MOTIVATION LETTER

1st August 2017: Salman enters medical school for the first time – bewildered and uncertain if he would be able to truly make a difference in this world. Flash forward five years and the same person is penning down this exact letter with no doubt in mind and a clear vision of making a difference. He is certain that he is on the right path to change the world: For all medical students, current and new, as well as for public health on a global level. Being the SCOPH Director at the IFMSA, he can realise the necessary shifts for a better world.

So, what led to this stark change in his outlook?

Dearest NMOs, It is with great pleasure that I, Salman Khan, an undergraduate intern based in India, present to you the story of my growth under the Standing Committee on Public Health, and my motivation to be your SCOPH Director for the term 2022-23.

I felt like medical school stunted my ability to see beyond what was expected from me: “be studious”, “ace your exams” "focus on clinical skills" – only then will you become a good doctor. Only then you can save people. This line of thought blinded me from the harsh realities of health inequities – ones all of us have experienced so much of it that it has become a norm. Something we can’t fix.

That’s when I was introduced to IFMSA through my NMO, ultimately, kick-starting my long-awaited journey of self-growth and of saving a population instead of one individual. Volunteering for a plethora of activities motivated me to keep myself involved with awareness sessions and campaigns on a community level – this newfound dynamic made my mission fall into place. I realised SCOPH offered what I was looking for and I applied for the post of Local Public Health Officer in 2018-19. While being the most chirpy and talkative LPO, enjoying leading the volunteers and together creating an impact through the meticulously curated national campaigns, my love for SCOPH kept growing within me. My outgoing personality combined with the satisfaction of leading volunteers from all backgrounds towards creating a unified impact solidified SCOPH as my calling.

I tested my capabilities by serving roles with gradually increasing expectations – an NPO-Assistant, then as a National Public Health Officer followed by serving the NMO Executive Board as the Vice-President for External Affairs.

My experience as an NPO and the Program Coordinator helped me grasp the complexities of all complexities of the IFMSA regions. As the next term as the SCOPH Regional Assistant for AsiaPacific, I learned to assess projects from Asia-Pacific and was able to view AsiaPacific from a member's, NPO's and a regional team member's point of view.

With this expansion of perspective, working across borders and inter collaboration became second nature to me. I found contentment in being a part of the committee and my desire to do better for both myself and the world around me, made me put my skills further into action, for the Standing Committee I love so deeply.

I believe my breakthrough was during my appointment with the SCOPH International team. I had the experience of connecting ambitious and committed youths through IFMSA Programs and observed the true potential of a generation that is being left out of conversations around public health. For me, labour for meeting organisational deadlines became time for bonding with SCOPH IT. I developed numerous skills after working on all types of projects (eg. SWGs, SCOPH Exchanges, Administration) and skills such as leadership, resource management, public speaking, and digital content creation. I felt like I was 6 coming into my own element.

SCOPH has been my safe space and my room to grow as it opened doors to a multitude of problems I have been subconsciously looking to solve since I entered medical school. SCOPH is my calling. I am certain that all the skills, experience, and people I’ve grown to love make me a suitable candidate.

PLAN OF ACTION Term 2022-2023 Background Values and Principles Pillars

BACKGROUND

My plan of action is curated based on my experiences at local (LPO), national (NPO-Assistant, NPO, VPE), regional (SCOPH RA AP) and international (PC HLNCDs) levels. This has enabled me to think from multiple perspectives while drafting my PoA. Furthermore, I have referred to the relevant SCOPH Documents and procedures that define the functioning of the standing committee and the concerned officials and international team members.

My plan of action focuses on the new ideas as well as the improvement of existing work done for SCOPH that align with the values of IFMSA and it does not include the mandatory tasks that would fall under my duty as the SCOPH Director.

If elected, I will transform the Plan of Action into a realistic Annual Working Plan, and align it with the plans of the other relevant officials, IFMSA Strategic Plan and SCOPH Strategic Plan 2022-25, and incorporate inputs from fellow SCOPHeroes globally.

