IMPORTANT LONG RANGE MASTER PLAN PHASE II UPDATE Tom Hutchinson

Dear Members, Tavistock Country Club’s quest to finally gain traction on this long-anticipated upgrade to our Clubhouse has hit yet another challenge: preliminary contract bids are higher than anticipated and budgeted for. Prior to last year’s Phase II vote, our professional team members adjusted the plan’s budget for thencurrent costs and added additional contingency dollars. Even with those precautions, the current construction plan cost has exceeded budget and we want to make you aware of the project’s status. As you might expect, current worldwide events all play a part. Despite worldwide inflation, rising labor costs and significant supply chain issues, the committee’s strategy has been and continues to be bringing the project in on budget. Part of that strategy is selecting the right general contractor to team up with for the project and who will act in the club’s best interest to navigate current construction costs and logistical issues. Since last November, the Phase II Committee and Chambers have worked diligently developing the preliminary design plans, selecting trim, tile, fabric, lighting and furniture selections. With the plans approximately 60% complete we set out to find the right general contractor. Six pre-qualified General Contractors (GCs) received the preliminary bid documents in order to provide bid proposals for the project. Upon receiving the GCs bids, five of the six were asked to break down their bids and resubmit them. The sixth was removed from consideration as their bid was far in excess of the five who were within a competitive price range. In addition, the GCs were directed to provide Value Engineering (VE) recommendations to the Committee for cost savings consideration. VE promotes the substitution of materials and methods with less expensive alternatives without sacrificing functionality or the original conceptual plan. After the second bid submission the Committee selected three GCs for in-person

interviews. Following the interview process the Committee made a recommendation and the Board voted to accept the Committee’s recommendation. As a result, we are pleased to announce Tavistock has entered into an agreement with MidAtlantic Construction of Blue Bell, PA for Phase II. www.midatl.net A thirty-day (pre-contract) period has been established for Chambers, MidAtlantic and the Phase II Committee to exercise all means necessary to reduce the construction costs. We are cautiously optimistic that by adding MidAtlantic to the team they will be an asset in reducing the costs through VE, material procurement and the subcontracting project “buyout” process. Concurrently the project design drawings will be updated from the current preliminary status to final construction drawings. After that the permitting process will commence in time for construction to begin. Should it become apparent that the scope of the project approved by our members must be significantly altered in order to stay within the approved budget, we will come back to you with our options for your consideration. As of now we remain committed to an October 3rd construction start date and April 2023 completion. The Clubhouse and Club operations will remain open. Banquet operations will temporarily be unavailable during construction so please plan your 2023 events for late Spring or Summer with the Banquet Department. We want to thank all the contractors for their interest and efforts in providing bid proposals for Phase II. In addition, please join me in thanking our committee members Bill Bromley, Danielle Capozzi, Brian Klaus, Dan Silvestri, John Suender, Michelle Tedesco, Tony Van Dervort, and Colin Mack-Allen, not only for the hours invested to bring us this far in the process but for their time and effort going forward.
