THE CHOA OFFICE TASKS IN A NUTSHELL The forefront of our Estate, our friendly personnel at the CHOA office are always on hand with a smile and a willingness to help. Behind the scenes their office tasks are no mean feat and so we decided to investigate a little more on this efficient team’s (made up of the full staff compliment) monthly to-do list... For a start, Board meetings are attended after hours on a monthly basis where the Board receives prepared monthly reports including the following: • A detailed General Manager’s report on current issues, status updates and concluded issues. • Financial records and bad debts are addressed. There are full reports done on 60 day debtors and proposed hand overs of outstanding accounts. • A detailed security report is compiled of all incidents, activities and infrastructure. • All correspondence is indexed, filed and recorded. This information allows the Board to gain insight into the Estate’s current status so they can make informed decisions. The CHOA office monthly tasks include: • SLA meetings for all new and renewable contracts. • Electronic system maintenance. • Council responsibilities including the reporting of street lights (around 15 per month), pot holes (around 35), electrical matters (stolen cables) and water leaks. A survey is done each Sunday and together with resident reports received, Council is contacted every Monday. • The arrangement of CHOA social events. • The compilation and approval of the Interface Magazine. • Interaction with residents visiting the office. • Dealing with complaints and disputes. • Ensuring all legislative requirements are met. • The monthly survey of maintenance and gardens after which a report is done and issues are addressed. • Registration and bond applications - an average of 5 per

month are dealt with. New resident interviews - around 5 new homeowners per month and 5 new tenants per month. Building plans are submitted and sent to for architectural approval - around 5 per month. Our biometrics systems holds around 5 000 fingerprints and 500 tags so the office deals with an average of 5 000 updates to this system per month. Domestic changes, vehicle changes and telephone or email address changes are constantly being done to ensure the database is kept up to date. The Glovent system and website are kept updated and maintained. The Accredited Estate Agents are updated and maintained. Show houses are also arranged. Should any penalties be issues, these are followed up on and checked. All incidents whether minor or major are investigated and reported on. CSOS matters are dealt with. Trailers are addressed. Overall correspondence entails around 30 letters a month. Council meetings are attended most of which occur after hours. Committee meetings are attended after hours. The HR system is implemented and maintained. Occupational Health and Safety regulations are implemented and maintained. An average of 800 security checks are done every 24 hours.

It’s no wonder our office staff are always kept busy. Ensuring we maintain our goals of safety, security and investment is a full time task! And one that we’re sure you’d agree is being done to the utmost professionalism. Thanks to our hardworking CHOA team.

FINANCIAL POSITION - HIGHLIGHTS: The finances are sound as shown in the statement of financial position. The CHOA is a disciplined company and the expenses are managed well within the guidelines of the approved budget. Levies are paid well on time, our net debtors book is paid 12 days in advance. Total cost growth is 5% for the twelve months. Our major categories of expenses are well contained as can be seen in the YOY percentages. The CHOA is well capitalized. The capital projects are managed well and approved yearly at the AGM. Three projects namely; replacement of license scanners and booms and the improvement of the security access-physical gates will be carried over to the FY2020.

FEEDBACK ON REMADE RECYCLING SERVICE SURVEY 2019 During March 2019 residents (owners, tenants and off-site owners) were invited to participate in a survey regarding the new service provider for the Centurion Residential Estate and Country Club. A total of 236 members participated over a 16 day period.
