Our History The DC Arts and Humanities Education Collaborative is a member service organization founded in 1998 by the DC Commission on the Arts and Humanities, the John F. Kennedy Center for the Performing Arts, and Humanities Council of Washington DC along with DC Public Schools and other local cultural institutions and funders.
Arts and Humanities for Every Student (AHFES) is the DC Collaborative’s legacy program that provides experiential learning opportunities to DC Public and Public Charter School students and teachers preK-12.
The DC Collaborative works with its cultural institution partners to ensure equitable access to high quality arts and humanities learning opportunities.

DC Arts and Humanities Education Collaborative School Partnership Expectations Worksheet 2021-2022 School Year PURPOSE OF THE PARTNERSHIP The DC Collaborative offers opportunities for all students, educators, and administrators in the DC Public Education system to take full advantage of the vast cultural resources available throughout the greater DC region. We believe that students attending high-quality arts and humanities programs is an integral part of their education. Whether in-school or at cultural institutions, these stimulating programs entertain and inform students, while providing concrete and engaging experiences that bring learning standards and curriculum to life. Participating organizations and teaching artists also provide teachers with pre and post resource materials, adding further incentive to integrate the arts into their daily lessons. Our Education Programs feature three areas of engagement that are primarily FREE of charge for DC educators: ● Arts and Humanities for Every Student (AHFES)- Synchronous Virtual and In Person Field Trips ● Distance Learning Resource Database (DLRD)- Asynchronous Digital Learning Resources ● Professional Development Opportunities (PD)- Available to all educators and school administrators This School Partnerships Expectations worksheet pertains primarily to the AHFES program, detailing expectations and responsibilities of individual school partners and the DC Collaborative Education Programs staff. After completing this worksheet, please sign, date and return to schools@dccollaborative.org. Once received, your school will be allowed to register for Education Programs for SY21-22. Virtual Educator Orientation for School Partners Representatives from DC Public and Public Charter Schools and classrooms are required to attend the AHFES Orientation to learn about the lottery process, procedures, and liability notices. The DC Collaborative will also make School Partnership Expectation Worksheets available to those who have not already completed one. Educators, Administrators, and Main Points of Contact interested in participating in AHFES are required to attend before the Fall Lottery Period begins. Professional Development Workshops are open for registration to all DCPS and DCPCS educators. These workshops take place throughout the year at the hosting cultural organization as part of the DC Collaborative Professional Development series of events.

DC Arts and Humanities Education Collaborative School Partnership Expectations Worksheet 2021-2022 School Year *Please note that failure to respond to a confirmation email will not be considered proper notice of a cancellation; you must notify the DC Collaborative by email of any cancellation.. Registration Policy
The DC Collaborative has been operating in good faith with the DC Public Education system for 24 years and wants to ensure the continuation of this relationship. Though most of these programs are offered free of charge to your school and students, a typical arts and humanities experience has an approximate value of $1,000 per experience for a class of 25 students. Please keep this in mind as you select the number of experiences that you can commit to engaging in and assessing for the highest level of impact for our DC students. Educators may request, but are not guaranteed, as many AHFES programs as they like. Educators may also request up to three asynchronous programs per week through the Distance Learning Resource Database. Please note: While the DC Collaborative Education Programs are offered through the year, please consult your school calendar when making requests through the AHFES Lottery so avoidable conflicts are not created. This includes holiday breaks, testing dates, and teacher workdays.
Cancellation Policy
Cancelling an AHFES Program with little notice can lead to disruption and miscommunication between the School, DC Collaborative, and cultural institution/organization. Cancellations are highly discouraged and can affect a School Partners participation in future cycles of the AHFES program. The DC Collaborative requires a minimum of 14 days advance notice to cancel an AHFES Program without penalty. All cancellations must be submitted with a detailed written explanation to schools@dccollaborative.org 14 days prior to the experience. Please note that failure to respond to a confirmation email will not be considered proper notice of a cancellation. To maintain high quality programming and respect for our DC students and member institutions, the following measures will take effect if the Cancellation Agreement is not adhered to properly: ● 1st Cancellation within 14 days of the program: The Educator and Main Point of Contact will receive a written notice from the DC Collaborative team to be noted on record. 2nd Cancellation within 14 days of the program: The Educator will be temporarily restricted from participating in future AHFES lottery cycles. A meeting with Ashlee McKinnon, School Partnership Manager, the Educator, and Main Point of Contact must be held before being reinstated. Please Note: When in person experiences resume, the cancellation policy will be updated for the remainder of the 2021-2022 school year. ●

