HOW DO APPRENTICESHIPS WORK?

Apprenticeships are work-based training programmes which lead to nationally recognised qualifications. Apprenticeships include a mixture of on-the-job and off-the-job training and are available at 3 different levels:

Apprenticeship programmes are made up of a framework of qualifications and normally consist of four main components of learning and development: Main Aim (NVQ): An assessed qualification, designed to judge the application of skills and knowledge to a competent level (sometimes this is combined with the technical certificate).

Apprenticeships are available in a wide range of industry sectors, with employers ranging from large national companies to small local businesses, and all Apprenticeship training programmes are designed by the Sector Skills Councils, who work with business representatives from the relevant industry sector to develop the course content.

Technical CertiďŹ cate: A taught qualification, designed to develop the essential skills and knowledge needed to be competent at the job role. This is sometimes embedded into the main aim and therefore does not form a separate qualification.

Apprentices must be employed for a minimum of 30 hours per week unless there are exceptional circumstances, and an Apprentice’s time is divided between working with their employer and undertaking training with the College. For example, some apprentices spend four days a week with their employer and one day a week at Sussex Downs College, while others undertake all their training in the workplace, with the College coming to the employer for their part of the programme.

Functional Skills: The application of essential communication, numeracy and ICT skills in the job role including personal learning and thinking skills. Employer Rights and Responsibilities: Knowledge of what is needed to comply with essential employment legislation to ensure fairness, equality, and health and safety in the workplace.

FAQS Frequently Asked Questions

How much do I need to pay my apprentice?

How long will the apprenticeship last?

The current minimum apprenticeship wage is £3.30 an hour for 16-18 year olds and those over 19 in their first Apprenticeship year. If your apprentice is over 19 and in subsequent years of the apprenticeship you will need to pay the National Minimum Wage. Apprentices should be given time to see their work based assessor at their place of work, therefore providing work base evidence for their portfolio. If attending college, apprentices should also be paid for this time.

Apprenticeships can last between 1 and 4 years depending on the framework and level of the qualification the apprentice is studying for.

Will I have to pay anything for the training of my apprentice? The college will access government funding to fully or partially cover the cost of the apprenticeship delivery. The amount that we are able to access is dependent on the age of the apprentice, but 16-18 year olds are currently fully funded. An employer contribution is expected for those with apprentices aged 19+ and this will be dependent on the framework being undertaken.

How many hours will my apprentice need to work? All Apprentices must be employed for a minimum of 30 hours per week and must have a contract of employment in place.

As employer, what is my role within the apprenticeship? As well as pay their wages, you will need to provide on the job training and induction and ongoing support as you would with any other employee. Your company will also be expected to have the relevant Health & Safety procedures and Employer’s Liability Insurance in place. We will Health and Safety Vet on your site before an apprentice begins their employment with you.

Can I put existing staff onto an apprenticeship? Yes – as long as they are employed for a minimum of 30 hours per week and there is a framework that fits their job role.

When can I recruit an apprentice? Anytime – most of our apprenticeship programmes are roll on roll off, meaning that they can be started at any time of the year.

Will my apprentice have to attend college? An Apprentice’s time is divided between working with their employer and undertaking training with the College. For example, some apprentices spend four days a week with their employer and one day a week at College, while others undertake all their training in the workplace, with the College coming to the employer for their part of the programme.

8

AGE Grant If you take on a 16-24 year old, have fewer than 50 employees and are new to Apprenticeships or haven’t had an Apprentice in the past 12 months you could be eligible for a £1500 Government grant.

What is our Talent Bank? Our Talent Bank is a growing database of Sussex Downs Students and non-college young people who have expressed an interest in applying for an apprenticeship. We recognise the importance of having job ready candidates and the talent bank is a way of us identifying these candidates and ensuring that those with the right skills and attitude know about your vacancies when they come through.

