ORGANIZATION DESCRIPTION
The Hands and Feet was established in July 2021 in Palm Beach County. Two weeks later, it expanded its services to the Treasure Coast (Martin, St Lucie, Indian River and Okeechobee Counties) and now serves Broward County as well We strive to be the hands and feet that deliver essential resources to all children and families impacted by the child welfare system. This includes foster families, kinship families, biological families (upon reunification or preventative) and aging out youth

How to Volunteer at The Hands and Feet
Recruitment
Volunteers shall be recruited proactively by The Hands and Feet Recruitment methods include, but are not limited to: websites, partnership with local organizations and community groups, and word of mouth. While individuals that are currently employed may be considered, particular attention will be given to the individual’s current employment situation to ensure that a conflict of interest does not exist.
Eligibility
The general eligibility criteria for The Hands and Feet volunteers are below. Extenuating circumstances may be reviewed at the discretion of the Director of Community Engagement if all eligibility requirements are not clearly met
Minimum Requirements:
● Pass criminal background check, when required
● Must present a friendly manner
● Must be dependable and punctual
● Must be self-directed, willing to take initiative, and detail-oriented
Application Process
Prospective volunteers will be asked to submit an application and current resume; an initial telephone screening may be scheduled. A background check will also be performed prior to volunteer service
Please note that falsification of information on either an application or a resume/CV will result in disqualification from volunteer consideration
Qualified prospective volunteers will be contacted for more in-depth individual interviews. Interviews will be conducted by the Director of Community Engagement and/or his/her designee/s.
Acceptance and Placement
Volunteers may serve in multiple capacities and assignments will be made on a case-by-case basis Volunteer placement should meet the requirements of both the volunteer and The Hands and Feet Volunteers are asked to communicate any concerns they have regarding potential or current placements to the Director of Community Engagement.
Orientation and Training
All volunteers will receive a general orientation, which will introduce them to the history and structure of The Hands and Feet, key staff members, volunteer roles and responsibilities and the benefits of volunteering. During the orientation, the volunteer will receive a copy of the organization’s volunteer policies and procedures and a copy of the volunteer position
description The new volunteer will be asked to sign a receipt acknowledging that they have received, read, and understand the material provided during the orientation session. Volunteers may be required to attend additional initial and ongoing position-specific trainings relevant to the volunteer opportunities in which they will be engaging.
Background Screening
Background screenings are required for volunteers interacting with vulnerable populations. Any volunteers in contact with vulnerable populations must complete a Level I online background check The Director of Community Engagement will provide additional information as appropriate.
Your Volunteer Experience: Support and Supervision
On-Going Support/Guidance
All volunteers have access to the staff of The Hands and Feet to provide guidance and information as needed for the successful completion of volunteer engagements We encourage you to utilize the Director of Community Engagement as needed for supervision and guidance.
Monitoring
Volunteers are monitored on an on-going informal basis throughout their volunteer engagements and at the completion of individual projects Areas evaluated include, but are not limited to: personal conduct, interactions with clients, thoroughness and quality of volunteer engagements In appropriate situations, additional training, counseling by the Volunteer Supervisor or another designated staff person, re-assignment of a volunteer to a new engagement, suspension of the volunteer, or dismissal from volunteer service may be required.
Dismissal of a Volunteer
Volunteers who do not adhere to the rules and procedures of the organization or who fail to satisfactorily perform their volunteer assignments may be dismissed No volunteer will be dismissed until the volunteer has the opportunity to discuss the reasons for possible dismissal with appropriate staff
Resignation of a Volunteer
Volunteers may resign from their volunteer service with the organization at any time
Volunteer Responsibilities
Information Changes
Please notify The Hands and Feet of any changes to your personal mailing addresses, telephone numbers, e-mail addresses, emergency contact(s), and other relevant information.
Representation
of The Hands and Feet
Volunteers are authorized to act as representatives of the organization as specifically indicated within their volunteer descriptions and only to the extent of such written specifications. Volunteers are unable to enter into any relationships on behalf of The Hands and Feet These actions may include, but are not limited to, public statements to the press, coalition or lobbying efforts with other organizations or any agreements involving contractual or other financial obligations Please refer any requests of this nature to the Volunteer Supervisor
Acceptance of Gifts
Non-cash Gifts
Volunteers may accept common courtesies or gifts of a nominal value ($25 or less) usually associated with accepted business practices If a non-cash gift valued over $25 00 (including tickets to special events, etc ) is offered in association with the performance of The Hands and Feet duties, please notify the Volunteer Supervisor. within three (3) days of receipt of the non-cash gift After review, you may be asked to return the gift and/or relinquish it to The Hands and Feet.
