.

Confidence, encouragement, friendship. They are powerful allies. Toastmasters gives you these in abundance.

I look forward to welcoming you to Division F and any one of the confidence building, encouraging and friendly clubs we have.
