The Association of the Automotive Industry and its parts - ASOPARTES, is pleased to invite you to the XXIV version of the International Auto Parts Fair - EXPOPARTES, which will be held from June 7th to June 9th 2017 at the fairgrounds of CORFERIAS. As a participant in the specialized exhibition, we ask you to read carefully the following exhibitors’ manual, which contains information on the parameters that you must know and follow in order for your exhibition to be successful and without any mishaps.

1. * It is not allowed the construction of booths within the fairgrounds, only assembly of parts and minor paint jobs. * It is important that the assembly activities finish within the established times for this activity, otherwise it will be sanctioned with a fine equivalent to 5% of the total value paid for its exhibition area. ** You must present the certificate of good standing to the pavilion’s supervisor.

3. ENTRY AND EXIT OF GOODS By order of DIAN, all merchandise entering or leaving CORFERIAS, without exception, must be previously registered in the entry of goods form of CORFERIAS. This will be required by the access control personnel at the time of entry and exit of samples at the fairground. The Goods Movement Forms for the entry to the event are mandatory, it has no cost.

For the sake of clarity, below we explain the step by step to fill out the merchandise entry form for the exhibitor companies at EXPOPARTES June 7 to June 9, 2017.

We invite you to perform this procedure before April 12th, 2017, in order for us to be able to provide technical support if necessary.

 

At this point you should start filling out the form:

In type of operation, you must select: entrada In type of form, it depends on the type of merchandise, if it is national or nationalized, we press “crear” (create), at this moment the page will generate a number that identifies the form.

  

This form should include the goods, information material such as Brochures, etc., the booth assembly material, chairs, tables, TV and any item that is going to be entered into Corferías.

It is important that you print this form and show it at the assembly time at the fair, also print a copy for your assembly company for them to be able to present it, remember that everything must be listed on the form.

For the disassembly, you will be given the good standing certificate issued

by Expopartes with the Corferias Exterior Commerce seal and the signature of the pavilion’s coordinator by Corferias.

Note: It is important to take into account that the goods coming from abroad without nationalization have a different procedure than the instructions given in the previous steps, since their entry must be filled by a customs agent directly in coordination with the office of Exterior Commerce and Dian at Corferias.

Expopartes staff and Corferias will not be responsible for the packing material or decoration elements for the stands stored in the warehouse, as well as for any furniture, items or goods remaining in the warehouse or at the fairgrounds after the last day of the stands’ disassembly and samples.

5. MANDATORY INSURANCE POLICY FOR THE BOOTH AND YOUR GOODS* As a prerequisite to its participation, exhibitors must be insured against all risks any and all goods on display at the event and all decorative elements within their booth, whether owned or from third parties. The insurance policy must be in force from June 4th to June 10th, 2017.

To this end, you will have 2 options to acquire your insurance policy, with the extent of coverage from your insurance company or directly with Plus Corferias, the last one you will be able to acquire it by submitting the related documentation as follows:   

Rut copy (In case it is a foreign company, it will be required Passport copy or foreign Id).

Contract copy.

List of goods (As per established format).

Insurance coverage: Fire, lightning, explosion, Amit (malicious acts of third parties) riot, water damage, flooding or flood, extended coverage (windstorm, hail, aircraft crashing), earthquake 100%, qualified theft (theft with violence involved).

Cost of insurance: COP$71,900 (TAX included) as minimum plan and insured for a value up to COP$35,000,000. If your assets (furniture and goods) exceed these COP$35,000,000 you should pay COP$2,000 per additional million including TAX. 6. STAND’S ASSEMBLY AND DISASSMEBLY a. ASSEMBLY* In order to be able to begin the booth’s assembly work, the exhibitor must be in good standing with Asopartes on every aspect, additionally must submit the Goods entry form (See number 3) to the security guard at the gate of CORFERIAS. b. DISASSEMBLY* The samples disassemble begins at 8:00 p.m. on June 9th, after being disassembled, you can remove them from CORFERIAS or leave them at the exhibitor's warehouse

until 12:00nn of the following day. In any case, the exit of the exhibition pavilion is authorized, as long as the exhibitor presents the good standing certificate, issued by EXPOPARTES with signature of the supervisor, to the pavilion’s security guard.

The organization is not responsible for the samples left at the booth on June 9th after 8:00 p.m., because on Saturday since 8:00 a.m., the assemble companies enter to remove the carpentry.  

Everything and all matters must be paid in full to the Association no later than June 1st, 2017.

The assembly / disassembly badge is valid for entry to CORFERIAS only on 4, 5, 6 and 10 of June 2017

*People who enter during the assembly and disassembly days, both exhibitors and assemble companies, must submit as a mandatory requirement the EPS and ARP card, otherwise they will not be able to access the fairgrounds.

7. SPECIAL SERVICES* CORFERIAS offers EXPOPARTES exhibitors the installation of telephone services, special energy assemblies, internet, and furniture, among others, for the adequacy of their exhibition area.

Exhibitors may contract services at the Unified Service Platform - PLUS located in the Great Room pavilion 11 level 2. For additional information please contact Leydi Martinez at the PBX: (571) 381 0000 Ext. 5612 or email: serviciosplus@corferias.com *Make your request at least a month in advance to CORFERIAS and avoid setbacks.

8. VEHICLE PARKING EXPOPARTES exhibitors will be able to purchase a parking space bonus in the PLUS (Unified Service Platform) located at the Great Room pavilion 11 level 2, valid for the admission of one (1) daily vehicle to the parking lot at CORFERIAS. The bond will be covered from June 4th to June 9th 2017.

ACTIVITIES INSIDE AND OUTSIDE YOUR BOOTH

ASOPARTES allows EXPOPARTES exhibiting companies, the exhibition and promotion of products, advertising material distribution, booths signage and decoration, only within the areas assigned to the company in accordance with the provisions of the regulations for the exhibitor’s participation.

The event’s directives and CORFERIAS reserves the right to use common areas of CORFERIAS, such as corridors, hallways, access to pavilions, among others, as well as spaces outside the booths such as floors, walls, windows, Ceilings and columns, among others.

exhibitor’S manual 10. INVITATIONS Each exhibitor company will receive official invitations according to its contracted square meter area, which will be able to handover to their customers and/or special guests.

The delivered invitations will be identified with a consecutive number that have been previously assigned to your company. We recommend you to make a good use of the invitations and keep a registry of the personnel to whom your company extends this courtesy to, which lack commercial value.

At the time of entry to CORFERIAS the invitation must be duly filled with all the requested information at the back of it.

11. PRE-REGISTRATION You can freely register your guests to EXPOPARTES or inform your clients that they should pre-register before May 19, 2017 and at the fair’s registration booth they will receive the badge that accredits them as a professional visitor for admission to the exhibition from June 7th to June 9th, 2017.

12. RESTRICTIONS The following activities are NOT allowed by Expopartes Directives: 



  

To enter any minors to the event, from the day of assembly to the disassembly thereof and during the entire fair will not be allowed, it is important to notify your customers to avoid any inconvenience at the time of the event.

Deliver any advertising or promotional material in corridors, hallways or common social areas at Corferias without prior authorization, if you require this service please contact the commercial department on pricing.

Showing products outside the stand.

Drill, grind or paint the paneling delivered by CORFERIAS. The entry of any music band of any kind whatsoever.

13. OFFICIAL EXHIBITOR’S CATALOG The catalog is the best vehicle to advertise your company among visitors and buyers who visit EXPOPARTES, with this guide buyers are oriented during their visit.