Cash Gifts
Volunteers are also required to inform the Director of Community Engagement. of any offers of cash payments received in association with the performance of The Hands and Feet duties and/or in an attempt to influence a volunteer in any way Under no circumstances will a volunteer ever be allowed to keep any cash payments.
Any volunteer that fails to report accepting cash payments or non-cash gifts valued over $25 00 is subject to dismissal from volunteer service.
Workplace Safety
You are expected to obey safety rules and to exercise caution in all work activities at all The Hands and Feet locations All volunteers must comply with all occupational safety and health standards and regulations established by the Occupational Safety and Health Act (OSHA) and state and local regulations
Please immediately report any unsafe condition to the Director of Community Engagement. or other designated staff Volunteers who violate safety standards, who cause hazardous or dangerous situations, or who fail to report or, where appropriate, remedy such situations, may be subject to disciplinary action, up to and including dismissal from volunteer service.
In the case of accidents that result in injury, regardless of how insignificant the injury may appear, please immediately notify the Director of Community Engagement
Volunteer Conduct and Work Rules
The Hands and Feet expects volunteers to follow rules of conduct that will protect the interests and safety of all employees, volunteers, and clients It is not possible to list all the forms of behavior that are considered unacceptable in volunteer engagement. The following are examples of infractions of rules of conduct that may result in dismissal from volunteer service:
● Supplying false or misleading information when applying for a volunteer position or during volunteer engagement
● Fraud, illegal acts, theft or inappropriate removal or possession of property
● Volunteering under the influence of alcohol or illegal drugs
● Possession, distribution, sale, transfer, or use of alcohol or illegal drugs or abuse of prescription drugs during a volunteer engagement
● Fighting or threatening violence during a volunteer engagement
● Boisterous or disruptive activity during a volunteer engagement
● Negligence or improper conduct leading to damage of employer-owned or client-owned property
● Disrespectful conduct
● Engaging in unethical or illegal conduct
● Having an unreported or undisclosed conflict of interest
● Violation of safety or health rules
● Smoking in prohibited areas
● Sexual or other unlawful or unwelcome harassment
● Possession of dangerous or unauthorized materials, such as explosives or firearms, during a volunteer engagement
● Excessive absenteeism or tardiness or any absence without notice
● Unauthorized use of telephones, computers, fax machine, mail system, or other employer-owned or client-owned equipment
● Unauthorized disclosure of confidential information
● Conduct that reflects adversely upon the volunteer or The Hands and Feet
● Making or publishing false or malicious statements concerning an employee, volunteer, client or The Hands and Feet
● Violation of volunteer policies
● Unsatisfactory performance or conduct that does not meet the requirements of the volunteer position
● Other circumstances which warrant discipline
Smoking Policy
No smoking is allowed anywhere on the premises of The Hands and Feet, including use of tobacco or tobacco-like products, including "vaping" with E-cigarettes (or any electronic smoking device designed to resemble a cigarette, cigar, cigarillo or pipe) No smoking shall be permitted during the sessions of any meeting, conference, seminar or assembly being held under the sponsorship of The Hands and Feet, regardless of location Smoking is only permitted outside the building in designated smoking areas Volunteers should adhere to the smoking policies of any agency at which they are conducting a volunteer engagement.
Workplace Violence
The Hands and Feet is committed to providing a safe and healthy workplace for all employees and volunteers Employees, volunteers, customers, vendors, and business associates should be treated with courtesy and respect at all times.
To that end, it is the policy of The Hands and Feet that workplace violence in any form is unacceptable. Any form of violence by an employee/volunteer against another employee, volunteer, patron, vendor or visitor, including but not limited to physical attack, intimidation, threats or property damage, will be cause for disciplinary action up to and including dismissal as unacceptable personal conduct.