MY VALUES AND PRINCIPLES

I aim to abide by the following values throughout my term as the SCOPH Director: Transparency: It is of utmost importance for my work to be accessible to everyone. Transparency is important to build trust, to help people familiarise themselves with the work of the standing committee, and in the long run, to make it easier to build interest in members who will potentially serve the standing committee internationally Accountability: My primary role as the SCOPH Director will be working for the betterment of SCOPHeroes worldwide.

I promise to be open to opinions, scrutiny and feedback throughout my term, in order to improve my way of functioning Inclusivity: It is important for SCOPHeroes to avail opportunities irrespective of their background, academics and financial status, and to be involved in the decision-making processes of the standing committee. Hence, I plan to work on communicating regularly with members and open up opportunities for them to be engaged in every possible manner.

Commitment: I understand that working as an official demands time, energy and commitment, which I am prepared to make. My current year of undergraduate internship is much less demanding compared to the academic years in my medical curriculum, as there are no examinations and other academic obligations. Furthermore, my experiences of managing multiple positions/obligations in IFMSA have taught me effective time management, leadership, team working, while at the same time, staying healthy and productive.

ON-TRACK WITH THE PAST AND THE PRESENT

For every initiative, project, or organisation, sustainability is the secret to success.

Having said that, I consider sustainability an important aspect of my Plan of Action.

I intend to base my work on the learnings from the past terms and work on upscaling the current efforts by the SCOPH International Team. For this, I plan to: Holding informal consultations with at least 3 Former SCOPH Directors to get an understanding of their challenges, outcomes and success stories of their term Compile the analyses of the baseline assessments of the previous terms to understand the trend of the needs of the SCOPHeroes across the globe Conduct a baseline assessment that would aim to assess if the analyses of the previous assessments are still viable, followed by chalking out the action points and aligning them with the annual working plan Completing action points of the previous term: Working with the current SCOPH Director for the past two terms has given me the opportunity to involve myself with, and be informed about multiple projects conducted by SCOPH IT. I’ll be using this opportunity to do the following1. Curating a checklist of the pending projects of the term or the projects/tasks that need to be continued in the term 2022-23 (e.g. Recognition of SCOPH Exchanges) and forming a realistic timeline to accomplish the tasks.

2. Update the existing internal guidelines and protocols within the Standing Committee with the involvement of IT. 3. Receiving the recommendations and feedback from the outgoing SCOPH D and the SCOPH IT with respect to pending tasks, administration and other aspects of SCOPH and incorporating them in a realistic manner 12

Handover: To ensure a proper reception (and subsequently, a proper delivery) of handover, I would like to work on the following1. Curating a self checklist for the handover reception (including feedback, queries regarding duties, tips and tricks for preparations for the term) 2. Coordinating handover of the incoming SCOPH IT, and working towards developing handover as a skill for the SCOPH IT members 3. Classifying and cataloguing the SCOPH D email and drive for easier delivery of handover 4. Connect the new IT with the former IT in the SCOPH IT handover to give them better insights into the IT environment and give them the space to clarify their queries

RISING TOGETHER AS A SCOPHAMILY

IT Structure and Dynamics: Based on my experience in SCOPH IT for two terms and serving IT in multiple capacities has given me a deep understanding of how a team is supposed to coordinate, tackle challenges, resolve conflicts, and balance work and fun. It is very important for all members of a team to be on the same page, and for them to function as a unit. I plan on working with each of the appointed members and supporting them in any possible tasks. If elected, I envision the structure of IT as follows: SCOPH General Assistants (Administration and Exchanges) SCOPH Development Assistants (For Capacity Building and Members Engagement) SCOPH Regional Assistants (1 for each region, and 1-2 for Europe) Sustaining the involvement of Program Coordinators in the IT Structure and further refining their roles in the SCOPH IT 13

