FROM THE EDITOR'S DESK If this editor is not mistaken, the week of April 22nd to the 28th is designated to give credit to secretaries of our executives, officers and other officials in responsible positions, in various businesses. Although my wife, Maxine, is not a paid secretary as such, I feel I owe her, as well as all of the other secretaries, especially in our SPJST Society the following recognition they certainly deserve. Secretaries, especially if they are knowledgeable, sincere, efficient and careful can certainly help a person doing a job for any organization to use their time more effectively. Recently I read what an executive of a large organization (although he was not an editor) had to say of his secretaries; it follows in part: Time is really our greatest asset and this includes proper and profitable useage of secretarial time. Whether the operation is a one-person practice or a large central core agency, it is incumbent that secretaries and bosses alike respect the time problem and if this is not handled properly, the girls might as well play games. My experience is that the training responsibility is a two-way street. We must learn to expect and follow certain procedures if we are to expect maximum results from the ground rules we layout. In order to more thoroughly understand the importance of time as it relates to our subject, let's examine what I refer to as the "time thieves." 1) Some old buddy drops by (especially if you have a ground floor

This is sometimes a tremendous problem. Just because your car is there, it is very difficult for the secretary to explain that you really cannot see him. Even though old buddy is a client or prospective client, if he is not scheduled into the day's activities it is potentially a time-wasting situation and problem.
2) Sometimes nuisance phone calls from solicitors, people asking for donations of your time, contribution requests, and brokerage people wanting you to sell their deal. Your secretary needs to learn how to deal with these situations while not offending certain people. 3) The grand art of paper shuffling. There must be some great psychological hang-up that plagues an executive to make him want to check his junk mail, and study reports, instead of getting out the desk rake and attacking. This type of non-productive activity should be conducted on down time and the best way to control the problem is to instruct your secretary to put those items on your desk only once a week, like late in the afternoon. 4) Unnecessary, unprofitable, non-business related activities during the golden hours---such as selling tickets, getting your car washed, making bank deposits and a million other things that can catapult you through the day with zero accomplishment. Any activity you persist in which does not directly or indirectly relate to your main business thrust should not be programmed into your day's activities and if a chore can be done by a secretary, then it should be. 5) Poor calendar organization. This can be a real problem because it takes a skill to schedule appointments and planning sessions so gaps do not occur thus permitting the intrusion of the above problems. This is where a good secretary can really earn her salt. My