DC Arts and Humanities Education Collaborative School Partnership Expectations Worksheet 2021-2022 School Year Fee for Service Policy
Most programs, resources, and PD opportunities offered through the DC Collaborative are free and at no cost to administrators, educators or students. Programs associated with a price will be marked in the program catalogue and Lottery Request Form. All communications and invoices will come directly from the teaching artist or organization prior to the program date. The DC Collaborative WILL NOT process invoices on behalf of Providers OR cover the cost of any outstanding invoices for programs with an associated fee. For all programs, including those with a flat/fixed rate, the cost per participant/student will not exceed $4.00. When contracting with Providers, schools must follow applicable DC government procurement laws and regulations.
Teacher/Student Reflections Policy
Teacher and student reflections are required to be returned within two weeks of completing an AHFES Program. The DC Collaborative reserves the right to withhold future AHFES experiences to school partners and individual educators who have outstanding reflections from the previous lottery cycle. Reflections are a necessary component of the AHFES program and help the Collaborative evaluate the quality of the AHFES experiences and advocate for public funds from the District of Columbia to continue to offer these experiences to DC schools and students.
Accessibility Policy
The DC Collaborative is committed to providing programs that are accessible to all learners and students with various needs, including programs occuring in virtual spaces. Accessibility requests (in regards to virtual and in-person experiences) should be made at least 30 days in advance of the experience. Educators have the opportunity to submit accessibility needs to schools@dccollaborative.org, through the Lottery Request Form when they are requesting a program, and/or when educators receive the confirmation email from DC Collaborative staff. All virtual experiences will have closed captioning available. Please note: If accessibility or accommodation cannot be made, the DC Collaborative will contact the educator to find further resources beyond our capabilities. We are committed to making Arts and Humanities education equitable and accessible to all DC students.
Transportation Policy
For SY21-22, the DC Collaborative will not be providing direct services for transportation for School Partners. We will be looking into other methods to assist School Partners accessing the physical locations of experiences when in person programming resumes.

All virtual synchronous programs offered through the DC Collaborative will be requested and run through EventBuilder. EventBuilder is the DC Collaborative’s new registration platform for AHFES programs, Professional Development, and Member events. EventBuilder was designed to integrate with Microsoft Teams, however, it can be used with other platforms like Zoom and Google Meets. EventBuilder supports virtual webinars, workshops, live streamed events, and in-person programs. All calendar invites, email reminders, certificate completions will be sent through this platform. Please add noreply@email.eventbuilder.com to your safe list of email addresses to prevent emails from going to Spam.
Intellectual Property Policy
Though these resources are offered as free resources through DC Collaborative’s Education Programs, they are the intellectual property of the Program Provider. These materials should not be duplicated or recorded without the permission of the Program Provider, with the sole exception of copies made for distribution to students participating in the applicable AFHES experience. Participants must adhere to any additional requirements of the AHFES Provider. DC Collaborative will have exclusive, perpetual, worldwide license for any publication print materials, online formats, publications, displays, advertisements or promotions.
Media Release and Privacy Policy
Images and recordings taken during DC Arts and Humanities Education Collaborative’s Arts and Humanities for Every Student experiences can be eligible for use by the Program Provider and/or the DC Collaborative in any print materials, online formats, publications, displays, advertisements or promotions with proper consent from the student/guardian. Program Providers will directly request and receive Media Consent Forms from the Educator prior to the start date of the program to ensure compliance with DC Public and Public Charter School privacy policies.
Waiver of Liability Policy
The DC Collaborative serves in a limited capacity as the coordinator of programs and services, and is not a direct provider of the opportunities listed in the Distance Learning Resource Database and the Arts and Humanities for Every Student program. Participation is voluntary for teachers, schools, and students, as well as their parents or guardians, if students are younger than 18. All organizers and attendees must take responsibility for participation including, making safe choices, choosing non-injury behaviors, and respecting space. Participants must adhere to any additional requirements of the AHFES Provider. Incident Reports Forms will be provided to educators and AHFES providers in case there is a need to document unsafe, inequitable, or concerning behavior by either party. Contact with the DCPS Central Office or DC Public Charter School administrative offices may be required after submitting the Incident Report Forms to schools@dccollaborative.org