Examples of conduct that may be considered threats or acts of violence under this policy include but are not limited to:
• Threatening physical contact or harm toward another individual
• Threatening an individual or his or her family, friends, or property with harm
• Intentional destruction or threat of destruction of organization property
• Making Menacing or threatening phone calls, text messages, or emails
• Stalking
As workplace violence can occur because of domestic matters, volunteers must promptly inform the Director of Community Engagement of any protective or restraining order that they have obtained that lists the workplace as a protected area Volunteers are encouraged to report safety concerns regarding intimate partner violence. The Hands and Feet will not retaliate against volunteers making good-faith reports and is committed to supporting victims of intimate partner violence
It is the responsibility of all directors, officers, employees and volunteers to comply with this policy and to report violations or suspected violations
It is The Hands and Feet’s goal to respond to all workplace disputes, etc. before they escalate, and without retaliation [see Whistleblower Policy]
The Hands and Feet has an open-door policy and suggests that volunteers share their questions, concerns, suggestions or complaints with someone who can address them properly In most cases, the Director of Community Engagement is in the best position to address an area of concern However, if you are not satisfied with the Director of Community Engagement’s response, you are encouraged to speak with the Human Resources Department or anyone in management whom you are comfortable in approaching. Supervisors and managers are required to report suspected violations to the ED/CEO, who has specific and exclusive responsibility to investigate.
In compliance with Florida law, employees who lawfully possess firearms or ammunition may store it inside their locked, privately owned vehicle in the Insert organization here parking lot. Such lawfully possessed firearms and ammunition may not be removed from the employee’s personal vehicles or displayed to others Dangerous or hazardous devices such as knives or the like are prohibited from the premises. Employees found in violation of the state law will be subject to progressive discipline up to and including termination
Confidentiality
The Hands and Feet is committed to adhering to the highest standards of operation and governance The Board of The Hands and Feet asks all volunteers to maintain strict confidentiality in order to assure that business is conducted with the primary and best interest of affiliated nonprofit organizations. The Hands and Feet asks all volunteers to maintain strict confidentiality with respect to our internal workings, and to limit communications regarding confidential matters with parties who are directly working with our agency. A “party” is defined as any staff member, board member/committee member, or Volunteer working directly with our agency
Solicitation
The Hands and Feet prohibits volunteers from engaging in, either directly or indirectly, competing with, or soliciting any customer, client, or account of The Hands and Feet on behalf of himself or on behalf of any other person, firm, or corporation, while engaged in volunteer service by The Hands and Feet and within six (6) months following termination of volunteer engagement with The Hands and Feet, without express prior consent of The Hands and Feet’s CEO
Volunteers agree to not, either directly or indirectly, solicit, induce, recruit or encourage any of The Hands and Feet’s employees to leave its employment, personally or for any other person or entity for a period of six (6) months immediately following termination of volunteer engagement with The Hands and Feet Also, volunteers agree to not, either directly or indirectly, interfere with or solicit The Hands and Feet’s contracts and relationships, or prospective contracts and relationships, including, The Hands and Feet’s customer or client contracts and relationships.
The Hands and Feet’s Responsibilities for our Volunteers
Volunteers are essential resources to the clients and staff of The Hands and Feet. You have the right to be given meaningful assignments, to receive effective training and support, and to be recognized for your efforts
Reimbursement of Expenses
Approved expenses incurred by volunteers on The Hands and Feet business will be reimbursed. All expenses must be approved by the Volunteer Supervisor before purchase. Volunteers will send receipts to the Director of Operations for reimbursement
Access to Resources/Trainings
As appropriate, you will have access to The Hands and Feet property and materials necessary to fulfill your duties and will receive training in the operation of any equipment.
Liability Insurance
Liability insurance is provided for all volunteers engaged in The Hands and Feet business. Specific information regarding such liability insurance is available from The Hands and Feet staff. You are encouraged to consult with your insurance agent regarding the extension of your personal insurance to include community volunteer work
Open Door Policy
The Hands and Feet believes that open communication is essential to a successful professional environment and volunteer experience and all volunteers should feel free to raise issues of concern without fear of reprisal.