To ensure a healthy work dynamic for the team, I would: Continuous transparent communication within the team and refining the current social contract through the inputs from the IT Collaboration and clear division of tasks within the team Continue the SCOPH IT competency model based on the needs assessment in the first three weeks of the term Explore the possibility of continuous soft skills development of the IT throughout the term in monthly IT OLMs. A separate agenda point based on the capacity building can be dedicated in the first 30 minutes of the OLM. The possible CB sessions could be: 1. Communication and feedback 2. Cultural sensitivity and Empathy 3. Conflict management within a team Conduct regular mental health watch of the team, self-reflection and team reflection meetings Involving IT members in the decision-making and consulting with them in the possible areas Encourage open, bilateral and non-violent communication between members of the IT and collect & deliver relevant feedback/constructive criticism to each other.

Aligning the internal and external efforts of the Standing Committee: From my experience as a VPE of my NMO and that of the IFMSA External Affairs opportunities related to SCOPH, I believe that the alignment of internal work and external visibility is vital for the success of a standing committee. To achieve this, I aim to: Collaborate with the Liaison Officer on Public Health Issues and Liaison Officer to the World Health Organisation, starting after the election in AM 2022 and decide on an action plan with common priorities for alignment of the internal aspects of SCOPH with External Affairs.

Explore the possibility of fostering collaboration with the LPH and Liaison Officer for Medical Sciences and Research Issues with respect to SCOPH Exchanges Promote active utilisation of the Programs Annual Impact Reports and internal databases containing initiatives related to SCOPH Programs in Public HealthRelated External events, and working on providing updated internal information to the relevant LOs Work with the LOs to seek the opportunity to participate in conferences (e.g.

AMEE) and journals with SCOPH activities and studies Assist the LOs in promoting the calls for relevant external opportunities, including but not limited to meetings, policy SWGs, webinars, online courses, etc Build members’ capacity in External affairs through sessions, simulations, external facilitators, and other methodologies in Pre-GAs/GAs, RMs/Pre-RMs, campaigns, workshops and initiatives led by the SCOPH IT Explore the possibility of building the capacity of the SCOPH IT in policy making, and proposing at least one new policy or renewing existing policy contributed by SCOPH IT members for AM2023 Work with the LOs, RDs and regional assistants to develop external work in their own regions and find regional external representation opportunities Ensure implementation of IFMSA policies in the internal functioning of SCOPH Explore new opportunities for external funding through grants, and re-establish the pre-existing grants (UHC Grant) Collaborating with other student organisations (IVSA, IPSF, ISOHA, etc) for joint campaigns/sessions related to One-health and relevant public health issues, with an aim to promote multidisciplinary learning

ALIGNING WITH THE BIGGER PICTURE OF IFMSA &SCOPH

SCOPH Strategy As a part of the Small Working Group on the SCOPH Strategy 2022-25, I have a fair idea of how the proceedings of the next terms should be looking like, if the strategy is adopted, I will implement the following: Orientation of the SCOPH Strategy to the SCOPH IT and explanation of their roles and responsibilities Division of tasks related to the objectives of the strategy amongst the relevant IT members, followed by working on the incorporation of the SCOPH Strategy in the Annual Working Plans of the SCOPH IT members Curating the following timelines and tracking sheets upon suggestions by the SCOPH Strategy SWG, for the implementation of the strategy: 1. Main timeline and tracking sheet to be used as a guiding document for the terms 2022-25.

2. Specific timeline and tracking sheet for the term 2022-23 that would be adopted by the SCOPH IT and incorporated in their AWP Developing a robust plan to promote the strategy with the NPOs, SCOPHeroes and IFMSA members Towards the end of the term, work on amending the timeline of the implementation of the SCOPH Strategy depending on the progress, monitoring and evaluation of the strategy, followed by passing down recommendations to the SCOPH IT 2023-24 16

IFMSA Strategy and Global Priorities: Helping the SCOPH IT orient themselves to the IFMSA Strategy 2022-25 and IFMSA Global Priorities 2022-23 and to help them understand their role in implementing them Aligning of the annual working plans of the SCOPH IT with the relevant indicators documented in the Strategy and Global Priorities

