Welcome Welcome to the Annual Stewardship report of the Parish of Saint Mary of Colts Neck, New Jersey. The informa on enclosed reflects our financial performance for fiscal year 2020 which is the period from July 1st, 2019 through June 30th, 2020. Also included are our full calendar year sta s cs for 2019. The spiritual and economic health of our parish community relies on the cumula ve efforts of our Pastor, staff, councils, ministries and volunteer parishioners. We would like to thank all those who contributed to the successes reflected in these pages.

Reverend Fr. Jeffrey E. Lee, MDiv, MA, ThM Fifth Pastor Catholic Resiliency The calendar year 2019 was a time of great hope and optimism for our parish community. Participation in our communal liturgical worship remained steady. Some long-time bona fide parishioners died, while others relocated in order to downsize.

New catholic families continue to settle into our 07722 community. Some of them are finding their way to our parish community, others choosing another parish and others remain indifferent about becoming parishioners of a particular parish.

Some of our parishioners serve as ambassadors of our parish to newly relocated neighbors by inviting them to our parish.

Religious education and faith formation opportunities continued to focus on assisting parents in forming children and young people. Opportunities continue to be develop in order to meet

the changing needs of families. Commitment to the poor and needy remains a priority as we partner with Catholic organizations throughout Monmouth County and Central New Jersey. Maintaining our facilities as a place to gather for various activities as well as our continuing commitment to environmental responsibility remain an on-going priority. Stewardship of Time, Talent & Treasure continued to take root in our parish.

Then we were advised about potential health risks from something called the Corona Virus.

Responding to these reports our parish stepped up some measures to increase cleanliness and readiness of our parish facilities. As the CoVid-19 pandemic took shape His Excellency, The Most Reverend Bishop of Trenton, in consultation with others, directed parish pastors to be mindful of necessary safety pre-cautions; then issuing a dispensation from the Sunday Mass Attendance Obligation; then directing that Sunday Masses in person should be suspended; and finally, the closure of all parish facilities throughout our four county Diocese of Trenton. This was an unprecedented act in the history of our Roman Catholic Church. However, acting upon available information and in collaboration with health and civic leaders, His Excellency acted deliberately in order to protect the faithful and the priests.

The CoVid-19 shutdown of religious facilities and the suspension of in person mass (thus preventing the regular reception of Holy Communion for months) was shocking to many of us. The reaction was varied; however, what resulted has been extraordinary. Being prevented from the reception of Holy Communion created an environment for many Catholics to seriously reflect on what it means to be Roman Catholic and how the frequent and regular participation in the mass with the reception of Holy Communion is at the center of our spiritual life. way, although very imperfect, by offering a weekly broadcast mass via YOUTUBE in order to keep our parishioners, present and past, connected. I say this is imperfect because unlike other Christian Communities our Sunday worship is not complete without offering the Eucharist to the faithful. We are committed to providing this broadcast mass into the future as long as the dispensation from the obligation to attend Sunday Mass remains in effect.

Our parish participated in an Increased Offertory Program during the Fall 2018. It helped us to increase our Sunday Stewardship offerings. Our parish staff made a commitment to cease all fundraising in order to re-focus our parishioners on the importance of Stewardship of Treasure sharing in the weekly Sunday collection. I am grateful to all those who responded to this invitation.

Our financial position became quite uncertain with the CoVid-19 shutdown. I was very concerned as to how we might fund the basic carrying costs just to exist, fund the payroll to support our coworkers who have families, mortgages, etc‌. Acting very quickly we froze all spending that was approved in the budget, cancelled some others, postponed other services as long as possible. This provided a small window in order to re-group. Our parish was one of the first to apply, have our application received, and be approved for the Cares Act Payroll Protection Program. Without this grant we would have been in a very difficult deficit situation. The regular prayer and financial support of our bona fide parishioners began. With the understanding that as parishioners we are stakeholders in the mission of our parish, financial contributions were received through electronic giving, mail in contributions, and others dropping them into the mail slot. The steadfast commitment and generosity of our parishioners helped us through this uncharted adventure.

