Welcome to Talentpath! It’s wonderful to have you on board. We’ve put together this handy guide to support you as you start your journey with us and to help you get up and running. It’s a window into the way we do things and captures the essence of our culture here at Talentpath. Within these pages, we’ll answer some of the burning questions you might have when starting your new role as well as sharing all the bits and pieces that make us unique. Our (big red) door is always open so if you have questions at any stage, please ask!

Back in 2007, best friends (now joint Directors) Jody and Dionne joined forces to create a personalised recruitment experience like no other. WHAT THEY’LL LOOK LIKE

Your first few days with us will be jampacked to get you involved in all things Talentpath It’s our time to make sure we set you up for success in your role When you join us, we’ll kick off with a comprehensive onboarding program that covers a number of modules outlining what we do and how we do it. One of your first sessions is with our Directors, Dionne and Jody. This session is focused on our purpose, values and behaviours so you really get an insight into our ‘why’ and what it means to work at Talentpath From there, you’ll meet with a range of different people in the team, all who have different insight and expertise to share In general, the first few weeks are for you to learn the ropes. Take your time, soak it all in and ask lots of questions. We’re here to help.

You’ll meet our amazing team as well as clients during your onboarding. You’ll also spend time with your Direct Manager depending on your area of the business. They’ll be there to guide you along the way, helping you to understand expectations and how we collaborate together to grow your career with Talentpath

As the way we work continues to evolve, technology plays a really important part in how we work together. All team members will be provided a laptop when starting with us, and either a mobile phone or eSim. It’s important that you take good care of these assets as they’re essential to getting the job done. You can read more about mobile phones and laptops in the policy section of the handbook, online In addition to phones and laptops, we also use a number of platforms to help us work and communicate We’ve included some guidelines below about what we use each platform for

TEAMS

For casual day-to-day communication such as organising lunch catch-ups etc.

We encourage the conversation to be casual and engaging. We use gifs, emojis and it’s always light-hearted. Direct messaging throughout the day for informal communication.

Check in regularly on Teams to ensure you’re keeping up to date with messages

Send messages whenever it is convenient for you Our communication principles (on the next page) talk more about disconnecting

OUTLOOK

For formal and important communication both internally and externally. This is the main place we communicate with the whole organisation.

PHONE & VERBAL COMMS

We use the phone a LOT in our business. It’s how we build relationships and engage with great clients and colleagues

We expect that the big, important issues are communicated verbally with clients and candidates Then, follow up with an email to confirm the conversation

BULLHORN OUR COMMUNICATION PRINCIPLES

Bullhorn is the global leader in recruitment software and it’s the star player in our tech stack! We use Bullhorn as our applicant tracking system (ATS) and client relationship management (CRM) platform We use the Bullhorn Onboarding, Analytics & Automation Platforms too

It also integrates with other providers in our tech stack including Astute Payroll, Referoo, Seek & Linkedin This list is forever evolving so stay tuned for more integrations coming soon!

Bullhorn records details of all clients, candidates, jobs and placements It’s a one stop shop! It will also track your emails to candidates and clients

We use it to onboard temp candidates, track analytics and key activity metrics, and automate data entry, tasks and communications

Bullhorn is always ahead of the recruitment game with constant updates and new features We are continuously working with Bullhorn to improve and add to our use of the platform and our Operations Manager attends their yearly conference to stay up to date with all the great new things it can do

We default to trust and positivity in Teams and emails. It’s easy to misinterpret messages so we always assume that they are positive. If you need more detail or clarity, just ask!

Our clients and candidates expect professional work from us so please always triple check your spelling. If grammar wasn’t your favourite subject at school, have a colleague run an extra eye over important emails. When you’re feeling fuelled by emotion, it’s tempting to respond immediately and in the moment. Step back, nut it out with a colleague and always consider the outcome you are trying to achieve in your response. Consider the communication method that is best to deliver that response.

We have a small request when it comes to sharing any personal updates and ask that you share those with the leadership team first so we can create the most appropriate comms plan to inform the broader team. We also encourage our team to disconnect at the end of your working day We don’t expect you to respond, read, or action messages outside your usual working hours unless you choose to or if your role requires it If it works for you and your role, feel free to turn off notifications and alerts outside working hours

We want to keep work flexible, and so the office is open from 7.30am to 5.30pm so you can structure your work day as you need to. Want to start a bit earlier to head to an appointment in the afternoon? No problems Want to start later so you can drop the kids to school? WHEN WE WORK WHERE WE WORK

You’ll notice most of us come into the office more often than not - mainly because it’s fun and we love being here! In the first few months with us, we’ll have you in the office to help you understand our business, your role and get to know your team. After that, there will be opportunities to work from home because we understand flexibility helps support both life and work commitments For most roles, we offer work from home one day per week and your manager will discuss this with you to ensure you're set up for success in a hybrid work environment For further information, please discuss with your manager or refer to the Working from Home policy, which you can find online.