Working with the Team of Officials: As a member of the Team of Officials, I plan to be a connecting link between the driving forces of impact- our members, and the IFMSA leadership. For this, I plan to break down barriers between the SCOPHeroes and the Team of Officials. Moreover, I intend to work with all relevant teams viz. Team of Officials, Executive Board, SCOPH IT and other International Teams in a healthy manner and achieve our common goals as a federation. To accomplish this, I would: Follow the values of cooperation, open-mindedness, and empathy while working with different teams Understand my role as a Team of Official and actively work in fulfilling my duties, and giving my perspectives and input when required Actively contribute to improving the Team Dynamics of the TO through bilateral and open communication, feedback and team building Commit to attending all TOMs (at least 3 TOMs in person) and Online meetings related to the TO work Collaborate with other TO members in aligning our efforts to work on the IFMSA Strategy Explore inter-Standing Committee Collaborations, for opportunities including but not limited to Workshops, Sessions in IFMSA meetings, Campaigns, Contributing to external opportunities, etc Continuing the work on the Mental Health Framework within the IFMSA with the VPA 2022-23 (since they have been involved in this task as the SCOPH D 2021-22), other relevant officials and PC Mental Health

NAVIGATING THROUGH THE SCOPH EXCHANGES

General Efforts towards SCOPH Exchanges As we spread out the wings of SCOPH Exchanges with the collective efforts by the SCOPH, SCOPE and SCORE ITs towards promoting SCOPH Exchanges, there is room for more NMOs to be involved in curating and conducting them. This term, we saw a record number of PHEx Internship forms approved (thanks to the persistent efforts of the SCOPH IT 2021-22), and to ensure that the continuum of momentum I would: Continue and further build on the current efforts in promoting SCOPH Exchanges Work on the sustainability of the dedicated position of SCOPH GAE in IT, further defining their roles and solidifying existing communication protocols with SCORE and SCOPE ITs Healthy, and constant communication with the SCOPE and SCORE IT, and to align our expectations and potential working plan at the start of the term Continuing the work on academic recognition on exchanges along with the LSR (and LPH) Implement regional approaches (since each IFMSA region faces a different set of problems pertaining to exchanges) in handling challenges in SCOPH Exchanges Encourage regional assistants to collaborate with the GAE and their SCOPE and SCORE IT counterparts in promoting, capacitating and helping the NMOs curate their SCOPH Exchanges Explore the possibility of incorporating PHEx and GAP Exchanges based sessions in PRETs and SCOPH Workshops in Pre-IFMSA Meetings as well as SRTs Streamlining the involvement of SCOPH Exchanges at Exchanges Fair in collaboration with Exchanges ITs to constantly promote and enhance SCOPH Exchanges Focus on promoting the theoretical-practical balance of SCOPH Exchanges in order for members to understand the difference between SCOPH 18 exchanges and other exchanges

Focused efforts towards Public Health Exchanges Explore the possibility of the SCOPH GA for Exchanges having access to the PHEx database (or a separate database) in the exchanges database for reporting and evaluation Promote the newly created evaluation framework amongst the SCOPH and exchanges officers in NMOs to further enhance understanding of the potential areas of curation of SCOPH Exchanges Further, standardise and enhance the Internship Forms for PHEx submissions

Global Action Project (GAP) Exchanges: Promoting Knowledge of GAP Exchanges to promote collaboration between SCOPH and SCORE Officers at a National Level Curate a strategy with the SCORE -D, IT nd SCOPH GAE to empower NMOs to activate GAP Exchanges Work on consultation, guides and documents on possible limitations, shortcomings and relevant FAQs which can be used by NMOs before and during proposing SCOPH Exchanges

GENERATING CAPACITATED SCOPHEROES

Capacity building is truly the backbone of our federation (and of course, our standing committee). Since the past three terms, CB in our standing committee has grown leaps and bounds, and also dealt with major challenges caused by the COVID-19 pandemic. So, to improve the backbone of SCOPH, I intend to work on three major sub-pillars: i) SCOPH Workshops ii) General Assemblies, Regional Meetings and Pre-IFMSA Meetings iii) SCOPH Meetings