His Excellency, The Most Reverend Bishop of Trenton announced the re-opening of our Church Building for private prayer before the Most Blessed Sacrament reserved in the tabernacle and quickly thereafter for the restoration of the celebration of Mass with certain restrictions. Our parishioners responded resiliently. Trusting in the credibility and leadership of our parish staff to be in compliance so that we might restore our communal liturgical practices, many offered to assist in whatever way needed. We continue to cautiously restore some aspects of parish life. We will continue to monitor these activities and prepare for the restoration of others as we are able to do in compliance with the basic expectations of our church and civic authorities. Let us continue to pray for our parish community, especially those who are struggling, those who are fearful, those who feel marginalized.

Take some time to prayerfully and deliberately read these pages. It is our way as a parish staff of being accountable and transparent to you our parishioners and stakeholders. May the Light of Christ continue to radiate from our parish community. May our Blessed Lady under the title Mary, Seat of Wisdom continue to intercede for us. Peace Â

A Brief Introductory Note: Numbers and trends that are referenced in this ar cle are mainly compiled from the la er half of calendar year 2019 and the early part of 2020, and do not reflect the temporary closure of this parish due to COVID‐19, nor the phased reopening process. There is an addi onal sec on at the end of this ar cle which references those par culars separately.

Mass A endance and Worship Prac ces A endance at Mass, ac ve par cipa on in the liturgy, and recep on of the Eucharist are the tent poles of our Catholic life, inside the walls of our worship spaces. The la er half of 2019 and the early part of 2020 saw a steady number of a endees at weekend and weekday Masses. When compared to previous years, a endance is down slightly overall, a few percentage points.

However, there has been a notable shi in the numbers counted at specific Masses. While the an cipatory Saturday Mass and 10 AM Sunday have always remained popular and the most well a ended, there has been a slight decrease in weekly a endance at the 12 Noon Mass on Sundays, and a slight up ck in the 8 AM. Weekday Masses remain steady at about 35‐40 persons on average, with a notable increase in Lent to around 50‐55 when worship moved into the Parish Hall chapel.

Our Ministries and Members We have 162 ac ve volunteers who give of their me to serve in our various liturgical ministries at weekend Masses. This is a decrease from the previous year’s 174, as we had some members move, and some re re from the ministries, without them having been replaced.

Many of our volunteers work hard and o en. And while this is certainly commendable, some individuals end up serving with much greater frequency than others; some mes by choice, but more o en by necessity. With weekly a endance just under 1,000, we should expect a volunteer base of about 220‐ 250, yet we have considerably less than that. We are always in need of more volunteers in each and every ministry. Some have been hit harder in recent years than others in terms of re rements, but all ministries are in need of an increase in order to serve our parish well.

A secondary issue compounds the first is the preference of volunteers to only a end certain Masses. As men oned previously, the Saturday and 10 AM Sunday Masses are greatly preferred by many of our volunteers, and those who serve at those Masses do so with less frequency as the numbers are greater. However, the other Masses are o en understaffed: The 8 AM Mass is

(cont.) o en short on cantors and altar servers, the Noon Mass is o en short on altar servers, readers, and especially extraordinary ministers, and posi ons are o en le unfilled, leaving the same few people to step up at the last minute to cover open posi ons. It is therefore recommended that volunteers consider a ending at different Mass mes and signing up to do so with our scheduling so ware.

Finally, at certain points of the year, ministerial volunteers become more important than ever, and it is not a coincidence that these mes are always busy mes with family and out‐of‐church ac vi es. The prepara ons of the campus for Christmas and Easter require a great deal of labor, not all of it physical, but volunteers are severely lacking during those mes. The making of commitments to serve on Holy Days is also proving difficult. To use the same high feasts as examples, there are 5 Christmas Masses and 7 Masses for Easter and the Triduum, each requiring many hands to func on efficiently, and we o en go with empty posi ons for many of those Masses. At these mes, when the church is more full than ever as family, friends, and visitors join us for worship, it is ever more cri cal to fully staff our ministries.

