Stalmine Primary School Lettings Policy

It is the policy of the Governing Body of Stalmine Primary School to actively encourage community use of the school premises in out of school hours. The school is seen as an important centre of village life and it is felt that use of the buildings will promote the school’s positive image to the wider community. A letting may be defined as ‘any use of the school premises (buildings and grounds) by either a community group (such as a local music group or football team), or a commercial organisation (such as a local branch of ‘Weight Watchers’). A letting must not interfere with the primary activity of the school, which is to provide a high standard of education for all its pupils. Use of premises for activities such as staff meetings, parents’ meetings, Governing Body meetings and extra-curricular activities of pupils supervised by school staff, fall within the corporate life of the school. Costs arising from these uses are therefore a legitimate charge against the school’s delegated budget. Application The Resources Committee will consider every application for use on its individual merits. If accepted, the users group will under go a trial period of 3 months. If no problems have arisen the group will be fully accepted. Costings 1. Where groups include children (Under 16 years of age), the Site Supervisor should be available and use will be costed accordingly. 2. Where adult groups are using the premises, the Site Supervisor will only be required to unlock the building 15 minutes before the meeting is due to begin and secure the building again at the end of the event. 3. Costings vary according to the above criteria, but are based on figures provided by the Local Authority as to the appropriate caretaking and heating costs. 4. The school does not aim to profit financially from letting the building, but neither does it want to subsidise the activities of community groups, therefore the letting costs will be reviewed annually by the Resources Committee and approved by the whole Governing Body during its Spring Term Meeting.
