ARRIVAL & DISMISSAL PROCEDURES

Arrival

The school hours are 8:30 a.m. - 3:00 p.m. for the early childhood and elementary grades. Classes will begin promptly at 8:30 a.m., and dismissal will begin at 3:00 p.m. The school clocks are set to the atomic time indicated by your cell phone company. Please set your clocks accordingly.

Morning carpool drop-off will begin promptly at 8:00 a.m. If your child is to arrive earlier than 8:00 a.m., you must park and bring your child into the office. For the safety and security of our students, please do not drop off your child in the front of the school before 8:00 a.m. without supervision.

Students must be behind the passenger side for the morning carpool. We ask that you train your students to unbuckle themselves and open the door themselves. Staff members will be present to assist as needed. Staff members are unable to unbuckle or go around the car to open the door behind the driver’s side.

Students will report to Monty’s Mane Course if they arrive between the hours of 8:00 a.m. and 8:20 a.m. At 8:20 a.m., students will be picked up by the homeroom teacher in Monty’s Mane Course. If your student arrives between 8:20 a.m. and 8:29 a.m., students are to walk directly to their classroom. If your child arrives at 8:31 a.m., they will be redirected to the front office for a late pass. At this point, they will be taken to class by a staff member. Instruction begins promptly at 8:30 a.m, therefore we ask that parents are not on campus unless they are scheduled for a volunteer opportunity, conference, or school event.

ARRIVAL & DISMISSAL PROCEDURES

Basic Safety Rules:

• DURING MORNING CARPOOL, TRAVEL LANES ARE DEEMED A “NO CELL PHONE ZONE” TO ENSURE THE SAFETY OF THE CHILDREN. It is a violation if you are using a cell phone in the carpool lane while school is in session.

• PARKING IS PROHIBITED IN THE CARPOOL LANE AND THE DESIGNATED ADMINISTRATIVE PARKING SPACES.

• Cars should not be stopped or parked at the crosswalk. Please do not block or park in the fire lane.

• Parking in the admissions parking spot is prohibited. This is reserved for prospective families.

• Please adhere to the school zone speed limit. The speed limit is 15 mph in the area and in the carpool lane. BSO will issue tickets.

• Please adhere to traffic signs. Please do not make a left turn out of the carpool lane as it is a traffic violation. BSO will issue tickets.

• Children will only be unloaded from the PASSENGER side of the car.

• Parents are to remain in their cars.

• Teachers and staff are not permitted to load or unload anything from the trunks of vehicles.

• It is the driver’s responsibility to make sure that all passengers are properly secured in their seatbelts. Teachers may not buckle up or unbuckle the student. There will only be a morning carpool for drop-off. Please note that there WILL NOT be an afternoon carpool line. Parents are to park and pick up their child from their homeroom class in the afternoon every day. You must bring your carpool ID provided by the school to pick up EVERY day. If an alternative person is picking up and they don’t have the school dismissal ID, please ensure that they have their own ID, such as a license, and that will be verified by the front office.

ARRIVAL & DISMISSAL PROCEDURES

Dismissal

Dismissal begins at 3:00 p.m. Parents are to park and pick up their child from their homeroom classroom. Please do not park at the bank next door or in the designated Admin parking spaces or block crosswalks. All students will be dismissed from their homerooms every day. Parents are to bring their dismissal ID provided by the school. Only those adults listed on the Authorized Pick-up list may pick up students. The parent dismissal ID card is required. For the safety of our students, students will not be released to their older sibling unless they are older than 18. Early dismissal of children must be done prior to 2:30 P.M. Prior written notification is required.

The school will not release your child to anyone unless they are authorized pick-ups or you have granted your approval in an email to the front office. No student will be dismissed after 2:30 p.m.

ALL DISMISSAL CHANGES MUST BE IN WRITING (EMAIL TO THE FRONT OFFICE) by 2:00 P.M. DISMISSAL CHANGES WILL NOT BE TAKEN OVER THE PHONE.

Athletics/Activities

If a student is absent on the day of an athletic event or activity, the student will not be eligible to participate in after-school activities, sports, or clubs. A student must be present in school for 50% of their scheduled class time on the day of an athletic event or activity to be eligible to participate. If a student is tardy, they must be in school by 11:30 a.m. in order to participate in afternoon clubs, choir, and/or sports.

ARRIVAL & DISMISSAL PROCEDURES

Sign-Out Procedures

Should you wish to remove your child from school prior to dismissal, this needs to be done in person or via email. Phone calls will not be permitted. Students may not be dismissed after 2:30 p.m. Only those adults listed on the Authorized Pick-up list may pick up students. The parent dismissal ID card is required, or a Valid ID that will be verified by the front office. Ensuring the safety of your child is a priority at Sagemont Prep. Therefore, parents authorizing their children to leave school grounds during school hours will be required to fax or email a copy of their driver’s license.

