HSA COMMITTEE POSITIONS
HOME ROOM PARENT:
GRADES: Montessori-Grade 5
The homeroom parent will assist the Homeroom Parent Coordinator and Homeroom Teachers in planning and executing parties and decorations for All Saints Day, Christmas, and Mardi Gras, as well as creating a gift basket for the Spring Fundraiser Auction. This person will promote community building among families within the class by acknowledging events such as births, deaths, and long-term illness. The homeroom parent will also welcome all new families that join the class throughout the year, remind parents of the homeroom teacher’s birthday in advance, and coordinate classroom involvement for Teacher Appreciation Week. Homeroom parents are also expected to support our teacher and assistant teacher community, utilizing HAS funds as available for projects, gifts, or activities.
This is a yearlong commitment.
NEW FAMILY COORDINATOR:
This volunteer will coordinate events for new families in the summer and fall and communicates with the Guardian Angel Families throughout the year.
GUARDIAN ANGEL FAMILIES:
These particular families volunteer to welcome new families into our SMCS community based on grade-level association through the summer with aiding the school staff with different gathering opportunities, helping to answer questions that might help the family navigate through the school year, and introducing new families to other members of the SMCS community.
These are both yearlong commitments and could require some additional work in the summer.
UNIFORM CLOSET COORDINATOR:
This volunteer will help to keep and maintain inventory in the uniform closet neat, tidy and well stocked, as well as coordinate with the supplier
to make sure inventory is maintained. The coordinator will either meet with families or arrange to have other volunteers meet with families so that uniforms can be purchased. This position does not handle money, only the uniform pieces. This is a yearlong commitment due to the need for replacement uniforms and changes in sizes, but most of the time commitment would be JulyJanuary.
CARNIVAL COMMITTEE:
The carnival committee volunteers will help with planning of the carnival activities, food, logistics, decorations, securing help from volunteers, and other items related to this event. The Carnival is one of our largest fund raisers for SMCS. Carnival Committee members are split up into subcommittees which are assigned by the Carnival Chair/Co-Chairs. This is a late July-October commitment.
HOSPITALITY COMMITTEE:
The hospitality committee volunteers to assist with decorations, provide refreshments for staff and events as needed. There are multiple events that involve the hospitality committee throughout the year, including, Grandparents Day, monthly teacher appreciation luncheons, and staff celebration days. This committee would be responsible for using donations or HSA funds to purchase items needed for these events. This committee also makes sure to recognize staff for their special days (Secretary’s Day, Custodial Appreciation Day, as well as birthdays) with a card or gift as budgets and donations allow. This is a yearlong commitment.
AUCTION COMMITTEE:
The Auction Committee works toward providing the auction items for the Spring Event. This offers a variety of opportunities for volunteers to get involved with soliciting of items for class baskets, organizing the auction, (whether online or live) and marketing the donated and class project auction items to help encourage families to participate in bidding at the auction. This will include taking photos, sending emails, and coordinating with the Spring Event Coordinator/Committee. This is a February-May commitment
ST. NICHOLAS DAY COORDINATOR:
The St. Nicholas Day coordinator will plan the St. Nicholas Day novelty items for Montessori-Grade 5 students. This includes items that St. Nicholas will need to complete his rounds at SMCS. The coordinator will also need to work with the SMCS staff and homeroom parents for any additional items that may be needed to help make St. Nicholas Day a success.
This is a late November-December commitment
ADVENT SHOPPE COMMITTEE:
This committee is responsible for purchasing the items for the Advent shop from the HAS Funds. Additionally, the committee will find volunteers to work with the children in the shop, coordinate the total experience of the shop, set prices for the items, and send home marketing information for the options available for purchase at the Advent Shoppe. Due to items needing to be purchased in advance, ordering would need to be completed for arrivals to occur prior to marketing and set up. This is an October-December commitment.
CATHOLIC SCHOOLS WEEK COMMITTEE:
This committee helps to organize events for the week, generate parent support and obtain items and supplies that teachers, faculty and staff need in order to create a successful Catholic Schools Week celebration.
This is a December-January commitment.
TEACHER APPRECIATION WEEK COMMITTEE:
This committee will work and coordinate all Teacher Appreciation Week details, which include lunches, decorations, activities, gifts, etc. This usually occurs the first week of May. This is an April-May commitment.
FIELD DAY COMMITTEE:
The field day committee plans and executes a fun day for our community. Field day is an event that occurs in May and includes multiple activities, music, food and fun for students and faculty. This is
normally an outdoor event (pending weather). There are multiple activity stations and this committee volunteers to manage those stations as well as set up, break down and coordinate with SMSC staff the type of activity and rules for that activity. This is a late Spring commitment.
ADDITIONAL VOLUNTEER OPPORTUNITIES
DECORATION VOLUNTEERS: Help homeroom parents with common area decorations around the school as needed for special events. This could include back to school events, hospitality events, Advent/Christmas, Teacher Appreciation events, Catholic Schools week, and end of the year/graduation events.
RAFFLE TICKET AND SALES DRAWING VOLUNTEERS: Assisting with passing out raffle tickets and collecting any raffle tickets. This could include being available in the early mornings or after school so that parents are able to easily turn in and collect more tickets. Volunteers are also needed to help find locations to sell the tickets and assist with generating additional ticket sales until we are sold out. The raffle ticket sales volunteers would be needed in September and October.
SET UP AND BREAK DOWN: There are multiple events throughout the year including carnival, teacher appreciation week, Avent Shoppe, Spring Event, etc. where volunteers are needed to help set up items for the event or break down items after the event. This is a great opportunity to volunteer to help the day before or day of an activity if you have time constraints not allowing longer term commitments. If you are available to help with any of the events, please make the HSA aware of this so we can pass your name on to all the committees and coordinators.
SERVING/ASSISTING VOLUNTEERS: There is often a need for volunteers to help with serving at our Veterans event, Grandparents Day, Teacher Appreciation Day, Graduation, and other days. This is also another great opportunity for someone that has longer term time constraints, as you would be able to volunteer for a particular day to
help. If you are available to help us serve or assist people at any of our events, please make the HSA aware of this so your name can be passed on to those committees.
DADS CLUB: Dads Club membership is open to all men who play an important role in the lives of our students, including, dads, stepdads, granddads, uncles, older brothers, guardians, etc. Dads Club is a great way to be directly involved in the enrichment of a child’s school experience and to get to know other dads and father figures. The purpose of the Dads Club is to provide a focused and organized way for father figures of kids to support school activities throughout the year. They provide manpower to a multitude of educational, social, and fundraising activities for the kids as well as creating a great opportunity for dads to socialize and get involved. Examples of the types of events they support and/or run are Field Day, Carnival, set up and break down of events, and various handyman projects around the school. The Dads Club would also coordinate with the HSA to create their own fundraising project such as a cornhole tournament, bowling tournament, pickleball tournament, golf tournament, etc. to help increase funds available to the school.