SCOPH Workshops Work on constantly upscaling the SCOPH Workshop Regulations and aligning them with the IFMSA CB IoGs Continuing the mammoth task of making the workshops competency-based by working on a realistic plan of action in a well-defined timeline Update the existing Workshops Resources centre with content that can cater to participants' different levels of experiences SInce Training Public Health Trainers (TPHT) and One Health Workshop will be conducted for the first time in AM and during the handover period of the term, I plan to evaluate the efficacy of the workshop and generate feedback from the participants and trainers. After this, I would work on improving the modules of these workshops, if necessary.

Working on incorporating any inputs received for the PHFKA workshop which will be presented at the AMEE Conference this year. Along with this, I also plan to upscale the content through feedback from external experts in Public Health and include asynchronous content in the agenda Maintaining a database of trainers (in collaboration with the Trainers Pool Advisory Board) for specific workshops (and even the list of participants) and encouraging them to apply in SRTs and IFMSA meetings 20

Improve accessibility of Online Workshops by implementing them on a regional level (upon a needs assessment to ensure effective utilisation of existing resources) Deciding the way forward with the PHLT-T online workshop reform and working on the same with the help of a realistic timeline and the existing resources, pool of trainers and SCOPH alumni

General Assemblies and Regional Meetings Includes a series of preparatory sessions called ‘Road to SCOPH Sessions’ before each GA/RM, which would include Introduction to SCOPH as well as discussion of the agenda, relevant RCPs, and other relevant basic sessions.

Preparatory sessions for SCOPH Fair and SCOPH Exchanges participants in order to have smooth conduction of the fairs Preparing and supervising the preparation of SCOPH Sessions Agendas, keeping in mind the IFMSA priorities and the current public health scenarios globally/regionally Selecting well-balanced sessions teams on basis of gender, levels of experience, regional (sub-regional for RMs) and promoting peer-to-peer learning within the sessions team through buddy groups Being receptive to feedback from the sessions participants during daily reflections and forum of representations Ensuring the sessions are conducted in a way that they cater to SCOPHeroes with different levels of experience, without compromising the quality and time of the sessions allotted to the sessions For those who cannot attend IFMSA General Assemblies and Regional Meetings due to academic/financial constraints, I intend to explore the possibility to work on a pilot model for the online SCOPH Camp. The agenda for the same would be curated in a way that caters to SCOPHeroes with varying levels of experience.

SCOPH Meetings As a part of the Core Organising Committee of IFMSA’s first-ever SCOPH Week hosted by MSAI India, I am (and will be) exposed to the communication with the SCOPH IT, expectations for the event, different aspects of organising SCOPH meetings as well as the challenges that can be faced by the organising committees. If elected, I plan to bank on this experience in order to support the organising committees of the SCOPH meetings and act as a link between the SCOPH IT, IFMSA TO, Hosting NMO and the organising committee.

Implementation of IFMSA’s suggestions to conducting sustainable events and leading the federation by examples of SCOPH Meetings Collecting feedback from participants, trainers, SCOPH IT and organising committee of the SCOPH week and conducting an in-depth analysis to create a guiding document for hosting SCOPH Week for OCs Since our beloved Standing committee completes 40 years of existence in 2023, I plan to use this opportunity in upscaling the conduction of SCOPH meetings, particularly SCOPH Week and celebrate the impact achieved by SCOPH enthusiasts in the past 4 decades Encouraging NMOs to propose SCOPH Workshop in their SRTs in order to increase the pool of SCOPH Trainers and Facilitators Support the OC of the SCOPH Africa Summer School and exploring the possibility of involving external stakeholders in SASS, particularly WHO Regional Office for Africa Support the SCOPH RAs for Europe to conduct the NPO Weekend, and also explore the possibility of having NPO Weekends in other IFMSA regions

ENGAGING MEMBERS FROM LOCAL TO GLOBAL

In IFMSA, its members are at the centre of making change through their initiatives.