Tardy Policy

The school day begins at 8:30 a.m. Students need to adjust their daily schedule so that they are present in their first class by this time. Students who arrive late to school disrupt the learning process. Students who arrive at school past the designated start time must report to the office to receive a tardy pass. Please note that the cut off time to report to school is 11:30 a.m. Students are not allowed to come in after 11:30 a.m. nor participate in afterschool enrichments or clubs. Again, missing a class due to lateness or early dismissal counts as an absence for that class and counts toward the 10 maximum allowable missed days (5 days per semester).

ATTENDANCE POLICY

Attendance Policy

Florida Compulsory School Attendance Law

Florida's compulsory school attendance law mandates that students attend a minimum of 170 school days and receive at least 900 hours of instruction annually, regardless of excused absences (FL Administrative Code 6A-1.09512).

Consequences of Unexcused Tardies/Absences: If your child accumulates more than 5 tardies or absences, parents will be sent an Attendance Violation letter.

Excusing an Absence

If a student is absent, a parent/guardian must call the school within 24 hours for the absence to be excused. All other absences are considered unexcused and will count against the 5 maximum allowable missed days per semester.

The following are considered excused absences:

Student illness

Medical appointment

Death in the family

Observance of a religious holiday or service mandated for all members of a faith

School-sponsored event or activity previously approved

LUNCH

Wholesome Food Services

Our Preparatory School offers nutritious hot and cold lunches through our partnership with Wholesome Food Services. Students in Preschool and Pre-Kindergarten have the convenience of eating lunch in their classrooms, supporting our goal of maximizing independence among our youngest learners.

To set up a student account and explore menu options, please visit this link.

Students in Kindergarten through 5th grade dine in the cafeteria. For the well-being of our students, we kindly request that lunch deliveries (e.g., Uber Eats, Door Dash) not be sent to the front office due to health regulations. Please ensure your child arrives at school with their lunch, or they can order from our lunch vendor.

Additionally, we encourage students to bring a refillable water bottle daily to stay hydrated and foster independence.

BIRTHDAY CELEBRATIONS

Early childhood students may celebrate their birthdays with their classmates in their homeroom class at 2:00 p.m.

Please schedule this with your homeroom teacher. Due to the fact that there are many children with severe food allergies, please consult with the teacher prior to bringing in any snacks or food for your child’s small celebration. K-5 grade will celebrate their birthdays during recess. Please contact the teacher to schedule the date.

Please arrange the time and date with your child’s teacher at least one week in advance. We are very sorry for any inconvenience; however, siblings or any other minors may not attend school birthday celebrations. If you are providing goody bags to the class, you will need approval from teacher beforehand (one week before) due to allergies.

Parents who would like for their child to celebrate his/her birthday at school should purchase cupcakes or cookies for each child. The cupcakes or cookies are to be distributed ONLY to the child’s homeroom class, NOT the entire grade level, unless you prefer to do so. If you are selecting to provide to the whole grade, you are to arrange this beforehand with the teacher not on the day of the party. Please arrange the date with your child’s teacher at least one week in advance. Food is to be brought in at the time of the birthday celebration with the parent. We limit this to only the parents. Please refrain from bringing siblings and extended family members.

BALLOONS OF ALL TYPES ARE NOT PERMITTED.

BIRTHDAY INVITATIONS

In order for your child to hand out birthday invitations at school, the child’s entire homeroom class must be invited. This is to make sure that no one feels left out. If you would like to extend your invitation to just a few select students, please make sure to make arrangements to mail the invitations as they will not be able to be handed out in school.

FAMILY EDUCATIONAL RIGHTS AND PRIVACY ACT

The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. § 1232g; 34 CFR Part 99) is a Federal law that protects the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education.

FERPA gives parents certain rights with respect to their children's education records. These rights transfer to the student when he or she reaches the age of 18 or attends a school beyond the high school level. Students to whom the rights have transferred are "eligible students."

Note: Please see next page for full details

Family Educational Rights and Privacy Act

Parents or eligible students have the right to request that a school correct records which they believe to be inaccurate or misleading. If the school decides not to amend the record, the parent or eligible student then has the right to a formal hearing. After the hearing, if the school still decides not to amend the record, the parent or eligible student has the right to place a statement with the record setting forth his or her view about the contested information.

Generally, schools must have written permission from the parent or eligible student in order to release any information from a student's education record. However, FERPA allows schools to disclose those records, without consent, to the following parties or under the following conditions (34 CFR § 99.31):

School officials with legitimate educational interest;

Other schools to which a student is transferring;

Specified officials for audit or evaluation purposes;

Appropriate parties in connection with financial aid to a student;

Organizations conducting certain studies for or on behalf of the school;

Accrediting organizations;

To comply with a judicial order or lawfully issued subpoena;

Appropriate officials in cases of health and safety emergencies; and State and local authorities, within a juvenile justice system, pursuant to specific State law.

