Due to the high demand for places, should a child not attend, the full fee will be payable for each session booked for which no notice of cancellation has been given (see “Attendance” section of this booklet) 1

ADMISSION POLICY The before and after school Fun Club is open to children who attend Linden Road Primary School and Nursery (FS1).

The Fun Club is situated on the premises of the school and is run by school staff. The staff and children have use of a dedicated classroom, the main hall, a learning resources room, ICT suite and outdoor areas. The Club aims to ensure that the children are happy and that there is a warm, caring ethos within a stimulating environment. We provide lots of fun activities for the children to choose from – games, outdoor play, computers, construction, drawing, reading, DVDs. There are also organised activities such as baking, painting, 3D modelling and team games – other alternative activities are also available. The children also have opportunities to initiate their own games and activities. These are planned to ensure that all the children can take part at a level appropriate to their needs. Activities can be sometimes/also linked to the school curriculum.

SPECIAL EDUCATIONAL NEEDS We at Fun Club will give every child the right to be included and for their needs to be met.

Staff at Fun Club have the knowledge and understanding of the individual needs of every child in their care. We will liaise closely with teachers/parents/carers and all relevant parties to ensure that the environment and activities are planned enabling all children to take part at a level appropriate to their needs.

BREAKFAST CLUB This begins at 7.50 a.m. Children will not be admitted into the building before this time.

Children arrive via the main school entrance and should be escorted into Fun Club where they will be registered. Times of arrival are recorded on the time sheet by Fun Club staff.

Children are offered a choice of toast, cereal, fruit and a drink during the session. They are also able to play with their friends and select activities.

At 8.50 a.m. younger children are escorted by the staff to their classroom where they will be met by/handed over to the teacher. Junior children will make their own way to their classroom.

AFTER SCHOOL CLUB Infant children are collected from the classrooms by Fun Club staff. Junior children make their own way to the Fun Club room for registration on release from their class at 3.15 p.m.

During their time at Fun Club, the children have the opportunity to participate in a varied selection of activities. They will also be given a light snack and a drink. Parents/carers should collect their children from the Fun Club room, where they complete the time out sheet with time of departure and signature.

COLLECTION FROM FUN CLUB It is important that parents/carers inform Fun Club staff if anyone other than themselves is collecting their child. This must be done in writing, signed by the parent/carer or registered guardian. Without such authority or direct verbal confirmation from the parent/carer, your child may not be released from our care. We are sure that you must be aware that this is in the interest of your child’s safety.

PLEASE NOTE that staff must be informed if your child will not be attending as previously arranged. Please use the school telephone number to inform staff of their absence. This avoids staff searching for absent children.

Staff would appreciate it if children are collected promptly. If a child has not been collected by 5.30 p.m. and staff have not been notified that there is a delay, then staff will contact the emergency contact names held on record to arrange collection of your child.

In the unfortunate event of your child not being collected by 5.45 p.m. and staff have been unable to get in touch with the emergency contacts held on file, the Social Services Emergency Contact will be telephoned for guidance. The Children’s Act 1989, under which we operate, requires that two members of staff remain to supervise your child if you fail to collect them or make suitable alternative arrangements for their collection. Failure to collect or make suitable alternative arrangements for your child’s collection by 5.45 p.m. will result in an additional charge of £20 to cover staffing costs.

ATTENDANCE Due to this high demand for places, you are required to book your child’s regular weekly sessions for which full fees will be payable in order to retain your child’s place, even during periods of absence – credits will not be given. Additional sessions may be booked in advance only SUBJECT TO AVAILABILITY and by prior agreement. Should you wish to PERMANENTLY reduce the number of sessions that your child attends Fun Club, one month’s written notice is required. Similarly, if your child is absent for 2 weeks without any contact being made to Fun Club staff, your child’s place will be withdrawn.

FEES Fees are payable in advance for the week. Overdue payment notices will be sent home with your child on Friday stating the amount due to Fun Club. This should be paid in full on the following Monday. If you pay by cheque, this should be made payable to “Linden Road Primary School”.