All Things Musical Our music ministry con nues to evolve as we strive to be more in line with the Universal Church, using guiding documents such as the General Instruc on of the Roman Missal, with a focus on solid theology, well‐wri en hymns and songs, liturgically accurate texts, and the occasional challenge piece for the choir.

Beginning Advent 2019 we adopted a new worship resource for the pews, The Book of Sacred Liturgy, which was selected a er input from many parish members and stakeholders. It is a fine publica on, containing readings, psalms, an phons, etc. for every single day of the year, and a variety of hymns and songs, both new and old, to add to our worship experience.

As with all of our ministries, we saw a small decrease in music ministry. Calling a en on to our congrega on size once more, our music ministry should have double the amount of members that it currently does, especially where the choir and handbell ensemble are concerned. As music is an integral part of the liturgical experience, we should strive to always offer our best to the Lord, and make music to his name.

The 2nd annual Summer Sounds concert in August 2019 was well a ended and well received, and I thank those who a ended and supported this endeavor. It is the hope to be able to offer more performance at the parish in the future, con nuing our rela onship with en es such as the Monmouth Civic Chorus, and building new ones.

The Pandemic The COVID‐19 pandemic brought us to a halt in mid‐March, as well are all well aware. Towards the end of the Easter season, we began our broadcasted Mass, to be able to reach everyone at home with God’s word, and offer praise to him in spiritual communion.

When we were able to re‐open our doors and worship together at Mass in mid‐ June, I was pleased with the number of parishioners who have returned. We con nued to offer the broadcasted Mass and will do so for some me into the future. We were, however, hit hard in the volunteer department, as our number of ac ve volunteers in July 2020 dropped to 139. It is en rely understandable that many are part of a vulnerable popula on or are concerned for their health and safety, and that of their families. I hope that those who are currently refraining from serving, especially our younger volunteers, will join us again as we emerge from this trying me in our lives.

Last Words In summary, we are a strong, prayerful and ac ve faith community. The challenge remains that a smaller than average percentage of ac ve parishioners are engaged in ministry.

I encourage all of our members to prayerfully consider giving some of their me and talent to the community. Whether it be singing in the choir, ac ng as a subs tute usher on Holy Days, giving up a few hours to take down the Christmas decora ons, or wherever the Spirt directs you, the community is always grateful for the contribu ons of its members.

Administration Report Edwin A. Sevillano, MBA 2020 will be recorded in history as the year COVID‐19 changed the world as we know it. The mission of the Church remains consistently the same through history and in difficult mes like this our faith provides a strong balsam of hope. Work in our parish con nued in the midst of the pandemic and thanks to the support of our parishioners great things were accomplished while other areas will need our a en on in the months and years to follow.

In the following lines we highlight some of what was accomplished this past Fiscal Year 07/2019 – 06/2020 in the areas and ministries under my oversight.

FACILITIES: Tree reloca on: In the Fall we worked in beau fying our campus by transplan ng and rearranging trees. Some of them had been planted to close to each other and were not developing properly. Others had died leaving openings. At the same me planter boxes in the center of the parking spaces were removed to make snow removal easier. Tree lines are now consistent in the field along route 34 and next to the driveway to route 34. A new pine tree for “Light up a Memory” has also been planted. More trees will need to be relocated and planted in the coming years as our budget allows.

Chapel renova on: During Lent our daily mass chapel func ons in Parish Hall which allowed us to do some necessary renova ons to Christ’s Chapel in the Spiritual Center. The walls were covered with insula on and sheet rock to manage be er our climate control system. The square‐track light fixture was replaced with a round one with LED dimmable lights which makes the space within the octagonal dome more harmonious. The wooden dome was stained with a lighter color to allow light reflec on. The sacristy was updated with new cabinets, sink and lights. While the work has finished the chapel is s ll not being used as such as the space is not in compliance for proper social distancing of those a ending daily mass. In the mean me the space is being used as a mee ng room as it allows sufficient social distancing.