During your volunteer service, you may have suggestions or complaints about volunteer engagements, volunteer service, or The Hands and Feet. The most satisfactory solution to a volunteer-related problem or concern is usually reached through a prompt discussion with the Director of Community Engagement. You should feel free to contact these individuals with any suggestions and/or complaints
Volunteer Grievances
If you are not satisfied with the response of the Director of Community Engagement, you may submit your complaints or suggestions in writing to the CEO of The Hands and Feet The CEO will review the written submission and will schedule a meeting, as soon as is practical, to discuss the matter, and to provide a final resolution
Whistleblower Policy
The Hands and Feet Statement of Policy. It is the policy of The Hands and Feet, (“the Organization”) to encourage staff (as further defined below); contractors; volunteers; workers/clients; and board members (“protected persons”) to report any violations of The Hands
and Feet policies or of any laws, rules or regulations applicable to The Hands and Feet, and to protect staff, contractors, volunteers, workers/clients and board members from retaliation because he or she has:
● disclosed, or threatened to disclose, to any appropriate governmental agency, an activity, policy, or practice of the employer that is in violation of a law, rule, or regulation;
● disclosed, or threatened to disclose the activity, policy or practice that is in violation of law, rule, or regulation to the attention of a supervisor or appropriate official of The Hands and Feet;
● Provided information to, or testified before, any appropriate governmental agency, person, or entity conducting an investigation, hearing, or inquiry into an alleged violation of a law, rule, or regulation by the employer;
● Objected to, or refused to participate in, any activity, policy, or practice of the employer which is in violation of a law, rule, or regulation
A. Application. This Whistleblower Protection Policy applies to all of the Organization’s staff, whether full-time, part-time, or temporary employees; to all volunteers; to all who provide contract services; to all workers and clients of The Hands and Feet; and to all officers and directors, each of whom shall be entitled to protection.
B Reporting Credible Information A protected person shall be encouraged to report information relating to illegal practices or violations of the policies of the Organization (a “Violation”) that such person in good faith has reasonable cause to believe is credible. Information shall be reported to the Community Relations Director (the “Compliance Officer”), unless the report relates to the Compliance Officer, in which case the report shall be made directly to the CEO, which shall be responsible to provide an alternative investigative procedure. Anyone reporting a Violation must act in good faith, and have reasonable grounds to believe that the information shared in the report indicates that a Violation has occurred.
C. Investigating Information. The Compliance Officer shall report to the CEO when a whistleblower complaint is made Unless otherwise directed by the CEO, he or she shall promptly investigate each reported violation of the Whistleblower policy, and prepare a written report to the Board of Directors All persons who may be witnesses in such investigation are required to answer truthfully all questions related to the investigation The Compliance Officer or any other entity doing such an investigation shall to the extent possible, and provided it is not in conflict with any laws to the contrary, protect the confidentiality of all persons entitled to protection
The Compliance Officer, the CEO or the Board of Directors may determine that investigation of such allegations requires the employment of an outside entity to conduct the investigation In such a case, a recommendation up to three entities with the expertise to conduct such an investigation shall be made The Compliance Officer may prepare a request for proposals, or may select one of the three to conduct the investigation
D. Confidentiality
The Organization encourages anyone reporting a Violation to identify himself or herself when making a report in order to facilitate the investigation of the Violation However, reports may be submitted anonymously by: filling out a “Whistleblower Reporting Form” [see attached] and depositing the form in a designated box; or filling out a “Whistleblower Reporting Form” and
mailing it to the compliance officer or to the CEO Reports of Violations or suspected Violations will be kept confidential to the extent possible, with the understanding that confidentiality may not be maintained where identification is required by law or in order to enable the Organization or other entity to conduct an adequate investigation.
E Protection from Retaliation No person entitled to protection shall be subjected to retaliation, intimidation, harassment, or other adverse action for reporting information in accordance with this Policy. Any person entitled to protection who believes that he or she is the subject of any form of retaliation for such participation should immediately report the same as a violation of and in accordance with this Policy
Any individual within the Organization who retaliates against another individual who has reported a Violation in good faith or who, in good faith, has cooperated in the investigation of a Violation is subject to discipline, including termination of employment, of volunteer status, or as a board member.