N.B Non-payment of fees for 2 weeks will result in your child’s place either being suspended or withdrawn until all arrears have been cleared. Reinstatement of the place will then be reconsidered, subject to availability.

CONTACT DETAILS: It is essential that you complete a contact sheet prior to your child’s/children’s attendance at Fun Club.

IT IS ESSENTIAL THAT ALL THE INFORMATION WE HOLD ON RECORD IS UP TO DATE. PLEASE INFORM US OF ANY CHANGES. Staff must be able to contact either you or the emergency contacts given whilst your child is in our care.

MEDICATION If parents/carers wish their child to receive any medication prescribed by their doctor, they must complete a medical indemnity form (see Fun Club Staff). Without this, Fun Club staff will not administer medication.

Please note: Only medication prescribed by a Doctor will be administered.

POLICY DOCUMENTS All our policies are available for your inspection at any time. These include Child Protection, Behaviour Management, Equal Opportunities, Health & Safety and Food & Drink. Copies of all other policies required are available from school.

SUGGESTIONS AND COMPLAINTS At Fun Club we are happy to listen to any suggestions or concerns you may have. We are always willing to listen to any ideas which you think may help us improve the quality of service that we provide.

If you feel the need to complain, please use the following procedure: In the first instance, please make the Manager or Assistant aware of your concern. This can be done either verbally or in written form. You will then receive a reply to your concern within 28 days explaining the outcome. “MISSING” CHILD If during any session a child is “missing” the following action will be taken: • All staff members and management will be immediately informed.

• An immediate search of the premises will be undertaken, supervised by the Manager to locate the child.

• If the child cannot be found on the premises or outside play area, the police will be informed and parents/carers will be contacted. If possible, a picture will be given to the police to help in the location of the child.

• If a child is found to be outside the premises, parents/carers will be immediately informed of the incident.

• As this would constitute a significant incident, the Headteacher and Governing Body will be informed.

• The Manager would provide information of the incident, its outcome and any review/change of practice that resulted from the incident.

During outings, children are accompanied by adults in a minimum ratio of 1 – 6. Children are the responsibility of their designated adult within their staff group. If a child went missing during an outing, the above procedures would be followed.

Before & After School Club Care BEHAVIOUR MANAGEMENT POLICY

INTRODUCTION Fun Club Behaviour Management Policy is in place to ensure that all staff and parents are aware of the strategies that we have in place to manage a wide range of children’s behaviour.

We believe that good behaviour is essential in securing a happy and positive environment which will promote the well-being and development of the children in our care. Our ultimate goal is to promote self-discipline, therefore reducing the need for sanctions. We also recognise that the promotion of good citizenship where children have a responsible role has a significant impact on behaviour.

AIMS: • To create a positive environment where children feel secure and happy • To promote an atmosphere of mutual trust and respect between all those involved in the life of the Fun Club • To promote positive attitudes and acceptable behaviour • To develop sensitivity to the needs of others • To develop respect for the beliefs/opinions of others • To develop and foster a sense of responsibility and an understanding of the consequences of children’s own actions • To develop the children’s self-discipline, confidence and self-esteem • To ensure a consistent approach to behaviour guidelines and sanctions.

Children at Fun Club should be given the opportunity to explore their surroundings through exciting activities or by being allowed the freedom to initiate their own activities within accepted boundaries of behaviour. Children need their own time, space and opportunity to release their feelings in a non-destructive manner.

Sanctions applied in the case of unacceptable behaviour will take into account the age and developmental stage of the individual child. It is important that staff, teachers and parents work together to establish common strategies for addressing unacceptable behaviour both at home and at Fun Club. There will be consultation with teachers and parents to address issues as part of our policy.

PROMOTING POSITIVE BEHAVIOUR: In order to promote a positive ethos where children will feel happy and well cared for, the staff members will: • Set good examples to promote positive behaviour – be a good role model.

• Be fair and consistent in giving out praise and encouragement, and will deal with unacceptable behaviour.

• Praise and reinforce positive behaviour.