HVAC equipment upgrades: We con nued upgrading our Carrier HVAC roo op units in the Spiritual Center which we started last year. Economizers have been installed in the chapel, theatre and office & classroom units which allow fresh air intake and make the equipment run more efficiently. This is especially crucial now to ven late our rooms for sanitary reasons.

Office ceiling les and light fixtures upgrade: While our offices were closed to the public we had the opportunity to do some work indoors. We replaced the original ceiling les which had been installed in the 1980s and had water stains and mold, repainted the grid white and upgraded the fluorescent light fixtures with new LED fixtures which provide be er ligh ng, require less maintenance, and are more energy efficient. As we had done in prior years with Madonna Hall and the Theatre, this me we upgraded the offices, mee ngs rooms and hallways in the Spiritual Center.

Parking lot maintenance: We con nued what we started last year patching sec ons of our parking lot. This me we worked in the driveway to route 34 and some areas in the parking lot which showed more deteriora on and had potholes. As resources become available we will con nue recoa ng other sec ons of the parking lot.

Other projects that were in the plans but had to be postponed include the regrading and well upgrade of the parish house and the conversion of the small rooms by the Chapel into a mul purpose mee ng room.

STEWARDSHIP: The first half of our fiscal year we con nued showing an increase on the Sunday collec on as a result of the increased offertory program launched in the fall of 2018. A number of our parishioners con nued their commitment and we achieved a 10% increase in our Sunday offerings compared to the amount collected in the same period before the beginning of the program. This trend however was short lived. COVID‐19 stroke us in March, we were forced to suspend the celebra on of masses and that impacted nega vely our main source of income which is the Sunday collec on. Many parishioners switched their offertory to our online giving pla orm during those months and others started mailing in their offertory while Masses were suspended. This was crucial in those cri cal months: without income we would have had to lay off or furlough our staff. Fortunately the government through the Small Business Administra on launched the Payroll Protec on Program (PPP) and for the first me ever churches and 501 (c)(3) nonprofits were eligible to apply to this federal assistance. We learned early on of the PPP and were amongst the first parishes to receive funding.

Right at the me of the lock down for the pandemic we had launched our Easter Collec on. We were unable to celebrate the Sacred Triduum with the faithful during the most important me of the year for our faith. The response of our parishioners was incredible and we received many Easter dona ons by mail and thru online giving. The Easter collec on was only $6,185 under budget, which is an extraordinary witness of our parishioners’ faith and role as stakeholders of the parish.

At the same me we were unable to gather for mass, we could not celebrate bap sms, weddings, nor masses of Chris an burial. First Communions were postponed. All of this also hurt our stewardship deeply. It is also important to men on we did not receive a rebate for the 2019 Annual Catholic Appeal as we did not reach our goal but got a $10,000 gi from a generous parishioner to supplement the income lost. Overall at the end of the fiscal year our income showed a decrease of $135,000 as compared to the prior year. The PPP grant funded $113,500.

The road ahead of us remains uncertain. Our efforts should be focused to bring our income back to the offering levels we had reached before the start of the pandemic. We also need to start planning for the future and building a con ngency fund in case of an emergency, whether a natural disaster, another pandemic or an unexpected major expense. Bequests and legacy gi s are always greatly appreciated. We pray for our parishioners and benefactors for their con nuing support to help St. Mary Parish strengthen as a vibrant self‐sustained parish.

The Diocesan capital campaign Faith to Move Mountains con nued on its redemp on stage this past year. From the total pledges of over $1.3 million $1,055,000 have been received by July 2020. We remind and encourage our parishioners to con nue making your pledge payments as the parish benefits from the rebates received from the campaign. It is important to point out that FTMM rebate funds are restricted for the items listed in the case statement.