F Dissemination and Implementation of Policy This Policy shall be disseminated in writing to all affected constituencies. Each person receiving a copy of the policy shall be required to sign a receipt, stating they have received a copy of the policy
The Organization shall adopt procedures for implementation of this Policy, which may include:
● documenting reported Violations;
● working with legal counsel to decide whether the reported Violation requires review by the Compliance Officer or should be directed to another person or department;
● keeping the board of directors informed of the progress of the investigation;
● interviewing employees;
● requesting and reviewing relevant documents, and/or requesting that an auditor or counsel investigate the complaint; and
● preparing a written record of the reported violation and its disposition, to be retained for a specified period of time.
The procedures for implementation of this Policy shall include a process for communicating with a complainant about the status of the complaint, to the extent that the complainant’s identity is disclosed, and to the extent consistent with any privacy or confidentiality limitations

Sexual and Unlawful Harassment Policy
Harassment is any unwanted attention or action prohibited by law by someone in the workplace that creates an intimidating, hostile, or offensive work environment. The procedure for reporting and dealing with this very sensitive issue is as follows:
a If a person's behavior makes a volunteer uncomfortable, the volunteer should feel free to immediately advise the person that, in the volunteer's opinion, the behavior is inappropriate and that the volunteer would like it stopped
b If the volunteer is not comfortable discussing the issue with the person, or if the person fails to respect a volunteer's request, the volunteer should report the incident to the Volunteer Supervisor If, for whatever reason, the volunteer does not feel that the Volunteer Supervisor is a suitable person to whom to report the incident, the volunteer should contact the CEO or, if appropriate, the Board Chair or a member of the Executive Committee.
In all instances, a prompt, thorough and fair investigation will take place, giving careful consideration to protect the rights and dignity of all people involved. No retaliation of any kind will occur because a volunteer has, in good faith, reported an incident of suspected harassment
Disaster Preparedness and Emergency Closings
At times, emergencies such as severe weather, fires, or power failures, can disrupt scheduled operations When operations are affected and a scheduled volunteer engagement cannot be completed as planned, The Hands and Feet will notify volunteers as soon as possible.

Purpose:
The volunteer will perform a variety of tasks depending on the needs of The Hands and Feet Duties may include sorting, cleaning, and/or reorganizing the center. This helps The Hands and Feet to better serve children in the foster care system
Duties and Responsibilities:
● Sort through clothing, shoes, baby gear, toys, and hygiene items
● Put said items in their proper location
● Reorganize the center
● Clean the center i e , sweeping, vacuuming, dusting
● Bag items that cannot be kept and put in the proper location

● Ability to work with a wide range of people
Special Requirements and Physical Demands:
● Ability and willingness to participate in ongoing volunteer training, if necessary
● May require safely lifting or moving up to 25 lbs on an occasional basis

● Noise level is usually quiet to moderate

Purpose:
The volunteer will make deliveries to the families served by The Hands and Feet This helps The Hands and Feet to quickly and efficiently provide essential items to children in the foster care system
Duties and Responsibilities:
● Attend mandatory trainings
● Reply to texts or emails from The Hands and Feet to confirm and schedule deliveries
● Pick-up the delivery from the location given by The Hands and Feet
● Drop off the delivery to the location given by The Hands and Feet
● Communicate with both The Hands and Feet and the family being served regarding time and location of delivery

The Hands and Feet Volunteer Position
Volunteer Description: Guiding Hands Volunteer

Purpose:
The volunteer will go shopping with a teenager currently in the foster care system or a young adult who has aged out of the foster care system accompanied by a Hands and Feet staff member This allows the youth to make their own decisions and pick out the items they need/want such as clothing, shoes, household items and more
Duties and Responsibilities:
● Reply to texts or emails from The Hands and Feet to confirm your availability and interest in the shopping trip
● Communicate with The Hands and Feet and/or the youth regarding time and location of the shopping trip
● Pick-up or meet the youth at their desired store
● Guide the youth on their shopping trip
● If necessary, drop off the youth after the shopping trip
Requirements:
Minimum Requirements:
● Good listening and communication skills
● Respond quickly and efficiently to The Hands and Feet
● Ability to work with a wide range of people
● Pass criminal background check
Special Requirements and Physical Demands:
● Must have a reliable vehicle, and a valid Florida State driver’s license with a satisfactory driving record and proof of insurance
● Ability and willingness to participate in ongoing volunteer training, if necessary
● Ability to stand on your feet and walk for extended periods. Some shopping trips can take several hours