HABITS & RITUALS

We have a number of regular meetings, catch ups and social events to keep us connected and celebrate our wins and successes Your manager will share the details of meetings and standups relevant to your team. Below are some of the consistent catch ups and meetings to expect across the business:

Manager link-ups - your manager will meet with you regularly to check in, discuss your progress and give you the opportunity to share any challenges or feedback.

Tuesday & Thursday Toolbox Sessions -

These days are our ‘all in’ days when everyone is in the office and so it’s the chance for us to get together for general business updates but more importantly our toolbox sessions. Want to learn a new skill? Try some yoga? Or learn a clever recruitment hack from your colleagues? These sessions are designed just for that. It’s our opportunity to learn and have fun as a team We’re always looking for new ideas so please share your suggestions The sessions will land in your diary from day one!

End of month meeting - it’s our chance to step back and reflect on the month that has been How many lives have we changed? How many businesses did we improve? We’ll also share our leaderboard, present awards and provide general business updates Importantly, it’s a celebration! A time to acknowledge our achievements over a drink and nibbles, so be sure not to miss it.

Social events and activities - we’re people-people! So we love social events and activities and often organise catch ups outside of work. Keep an eye out on upcoming events and please join us. It’s a great chance to get to know you better.

Annual kick-off event - this is a big one! It’s the start of the new financial and performance year, and so we spend the day discussing last year’s results, the new budget and the overall business strategy for the year. We also spend some time connecting as a team through different activities, and we enjoy a meal together too

Annual Conference & Christmas Party Getaway - Each year, we take the time to get together overnight in an amazing location (we’ve been to Noosa, Byron Bay & Kingscliff) to connect, collaborate and celebrate the year that was It’s a conference and Christmas Party all rolled in to one! 5 WEEKS’ ANNUAL LEAVE

To support our team members to be the best they can be at Talentpath, we offer 5 weeks’ annual leave to all employees (pro-rated for part-time employees) For further information on using your leave, please refer to the online Annual Leave policy.

EMPLOYEE ASSISTANCE PROGRAM

Our Employee Assistance Program provides each employee access to free, confidential one-on-one counselling through EAP Assist. The service is completely anonymous, and sessions can be made at any time by booking directly with EAP Assist via their website. MENTAL HEALTH FIRST AID FOR LEADERS

Supporting employee wellbeing is a priority for us at Talentpath And so, our General Managers are trained in mental health first aid to equip them with the knowledge, skills and confidence to recognise, understand and respond to instances where you may be experiencing a mental health problem or crisis. Our team members on a leadership pathway will also undertake mental health awareness training as part of their development plan

AUSTRALIA DAY PUBLIC HOLIDAY

Our diverse and inclusive culture is what makes Talentpath so successful. It’s at every level of our organisationcolleagues, clients and candidates We understand that Australia Day is a day that many would prefer not to acknowledge and so employees have the option to observe the Australia Day Public Holiday on 26 January each year or substitute this day for another day off If you choose to take an alternative day off, we simply ask that you do so within 3 months and confirm with your manager when this is planned for.

PAID PARENTAL LEAVE

We pride ourselves on being a supportive workplace for everyone at every stage of life That is why we are very proud to offer two months at full salary paid in addition to Australian Government parental leave benefits. In addition to this, we will continue superannuation payments for the duration of the parental leave whether paid or unpaid for up to 12 months This extended parental leave is open to everyone in the business after 12 months of service

DRESS FOR YOUR DAY

Your personal image defines your brand, and that extends to the Talentpath brand when you are at work. Each of us represents the business and so there is an expectation that everyone is well-groomed and professional in their appearance when coming into the office, engaging in workrelated tasks or activities in external settings, or when working remotely.

At a minimum, smart-casual attire is required when working onsite or in the office. (If you’d wear it to the beach or the gym, don’t wear it to work.) We ask everyone to use good judgement as to what best represents Talentpath and aligns with our brand.

Dress For Your Day provides flexibility for our people, giving you the option to choose the appropriate attire for the business planned in the day ahead. For example:

If you have a client meeting scheduled you’ll opt for something more professional.

If your day is more low key, jeans with sneakers and a tshirt or a knit might be more comfortable

Because we all know that when we feel our best, we perform our best!

Pays are processed monthly and Talentpath will provide an online payslip each month If you have any questions regarding your pay, please contact your manager

PAY & SCHEDULE EXPENSES

At times you will meet with a client or candidate and shout them a coffee. We don’t want you to be out of pocket so please follow the process for claiming expenses. Anything more than a coffee will need to be pre-approved with your manager. All expenses must be claimed in the month they were spent so please ensure you are claiming in the appropriate month. For further information, please see the online Expenses Policy.