The 2020 Annual Catholic Appeal was launched in February with the goal to raise $75,000, the same as in recent years. Our parish was doing great up un l the beginning of COVID‐19 then things slowed down. At the me of preparing this report 188 households have pledged to the ACA raising $46,865. With several months ll the end of the year, we urge those parishioners who have not made a gi yet to support the 2020 ACA. OUTREACH: While some of our partner organiza ons serving the poor and needy had to shut down due to the pandemic, we con nued suppor ng other organiza ons which remained offering assistance in those cri cal months especially food banks.

Other programs earlier in the year operated successfully such as the Thanksgiving Food Collec on which provided 227 grocery bags and 180 turkeys for those less fortunate in our midst, the Tree of Love which provides Christmas gi s to many children in need, and Sponsor A Family and Adopt A Family programs which strive to connect our religious educa on families with families in need of the larger community.

More recently we have established a new cohort collabora on with St. Catharine Parish of Holmdel as we are now providing our food collec on to their food bank.

Please know your dona ons to our food cart in church are always welcome.

COMMUNITY BUILDINGS EVENTS: Our community events and service events were also impacted by the social distancing rules and the limita on on the number of people gathering. The events that happened earlier in the year were: Agape: our “Coffee & Doughnuts Sunday” was offered 5 mes from July thru February.

Saints & Heroes/Halloween Halls was offered on Saturday October 26 with the par cipa on of about 200 children of all ages. Many children a ended the 4 pm mass wearing their costumes.

The Advent Pancake Breakfast was another success this past year with close to 600 par cipants and dozens of volunteers of all ages.

Fall Grounds Clean up: we gathered many volunteers to help us rake leaves, pick up brush and take care of our property in prepara on for the winter months.

At the me of wri ng this report it is uncertain when we will be able to offer any community building events during the pandemic.

In summary this was a year with many good things but also with a dose of uncertainty. We look forward to return to the normal flow of ac vi es and count on the generosity of our parishioners to con nue to care and provide for their parish. Prior to the start of Covid‐19 there was a steady progress towards stabilizing the fiscal soundness of the Parish of Saint Mary. During that period there was a decline in collec ons. However, that decline was mainly offset by a reduc on in expenses.

The Parish also applied for the PPP (Payroll Protec on Program) and was able to maintain the employees on payroll.

Fiscal year July 1, 2019 through June 30, 2020 resulted in revenue over expenses of $85,867 before mortgage principal and past bills payment. Highlights of the year’s financial results are:

 As a result of Covid‐19 weekly offerings were $46,468 less than the previous year during the same period March

15 through June 30.  The PPP government grant added $113,500 revenue.  All fundraising events have been eliminated as part of 2018 Increased Offertory Program.  Overall expenses were $17,271 less than previous year mainly due to decrease spending of budgeted building repairs and supplies.

The overall financial condi on is as follows:

 Financials are prepared on the accrual method and therefore expenses are recorded when occurred and not

when paid. A er taking into account the principal mortgage payments of $73,335 and outstanding Catholic School Support invoice of $21,798 the bo om line deficit was $14,666.  Vendor payables decreased due to fewer June invoices that were paid in July.  Elementary and secondary school support was not paid in this fiscal year.  The mortgage balance on exis ng loan was reduced by $73,335. Interest payments are being made on the building loan with principal payments to be paid in the future.

Going forward for June 30, 2021 a loss of $47,147 is an cipated. The loss is due to increase in expenses for items that were put on hold due to Covid19 and the following should s ll be considered:

 Increase of Sunday Stewardship giving is necessary to offset loss revenue from elimina on of fundraisers.  Expand the use of online giving to steady revenues especially when families are out of town.  Consider bequests or legacy gi s to provide for the future.  Con nue to address physical facility and equipment maintenance and care of grounds.

Jim Bridges, Ph.D. This has been a year full of moments of growth in learning, faith deepening and sharing, social concerns ac vity, and fun.

