If you’re involved in a meeting group of any sort – Rotary, Kiwanis, trade association, social group – or holding an annual or one-time event like a convention or wedding, you know: COVID-19 is over … but its effects linger.
That is, the masks, the distancing, the vaccine checks, the online-only gatherings are a thing of the past. But so are, in many cases, the crowds. Numbers are down across the board –to 62% of pre-COVID rates, according to the Center for Exhibition Industry Research – despite widely available vaccines and a dramatic decline in the death rate. No one can say for sure exactly why.
Some of the ex-post-facto theories are that people have changed jobs, retired and become less spendthrift as prices skyrocket. Labor shortages have reduced the capacity for large crowds. And some people, particularly those who remain at risk of serious illness because of age or underlying conditions, are reticent about returning to large gatherings.
Those are the theories. Most of them, perhaps other than the last, ring hollow. Job shifts shouldn’t have affected overall numbers. Inflation resulted from an overheated economy, which means people and businesses are spending money. The labor crunch pre-dated COVID, particularly in the hospitality field, so it’s hard to see how that would suddenly affect event attendance.
Locally, despite a rapidly growing population and business community,
attendance at events remains below 2019 levels. Weekly meetings of the entrepreneur support group 1 Million Cups regularly hit 75 attendees in 2019 but hover in the 30s and 40s today. North Charleston Breakfast Rotary Club attendance has rebounded from down a half to down one-third. The Mount Pleasant Chamber of Commerce membership stands at about 80% of 2019 levels.
“People’s habits have been disrupted and they are still determining how to prioritize their time and attention,” said Audra Gibson, a local entrepreneur and ecosystem builder who serves as lead organizer at 1 Million Cups.
Ben-jamin Toy, founder of On Purpose Adventures, a team-building and bonding company, says groups of 50 in 2019 were typically at 15 during the pandemic and have recovered to 40 today.
Kathleen Buckley, proprietor of Buckley Events, a wedding planning company, says older and infirm relatives are no longer expected to make the difficult trek to a Charleston wedding. But COVID did them the favor of opening planners’ eyes to the necessity (and ease) of streaming the ceremony on video so they could observe in real time.
“The same with someone who can’t make a seminar,” she said. “Now they can buy a package to see it live.”
COVID was a tsunami that washed away norms in the event planning industry. “It was horrible. I had to furlough the entire staff. There was a moment when I didn’t think I was going to reopen our doors,” laments Charles Carmody, Charleston Market Director for the Music Hall and Music Farm. But, he says, concert attendance has recovered this year to record-shattering 2019 levels.
For him, the larger challenge is booking acts. “The inventory of tour-

The same cannot be said for the event planning industry overall in Charleston. Lee Blakely founded Experience Holy City, a destination management company, smack dab in the middle of the pandemic. She and partner Taylor McKenzie started with dayof-wedding services – where they run the wedding itself but don’t plan it –hoping to phase it out as business travel rebounded. But the wedding business has boomed and instead of contracting they have hired another wedding expert to help keep up with demand.
Indeed, other than some added hand sanitizing and cleaning of venues, event planners saying a 2022 event would look much like a 2019 event. Except, says Blakely, companies are being more cautious about booking.
“They’re taking longer to sign contracts and the planning timeline is being scrunched. Instead of booking a year out they’re planning months out,” she said
The contracts look different too. Instead of waiting for payment until
after the event is complete, a tactic that backfired when events got canceled mid-planning in 2020, Blakely says she now requires payment up front.
Amid the personal and business death wrought by COVID, some individuals and businesses prospered. For Ben Toy, it helped him hone his business plan. Where previously he provided fun events that might have some team-building value, today he focuses on team-building and bonding content that is fun. It has resulted in a significant uptick in business.
“Now a majority of people are booking us for our content,” he said.
Though the effects of COVID exhausted Charles Carmody at the Music Hall, it invigorated others. Blakely lost a job and responded by starting her new business. Ben Toy recalibrated.
