MOTIVATION LETTER Dear SLEMSians, “Don’t limit yourself. Many people limit themselves to what they think they can do. You can go as far as your mind lets you. What you believe, you can achieve. “Mary Kay Ash.” And yes, I believe I can achieve and I am fully ready to take the lead.

I am Iye Pateh Jalloh, a 4th-year medical student. Five years ago, I entered medical school with the sole aim of studying medicine alone as advices were popping all around every single day that medical school is a different world “when you enter medical school focus on your studies only if you really want to succeed,” with all these advices which triggers some amount of fair in me, a well-known “workaholic” decided to follow the trajectory to focus on my studies only. To be honest, the new trajectory was not easy to cope with being that type of individual that believes in serving humanity and with setting one’s priority right, multi-tasking can be done at the end it will surely be a success.

So far let me briefly take you through my experience of leadership in high school. As a known disciplined personality, I served in various capacities: Class Prefect, School Prefect, and Orange Belt holder at the Annie Walsh Memorial School, Secretary-General of the anti-violence Movement Student Body, Chief whip Environmental Protection Agency and Chapel Funds Monitor.

Before entering medical school, during the holidays as the project coordinator for ‘Sierra Lend a Hand Foundation’ I wrote a project to raise funds for the less privileged and we were able to meet our aims and objectives, a good number of children benefited from the initiative.

During my professional year, I was indoctrinated and introduced to the association during the WHITE COAT CEREMONY. I learned about the structure, aims and objectives, history, and achievements, and it makes so much sense to me. Then I decided to give it a try ever since, I changed my trajectory and started participating actively: by attending meetings, training sessions, general assemblies and paying my dues yearly.

In 2019, I served as the Director of Fundraising within the organising committee of the 5th National General Assembly, and the event was regarded as a success. At 2nd year I was appointed as class ambassador; a position I have held to date, I have served to the best of my ability, winning several ambassador of the month awards during the 2020/2021 executive term based on transparency, accountability and reliability.

At this juncture, let me just pause and declare my intentions to run for the office of ‘Treasurer’. I strongly believe that based on my experience in leadership, good networking skills, financial mobilization and management, this is a good opportunity and platform for me to come on board and contribute to the development of the association, with your maximum support as SLEMSIANS we can achieve better financial management and attain stability in the next executive term.

PLAN OF ACTION FINANCIAL MANAGEMENT AND ADMINISTRATION Over the years, the office of the Treasurer has not been able to bring out a well define financial roadmap when it comes to reporting on the incomings and outgoings of funds, and so also giving an overview or update on dues collection across the board during the course of the executive year. Financial reports are only given during national general assemblies; which has not been a good practice. To bridge this gap below is a well-defined outline of how I can improve on this: Financial Reporting 1. Drafting of a single dues’ spreadsheet comprising of all classes that will be updated on a regular basis and shared across all platforms. To ensure this is efficient and effective, class ambassadors will be trained to do the inputting for their respective classes.

2. A detailed report for every activity and function of the association will be made available and shared immediately after every program.

3. Finance Assistants of all standing committees will be required to report all financial transactions directly to the office of the Treasurer in accordance with our constitution and bylaws.

Budgeting 1. For every event or program that required funding, a comprehensive budget with a contingency plan will be drafted and a proper follow-up plan will be in place to ensure the successful outcome of the said event or program.

Transparency And Accountability 1. All financial transactions and copies of receipts will be made available to the office of the Secretary-General for archiving; as per constitutional mandate.

2. Regular financial briefing during general house and team of officials’ meetings.

SUSTAINABLE AND PROFESSIONAL FUNDRAISING We have struggled to maintain a sustainable and professional means of raising funds over the last couple of years, this is evident by cancellation of some activities by previous executives, due to a lack of sponsorship or proper means of raising funds. With our current financial status as an association, it is obvious that we cannot fund our activities single-handedly; we have to continue to rely on external sponsorship to keep our activities running. Below are well-defined ways how we can ensure future activities or programs are not cancelled due to lack of funding or sponsorship: Sponsorship Database 1. At the start of my term as a Treasurer, a comprehensive database of all previous and current sponsors of the association will be drafted with the help of our past executive board members and standing committee directors.

Treasury Bill 1. Evaluation and assessment of the current investment, the possibility to increase the percentage of investment which will yield a better profit will be discussed at an executive level and a decision in the best interest of the association will be made.

Memorandum of Understanding (MoU) 1. In consultation with our key existing partners and sponsors, an MoU will be drafted and signed. This will serve as a long-lasting obligatory partnership that future executives will benefit from, and the struggle or uncertainties with regards to sponsorship would have been addressed.

CAPACITY BUILDING SESSIONS Capacity Building is the pillar upon which every association is built, strengthening the soft skills of our finance team (i.e., class ambassadors, finance assistants, organising committee fundraisers, etc) will be a major priority during my term. The following will be done to ensure this is achieved: 1. Online training sessions facilitated by experts in the field of finance.

2. An introductory session for all class ambassadors and finance assistants.

3. Regular follow up and private mentorship sessions.

4. Online Training session on Ethical framework on fundraising within IFMSA.

FUNRAISING STRATEGY OR MANNUAL Despite the number of training sessions that will be conducted over the course of the executive year, it will be prudent to have a document that can serve as a guiding tool when it comes to fundraising. This document will be drafted in collaboration with the office of the Secretary-General and that of the IFMSA Vice President of Finance.

There are already existing documents that can be used to achieve this, few are mentioned below: 1. 2021 – 2024 SLEMSA Strategy 2. IFMSA Fundraising Manual for NMOs 3. Ethical Framework on Fundraising

MERCHANDISE AND CONTINUATION OF EXISTING PARTNERSHIP All existing partnerships made by the outgoing Treasurer with regards to merchandise will be re-evaluated and continued in the best interest of the association. Alternatives and the possible introduction of other merchandise; for example, ‘the SLEMSA White Coat’ will be considered. Further external collaborations that will benefit our association will be made.