That being said, members’ engagement holds utmost importance in the success of a standing committee. For this, I plan to engage SCOPH enthusiasts on all levels from local to global, in a bottom-to-top approach. Making a safe space for members to grow and communicate openly for the improvement of the standing committee, themselves, and our communities, in the long run, is the main outcome that I hope to achieve in the following sub-pillars:

For members throughout the globe: To make opportunities accessible and bring the working of the SCOPH IT closer to the members, I plan to: Organise SCOPH Talks, which has been one of the spaces in our SCOPH Sessions in General Assemblies that motivated people and reignited the orange passion in members. The last edition of SCOPH Talks was done in AM 2020. If elected, I plan to resume SCOPH Talks in GAs but also conduct SCOPH talks online outside the scope of GAs. Offer opportunities to the members to apply for observing monthly IT OLMs, Small Working Groups for certain IT work projects and SCOPH Campaigns and provide inputs in the working of the SCOPH IT Give the space for members to showcase their enthusiasm for SCOPH through newsletters, hackathons, SCOPH fairs, competitions, etc Continue organising quarterly SCOPH Cafes and offer the space for the members to get to know the IT work closely and ask questions Regularly update SCOPH Public Calendar with CB opportunities, campaigns, public health-related days, etc Always uphold the values of inclusivity in SCOPH and ensure all opportunities have representation with respect to Gender and region

SCOPH Public database and resources: The current SCOPH Public database is comprehensive and it covers all the necessary resources a SCOPHero can avail to empower themselves and others.

However, there is room for improvement in order to promote the database and make it more accessible to members. For this, I intend to: Refine the public database by adding the latest resources and curating a mastersheet that would make it easy for members to navigate through the database Increase ways of promotion of the public database in the following ways: 1. Introduction of QR codes and uploading them in SCOPH Social media publications, session presentations and utilise opportunities to promote the public database 2. Introduction to the link to the public database in email signatures of the SCOPH IT Curation of standard resources on basic topics of SCOPH (e.g. SCOPH 101, Basics of public health, SCOPH exchanges, External affairs, etc) Continue the work being done on translating SCOPH manuals and resources into Arabic, French and Spanish Updating the content of the resources already translated into other languages

SCOPH Alumni SCOPH is privileged to have an extensive network of alumni who have made an impact in the public health arena. What’s better than getting to learn from their experiences and get a glimpse of the public health world beyond IFMSA. To bring the words of wisdom of the alumni closer to the budding SCOPH enthusiasts, I plan to: Reach out to alumni and ask them in what capacity they would like to help the SCOPH IT in the existing and upcoming projects Make an internal database of SCOPH Alumni and their potential area of contribution Engage Alumni in providing their expertise to members in the form of the following, including but not limited to: 1. Training in workshops as external trainers 2. Mentoring sessions 3. Careers in Public Health 24

Empowering NPOs: The key to reaching out to SCOPHeroes locally is to have a sound relationship with the NPOs who serve as a link between SCOPH IT and the LPOs and to empower them. Having said that, engaging NPOs and building their capacity will result in stronger NMOs who take SCOPH to new heights in their home.

For this, I would like to: Continue the conduction of NPO Competency Model 3.0 and explore the possibility of organising it twice the term keeping in mind the different timelines of NPOs terms Guide the regional assistants in capacitating new NPOs and help them work on different aspects of SCOPH in their NMO Encourage inter-NMO collaborations through opening new informal channels of communication and sustaining the current communication outlets including the NPOs WhatsApp groups Focus on the importance of enrolling and reporting of activities under IFMSA Programs and aligning their initiatives with Sustainable Development Goals

Social Media and SCOPH Campaigns My experience with SCOPH Campaigns and involvement in social media for two terms has given me insight into the strengths that we can bank on and the challenges ahead that need to be addressed.
