2.9 Printing and Print Areas in a Spreadsheet 1. The purpose of setting print areas is so that you can mark what you want to be printed from the spreadsheet.

2.11 Database Activity A database is a process that stores data and information into an organised structure. Most databases contain multiple tables, which may each include several different fields. Fields contain fieldnames which define the type of data that is entered into a field that becomes a record. For example, a company database may include tables for customers’ names, addresses and telephone numbers. Each of these tables would have different data types that are relevant to the information stored in the table. An example of a database is MS Access which contains features that include creating tables, forms, queries and reports. Each of these features allows the structured organisation of data to be displayed and presented accordingly.

2.12 Importing Data 1. Importing data is when you take data from another location (e.g. a text file) and transfer it to the database to use.

3. The advantages of importing data are that it is quick and easy, and human errors are reduced because the data does not have to be retyped.

2.13 Working with Records 1. A record is a row of data in a database. For example, record 227 will have the name, address and telephone number of one person.

2. Records are stored in tables. For example, a ‘customer table’ will store the customer records whereas the ‘product table’ will store product records.

2.14 Query and Sorts 1. The purpose of a query is that it searches for specific data based on your search criteria.

The sort enables you to sort search results in a particular order.

4. A flyer template could be used to advertise a pop concert.

3.3 Letters 1. The purpose of a letter is to send formal or informal correspondence to a recipient.

2. Common features of a letter include: sender name, sender address, date, recipient name and recipient address.

3.4 Memo 1. A memo is a method of communication for employees in an organisation.

2. A memo would have the name/department it is addressed to, name of person who created the memo, date and subject matter.

3. A memo would be used to notify employees of upcoming changes in the business, such as staff, products, announcements, reminders and company policy.

3.5 Agenda 1. An agenda is used during a staff meeting which outlines the topics to be discussed.

2. Common features of an agenda include names of people attending, date of meeting, venue, topics for discussion and time allotted for each topic.

3. An agenda would be used because it helps to plan effective meetings; every topic will be listed for discussion and there will be no time wasted.

3. The advantages of using a chart are that it is a visual form of representing data, more interesting than text, easy to create, easy to understand and enhances documents.

3.9 Spell Check and Proofreading Activity A. There were a total of 11 mistakes.

Google began in 1996 as a project by Larry Page and Sergey Brin. Larry and Sergey were both students at Stanford University, California in the country of USA. In their research project they came up with a plan to make a search engine that ranked websites according to the amount of other websites that link to that website (and ultimately came up with Google). Before Google, search engines, such as Yahoo, had ranked sites simply by the number of times the search term searched for appeared on the web page. The pair set out to make a better search engine.

The domain name google.com was registered on 14th September 1997 and Google Corporation was formed a year later in September.

Questions 1. The purpose of proofreading is to ensure that there are no spelling or grammar errors.

2. Proofreading is important because it helps to ensure that spelling and grammar errors are found before they are published or otherwise distributed. Good proofreading makes text seem more professional.
