Tanglin Trust School

Tanglin Trust School has a long tradition of providing British-based learning with an international perspective. At Tanglin we strive to make every individual feel valued, happy and successful. Responsibility, enthusiasm and participation are actively encouraged and integrity is prized.

We are also fully committed to our core values: Respect, Responsibility, and Purpose, which underpin everything we do, and the way we do it. All coaches, providers and tutors must embrace the school’s commitment to creating a diverse and inclusive environment.

It is expected that any adults, including staff, parents, coaches, providers, tutors, carers and visitors, will model the behaviour and values that the school instils into its students. All members of the Tanglin School community are entitled to be treated respectfully, feel safe and be free from any form of harassment and discrimination.

Before Starting Work at Tanglin Trust School

All Coaches, Co-Curriculum Providers and Music Tutors must fulfil the following requirements and complete all steps in the table on page 8 BEFORE commencing work at Tanglin:

1.Complete the application process and qualification requirements (including First Aid).

2.Read the Tanglin Trust School Staff Code of Conduct confirming their understanding and commitment to this.

3.Attend the Tanglin Trust School Safeguarding session as requested.

4.Read the Tanglin Trust School Safeguarding and Child Protection Policy. confirming their understanding and commitment to this.

5.Attend the annual induction presentation.

Safeguarding and Child Protection

Training will be provided to all coaches, providers and tutors. This will be an initial full training session with refresher training each year. It is compulsory to attend all these sessions. It is the responsibility of all adults who work or volunteer at Tanglin Trust School to take an active role in the pastoral care of the students they interact with as laid out in the school’s Safeguarding and Child Protection Policy.

All communication between coaches, providers and tutors with students should be through Microsoft Teams via an account set up by Tanglin Trust School. Communication can then be monitored by School and ensure safe practice for all parties. Coaches, providers and tutors must not communicate digitally with Tanglin Trust students using any other method other than the Teams groups set-up by Tanglin Trust School. A Communication Declaration form will be sent separately and must be completed by each individual.

Insurance

We recommend that all those providing services in a personal capacity have professional indemnity insurance.

Co-Curriculum Providers must have public liability cover. A copy of the certificate or schedule must be sent to Tanglin Trust School that shows the company name, policy number, locations and dates of cover.

Risk Assessments

All coaches and providers must follow the school’s venue/sport specific risk assessments. Venue risk assessment documents are provided in the appendices and must be read by all coaches and providers. A sport specific risk assessment will also be provided which must be updated by the provider for anything specific to their use. Co-Curriculum Providers must send through completed risk assessments for their activities.

Manager to submit approved requisition form to HR

Line manager to liaise with HR for advertisement placement if no candidate has been identified

Once a candidate is identified (either through the advertisement or internal identification), Co-Curriculum team will contact HR and link up the individual to HR for application form to be sent to the candidate Interview(s) should not proceed until the completed application form has been received

Once HR receives the completed application form, it will be sent back to the Co-Curriculum team, and the relevant line manager can proceed to arrange to conduct the interview

If the candidate is deemed suitable for the role, the line manager will complete the Interview Feedback Form (available online) for the selected candidate

Upon receiving the interview feedback form, HR will follow up with the candidate to collect the necessary onboarding documents, including verification materials and other required information i e medical checks etc

HR will conduct the necessary reference checks on the candidate

HR will co-ordinate with the external vendor to conduct a Police/Global Sanction Check on the candidate

HR will prepare the security pass and notify the candidate when it is ready for collection

Safeguarding session will be arranged by HR

HR will update the onboarding progress on the shared drive.

Session Delivery – Standards and Expectations

Dress Code

Coaches, providers and tutors should dress appropriately for the activity, in line with the Tanglin Code of Conduct. For sports coaches, this includes a Tanglin Lions shirt.

Coaches, providers and tutors must display their Tanglin Trust Security Pass when moving around campus. Please inform Tanglin Trust School if you lose your pass.

Arrival, Registers and Safe Departure

Coaches, providers and tutors are expected to arrive at least 15 minutes before the start of a session.

Coaches, providers and tutors must have an appropriately charged mobile phone or device and remain contactable at all times.

Students should be registered on SOCS at the start of each session, as soon as possible and this register must be updated in the event of late arrivals. No student should be left as ‘not set’ on a register.

If an Infant or Junior student arrives to a session when they are not expected on the SOCS register, the student should be taken to the relevant school office or contact the Co-curriculum team. The student should not be allowed to participate in the activity.

At the end of activities, Infant students must be returned to their year group unit (at 2:40pm) and the class teacher will be responsible for their going home arrangements. Coaches, providers and tutors are then able to leave to prepare for any 3:00 activities. For Juniors, children must be collected by a parent/guardian unless going home on the school bus. It is the coaches, providers and tutors responsibility to take Junior School children to the car line for pick-up or the bus bay and ensure they are safely boarded.

Junior students not going home on the school bus must be collected from Main Entrance Pickup Point 1. Juniors must be collected by a parent/guardian and it is the coaches, providers and tutors responsibility to remain with the student until safely collected.

Only Junior students with an unaccompanied pass are permitted to leave campus via Gate D, once their pass has been shown to the coach, provider or tutor.

Wet Weather

In line with the Tanglin Trust School wet weather policy, Infant and Junior students attending outside activities, will be supervised until the end of the session and follow normal going home arrangements. Senior students can make their own way independently if a session is cancelled due to wet weather*.

Junior students must report to their activity leader and not make an independent decision to go home. Under no circumstances will a student be permitted to catch the 3:00 pm bus if they are scheduled to attend an activity that runs from 3.00 pm to 4.00 pm. For activities finishing after 4:00 pm, parents will be contacted accordingly.