• Encourage sharing and negotiation.

• Consult with the children about “rules”.

• Encourage responsibility – tidying up, playing with younger children.

• Encourage children to recognise that bullying, fighting and hurting each other physically or mentally is not acceptable.

• Encourage children to demonstrate a caring attitude and recognise the difference between right and wrong.

• Actively encourage self-discipline with consideration for others and the environment.

• Implement the School’s Anti-Bullying Policy INAPPROPRIATE BEHAVIOUR It is important to acknowledge that it is the behaviour that is unacceptable and not the child.

Inappropriate behaviour should be dealt with sensitively and appropriately without physical threats or punishment. Staff members: • should use distraction methods to manage potentially unacceptable behaviour.

• should ensure that children understand that physical intimidation, hurting people physically, verbal/emotional abuse and threats are all classed as bullying and will not accepted.

• should explain to children why their behaviour is unacceptable and help them to understand the effect of their behaviour on others.

• should help children to find solutions to conflicts.

EXTREME CASES OF UNACCEPTABLE BEHAVIOUR In the case of extreme inappropriate behaviour the child would be removed from the situation. The parents would be contacted immediately to make them aware of their child’s behaviour and they would then be asked to collect their child. The incident/s would be recorded on the “Behaviour Management” incident form and put in the Fun Club Personal/Social Diary in the child’s individual section. It may be necessary to exclude the child from the club permanently. Any physical intervention required will be recorded in red capitals on the Behaviour Management incident form and the physical intervention form will be completed.

RECORDING OF INCIDENTS Details of all incidents relating to behavioural concerns and issues, including bullying, will be recorded on the Behaviour Management incident form “Social and Emotional Diary” and dated, details of which will be shared with the child’s parent/carer. Any child who behaves inappropriately by physically or verbally abusing another child or adult may be temporarily removed from the Club. If a child continues to behave inappropriately, there will be a meeting between the Manager and parents/carers to discuss future action. A decision to remove a child from the Club is only reached following consultations with staff, parents and the Headteacher on the individual circumstances.

PHYSICAL INTERVENTION In the case of any inappropriate behaviour, it is important for staff members to be aware that physical intervention by an adult may be required in extreme circumstances to prevent personal injury or serious damage to property. Alternatives should be carefully considered before using physical intervention e.g. withdrawing other children from the situation, making the environment as safe as possible to avoid child causing injury to themselves or others, redirecting the child’s attention.

If physical intervention is seen as appropriate, staff must ensure that it is with minimum force and for minimum time. Circumstances for using this may be to prevent injury if a child is having a temper tantrum or to prevent an accident such as a child running into the road.

Any incidents of physical intervention will be recorded by the Manager of Fun Club on a physical intervention form in consultation with the member of staff involved. This will then be placed in the Personal/Social Diary. The following details will be recorded on this form: • • • • • • • • •

the child’s name date, time and location of the incident what started the incident the nature of the incident others involved witnesses how the situation was handled what form of restraint was used and by whom any consequences arising

Parents will be informed of the incident and asked to sign the record.

Corporal punishment such as smacking, shaking or slapping is strictly forbidden and such action by a member of staff will result in immediate disciplinary action.

This Policy will be reviewed annually

BEHAVIOUR MANAGEMENT GUIDELINES Whilst our policy encourages good behaviour and discipline through positive reinforcement, occasionally children may behave inappropriately. We realise the importance of a consistent approach to deal with any misbehaviour. In the event of the situation arising, staff will follow these guidelines.

Fun Club Behaviour Management Steps Step 1:

Explain to the child that the behaviour is not acceptable

Step 2:

Remind the child of the rules and warn them what will happen next

Step 3:

Distract the child from the activity/change the activity

Step 4:

Reflection time (time dependant on age – maximum 5 minutes)

Step 5:

Revert back to step 1 and speak to parents.

In more extreme circumstances, the behaviour may warrant going immediately to Step 4

In all cases staff will use their discretion and complete a behaviour form if the behaviour management goes beyond Step 4`