“Looking back at COVID I’m grateful for the pattern interrupt, for the forced reflection time. I felt like I had to start over again, but not from zero. The last two years taught me how to be productive and not busy,” he said.
DIG SOUTH, a highprofile technology summit in Charleston that connects tech founders, investors, entrepreneurs and executives from global brands and startups, had a very 2022 experience in store for attendees at this year’s summit in May: a nonfungible token (NFT) as proof of attendance.
Proof of attendance protocol (POAP) NFT is one of the newest trends in corporate events and uses the same digital programming as
cryptocurrencies.
In lieu of paper tickets, attendees of DIG SOUTH received a unique NFT digital piece of artwork — which served as both proof of attendance and a digital souvenir — that they download in their digital wallet and can keep forever.
“We had over 35 global artists and an NFT gallery with over 100 works that were created and projected onto screens at (the event location) TD Arena at the College of Charleston,” said Stanfield Gray, CEO and founder of DIG SOUTH. “As far as I know, we were the first POAP NFT to be offered at event in Charleston.”
The NFTs can be attached to future DIG SOUTH events and affiliates.
“We can choose in the future to give discounts or add benefits or connect it to affiliate programs using those NFTs,” Gray said. “We offered it this year as an experiment as a free NFT and it was a lot of fun.”
Other technology-focused trends at this year’s DIG SOUTH event included to continue offering streaming capabilities that dominated during the COVID-19 pandemic.
“Pre-COVID, streaming was a nice to have, but not necessarily required,” Gray said. “Then during the pandemic, everybody switched to remote events, and we streamed them live and then when it became a were the first POAP NFT to be offered at event in Charleston.”

I would say corporate events are trying to figure out what is the right balance of virtual live and hybrid event. They’re having to survey audiences and figure out how much interest and demand is there to justify the cost of producing a virtual event and or producing a hybrid event.”
Streaming events are often placed on YouTube so that attendees can watch again or be offered in a tiered ticket structure for those not in physical attendance who
want to watch live.
“You have to have a dedicated person filming it, streaming it and sometimes needing to be able to respond to questions to connect people,” Gray said. “If, for example, a corporate event has a lot of potential buyers and clients, then you would invest more time and money into making sure that a hybrid event was highly functional and added value — more than if your goal is just to provide access for access to a speaker. You have to weigh the cost. Is the return on investment there to justify the cost of the production?”
The increase in tech offerings isn’t solely to capture a millennial — or younger — audience.
“We’ve always had a healthy mix of attendees from age 25 to 60 years old; I would say our typical attendee is about 35 years old because we do a Wild Pitch event every year mixed with the other tech events and speakers and a lot of startups tend to lean toward the younger side, but I wouldn’t call it younger attendees than before,” Gray said.
Gray said attendance at corporate events has shifted slightly with more remote workers not needing to keep to a rigid schedule, which allows for more networking opportunities, like happy hours, following the main event. “We found that smaller businesses and startups have a lot more flexibility because they don’t have as much bureaucracy or corporate structure around what’s allowed in terms of
travel,” Gray said. “Especially when it’s a destination event location like Charleston, people want to see, study and experience the city, and we help them do that through the lens of DIG SOUTH, hosting after-parties and happy hours following the conference for networking.”
The 2023 dates for DIG SOUTH are April 26 and 27 at the TD Arena at the College of Charleston. Gray said the team works year-round to engage with attendees, produces a podcast, sends email newsletters with tech-related news and trends and stays very active on social media, all crucial moves in order to continue to engage the tech community year-round.
“We’ve been digital digitally focused since the very beginning. We have a membership base that’s yearround and we’ve produced virtual events,” Grey said.
Gray said this year’s event — the first full-scale event following COVID — proved that in-person networking continues to play an important role for collaboration and sharing of ideas, even with the proliferation of technology.
