REGULATIONS AND POLICIES

CLUB RULES AND REGULATIONS

The following are the Club Rules and Regulations as adopted by the club ownership and management. Members, their families and their guests are expected to be familiar with and abide by the following Club Rules and Regulations regarding banquets and events.

• Members shall be responsible for the conduct of their guests.

• All private events must be hosted or sponsored by a Club member. The member is held directly responsible for any costs associated with each event and all costs will be billed to the member’s account, unless otherwise pre-arranged in advance with the Catering Office.

• A 22% service charge and an 9% sales tax are applied to all food, beverage and miscellaneous charges. Additional gratuities are not permitted for service personnel.

• The Ledges is not responsible for the loss of any merchandise or articles brought into the Club or any items left unattended. Items will not be stored overnight. All items must be removed on the day/evening of the event. Any remaining items will be disposed of that day/evening.

• All pricing in this menu is subject to change, based upon market conditions. Menu prices are valid only upon receipt of completed, signed contracts.

• Rice, birdseed and confetti shall not be used on Club premises.

• Open-flame candles are not allowed. Please ensure that your florist provides mechanical candle, hurricane globe or appropriate glass container for each candle.

• The Ledges does not employ a full-time valet service. Valet services are available through the Club by making arrangements in advance of your event with the Catering Office. There is a charge of $75 per valet.

• As a full-service club, no food or beverage may be brought onto Club property with the exception of wedding cakes and wines of a rare vintage that the Club cannot obtain. A cake cutting fee of $100 will be charged. A wine corkage fee in the amount of $20 per bottle will be applied if you bring your own wine.

• All food and beverage must be consumed on Club property. With the exception of wedding cakes, leftovers may not be removed from the premises.

• The Club reserves the right to reassign your room if the guarantee drops or grows beyond the capacity of the room.

• In the event of a 30% or more chance of rain or inclement weather, the Club reserves the right to decide three hours in advance of any function as to whether or not it should be moved indoors.

• All outside entertainment must conclude no later than 11 p.m.

• The Club Pool is open Memorial Day through Labor Day, and will remain open during normal operating hours regardless of events scheduled.

• No lawn receptions can be held after October 1.

REGULATIONS AND POLICIES

HOURS OF OPERATION

• The Club’s normal dining hours of operation are Tuesday-Thursday from 11:00 a.m.-9 p.m., Friday-Saturday from 8 a.m.-10 p.m., and Sunday from 10:30 a.m.-6 p.m.

• The Club closes at 6pm on Sundays. A request for a banquet function after 6 pm on Sunday is subject to the Chief Operating Officer’s approval. A $2000 minimum will be charged and entitles the host to use of the pre-arranged rooms of the Club, and is subject to 22% service charge and applicable taxes.

• The Club is closed on Mondays. A request for a banquet function on a Monday is subject to the Chief Operating Officer’s approval. A $2000 minimum will be charged for Monday events and entitles the host to use of the pre-arranged rooms of the Club, and is subject to 22% service charge and applicable taxes.

• A late fee of $500 will be applied for any function lasting past midnight with an additional $500 charge for each hour or portion of an hour thereafter. We suggest concluding your event by 11 p.m. to allow for a standard 30-minute departure.

GUARANTEES

• Wedding guarantees are due 3 weeks prior to date.

PRIVATE EVENT MINIMUMS

• Breakfast – all guests are required to have a plated breakfast or continental breakfast buffet and exit the room by 10:30 a.m.

• Lunch – all guests are required to have a minimum of two (2) plated courses or a full lunch buffet.

• Dinner – all guests are required to have a minimum of two (2) plated courses or full dinner buffet. Please note that the wedding cake from an outside vendor does count as your third course on a plated dinner.

• Cocktail Reception – a minimum of eight (8) items from the reception menus, with at least two (2) pieces per person of savory items are required. This minimum can be met by using one of the reception/wedding packages or by selecting from the ala carte reception menu.