10

HOW TO RECRUIT AN APPRENTICE

Step 1

Step 2

Step 3

Step 4

Contact us to arrange an initial visit or conversation with one of our experienced Account Managers so that we can understand your specific needs and best advise you on appropriate qualification and level. You will also be led through the process and advised on any applicable fees or available grants.

Complete a template for the National Apprenticeship Vacancy Service – www.findapprenticeship.service.gov.uk/apprenticeshipsearch which will ensure that your vacancy is advertised on both this national website and on our very own college job shop site. Your post will also be forwarded directly to suitable candidates registered on our Talent Bank. See top tips below for further guidance on ensuring you get the best applicants to apply for your vacancy. Choose the level of assistance you want from us when it comes to shortlisting - our Employer Recruitment Advisor can either forward you all applications that come through to us via the matching service or offer the following additional services at no cost • Contact candidates with poor applications and ask them to improve them before submission • Undertake shortlisting of candidates who apply to the essential criteria set out in your completed template • Arrange interviews for candidates you have shortlisted • Provide interview feedback to candidates who have been unsuccessful, after initial feedback has been provided by the interviewer Once you have successfully recruited, we will guide you through the next stage of the process to get your apprentice up and running – and make this all as painless as possible!

Top Tips for recruiting the best staff You get what you pay for – it’s not just about the take home salary but the whole package. Think about what you are asking your apprentice to do and where you are based and make sure you are offering a fair wage for the role.

Recruit for attitude, train for skills – identify the behaviours that are important for the role and the organisation and use them as your key selection criteria. You can train the technical knowledge for the job but it’s much harder to train different behaviours.

Sell your business - why should someone work for you over your competitors

Give Feedback – be fair and let unsuccessful candidates know what went right and what could be improved on.

Be clear on what the role is – and be clear about your expectations

11

Advertise smart – advertising via the right outlets is key to finding the right staff

COMMON APPRENTICESHIP MYTHS

Apprenticeships involve too much red-tape and bureaucracy

You don’t offer an apprenticeship that fits with my business

We are here to help make the process as smooth running as possible – let us help and we will make sure the process is as easy and straightforward as possible.

There are over 200 apprenticeship frameworks available nationally – if we don’t offer the one that fits with the job role within your organisation we will listen and feedback that demand is out there. If we ultimately cannot help you, we will refer you to someone who can.

We’re too busy to look after an apprentice Apprentices may need some additional support, however, if planned right from the outset, you can minimise the impact this has on team resources. Short-term additional support will deliver longterm benefits and a loyal worker who feels valued and is committed to the organisation. Mentoring or supervising apprentices also provides a development opportunity for existing staff. Time given to support apprentices in the initial stages will reap rewards later on and help apprentices get up to speed more quickly.

They’ll spend too much time out of the office The amount of time an apprentice needs to attend college or other external training sessions varies from programme to programme. Some training can be undertaken in the workplace, whilst other sessions will need to be delivered by a college or other learning provider. Depending on the type of role, or the elements of training being undertaken, it could just be one day per week or a block release. This can be planned to take account of the needs of the organisation.

We don’t have any vacancies Apprenticeships can be undertaken by existing staff but you may also have roles and tasks within your business that would suit an apprenticeship – we can help you fit things together.

I need to be able to guarantee a job at the end of an apprenticeship Apprenticeships must last a minimum of 12 months, regardless of age or prior experience include some off- the-job training, which can be either on or off-site. Employers do not have to guarantee a job on completion of the apprenticeship framework, if the employee is on a fixed-term contract. However, apprentices should be offered appropriate information, advice and guidance at the beginning, throughout the duration and at the end of their framework.

I don’t want to train someone up for them to leave and benefit someone else’s business The statistics speak for themselves. 83% of employers rely on their Apprenticeships programme to provide the skilled workers that they need for the future. 80% said that Apprenticeship programmes reduced staff turnover.

I won’t be able to find any suitable candidates We are increasing our work to create a talent bank of job ready individuals so that when you have a vacancy, we can help you find the right fit for the role