“People were in great moods. They were really excited to see each other,” Gray said. “I would say that people have realized that it’s helpful to network in person. You can’t rely entirely upon LinkedIn or social media channels or Zoom calls. It really helps to go meet people and see them faceto-face. And it definitely increases business and revenue.”
o Determine event goals and objectives. This is especially important with client events and sales meetings, as it will help you stay on track.
o Identify possible dates for the meeting. Thinking ahead and checking with others on possible conflicts can limit the inconvenience for all parties.
o Prepare a preliminary agenda and guest list to help set the criteria for the venue.
o Prepare a preliminary budget. Unless you manage your corporate event closely, the budget can grow unexpectedly.
o Send meeting requirements to selected sites with requests for written proposals.
Communication is a huge key to your event’s success. Strive for clear communication with attendees, sponsors, vendors and the venue representative.
o Conduct site visits as required. This is important when you’re using the facility for the first time.
o Negotiate hotel rates and blocks. If you use hotel meeting rooms for the event, you could get a significant discount on sleeping rooms.
o Determine preliminary food and beverage requirements and negotiate menus and prices.
o Add any deadlines and other requirements to the timetable.
Plant the seeds of social media early by promoting a hashtag before the event to generate buzz.
o Form committees as required. Organizations that have regular events should consider forming standing committees that meet regularly.
o Develop a promotional strategy.
o Do some public relations for the event. Calendar notices, press releases and interviews may all be appropriate.
o For nonprofit or charity events, line up sponsors.
o If you are charging admission to the event, establish
registration fee structures and policies, and be sure to include clear cancellation policies.
o Invite and confirm key speakers. This includes people within your organization.
o Obtain audiovisual needs from speakers and presenters, and order all necessary equipment.
o Review, update and confirm final event budget.
o Identify and communicate on-site responsibility areas for committees and volunteers. Set up training for volunteers and educate them about your expectations.
o Select and order speaker gifts and awards.
o Order special decorations for the event.
o Prepare and order signs. This is another opportunity to build your brand.
o Arrange for travel and housing of all staff and VIPs.
o Have a staff and volunteer meeting to review responsibilities, procedures and overlap areas such as registration.
o Confirm and monitor pickup of all rental equipment and supplies.
Use your leverage to get the best out of your vendors. Explain that the event’s audience is invaluable to their business. “Here is what I am bringing you.”
o Pack and inventory all material. Many of your collateral materials are reusable — and they’re a big investment.
o Do financial reconciliation. Gather the invoices and make sure you have been billed correctly and that you pay in a timely fashion. Watch expense reports for other costs.
o Write and mail thank-you letters.
o Collect and organize data for final meeting reports. Get evaluations from staff, volunteers and consultants to determine what went right and what needs improving.

Address any problems that need to be handled after the event is over. Take notes for future events if there are things that need to be done differently.
The weather, the history, the hospitality, the inherent beauty — Charleston has become a true wedding destination for out-of-town couples.
As such, wedding event planners say that planning doesn’t just involve the wedding and reception, but planning a long weekend multi-event experience for guests and other out-of-towners.
“We call them ‘shoulder events’ to the wedding day itself,” said Amy DeVito, owner and designer at Buttercup Events. “It turns a wedding into a weekend long event. It’s not just the wedding day, it’s all of the things leading up to it.”
DeVito said almost all of her clients are from out of town looking for full-service event planning, including setting up hotel room blocks.
Tara Guèrard, owner of Soirèe Events with offices in Charleston and New York, said weekendlong celebrations have long been the standard with her events.
“We’ll do a welcome party, a rehearsal dinner, a going-away brunch. That’s standard,” Guèrard said.
DeVito said couples are spending more of their budget on these additional events and other details for a memorable guest experience, finding ways to lower costs elsewhere, like lowering the guest count.
“Couples are sticking with their original budget but have pivoted to making it a really exceptional guest experience,” DeVito said. “Charleston is a destination location for almost all my clients and I think couples are feeling that if they’re going to ask all these guests to travel, they’re thinking, ‘let’s really make it worth it for them.’”
Wedding planners say the entire guest experience has become a highly curated affair, from the first invitation to the last goodbye.
Guèrard, who started in the business 25 years ago, said the Soirèe Events signature is planning every last detail. She even started her own letterpress
company called The Lettered Olive to create the perfect custom invitations unique to each event.