PROBATIONARY REVIEW

We know it takes a good six months to settle in and master a new role. Towards the end of your probationary period, your GM will meet with you to discuss your progress to date. They’ll share lots of feedback on your progress so far and set expectations for you in the role moving forward.

TAKING ANNUAL LEAVE

It’s important for you to take leave, reset and recharge. As a general principle, we support you taking annual leave as and when you need to. It’s important to provide as much notice as possible, as your colleagues will need to bump in and support you in your absence.

If you are in a recruitment-facing role, your ownership over vacancies will be affected during a period of leave and is different across temp and perm desks If your recruitment responsibility is on a temporary desk, any temp roles filled by the team, using your talent pools, in your absence will remain with you, ready for exceptional care on your return

If your recruitment responsibility is on a permanent desk, the GP for roles handed over will be affected by the stage of the role. If a role requires full end to end support and is filled by someone else in the team, the GP will go to that person. If a process falls over in your absence and is required to be refilled by a colleague, the GP will go to the person who refills the role and be removed from your GP report.

*We don’t love the colour grey but, in some instances, we will need to make decisions that are outside the above process to support the best interest of our clients, candidates and team members Any changes to the above process will be discussed with you by your manager

Your handover will begin in your Link Up the week before you go on leave To submit a leave request, discuss with your manager first before making any travel arrangements. Once verbally approved, simply enter your leave request into Xero for processing.

TAKING SICK LEAVE

We’ve learnt a lot from COVID-19 One rule being - if you are unwell, stay home and don’t come into the office When you’re sick, let your manager know as soon as possible, and when you may be able to return to work We don’t think there’s anything heroic about working when you’re unwell and we expect that if you’re unwell, you take the time you need to rest and recover. We don’t expect you to work from home. For further information, please see the online sick leave policy. It’s also important to maintain a high level of personal hygiene. Make sure you’re washing your hands regularly, sanitising and wearing masks where appropriate or required to do so by law.

LEAVE BLACKOUT PERIOD

There are some business-critical times of the year when we need all hands on deck to deliver to our clients and hit our goals. For resourcing and recruitment partnering roles, we ask that annual leave is not taken during June as we drive home our performance for the end of the financial year. We also limit annual leave in the December period, everything we do in that 12th month, sets the tone for the new calendar year and we love to start with a bang!

THE HOLIDAY SEASON

Over Christmas, many of us are ready to spend time with family and recharge before the new year kicks off and the majority of our business will shut down over the festive season As we still have temp staff working, pays to process and phones to answer, we ask a couple of people to put their hand up to work over this period If you are taking leave, you’ll need to ensure you have sufficient annual leave accrued to cover this period For more information, please refer to the online Leave Policy

EVENTS

We’re a social bunch who love what we do, and the nature of our industry means there’s always people to see, meet and get to know You can expect a lot of invitations to events throughout the year so it’s important to keep a few things in mind

Be safe

Most importantly, be safe when you are attending events. Ensure you have made arrangements to travel safely to and from the event and where possible, attend with a colleague.

Represent the brand

Take notes!!

Everything you say and do reflects on our business but it also reflects your personal brand. When you’re at social events, you’re an employee of Talentpath and have the opportunity to make (or break!) the brand Conduct yourself in a way you know your manager would be proud of

Have fun - in moderation

We get it, social events often mean there’s alcohol Have a drink or two if you wish but we expect everyone to uphold our values and behaviours and maintain professionalism

CONFLICT OF INTEREST

You may be involved, employed or engaged in any activity which may be or is likely to create a conflict of interest A conflict can arise when two or more competing interests are involved which are inconsistent with or diverge from the interest of another party, such as those of Talentpath or its customers.

Some examples of where an actual, potential or perceived conflict may arise includes when:

A manager hires an applicant who is a family member or friend

An employee enters into a purchasing, supply or another contract on behalf of Talentpath with another entity in which the employee holds a financial interest

A person may be a shareholder or have a financial interest in a competing company

A person takes on an additional project or role that may lead to them breaching the obligations of their original project or role, such as confidentiality.

If you feel a conflict has or may arise, please speak with your manager Talentpath may take action to avoid the actual or potential conflict of interest Such action may include transfers, reassignments, or where Talentpath deems such action appropriate, termination of employment.

WHEN YOU LEAVE

While we’ll be sad to see you go, here are a few things we need you to be aware of if you do leave Talentpath:

Resignations must be in writing to your manager and include your final date of employment.

It’s important that you give notice, as outlined in your employment contract.

You’ll need to return any property belonging to Talentpath such as laptops, mobile phones, keys and books. Talentpath reserves the right to take action to recover Employer property and equipment that has not been returned.

You’ll also be reminded of any legal obligations or restraint clauses that apply to your role once you leave.