Family Educational Rights and Privacy Act

Schools may disclose, without consent, "directory" information such as a student's name, address, telephone number, date and place of birth, honors and awards, and dates of attendance. However, schools must tell parents and eligible students about directory information and allow parents and eligible students a reasonable amount of time to request that the school not disclose directory information about them. Schools must notify parents and eligible students annually of their rights under FERPA.

STUDENT ASSESSMENTS

Standardized Tests

Students in grades 1 - 5 will take a nationally recognized standardized test administered in the spring. Standardized testing allows the school to compare our students’ performance with children in the rest of the country. The CTP (Comprehensive Testing Program) assessment is a well-established and highly reputable test commonly used in college preparatory private schools and highly regarded public school districts throughout the U.S. he specific assessments are as follows:

Student Cumulative Folders

Official documents related to a student’s academic performance are kept by the registrar of the school. These documents include transcripts, report cards, standardized test scores and psychological testing information. This information is available to staff members working with students and their legal guardians. Staff and/or parents may check their student’s/child’s cumulative folder out with the registrar present. Additionally, they must present the cumulative folder back to the registrar who verifies that it was returned.

STUDENT ASSESSMENTS

Standards-Based Report Cards

Standards-based grading practices provide specific clear learning goals for students, parents, teachers and administrators for what a student must know and be able to do to master the content of a course. This grading practice allows teachers to be consistent with common best practices based upon educational research. Most importantly, Standards-based report cards provide clarity for students and families as to what the grading criteria and expectations are between and amongst teachers, courses, and Sagemont Preparatory School.

Assessments of Learning

Formative assessments are designed to provide direction for improvement. Formative assignments are reviewed for accuracy and used only to provide descriptive feedback. The goal of the formative assessment is to collect detailed information that can be used to improve instruction and student learning and is integrated into the teaching and learning process.

Summative assessments are major end of learning unit tests, projects, or writing pieces. Summative are assessments of learning that provide measureable evidence of learning. Summative Assessments are graded to determine the semester outcome for each subject area. The final grade will be determined by the standard grades from each summative assessment

STUDENT ASSESSMENTS

Standards

The standards listed on your child’s report card will indicate the material we expect students to master in each content area. Not every standard is introduced and practiced each term; however, all standards should be mastered by each student by the end of the school year. The following terms indicate where students are in their learning of standards:

Accommodations and Modifications

Sagemont Preparatory School does not accept students having severe emotional/behavioral issues. Students with an IEP or 504 plan will work with the school counselor to create any necessary accommodations or modifications that will allow them to best demonstrate their learning in the classroom.

Accommodations alter the environment, format, or equipment (not the curriculum) that allows an individual with learning difficulties to gain access to content and/or complete assigned tasks. They allow students with learning difficulties to pursue a regular course of study.

Modifications change the curriculum and are made for students with learning difficulties who are unable to comprehend all of the content or skills being taught. Students are unable to pursue a regular course of study and require a curriculum tailored to their individual needs. These students would be unable to meet promotion requirements.

STUDENT PERFORMANCE

Evaluating Student Performance

Florida compulsory school attendance law requires students to be in attendance for a minimum of 170 school days, regardless of excused absences, and receive a minimum of 900 hours of instruction (FL Administrative Code 6A-1.09512). The Sagemont School student shall not be absent more than ten days in the school year to be awarded course credit as shown below:

Persistent, excessive school absenteeism (excused or unexcused) will cause unsatisfactory progress and may result in retention. Absences that include more than five days must be approved by the administration in order to be excused.

STUDENT SERVICES

School Counselor

Our school counselor works with students, parents, and teachers. The role is proactive, spending a large portion of his/her time working with students on self-esteem and character education in order to assist students in reaching their potential. The counselor also meets with students to discuss job awareness and student problems.

Community Service

Sagemont Prep students complete a required number of community service hours each year. This is critical to assist students in developing Interpersonal Skills of empathy and kindness, respectful and collaborative communication, global citizenship, and a commitment to service. A service program helps build a sense of community and common purpose within the school. Sagemont Prep students have traditionally been recognized as community leaders in this area.

We encourage all students to embrace a spirit of innovation, collaboration, curiosity and entrepreneurship. A Sagemont Prep student is a respectful communicator, a global citizen, a critical thinker and an agent for positive change. Students are encouraged to pursue their passions and ensure that their academic and intellectual pursuits never infringe on the rights of others or portray the school in a negative light. Students are expected to adhere to the schoolwide discipline plan. The school counselor will also support students in social and emotional learning as well as with the school’s discipline plan.