Religious Educa on Program: In the 2019‐20 school year we had 487 registered students.

237 Summer intensive – grades 1‐6

The Summer Intensive Program con nued to be a tremendous success. A roster of professional Catholic school teachers taught and guided our 237 students in our two summer sessions.

Online students work through a curriculum tled My Catholic Faith Delivered. Student progress is monitored. Students need to successfully complete one grade level before moving on to the next.

A minimum of four Intergenera onal sessions are required for our Summer Intensive and Online students. These are family learning sessions and/or events held throughout the year which consist of teaching, liturgical, family par cipa on, and Penance/Reconcilia on. Various ministerial ac vi es are also included.

Our 7th and 8th graders met on Sunday evenings between September and May as they prepared for their Confirma on in the fall of their 9th grade year. We had 11 facilitators working with the students.

Adult Faith Forma on

We have several ongoing study and spiritual forma on groups mee ng in the parish.

Walking with Purpose is a Catholic women's bible study offering programming to connect women with their Catholic faith through personal study and small group discussions. Aiming to also help women develop a deep meaningful rela onship with Jesus Christ, several different programs were offered: Opening Your Heart, Living in the Fathers Love, Fearless and Free, Keeping in Balance, Sunday Readings Bible Study, and Be S ll Daily Devo onal. A total of 49 women par cipated.

Bible study groups involving both men and women worked through two separate programs: Psalms, and Revela on

Dr. Bridges delivered a series of presenta ons during the year. These included “Calling All Angels,” and “Satan and the Personifica on of Evil.”

Faith Formation and Religious Education (cont.)

The Martha Mary Guild for women provides vibrant programming throughout the year incorpora ng all aspects of parish life (community/ hospitality, prayer/worship, faith forma on, outreach & stewardship). The guild begins all mee ng with the rosary. The annual clothing drive and sale in Sept. raised enough money to support worthy organiza ons in the community benefi ng women and children in need.

Respect Life Ministry par cipated in programming proclaiming human life as a precious gi from God and promo ng life from the moment of concep on to natural death.

Book club opportunity: Spiritual Reading (Tuesdays) with Sr. M. Francis Lomeo. Many great books were read, discussed and applied to life situa ons.

Book Give‐Away & Kiosk – To provide faith filled resources to the community, a variety of faith‐ filled books are distributed throughout the year.

Li le books of reflec ons were also distributed during Advent (blue book) and Lent (black book), and a white Easter book of reflec ons. A diverse assortment of complimentary forma on literature, pamphlets and resources were available on the kiosk in the gathering space and at the daily and Lenten chapels. Resources for children were added during Advent and Lent. Grieving materials were shared with bereavement ministry.

Sacraments Bap sm: Thirty‐Eight infants were bap zed with parent couples a ending Bap sm prepara on session. During this now one (1) hour session, increased from 30 minutes, couples are instructed not only on how the Rite of Bap sm takes place, they are advised of their role as the PRIMARY teachers of the faith and provided literature along with take home study materials that go beyond “the bap sm.”

First Penance and First Holy Communion:

60 second grade children received the Sacrament of Penance in December 2019 as part of the parish’s Advent Penance Service. They were scheduled to receive their First Holy Communion in the Spring of 2020. Their recep on was postponed un l the fall of 2020 due to the suspension of weekly Masses during the Covid‐19 pandemic. Second Graders, whether prepared during Summer Intensive or on‐ site, receive religious instruc on over the course of the year, first preparing for and receiving the Sacrament of Penance and Reconcilia on prior to their recep on of, and how to properly receive, the Eucharist.

Confirma on:

68 young adults were Confirmed in October 2019. For young adults, the process is a two‐year on‐site prepara on program with classes every other Sunday, taught by over 20 volunteer facilitators. Their recep on of the Sacrament is based on their readiness.

We have two adults that were prepared for full ini a on into the Catholic Church and our parish community. This would have occurred at the Easter Vigil, but was postponed un l November 1, 2020 (All Saints Day).