“Our details are really spectacular; we care a lot about those things,” Guèrard said. “Every little detail goes into doing weddings.”
Details and themes carry throughout the entire event.
“Everything is cohesively connected, from the very first thing you receive, whether that’s a save the date or the wedding website, to all the events,” DeVito said. “There’s this strand of connectivity between everything and it makes it feel like all these events are just one big continuous event.”
DeVito said couples want to add Charleston touches, like welcome bags with Charleston items and a Charleston’s Visitor’s Guide for guests at their hotel, and the always-popular shrimp and grits served at the reception.
“There’s no reason for trying to recreate a New York wedding here; let it be a Charleston wedding, you know?” DeVito said.
Rising costs of nearly all goods and services have impacted the wedding industry, with price increases on food, labor and transportation across the board. DeVito said there’s also been a drastic increase in shipping that has increased the cost of flowers.
“We’ve seen a lot of venues do price increases, which can be difficult for clients. Every contract that people sign with a venue says, ‘prices are subject to change,’ and for some venues, there’s been a nominal increase and other venues have drastically increased prices,” DeVito said.
As such, “People are not spending less on their wedding — if anything, people are spending more if you look at it from a per-person price from three years ago,” DeVito said. “People from up north assume that weddings are going to be less expensive here and it’s really not the case. I would say prices are fairly on par with a New York wedding right now.”
Despite fluctuating prices, weddings are still big business, with couples spending tens of thousands of dollars, and much more, on their big day.
Guèrard is a high-end wedding planner for locations in Charleston and across the country. Soirèe Events only takes weddings that have a budget of $300,000 or above and has stayed steady with planning around seven of those grand events each year.
Yet, with more inquiries for weddings at a lower budget since the pandemic, Guèrard started a sister company called Soeur Events, Souer means “sister” in French, which offers wedding planning services for weddings that have a minimum budget of $100,000. Guèrard said Souer Events has been fielding inquiries from couples from all over the
country.
“People are still getting married, but things might be changing with the budget a little bit,” Guèrard said. “The price of everything has almost doubled — food, labor. Another big thing that everyone in the industry is dealing with is that companies are shorthanded, from rental companies, catering companies and production companies with lighting and sound. We’re all working triple.”
At one time, Charleston had two distinct wedding seasons — spring and fall.
Wedding event planners say that save for the high heat and rainy days of July and August, weddings are being held in earnest year-round in the Holy City.
“The average numbers that come out for Charleston is that there are 75 weddings a weekend held in the Charleston area,” DeVito said. “In years past, December was not a particularly busy month, but this December is one of my busiest months of the year.”
Alternative days like Thursday and Sunday have also become regular wedding dates as couples squeeze in days around the popular Friday and Sat-
urday celebrations.
“I’m doing about two weddings a weekend and I have a Sunday wedding almost every weekend,” DeVito said. “I also have a number of Thursday weddings and have a Tuesday wedding the week of Thanksgiving.”
With so many couples flocking to Charleston, dates are filling up fast at popular venues, like Lowndes Grove in downtown Charleston, which is regularly named the best wedding venue in the area.
“I already have 2024 weddings booked at Lowndes Grove,” DeVito said. “What couples are quickly finding out is that if they want a specific venue and specific vendors, it will be hard to get them in 2023. My 2023 calendar is closed out; I can’t take on any more weddings in 2023.”
Guèrard said her event planning companies gets a call or email inquiry from couples every day.
DeVito started out as a wedding planner 16 years ago in New York before moving to Charleston. She said the amount of interest and popularity for weddings in the Holy City has surpassed the Big Apple.
“Charleston blows New York out of the water,” DeVito said.
Large events were cancelled overnight in the early days of COVID-19 pandemic in early 2020. While smaller socially-distanced events were the first to return with the availability of testing and vaccines, larger events took nearly two full years to come back online.
Large events are now back in full swing, and event venues in Charleston that host concerts and performances report a busy calendar in 2022 and looking toward 2023. A new trend is offering
smaller private event space for non-ticketed events in addition to larger public events.
