If you fail to do this, the absence will be treated as an unauthorised absence. If the student is under the age of 18, an email alert will be sent to you as their parent/guardian or carer. If following this alert, their absence is not reported, you will be contacted by phone as part of the College’s Safeguarding Practice.

This information pack is designed to share key information with parents/guardians and carers in relation to the policies, procedures and expectations that we have at college. It contains information about the services we offer, what we expect from your son/daughter/ward, and most importantly, what you can expect from us.

Attendance and Punctuality
Holidays during term time are not permitted and routine appointments (doctor, dentist, driving lessons) must not be booked when students should be in lessons.

Personal Tutors
Personal Tutors are the first point of reference in all matters concerning your son/daughter/ward’s personal, social, and academic welfare. Nothing is too trivial or too important. Please contact their Personal Tutor if you have any concerns.
Reviewing Progress Students will have regular discussions with their Personal Tutor and subject teachers about their progress during an individual tutorial appointment each term. You will be informed of their progress through a progress report and/or parent evening.

The College offers a range of support which seeks to meet the needs of students. Support is available for those requiring help with their studies, including maths and English, as well as with general study skills.
The Student Services Team can provide help and advice on careers advice, transport, student support, student voice, chaplaincy, financial support, complaints procedures, alongside a range of other topics. Student Services is normally open 08:30 17:00 from Monday to Thursday, and 08:30 16:30 on a Friday.
Support
With students’ college computer accounts, they are able to download up to 5 copies of Office365 for their personal use onto Windows PCs, tablets, phones and Mac. They will need to use their college account details when using this software. To download the software, please login into https://www.office.com/ with their college email address and password and then select “Install Office” which is on the top right of the web page. They will be given their college email address and an initial password as part of the enrolment process. Once installed, they will be able to access the Microsoft Office Suite including MS Teams.

The College App Please encourage your son/daughter/ward to download the HLNSC Engage app directly from the Android and iOS App stores. Please search on your chosen store for “HLNSC Engage”. The app will help them stay connected to the College, and their classmates. Features include a news feed, group discussions and their timetable.
If you believe your son/daughter/ward may need study support or wish to discuss support, please call the Learning Support Team via main reception on each campus.
Access Arrangements are any additional adjustments the College can put in place to enable your son/daughter/ward to access exams due to a learning difficulty or disability. The system is based on providing evidence of need and an individual’s normal way of working. Examples of adjustment include additional time, a reader, a scribe, a prompter, modified paper (such as colour, or font size), smaller/individual room, or rest breaks.

Atstudy.intervals during the academic year, students will complete key assessments. These are used to measure progress towards target grades and to set targets to support achievement.

Attendance at mock exams in March, and full attendance at GCSE exams in the summer, is vital for success. We will communicate these dates to you as they become available.

We provide a fresh, supportive and positive approach to teaching and learning maths and English.
Attendance is key to success. Students who attend weekly lessons and adopt positive attitudes to learning, do well. Students who struggle to attend, or to develop positive attitudes to learning, are offered support and guidance. Where necessary, we also engage college behaviour and attendance procedures to guide students towards more successful approaches. Our ethos is: this is every student’s “best chance of success” not just a second chance. Our approach is designed to support students who have struggled in the past, building the skills, knowledge, behaviours and confidence needed for success. Through thorough initial assessments, we find out what students can already do and what further help is required. Stage 5: Formal Disciplinary Hearing (chaired by the Assistant Principal).
The College ‘Our Expectations’ explains the behaviour standards we expect at college and the Student Disciplinary Procedures and Academic Misconduct Policy gives examples of what the College considers to be academic misconduct. We recognise that sometimes not everyone behaves as they should. College staff will offer every support and encouragement to help students change their behaviour pattern to one that conforms to the College’s ‘Our Expectations’. However, if students fail to behave or act in a way that is in breach of the College’s ‘Our Expectations’, then the Student Disciplinary Policy sets out what will happen in such circumstances.
• Student ID Badges
• Student Search Campus security is taken very seriously, and the College has a zero tolerance stance to weapons or illegal substances on college premises. The aim of this policy is to ensure that Herefordshire, Ludlow and North Shropshire College remains a safe site for staff, students and visitors. The Education and Inspections Act 2006 provides the legal framework for college designated and trained staff to undertake a ‘non intimate’ search of a student if there is reasonable suspicion, they are carrying a substance or weapon that has the potential to cause harm or is illegal.
• Health and Safety
The health, safety and welfare of college staff, students and visitors is of great importance, and it is essential that everybody takes personal responsibility for themselves and all others to ensure a safe and healthy environment. The College has appropriate systems, policies, and procedures in place to ensure that it is fulfilling its legal requirements in relation to health, safety, and welfare.
The search process is a last resort and disciplinary action, and/or police referral will be instigated when required, if weapons or substances are found on an individual.
Creating a Safe Working Environment
Stage 1: Informal Warning (used to highlight and address behavioural issues)

Stage 2: Formal Verbal Warning (if behavioural issues persist after informal warning).
Students must wear their ID badge at all times whilst on college premises. Access to College facilities is dependent on students having their ID badge. Students will be asked to show their ID badge when sitting exams and will be challenged if they are not wearing their badge when on college premises. Staff, volunteers, and regular visitors are also expected to wear the appropriate ID badge on site. This is to help all members of the college community stay safe.
Stage 4: Suspension from College pending a Stage 5 Disciplinary Hearing.
Stage 3: Formal Disciplinary Hearing (chaired by the Curriculum Team Leader).
Please note the particular circumstances and type of misconduct will dictate the level a student enters the College disciplinary system (for example, an accusation of ‘gross misconduct’ could result in direct escalation to a Stage 5 Disciplinary Hearing). Continual disciplinary issues, or cases of gross misconduct can result in exclusion.
It is important that accurate emergency contact details, and up to date medical information is provided for all our students. Even though it is rare for students to be collected from college due to illness or injury, staff need to be aware of any medical considerations if administering first aid, and who to notify in such circumstances. If you change address during the academic year, please ensure we are informed.
The College receives some funding from the Government to support students in hardship to access their studies. These financial bursaries vary depending on the course being studied, the student’s age and their level of study. Please look at the College website to ensure you have applied for any bursaries or grants available that may help your son/daughter/ward access their studies.

• E-Safety E Safety encompasses internet technologies and electronic communications, including mobile phones, games consoles and wireless technology, as well as collaboration tools and personal publishing. It highlights the benefits and risks of using technology and provides safeguards and awareness for users to enable them to control their online experience. The College has an IT acceptable use policy that students need to sign up to.
All internet activity using the College’s network is monitored and logged; it is possible to trace any site visited by a user. Students are required to exercise appropriate behaviour when using the College network this includes all communications, including email and social networking sites. Any bullying or offensive behaviour online, in and out of college is not tolerated and the college disciplinary procedure will be used if necessary.