*When offsite, Senior students must return to school on the bus if their journey home exposes them to thunder and lightning e.g walking to the MRT.

Incident / Accident

Coaches, providers and tutors must inform the Sport Manager, Music Manager or CoCurriculum Manager of any incidents/accidents/injuries/near misses immediately and for sports related incidents, complete an incident report here.

Student Behaviour

Coaches, providers and tutors are expected to ensure students conduct themselves appropriately during sessions. In the event of unacceptable student behaviour, school should be informed. Students must not use phones/ipads during sessions, unless directed by the coach/provider/tutor.

Absence and Cancellations

If you lead an activity and will be absent from a session, you must contact the Sport Manager, Music Manager or the Co-Curriculum Manager as early as possible. Anyone covering must be currently registered to work at Tanglin Trust School. Where possible, cancellations need to be communicated by 11am on the day.

Transport

Ensure students are wearing seat belts and behave appropriately. Count students on and off the bus. Any students who are expected and have not arrived for the bus must be reported to the relevant school office.

Ensure students are dressed appropriately following their activity, and use towels to sit on and remove muddy boots in the event of wet weather.

Please check bus details sent by KAL Transport via SMS and ensure you have the name and phone number of the driver before you leave.

If running late, you must ring the bus driver and inform them.

Junior students can be collected directly from the venue by parents/guardians.

However, school buses will depart on time and must not be delayed to wait for parent collection.

Senior students can leave directly from a venue (provided this will not expose them to thunder and lightning) but must inform their coach/provider/tutor beforehand. The parents of Year 7/12&U children must confirm this in writing or by direct communication.

When off site, coaches must insist all students remain/travel on the bus if their journey to the venue, or home, exposes them to thunder and lightning e.g walking to the MRT.

Buses cannot stop off at any other location other than Tanglin Trust School.

Medical Information & First Aid

First Aid kits must be collected from the Co-curriculum office before going offsite. Epipens required must be collected from the Junior/Senior Health Centre as needed.

Coaches, providers and tutors should be aware of all medical conditions of students in their charge (this can be found on SOCS).

Coaches, providers and tutors must collect any specific medication (e.g. Epipens, inhalers) before going offsite, and return these to school on arrival back at Tanglin.

If a student feels unwell during a session and needs to see the nurse, an adult must take the student to the Junior Health Centre which remains open.

Coach Payment

Payment of Coaches

Coaches are expected to fill in the coach’s time sheet each session they attend and sign on a monthly basis. Coaching Companies should submit an invoice together with the appropriate time sheets from each individual coach. Time sheet to be signed on completion.

$350 / $450 / $550 (as per Level of Coach above) – Coaching rate per day per event/tournament is up to 5 hours per day maximum (within Singapore or overseas).

$175 – Allowance for coaches (travel days for overseas).

For any work undertaken on behalf of Tanglin Trust School, coaches claim form must be completed on a monthly basis and submitted for processing by the 2nd day of the following month for which you have worked. Payment will be received by the 20th of the following month. Any coach claim forms received after the cut-off date (3rd) will be paid in the following month. The agreed rate of pay is a fixed hourly rate and is fully inclusive of payment for working hours, public holidays and all taxes. The maximum amount that can be claimed for one day is 5 hours even if the time spent coaching exceeds this.

Coach Claim forms have to be completed and signed by the coach at the end of each month.

If your session is cancelled due to weather conditions or other unforeseen circumstances and it is cancelled at the time you arrive or after 11:00 am on the same day by Tanglin Trust School, then you will be paid for one hour for your services*. If you were due to have an outdoor fixture after your normal training session so your expected session time would exceed one hour, the same rule would still apply and one hour's pay is the maximum you would be able to claim.

*NB the majority of the time cancellations happen after 2:00 pm if due to bad weather

Whole day tournaments and Overseas trips

Flights/accommodation will be covered by Tanglin for the duration of the tournament.

Transport Reimbursement

Travelling to tournaments / events / training off-site in Singapore will be considered on a case by case basis. Where Tanglin Trust School provides transport, coaches/staff are expected to travel via the transport provided.

Receipts need to be submitted with time sheets.

Emergency Procedures

On Sounding of the Fire Alarm

If the fire alarm rings it will be followed by an announcement that the situation is being investigated. Be prepared to evacuate. There will be a follow up announcement either advising evacuation or that it was a false alarm.

If evacuation is required, all activities must stop and coaches, providers and tutors are to supervise students to line up, and walk in an orderly manner to their Assembly Points.

Please ensure you have all students and leave in a calm and orderly manner and go to the appropriate evacuation point.

During evacuation, lifts will not be operational and therefore, students are to evacuate via the nearest exit staircases.

Count all students and check everyone is present with the register. Any missing persons must be reported to the Fire Warden or Manager on duty (Security Manager/Campus Manager). In the absence of a Duty Manager, especially on Sundays, the Security Supervisor who is stationed in the Security Command Centre will take charge and keep the Security Manager/Campus Manager informed.

If your group is split up around campus, ensure you have a planned meeting point outside from where you can go as a group to the evacuation point and all group members going to that point should do so using outside routes.

Everyone should remain calm and wait for further instructions. When it is safe, an announcement will be made to return to the school. The security officers will guide all personnel when returning to school.

Lock Down Procedure

In the event the lock-down siren is activated (siren different from fire alarm bell) do not evacuate. If you are in a classroom or hall, lock the door, pull down any window blinds, turn off the lights and ensure everyone is out of sight. For anyone on the Playing Field or Swimming Pool, go to the Smithson Hall and/or Smithson Hall changing rooms and take cover. The leader (providers/tutors/coaches) must lock the door(s) and switch off all lights. Remain silent until the all clear announcement is made.
