New Student-Athlete Enrollment Packet and Checklist

Dear Commodores,
Welcome to Vanderbilt and congratulations on beginning the adventure of a lifetime! Competing in the best conference in college athletics and living in the middle of a vibrant, bustling 21st century city, the memories you make here will last for decades to come. Studying at a world-class university, surrounded by coaches, staff, professors and peers committed to your success, the opportunities to grow will serve you wherever life takes you.
Vanderbilt is life changing. I felt that from the moment I arrived as a teenager from Madison, Alabama, and stepped onto the Memorial Gymnasium court for the first time. Even now, I feel the same familiar thrill walking into McGugin Center every day to serve the next generation. I feel it when I watch our student-athletes compete and speak with fans who have cheered on our teams across decades. This community challenges and supports you like no other. Vanderbilt celebrates your success and then asks if you’re willing to dream even bigger. You’ll hear our motto often in the days ahead, and it’s true: Vanderbilt dares you to grow.
I’m even a little bit envious, thinking about all the experiences that await you and the places you’re about to discover. It won’t always be easy, but you chose Vanderbilt because you want something more rewarding than the easiest path. It’s why we’re so excited to welcome you. By choosing to be Commodores, you make us better. At Vanderbilt, that’s how we grow.
In this packet from the Ingram Center for Student-Athlete Success, you’ll find important information and tasks to complete to hit the ground running—and help us prepare for your arrival. Wherever you are on your academic journey, from registering for your first college class to beginning graduate programs that will advance your professional passions, the Ingram Center is here to help you reach your potential. Again, congratulations and welcome to the Commodore family.

Compliance/NCAA Initial Eligibility
Submit a transcript from each high school attended to the NCAA Eligibility Center
As part of the NCAA evaluation of your initial eligibility status, all incoming freshmen and two-year college transfer students must submit an official transcript to the NCAA Eligibility Center from each high school they have attended. The NCAA does not accept grades listed on a high school transcript that were earned at a different high school. Your high school academic counselor can submit these transcripts via the High School Portal or by sending an email with your name and NCAA ID in the subject line to ec-processing@ncaa.org. The NCAA will not accept transcripts that come from you directly.
For international students, please make sure your transcripts include a version in your native language and line-by-line English translations if applicable. Transcripts should be submitted by your educational ministry, school or translation service to the NCAA at ec-processing@ncaa.org.
Submit
a final high school transcript with proof of graduation to
the NCAA Eligibility Center
As part of the NCAA evaluation of your initial eligibility status, all incoming freshmen and two-year college transfer students must submit a final high school transcript with proof of graduation listed on it. Your high school academic counselor can submit these transcripts via the High School Portal or by sending an email with your name and NCAA ID in the subject line to ec-processing@ncaa.org. The NCAA will not accept transcripts that come from you directly. If your high school
cannot put a graduation date on your transcript, contact the Enrollment and Transitions team for alternative ways to show proof of graduation.
For international students, proof of graduation may include a leaving exam if your country requires one. Transcripts or a leaving exam certificate should be submitted by your educational ministry, school or translation service to the NCAA at ec-processing@ncaa.org.
Incoming student-athletes will not be permitted to compete for Vanderbilt until this process is completed.
Ensure your enrollment period is correct on your NCAA Eligibility Center profile
All incoming student-athletes have an NCAA enrollment period listed on their NCAA Eligibility Center account. This period represents the first time you enroll in any four-year institution, not just Vanderbilt specifically. Please make sure your enrollment date is accurate for when your initial full-time enrollment will take place. If you join Vanderbilt beginning with the fall semester, and Vanderbilt will be the first four-year college you attend, then the college enrollment period should be “Fall,” and the year will be the calendar year this initial enrollment takes place. If you join Vanderbilt in the spring as a midyear enrollee, and Vanderbilt will be the first four-year college you attend, then the college enrollment period should be “Winter/Spring,” and the year will be the calendar year this initial enrollment takes place.
Get information on how to change your enrollment period at https://ncaa.egain.cloud/kb/EligibilityHelp/content/KB-2077/.

Request final amateurism on your NCAA Eligibility Center profile
The NCAA must additionally certify that you are still an amateur athlete and have not professionalized based on your previous participation. This process is called the amateurism certification. When you are close to your initial full-time enrollment date, you can request that the NCAA make a final determination of your amateur status. The earliest you can request this is April 1 if your enrollment period is for a fall semester and October 1 if your enrollment period is for a spring semester.
For most student-athletes, requesting final amateurism is a relatively simple process. Some student-athletes may have a more complex situation, for reasons such as not enrolling at a four-year institution at the first opportunity after their expected high school graduation date or because the incoming studentathlete accepted prize money associated with competition as an amateur. For complex cases, the Vanderbilt Enrollment and Transitions team and the Compliance team will work with the incoming student-athlete to submit any additional information the NCAA requires to make a final amateurism decision. Get more information on how to request final amateurism at http:// fs.ncaa.org/Docs/eligibility_center/Student_Resources/How_ to_Request_Final_Amateurism_Certification.pdf.
Incoming student-athletes will not be permitted to compete for Vanderbilt until this process is completed.
New Student-Athlete Compliance Form
Complete the beginning-of-the-year forms in ARMS Software
Prior to participating in any practice activities, all incoming student-athletes must complete the beginning-of-the-year forms process housed in ARMS Software. Your ARMS Software profile will be created by the Vanderbilt Compliance team prior to your initial full-time enrollment. Per NCAA legislation, these forms must be completed in full prior to engaging in any practice activities, including strength training and conditioning activities.
For fall enrollees, please check your Vanderbilt email address for information about completing these forms, which will be sent in late July or early August. For midyear enrollees, please check your Vanderbilt email address for information about completing these forms, which will be sent in late December or early January.