The Credit One Stadium on Daniel Island, which hosts the famed Credit One Open (formerly the Family Circle Cup) tennis tournament each April, is fresh off a large renovation which added many stadium improvements and new private event space overlooking center court.
The modern space has various seating options, conversational areas and a bar and can host 150-200 people in its Club
Level VIP area.
“This was year one (of opening it), so we’re still learning, but we’re trying to use the space as much as possible,” said Bob Moran, president of CharlestonTennis LLC and the Credit One Charleston Open. “We have a team that’s working on private events in our new spaces. We’ve hosted different organizations over the last few months to introduce the space to the community and operated about 12 additional events (outside of music) and we’re running some holiday events in stadium this year,” said Moran.
Outside of its private event space, the Credit One Stadium operated 21 dates for music in 2022, Moran said, including large acts like Elton John, Dave Matthews Band and Stevie Nicks.
“Both AEG and Live Nation partnered with us on concerts this year,” Moran said.
In downtown Charleston, The Charleston Music Hall on John Street is also fresh off a renovation
undertaken in 2020 with removable seats in order to host private, nonticketed events.
“We have a huge 600-capacity open floor plan now that we can remove our seats,” said Charles
Carmody, Charleston Director for the Charleston Music Hall and Charleston Music Farm, a nearby venue acquired by the management of the Charleston Music Hall last year.
At both venues, Carmody said there aren’t as many touring acts on the road right now, but the calendar is still steady, with 167 events in 2022 at The Music Farm between April, which it re-opened under

new management and a new renovation, through the end of the year.
The Charleston Music Hall’s ticketed event calendar included just over 200 events in 2022, a dip from 2019 when there were 278 events, Carmody said.
The new owners of the Music Farm are continuing to host private events that were held previously to help support the music calendar.
“We’ve done 41 private events this year since April,” Carmody said. “We’ve done some political parties, we’ve done birthday parties, we’ve done a wedding vendor event. We’re trying to up our special event rental game and do more of them.”
The Music Farm has the added benefit of having a full kitchen that can handle outside catering, a large existing bar, fully staffed, and a wide open calendar for 2023.
“Music Farm is booking as close to 60 days out, while the Music Hall is booking three to six months
out,” Carmody said.
Already having stages for entertainment makes it an ideal place for private events with music.
“We’re doing a 50th birthday party soon and planners are booking a big band to play it. Hootie (Darius Rucker of Hootie and the Blowfish) played the Hootie at Bulls Bay fundraiser,” Carmody said.
“At the Music Hall, we have all types of private corporate events, awards ceremonies, fundraisers,” Carmody said. “We’ll do about 60 non-ticketed private events this year.”
Charleston Music Hall is looking to promote its space for weddings, which is a new venture for the space.
“We’ve always been open to do weddings, but we’ve only done three weddings in 10 years,” Carmody said. “We haven’t done any weddings this year, but I’m in talks for four or five for 2023.”
Like other large event venues, the Charleston Gaillard Center has a split between its music and cultural events calendar and private event space.
“We are excited to see more patrons and clients back in the Gaillard Center for our 2022-2023 season, both in our Martha & John M. Rivers Performance Hall and in our Grand Ballroom,” said Stephanie
Shipe,
the Gaillard Center. “In addition to presenting excellent performances and events, we also provide space for other arts organizations including the Charleston Symphony and Spoleto to perform, and our Grand Ballroom hosts many special events and conferences throughout the year.”
Shipe said every type of event is possible at the Gaillard Center with a knowledgeable staff to help walk our clients through the process from start to finish.

everything from citywide conferences to fellow nonprofits’ fundraising galas. Moran said at the Credit One Stadium event planning is back in earnest now that it’s safe to again gather.
“Between COVID and construction for 2020/2021 we were shut down, so there was an appetite both for live events and to see the new facility post-renovation,” Moran said. “There was definitely a ‘wanting’ to get back out again and interact with other people. That’s the beauty of special events, like tennis, and music — they bring people together.”