REGULATIONS AND POLICIES

BAR POLICY

• As a responsible vendor, The Ledges must abide by the regulations enforced by the Alabama Liquor Commission. No guest will be served under the age of 21 years, on the day the event takes place. Also, no outside open-container alcohol is allowed to be brought onto club property, and no open container to-go drinks - or “roadies” - will be allowed. All beverages must be consumed on Club property.

• One bartender is recommended per 75 guests. Bartenders are available for $100 each per event.

• Bars are limited to four hours for all events.

MENU PLANNING

• Parties of 12 or more must reserve a private room and plan their function through the Catering Department.

• Lunch for up to 12 guests may choose to use the Ala Carte menu Tuesday through Sunday, as well as have the option to dine from our Sunday Brunch Buffet on Sunday. Dinner for up to 12 guests may choose to use the Ala Carte menu Tuesday through Saturday, as well as have the option to dine from our Family Night Buffet on Tuesday.

• Multiple choice entrée selections are priced per menu item with chef’s choice of accompaniments. A choice of no more than three (3) entrées may be given to guests prior to the event. Final entrée counts, as well as a list of guest names and their entrée selection, are required with your final guarantee by 11 a.m., fourteen (14) business days prior to the event.

WEDDING CEREMONIES

The Club does not offer ceremony coordination services therefore it is necessary that the host provide a wedding director when the ceremony is held at the Club. The ceremony fee is $1500, which entitles the host to a specific area of the Club, inside or outside, for the wedding and covers set-up and breakdown of the room or outside area of the Club.

VENDOR GUIDELINES

• The Club offers silverware, dinnerware, tables, chairs, white linen and votive candles for all private functions. To enhance your event, you may wish to contract outside vendors upon approval by the Catering Office. The Catering Department will be glad to contract these services for you or to offer vendor recommendations.

WEDDING POLICIES AND GUIDELINES

FACILITY POLICY AND USAGE GUIDELINES

• Hosts and their guests assume all responsibility for their automobiles and for any personal property either checked or left in the building. The Ledges is not responsible for goods left before, during or after an event.

• Arrangements for deliveries, set-up, and break down for florists or photographers should be cleared in advance with The Ledges no less than 48 hours prior to the event.

• Smoking is not allowed on the back terrace.

• Rice, birdseed, potpourri, confetti, fireworks and sky lanterns are not allowed in the premises of The Ledges.

LADIES LOUNGE

• The Ladies Lounge will be available to the bride and her wedding party, however, the space is not exclusive to the wedding party as golfers and other female club members will be utilizing the space.

• The Ladies Lounge will be available no sooner than 11:00 a.m. the day of the wedding and all belongings must be removed by 5:45 p.m. Ladies may store their belongings in the Ladies Locker Room or the Coat Closet near the Ballroom.

• Men are not allowed in the Ladies Lounge.

• When leaving the Ladies Lounge and walking through the club, ladies must be properly dressed. Curlers, bathrobes and slippers are not appropriate in spaces other than the Ladies Lounge.

MEN'S LOCKER ROOM

• The Men’s Locker room will be available to the groom and his wedding party, however, this space is not exclusive to the wedding party as golfers and other male club members will be utilizing the space.

• Men may store their belongings in the Guest Lockers or the Coat Closet by the Ballroom.

• Ladies are not allowed in the Men’s Locker Room.

• Men must be properly dressed when walking through the club.

• No outside food or beverage is allowed.

GOLF COURSE

• No one is allowed on the greens. Damage to any greens will be billed to the client.

• Pictures will be allowed on the 18th fairway, but must be supervised by Arlene and the Pro-Shop.

• The photographer must check with Arlene for proper timing on the 18th fairway.

DECORATIONS

• Decorations may not be taped, nailed, wired, glued or pinned to the walls, floor or ceiling.

• Candles are allowed only in rental areas and must be contained in votive or glass hurricanes. The Ledges must approve all candle usage.

• A signed contract and deposit of $3,000 is required and will go towards food & beverage.

• Wedding deposits are non-refundable.

• A $250 refundable deposit is required to use the Ladies Lounge as the Bridal Suite.
